Introduction SS Philip and James C of E Primary School Exit Interview Policy for Teachers and Headteachers As part of SS Philip and James commitment to valuing and developing its employees, we monitor teaching staff turnover, paying particular attention to: development opportunities; management style; working conditions; any other general areas of concern expressed by both employer and employee; identify reasons for and trends in turnover; identify areas needing change within a school; identify any learning and development needs for remaining employees, including management training needs; assess the effectiveness of recruitment and induction practices; identify factors that would persuade people to remain with the school, such as changes to terms and conditions, working patterns or culture; evaluate the success of staff policies and procedures and determine where changes need to be made or new strategies developed. The exit interview is undertaken by a non-staff governor from the Personnel Committee and one member of the Senior Management Team. It is an opportunity to gather information that can highlight our strengths and weaknesses. Although some comments may be general or superficial, the consistent analysis of issues emerging may provide information for immediate or longer-term action. The interview also provides an opportunity for an employee to say what he or she likes or dislikes about the school. Exit interviews and the completion of exit questionnaires are encouraged by the school. However, interviews and the completion of questionnaires are undertaken voluntarily by employees and are not a requirement at the end of the employment contract. Who is it applicable to? The use of exit interviews and exit questionnaires is applicable to the following categories of employees: Employees who are due to leave following their resignation. Employees who are due to retire including ill health retirement and retirement in the interests of the efficiency of the service. The above categories apply to full and part time permanent employees including job sharers. Employees who are due to leave the school because of redundancy, dismissal (misconduct or gross misconduct), lack of capability, medical incapability or the school s inability to find suitable alternative employment under the redeployment procedure are excluded from the process. Process On receipt of a letter of resignation the Chairman of Governors or Headteacher sends a letter of acknowledgement advising the leaver that they will be invited to an exit interview in their last week at SS Philip and James. It advises the employee of any arrangements connected with the termination of employment that must be completed prior to departure. A copy of the exit interview form is included, with an explanation that the meeting is a governor from the Personnel Committee and a member of the senior management team. The leaver is asked to think about the questions and advised that notes taken are to help identify issues to improve the management of the school. If an employee expresses concern about going on record then some or all of the comments may be made anonymously. However, the practical benefit for the school is from having an agreed record of issues raised which can then be addressed. The interviewers roles in the exit interview are to acquire information to help in the running of the school and not to pass judgement. The interview should take place at an agreed place and time where the employee will feel completely comfortable. Exit Interview Form The questions on the exit interview form (Appendix A) are used as the basis for discussion. Any action points that arise are noted on the form during the discussion and the employee s line manager is subsequently able to make his/her response to the comments made. The responsibilities of the interviewers are to: safeguard confidentiality where possible and where agreed with the departing employee; make clear and accurate notes of the interview; report comments in the third person (e.g. the employee reported that ); keep the report of the exit interview only for the purpose for which it was obtained. The responsibilities of the interviewee are to: provide information on their experience at SS Philip and James to help the school develop; have good grounds for any comments made or conclusions drawn. After the interview the following actions are initiated by the Governor: a record of the interview is made promptly and its contents agreed by all parties; any issues emerging are raised at the next meeting of the Personnel Committee. The Personnel Committee will consider whether there is a pattern to any comments that may require a change of procedures or action. Exit Interview Policy March 2015 2

Appendix 1 Model Letter to Employee to Accompany Exit Questionnaire Exit Questionnaire Dear xxxxx, The purpose of the enclosed exit questionnaire is to enable us to examine the reasons that employees leave and to identify any improvements in employment practice that could be made. I would appreciate it if you could find the time to complete the exit questionnaire and to be as frank as possible with your answers to the questions. Please note that your comments will not influence future references. The information you provide will be kept confidential. General information will be recorded and used only to produce regular monitoring information to help us develop the school s employment practices. Please also note that you have the option to have an exit interview with a Governor and a member of the Senior Management Team to give further information about your experience of working for the school and if appropriate, clarify any possible concerns. You will need to indicate on the exit questionnaire if you wish to have an exit interview, and with whom. Please return the completed exit questionnaire in an envelope marked Confidential. APPENDIX 2 A BEST PRACTICE FRAMEWORK FOR CONDUCTING EXIT INTERVIEWS Exit interviews are voluntary exit interviews should be actively encouraged by headteachers. However it must be remembered that interviews are undertaken voluntarily by employees and are not a requirement at the end of the employment contract. Exit interviews are informal interviews should promote honesty by encouraging a good exchange of information that highlights both the strengths and weaknesses of the schools practices and procedures. Exit interviews must ensure confidentiality where possible it is important that guarantees of confidentiality are well publicised alongside the value placed on exit interviews. This will help to gain the leaving employee s co-operation. Exit interviews are taken seriously the school must be seen to be supportive of the procedures put in place and, more importantly, take a proactive stance on acting on the findings of the interviews. Empathy is the key to success to encourage true flow of information the exit interview should be undertaken by someone the employee is comfortable with. In the majority of cases this will be their immediate line manager or headteacher. However, in exceptional cases, it may be advisable for the employee to be interviewed by a representative from Human Resources. In any event the employee should have indicated on the exit questionnaire their preferred choice. Exit interviews must be structured to ensure consistency in the quality and detail of the information given at exit interviews it is advisable for the employee to be asked questions that relate to the various sections of the exit questionnaire, as it will allow the employee to expand on the reasons why certain boxes were ticked. Exit interviews must ensure accuracy of information recorded at the end of the interview session, or soon after, the employee should be given the opportunity to view the information recorded and, if they wish, sign to agree that the information recorded is correct.
