MOBILE DEVICE MANAGEMENT SOLUTION AND KIOSK APP RFP Q & A Question 1: Please provide the following information 1) List of Items, Schedule of Requirements, Scope of Work, Terms of Reference, Bill of Materials required Answer: List of Items, Schedule of Requirements, and Bill of Materials may be found in 5.1.A, 5.1.B, and 5.1.C in the Request for Proposals. 2) Soft Copy of the Tender Document through email Answer: Vendors may download a copy of the Request for Proposals at http://www.fphny.org/whatsnew/rfps. A Request for Tender document will not be posted or available via email. 3) Names of countries that will be eligible to participate in this tender Answer: We request responses from USA vendor candidates only. 4) Information about the Tendering Procedure and Guidelines Answer: Tendering procedure and guidelines will be addressed during contract negotiations. Costs related to contract work should not be incurred until contract is executed. 5) Estimated Budget for this Purchase Answer: The maximum total budget, which would support 200 kiosks, is $14,000 USD. 6) Any Extension of Bidding Deadline? Question 2: Are you providing a template for all vendors to use for the proposal or are we expected to provide our own? Answer: FPHNY will not be providing proposal templates. Question 3: I would like to gain some clarity on whether or not you need the Kiosk App built (developed from scratch) or if you already have the app and just need to Kiosk the ipad to this app? Answer: FPHNY does not own a kiosk app, and is looking to purchase up to 200 licenses for one, as well as a cloud-based MDM console to manage it. The kiosk app can be already developed/on the market and does not have to be created from scratch. Question 4: In regards to my questions below, the number on the left of each question refers to the requirement number of the 5 th part of the RFP document that it relates to: 1) A5: Which content do you want to push to the devices? Answer: Kiosks display a website managed by FPHNY. Additionally each kiosk is assigned a different URL. We also need to manage allowed domains. 2) A8: Do you want to take screenshots of the current device screen? Should they be emailed to somebody or do you want to see them in the web portal? Answer: Yes, we want to take screenshots of the current device screen. They should be visible in the portal. 3) A9: What do you want to analyze? Answer: We would like to be able to track, analyze, and run reports on performance including, but not limited to battery status, device up time, Wi-Fi network changes, app launches and app crashes, serial numbers, app up time, Wi-Fi SSID information, OS version, device location, and installed apps. 4) A10: What is the use case here? Do you want to remote support users from a help desk? 2 P age
Answer: We will not be supporting end users in a help desk scenario. Screen shots and remote sessions would be used to assist FPHNY staff in troubleshooting. 5) C3: What should be configurable with this template? Should it be all the MDM settings described in the document? Answer: Yes, all MDM settings described in the document should be configurable. 6) B5: What do you want to refresh? The current browser content similar to a normal refresh button in a browser? Answer: We would like to be able to update or refresh the settings template in case of edits of features such as allowed domains, timeout time, screensavers, and content URL. Also we would like to be able to refresh the ability to app lock the device to a single app. 7) B7: Does the kiosk app need to activate a screen saver? Should this be an app feature? Should it be customizable through the portal? A video playback in loop will not save the screen but will cost you a lot of energy and reduce the device lifetime. Answer: Activating a screensaver is not necessary. If the app supports a screensaver, it should be customizable via the portal with URLs of either images or video. Question 5: Should the timed power-save/night mode trigger a lock screen action? Are the users able to access the power button of the ipad? Answer: Power-Save/Night mode should not trigger a lock screen action. Users do not have access to the power button of the ipad. Question 6: Who will be the operator of the system? Somebody with mobility and IT experience? Answer: End users are patients in clinical settings who are not expected to do any troubleshooting. FPHNY has a team that includes a system administrator with extensive IT and mobility experience. 3 P age
Question 7: Does the cloud solution need to be hosted in the US or can it be hosted in Europe? Answer: We are requesting proposals from US companies only. US companies with servers in Europe may be considered. Question 8: Is the PEEK application already built or will you require the vendor to build it? Answer: FPHNY has not built an app. We are interested in purchasing licenses for an app to run on 50-200 ipads. The app does not have to be built from scratch; it can already be on the market. Question 9: In regards to MDM console technical requirement 4-h-I, please clarify your desired functionality referred to as app check-in. Answer: App check-in refers to the ability of an app to ping or call home to the MDM console, allowing a MDM user to know if the app is up and running. Question 10: In regards to MDM console technical requirements 9 please list all desired analytical metrics with reference to device and app behavior. Answer: We would like to be able to track, analyze, and run reports on performance including, but not limited to battery status, device up time, Wi-Fi network changes, app launches and app crashes, serial numbers, app up time, Wi-Fi SSID information, OS version, device location, and installed apps. Question 11: Is there a portal wherein we can post our questions? Answer: The period for receipt of questions for this RFP has been closed as of August 27, 2015. Question 12: Would you be sending the RFP template/details over an excel sheet or is there a portal wherein we have to submit the responses. Answer: Proposals should be sent via email to klugay@fphny.org by 11:59 p.m. October 2, 2015. Question 13: Can we have an editable version of the RFP as opposed to PDF? Perhaps you have this saved in Word format? Answer: FPHNY will not be providing copies of the RFP in formats other than PDF. Question 14: What partner/company does the Project PEEK MDM Solution and Kiosk app RFP procure through? Answer: FPHNY historically contracts directly with vendors and not partner companies/resellers such as CDW. 5 P age
