Communication Manager Drip Library Drip Campaign Management In Communication Manager, Drip Library - start a new drip or suspend a drip; track statistics. Head office users can create drip campaigns and make them Public for branch use. Drip campaign emails are most effective when following a theme and email intervals are spaced in such a way to avoid opt outs. 1. Communication Manager. 2. Drip Library. 3. Start New Drip Campaign. 4. Enter Drip Campaign Name. Add email templates: Click here to add the first email to this Drip Campaign. 5. In the Email Template Library locate emails to add from Template Tags or in general email template display. (If in a Template Tag - highlight Tag; click Search.) Click Subject to add template to the drip. 1
6. Continue to add email templates to drip; click on Add New Email to this Drip. 7. Remove Email from this Drip select email to remove from drip. 8. Re-order emails - select email and re-order by dragging then dropping to new position. 9. Set date intervals between emails - select SECOND email. Send Out days after the previous email dropdown box populates with days/weeks selection. Select date interval. Select each email and set Send Out interval until all emails have intervals assigned. ( Avoid opt outs by being prudent with interval dates.) Warning: If drip is in progress DO NOT edit or re-set date intervals or delete emails. You will need to make a copy of a campaign; make adjustments in the copy; then suspend the current campaign. Contact AlignMark Client Services with questions or refer to instructions further in this document. 10. Select Start This Drip On for drip to begin on a date other than today. If kept on today s date, the first email in the drip is sent the evening that the first person is added. Select Signature only if signature is not included in the email templates. Click Update. Drip campaign is created. Prospects added to drip with future date selected are held in a queue and sent out that date. Note: Head office can select Make This Campaign Public so branch offices can select the drip from the Suspended folder in the branch office and create a copy. Refer to further instructions. Note: All emails associated with a Drip Campaign are sent after business hours. 2
Methods for inviting prospects and agents to drips: From Drip Library: Note: Figure+ icon Click to Add Prospects to this Drip Campaign. Prospect list opens from Home screen. Select prospects. Confirm. From Home or inside a prospect record: Select prospect(s); hover mouse over Email - Add to Drip. Select Current Individual Campaigns - select Add to Drip. Suspend an active drip campaign: that has run its course, requires date interval changes or deletion of emails, etc. Note: Prospects will stop receiving drip emails when suspended. Under Status click green icon to suspend. Suspended drip is auto-moved to Drip Status Suspended To view click Update. A suspended drip can be Active again by selecting the red icon and to indicate Active status. An Active drip is filed under Drip Status - Active. 3
Track Mass Email Sent and Opened. Scroll mouse over prospect s first name for Latest Activities. Note date and time mass email sent; notice date prospect opens mass email. Reports and Statistics: Campaign Statistics: Drip statistics are viewed in Drip Library line display (#Recipients / #Expired / #Opt-out / Open Rate (%).) Statistics are linked to prospect list on Home page. Statistics for email templates are viewed in Email Template Library. Quick Facts: Click Campaign Name to view Quick Facts tracking data. View Communication Reports: From Reports tab - select Drip Campaign List or Template Effectiveness to compare performance of drip campaigns and email templates. Notes: All emails in a drip campaign are sent after business hours. Continue to add prospects to an active drip; always beginning on email one for new recipients. Do not change date intervals between emails, or delete emails in an ongoing drip campaign. If this is required, you must suspend the drip. Emails will stop for all invited prospects. Continue to add new emails to an active drip; new prospects added will receive the new emails. To edit emails in a drip, enter Email Template Library. The edits will update the templates in the drip campaign. If another login in your office wants to send out a drip created by another user that person must create a copy of the drip so the emails are sent by them and prospects respond to them. Create a copy of a drip campaign: You may want to use a drip created by another user in your office, or you may want to create another drip quite like an existing one, but want to delete or add email templates, or adjust drip intervals. 4
