2 XCELLEGEN GL DATABASE The key to successful financial reporting is to organize data properly. The first step when using XCELLEGEN for financial reporting is to create an XCELLEGEN Accounting Intelligent Database. You modify a standard template database to store actual and budget balances needed for your financial reports. ACCOUNT TABLE The Account table in the XCELLEGEN database will contain the chart of accounts from your general ledger. DEPARTMENT TABLE The department table lists your departments if you will be producing department level reports. UPLOAD HISTORIC BALANCES Once an XCELLEGEN Accounting Intelligent Database is setup, you create Excel trial balances containing year-to-date amounts, by period, and by department for as many periods as you wish. You will create trial balances for all actual and budget data needed for financial reporting. STD ACCOUNT TABLE The XCELLEGEN template database has a rollup table called STD, which is used to define rollup codes to group account codes for specific reports. The data is uploaded to the XCELLEGEN Accounting Intelligent Database where balances are automatically calculated for each period by Year-to-Date and Current Period. If you had mapped the Account codes to the STD codes, balances by STD code will automatically be calculated.

3 ACCOUNTING INTELLIGENCE Each account balance will be stored according to its sign. So, a debit balance in an expense account is a positive amount, and a credit balance in a revenue account is also a positive amount. We call this feature Accounting Intelligence, which makes reporting easier. STD ACCOUNT TABLE The STD code could be used to map employees to employee type codes: XCELLEGEN STATISTICAL DATABASE (OPTIONAL) You may elect to create additional databases with statistical data required for financial reporting. For example, you could create a headcount database that imported payroll information from your payroll system. Or, you could import sales data by customer. ACCOUNT TABLE To create a headcount database, you would modify a standard XCELLEGEN template database where the Account table lists employees: The headcount data would be available to be imported into a XCELLEGEN model and be included in Financial Reports. UPLOAD HISTORIC BALANCES You create Excel trial balances containing employee information using the same procedures used to import GL data. The Account column is the employee number. An XCELLEGEN models can import data from many databases to acquire the desired General Ledger and production data needed for your financial reports.

4 FINANCIAL REPORTING XCELLEGEN MODEL Once your data is organized in an XCELLEGEN Accounting Intelligent Databases, you create as many XCELLEGEN Excel models as you wish. INSERT ROWS IN MODEL WORKBOOK You insert rows in the XCELLEGEN model worksheet based on codes in the underlying database. SETUP MODEL WORKBOOK You modify an XCELLEGEN financial reporting template designed to import data from an XCELLEGEN database just for financial reporting. ACCOUNTING CALENDAR XCELLEGEN contains an accounting calendar that can build as many years as are needed for financial reports: IMPORT BALANCES INTO MODEL You import balances into each XCELLEGEN model worksheet from the underlying database. REPORTING FORMULA MANAGER The Report Formula Manager is an easy to learn tool that provides a way to obtain data from other worksheets in the workbook. There are several functions in the user interface to access description and amount data. You modify the accounting calendar as needed in each XCELLEGEN Model worksheet. You may have many years containing actual and budget data.

5 Key values or account codes are inserted from values in XCELLEGEN model worksheets. When the Accounting Calendar is Updated and the next periods data is imported, the reports are automatically changed to reflect the current activity. Account descriptions are looked up from XCELLEGEN worksheets Here is a report comparing actual and budget for current period and year-to-date. The XCELLEGEN Reporting Formula Manager was used to define the Actual and budget amounts, but normal Excel is used to calculate the variances. Columns containing balances for current period or year-to-date come from one or many XCELLEGEN model worksheets. So, you build XCELLEGEN model worksheets sheets that are designed to import data in an organized way, and report on the data in another free-form Excel worksheet. The Reporting Formula Manager is used to obtain balances without limiting other Excel functions.
