1 Student Laptop Care and Responsibility Presentation

2 1. The laptop should be used on a flat solid surface. 2. Open the laptop from the front center open point. 3. Never put pressure on the screen with thumbs, fingers or any object. 4. Do not open the screen past the natural pivot stop point. 5. Never apply stickers, marker or anything to any part of the laptop. 6. Do not hold the laptop by the screen or screen frame. 7. Do not put the laptop in a position where there is any pressure on the laptop; e.g.: anything on top; in a backpack or case of any kind where the laptop is squeezed; any situation where the laptop is under any pressure. QVHS

3 The laptop DOES NOT have a DVD or CD drive. The HS Library has several DVD drives that students can use when needed. QVHS recommends each student purchase a 8gb flashdrive to backup data and for tasks like saving movies. The library does have a few flash drives available for loan in the school library. STUDENTS NEED TO BRING THEIR LAPTOP FULLY CHARGED EVERY DAY! The classrooms DO NOT have DELL chargers available. The library has a limited number of LOANER chargers that will be available on a first come first serve basis. Students need to TAKE CARE of their charger. Do not lose it, let it get stolen or lend it out. We recommend you leave it at home and bring your computer fully charged. QVHS

4 Chargers Chargers will be repaired only if defective. If the wire is torn or frayed, or has visible damage this considered accidental damage that is NOT covered by manufacturer or the district. Students will have to purchase an adapter from a Dell vendor. Chargers are not covered under the school insurance policy. We recommend students leave chargers at home and use the school library loaner chargers as needed. QVHS

5 Bring the laptop to school every day Make sure the laptop is fully charged everyday Carry laptop in an appropriate and safe laptop bag or backpack with padded laptop sleeve Keep laptop in good repair Care for it properly QVHS

6 Keep laptop secure Never leave unattended Laptop should be locked in locker when not with the student Report missing or damaged laptop PROMPTLY Password security DO NOT share a VPN and other passwords with friends keep them safe Never lend your laptop to another student Back-up Data Regularly Students are responsible for backing up personal data, as data could be lost if a repair is necessary. Use a Flash Drive or other tool (Google Docs) QVHS

7 Laptop repairs will be handled in the school library with the technology department. Students will need to see a technician in the school library to complete a repair form. We anticipate repairs will take 1-2 days in most cases. In cases where the laptop will be out for an extended time, the district may provide a temporary loaner laptop. Students will be able to borrow a laptop from the school library on a class period basis. These loaner laptops are loaned out for a period at a time and are not signed out overnight. There are very few loaner computers available, therefore a student MUST have their computer in for repair in order to get a loaner. They will not be loaned to students who forgets a laptop. QVHS

8 Laptops are for educational use in classes and at home. They are property of QVSD and should be used appropriately. Students may change backgrounds, and screensavers. Students are NOT permitted to load software. Common Examples of Prohibited Software: File Sharing (BitTorrent or other file sharing software) Utilities/OS (OSX or other upgrades) Games (Halo, Emulators) FoxyProxy and other proxy altering plugins and software are expressly forbidden on student machines. QVHS

9 Subject to Spot Checks for Compliance Non-compliance is treated as a violation of the Code of Conduct. Privacy Rights Teachers and staff have the right to read anything on the laptop at any time. If a teacher suspects a violation on a laptop he/she can request a students laptop be evaluated. QVHS

10 Online and Digital Safety Students should not post ANY identifiable information about themselves on the web. Students should not share passwords with anyone. Students should notify a teacher of any online harassment or security problem. Laptop turned in at end of school year Student laptop will be turned in at the end of each school year and will be assessed for damages and to have new software installed. Students are responsible for backing up personal data. QVHS

11 A student laptop is a privilege that can be revoked. Some of the reasons this privilege can be revoked include, but are not limited to: 1. Multiple and/or major technology violations 2. Multiple and/or major repair issues that are the result of neglect or abuse 3. Having an unpaid fine or not following district protocol for getting laptop repaired in a timely manner QVHS

12 Parents and Students WILL be held responsible for the proper use and care of the laptop. It is REQUIRED that the laptop be insured through the district s insurance policy at a cost of $41. Students who qualify for free or reduced lunch programs may request financial assistance with the cost of insurance, however a deductible will still apply. Applications for free and reduced lunch programs are available in the High School office. QVHS

13 Deductible Schedule for Accidental Damage/Loss: First incident of accidental damage/loss $40.00 Second incident of accidental damage/loss $60.00 Third incident of accidental damage/loss $80.00 Subsequent incidents of accidental damage/loss $ Deductible Schedule for Theft: First theft $100 (with police report) Subsequent theft - Full Replacement Cost NOTE: Deductibles do not reset annually, they are cumulative for the duration of time a student is enrolled or re-enrolled in QVHS. QVHS

14 Loss is defined as irreparable damage due to fire, flood, lightning, vandalism, or some other natural disaster. Misplacement is not loss. This policy DOES NOT cover: Intentional damage to the computer (As determined solely by the Quaker Valley School District) Misplacement of the computer Misuse of the computer (i.e. careless liquid spills, defacing the computer with stickers, ink or paint, and/or carrying and handling the machine in an incorrect manner). With the exception of manufacturer defect, this policy does not cover theft, loss or damage (accidental or intentional) to the AC power adapter, or any other district issued accessories. It only covers the computer itself. Damage, theft, or loss of these parts is the sole financial responsibility of the students and their families. QVHS

15 The district reserves the right to charge students and families for the entire repair bill due to multiple damage claims that result in significant financial loss for the district. Students and families will be responsible for the full replacement cost of the laptop if there is a second claim of loss or theft, which results in the district having to replace the laptop for the second time. (essentially issuing the same student a 3 rd computer) In order for a claim of theft to be valid, the student and/or family must produce a police report within seven (7) school days of the occurrence. QVHS

16 QVSD provides filtering for inappropriate materials and websites on the Internet. Parents are responsible for monitoring their children s use of the laptop when at home to ensure students do not alter laptop settings to bypass the Internet filters. Dell and QVSD are the only entities authorized to repair the student computers. Under no circumstances should a parent or student attempt to repair a computer. Attempting repair may void warranty and insurance coverage. QVHS

17 What are the most frequent accidental damages that occur to the student computers? Some of the most frequent damages are cracked LCD screens, damage to the motherboard, damage to keyboards, and damage to the outer plastic/aluminum casing. Full replacement cost of a computer is $740. QVHS

18 Why does a QV laptop cost more than the retail cost? The cost reflects the hardware, software, technical support, warranty (for product defects) and maintenance. The district incurs these costs when a computer needs to be replaced. QVHS

19 Are there any costs to students on free and/or reduced lunch? The district will pay the cost for the insurance premium. The costs that these students may incur are deductibles as described earlier in this document and damage defined above in the This policy DOES NOT cover section. QVHS

20 How do I make a claim under the QV policy? Within seven (7) school days, the student must submit a written report of theft, loss or damage to the high school main office. For theft or vandalism, the student must present the report to the school resource officer, who may conduct an investigation. (Theft/Loss forms can be obtained in the office.) For damage, the student will fill out and sign a Computer Repair Form as instructed to do so by district personnel. If a deductible is required, it must be paid in the form of cash or a check made out to Quaker Valley School District before the student is issued a repaired or replacement unit. Once the report has been made, the deductible paid (if necessary) and the investigation is finished, the claims process is complete. QVHS

21 Can my premium or deductible be increased? Can my premium be canceled? It is the district s intention to provide comprehensive coverage for a minimal cost to the student; however, if claims become excessive, frequent, or a fraudulent claim is suspected, the district has the sole right to increase premiums or deductibles (see schedule above), or to cancel the insurance at any time. QVHS

22 Can I purchase additional coverage for all accidental damage, including careless liquid spills? Yes. There are many insurance companies (such as NSSI or certain Homeowner s Policies) that cover all types of damage including liquid spills. However, the school district will only accept payment from students and families, and will not deal directly with other insurance companies. QVHS

23 This concludes the presentation Parents and students are reminded to: Sign the form (sent in summer mailing) indicating this presentation has been viewed. The signed form, laptop insurance agreement form and check for insurance must be in hand in order for the student to receive a computer during laptop distribution at the beginning of the year. Make checks for school laptop insurance payable to QVSD to be turned in with the signed form. QVHS
