PROPOSAL Cisco Unified Communications System (VOIP) GENERAL CONDITIONS: Sealed s will be received at The Brandon School Division Administration Office, 1031-6th Street, Brandon, Manitoba, R7A 4K5 up to 2:00 p.m. Friday May 30th, 2014 for the Design, Supply, Installation, and Configuration of a Cisco Unified Communications System (VOIP) in the Brandon School Division. a) Attached are the specifications and proposal form. Please submit in a sealed envelope marked PROPOSAL Cisco Unified Communication System (VOIP). Be sure to clearly indicate the firm s name and return address on the envelope. form must show the name of the firm and must be signed by a person duly authorized to sign on behalf of the proposer. The office held by the person so signing should be shown on the proposal form. b) All proposals are to include total cost to the Brandon School Division including Provincial Sales Tax and Goods and Services Tax as indicated on the bid form. c) The equipment is to be purchased outright. d) Total costs to include design, supply, installation/deployment/cutover, configuration and training of the proposed Cisco Unified Communication System (VOIP). In your proposal, you will also state how the project plan/rollout of the new system will be staged. e) Proposed solution will provide a scalable solution that will support up to 5,000 end points. f) Substitution in supply of merchandise of quality inferior to that specified in the proposal as accepted will be grounds for cancellation. g) Equipment to be delivered and installed F.O.B. at various Brandon School Division Schools. h) Final approval of this proposal may not take place until July 15 th, 2014. i) The Brandon School Division Board of Trustees (referred to as Board ) reserves the right to reject any or all proposals. j) The lowest or any proposal will not necessarily be accepted. k) Faxed, emailed, or late proposals will NOT be accepted. l) The specifications stated are general requirements and should not be considered exhaustive. m) All electrical and electronic equipment and tools must be CSA certified and bear a CSA label. GENERAL CONDITIONS Page 2 n) Bidders are expected to raise any questions, exceptions, or additions they have concerning the RFP as soon as they become aware of them. If a bidder discovers any significant ambiguity, error, conflict, discrepancy, omission, or other deficiency in the RFP, the bidder should immediately notify the OWNER of such error and request a modification or clarification of the document. In the event of an unauthorized assignment the contract may become null and void at the option of the Brandon School Division. s) Training and in-service shall be considered an integral part of this contract. 12. The successful vendor will: a. Design a solution based on the information provided in this document i. Design will maintain existing local phone numbers ii. Design will include an IP based fax service b. Provide an experienced Project Manager to plan and co-ordinate the entire project. Proposed candidate must have PMP designation and have minimum experience of deploying at least 3 similar projects of similar or larger size. c. Purchase all required equipment. d. Configure all equipment. e. Deploy all equipment. f. Train key users. 13) Smartnet is required on core equipment, remote gateway equipment and licensing, 1 year and 3 year costs are to be indicated. 14) Twenty (20) Cisco 2960X model WS-C2960X-24PD-L switches are required to complete this project and will be priced separately. 15) Four (4) Cisco 2960X model WS-C2960X-48FPD-L switches are required to complete this project and will be priced separately. 16) Sixteen (16) Cisco 2960X model WS-C2960X-24TS-L switches are required to complete this project and will be priced separately. 17) Four (4) Cisco 2960X model WS-C2960X-48TS-L switches are required to complete this project and will be priced separately. 18) Smartnet will NOT be required on any or all switches. 19) Smartnet will NOT be required on any handsets.
