1 Beachwood High School Chromebook Program Program Goal The goal of the 1:1 Chromebook program at Beachwood High School is to create a learning environment that is consistent with advancing technology and facilitates critical thinking, innovation, research, creativity, communication, collaboration, and mobile learning. What is a Chromebook? A Chromebook is a personal computer running Google Chrome OS as its operating system. Chromebooks are designed to be used while connected to the Internet and support applications like Google Docs that reside on the Web, rather than traditional PC applications like Microsoft Office and Photoshop that reside on the machine itself. This allows the Chromebook to be sold at a much lower price point than traditional laptops. Specifications 11.6 (1366X768) display 0.69 inches thick 2.4 lbs. Up to 6.5 hours of battery Samsung Exynos 5 Dual Processor 16 GB Samsung emmc Memory Wi-Fi a/b/g/n Camera & Microphone 1x USB 3.0, 1X USB 2.0 1x HDMI Port Receiving the Chromebook Chromebooks will be distributed during textbook distribution. Protection Plan If damage occurs, outside the general warranty, students will be charged the cost of the repair or replacement, up to $300. Training 1

2 Students will be provided with a brief overview of how to log in to the device and access Google Drive and Gmail. Training documents will be available online for students to refer to when needed. Return While enrolled at BHS, the District maintains ownership of the device. If requested by the Technology Department, students may be required to turn in their Chromebooks for maintenance or inspection. Students will turn in the Chromebook at the end of the year for general maintenance, cleaning and inventory. The Chromebook and accessories must be in good working order when returned. If the Chromebook and accessories are not returned, the parent/guardian will be held responsible for payment in full. Using Your Chromebook At School The Chromebook is intended for use at school each and every day. In addition to teacher expectations for Chromebook use, students may be asked to access Blackboard, school messages, announcements, calendars, handbooks, and grades using their Chromebooks. Students are responsible for bringing their Chromebooks to all classes everyday. While in class, students are expected to comply with all school rules, policies, and teacher directives when using their Chromebooks. If a student leaves the Chromebook at home, he/she is responsible for getting the coursework completed as if the Chromebook were present. Loaner Chromebooks are available for a temporary usage, determined by the library and media specialist or library aide. At Home Students are encouraged to use their Chromebooks at home and other locations outside of school. A Wi-Fi Internet connection will be required for the majority of Chromebook use. However, some applications can be used while not connected to the Internet. Students are bound by the Beachwood City School District s Acceptable Use Policy (Appendix A) regardless of where they use their Chromebooks and regardless of the source of the Internet connection. Managing Your Files and Saving Your Work 2

3 Students are encouraged to save files to their Google Drive account. Saving to Google Drive will make the file accessible from any computer with Internet access. Some files may be stored on the Chromebook s hard drive, but students are encouraged to use Google Drive. Students should always remember to save frequently when working on digital media, including posting assignments to Blackboard or sharing with teachers through Google Drive. The district will not be responsible for the loss of any student work. Students are encouraged to maintain backups of important work in Google Drive Taking Care of the Chromebook Students are responsible for the general care of the Chromebook they have been issued. Chromebooks that are broken or fail to work properly must be immediately taken to the library. If a loaner Chromebook is needed, one will be issued to the student until their Chromebook can be repaired or replaced (subject to loaner availability). General Precautions Cases No food or drink should be placed next to the Chromebook. Cords, cables, and removable storage devices must be inserted carefully into the Chromebook. Heavy objects should never be placed on top of Chromebooks. Chromebooks should never be exposed to extreme temperatures or direct sunlight for extended periods of time. Chromebooks should never be carried with the screen open. Students should never disassemble Chromebooks and attempt their own repairs. Each student will be issued a protective case for his/her Chromebook. This case should be used whenever the Chromebook is being transported or not in use. 3

4 Although the cases are reinforced to help protect the Chromebooks, they are not guaranteed to prevent damage. It remains the student s responsibility to care for and protect his/her device. Charging Chromebooks must be brought to school each day in fully charged condition. Each Chromebook will include an AC adapter. This adapter should be used to charge the Chromebooks at home. Students will be permitted to charge Chromebooks in the classroom at the teacher s discretion. Screen Care The Chromebook screen can be damaged if subjected to heavy objects, rough treatment, certaincleaning solvents, and other liquids. The screens are particularly sensitive to damage from excessive pressure. Do not put pressure on the top of a Chromebook when it is closed. Do not store a Chromebook with the screen open. Do not place anything in the protective case that will press against the cover. Make sure there is nothing on the keyboard before closing the lid. Only clean the screen with a soft, dry microfiber cloth or anti-static cloth. Asset Tags All Chromebooks will be labeled with a District asset tag as well as a Beachwood High School Library tag. Asset tags may not be modified or tampered with in any way. Storing Your Chromebook When students are not monitoring their Chromebooks, they should be stored in their lockers with the locks securely fastened. Nothing should be placed on top of the Chromebook when stored in the locker. Chromebooks should never be stored in a vehicle. 4

5 Students are responsible for securely storing their Chromebook during extra-curricular activities and events. Under no circumstances should a Chromebook be stored in unsupervised areas. Unsupervised areas might include the school grounds and campus, the cafeteria, unlocked classrooms, library, locker rooms, dressing rooms, hallways, bathrooms, in a car, or any other area that is not securely locked or in which there is no supervision. Unsupervised Chromebooks will be confiscated by staff and taken to the Principal s office. The District is not responsible for the safekeeping and protection of Chromebooks. Software and Security All Chromebooks are supplied with the latest build of Google Chrome Operating System (Chrome OS) and many other applications useful in an educational environment. The Chrome OS will automatically install updates when the computer is shut down and restarted. The district utilizes Google s Mangagment system that is utilized to change security settings, update software, and add or remove applications. Students are prohibited from disabling, modifying, circumventing or altering management settings or content filters. Virus Protection Because virus protection is built into the Chrome OS, additional virus protection software is unnecessary. Content Filter The District utilizes an Internet Content filter that is in compliance with the federally mandated Children s Internet Protection Act (CIPA). All Chromebooks, regardless of physical location (in or out of school) and Internet connection, will have Internet activity filtered. Despite the filter, the District cannot guarantee that all controversial or inappropriate materials will be blocked. There are some applications that are blocked at school as well as at home, such as certain search terms and sites. Google Apps for Education 5

6 Chromebooks seamlessly integrate with the Google Apps for Education suite of productivity and collaboration tools. This suite includes Google Docs, Spreadsheets, Presentations, Drawings, and Forms. All work is stored in the cloud. Chrome Web Apps and Extensions Students are allowed to install appropriate Chrome web apps and extensions from the Chrome Web Store. Inappropriate material will result in disciplinary action. Personalizing Your Chromebook Students may add appropriate applications, music, photos, and videos to their Chromebook. Personalized media are subject to inspection and must follow the Beachwood City Schools Acceptable Use Policy. Students are permitted to decorate the exterior of their Chromebooks. Skins, stickers or other decorations must be school appropriate, may not affect the working condition of the Chromebook, and may not cover district asset tags or labels. No Expectation of Privacy Students have no expectation of confidentiality or privacy with respect to the usage or content of a district-issued Chromebook, regardless of whether that use is for district-related or personal purposes, other than as specifically provided by law. The District may, without prior notice or consent, log, supervise, access, view, monitor, and record use of student Chromebooks at school. Chromebooks are subject to confiscation at any time and without prior notice. At no time will webcams be used to monitor students. By using a Chromebook, students agree to such access, monitoring, and recording of their use. Repair Procedures Students who need to have their Chromebook repaired or replaced should leave the device with the School Library Media Specialist. The Media Specialist will document the issue for the Technology Department. The Technology Department will collect the device for repair and a loaner will be provided. Because all data is stored in the cloud, students will have access to all of their files, bookmarks, etc. 6

7 Students will be notified by when their Chromebook has been repaired. Repaired Chromebooks can be picked up at the school library. A repaired Chromebook may need to be restored to its original settings. Locally stored files may not be able to be recovered. Digital Citizenship District-issued Chromebooks should be used for educational purposes and students must adhere to the Beachwood City Schools Acceptable Use Policy as well as related policies and procedures at all time when using Chromebooks, on or off campus. While working in a digital and collaborative environment, students should always conduct themselves as good digital citizens by adhering to the following: Respect Yourself Show respect through your actions. Select online names that are appropriate. Use caution with the information, images, and other media that is posted online. Carefully consider the personal information you share about yourself. Protect Yourself Ensure that the information, images, and materials posted online will not put you at risk. Do not publish personal details, contact details, or personal activity schedules. Immediately report any inappropriate behavior directed at you while online. Protect your passwords, accounts, and resources. Never share this information with others. Respect Others Show respect to others. Do not use electronic mediums to antagonize, bully, harass, or stalk people. Protect Others Protect others by reporting abuse and not forwarding inappropriate materials or communications. Avoid unacceptable conversations. Respect Intellectual Property Request permission to use copyrighted or otherwise protected materials. Properly cite the use of websites, books, media, etc. Protect Intellectual Property Do not use pirated software or distribute music or media in a manner that violates license agreements. 7

8 I acknowledge that we have received the Beachwood High School Chromebook Guide/Agreement/District Policy and ensure that we have read and understood them, in full, prior to my child bringing their Chromebook to school for the first time. Student Agreement As a learner, I agree that I will: Use my Chromebook for educational purposes. Follow the procedures and policies outlined in the Chromebook Guide and Beachwood High School Acceptable Use Policy both at school and at home. Protect my Chromebook by carrying it securely in my district-issued carrying case and preventing careless or malicious damage. Never leave my Chromebook unattended in an unsecure or unsupervised location. Charge my Chromebook s battery to full capacity each night. Report all damages to or issues with my Chromebook to the school librarian/media specialist. Not alter or attempt to change the management settings on my Chromebook. Never share my Chromebook with other students or individuals. I understand that any violation of this agreement may result in the suspension or loss of my Chromebook and school network privileges. Additionally, I may face disciplinary action for such violations. Parent Agreement I understand that my family s responsibilities include: Ensuring my child meets the expectations outlined in the Chromebook Guide and the Beachwood High School Acceptable Use Agreement. Protecting the Chromebook, within reason, against damage, loss or theft while it is at home or outside of school. 8

9 Ensuring my child reports damage or loss to the school librarian/media specialist immediately. I understand that it is impossible for Beachwood City Schools to restrict access to all controversial materials and I will not hold the District responsible for materials accessed with a District Chromebook outside of the school setting. I accept full responsibility for my child s use of the Chromebook while not in a school setting and understand that my child s Chromebook use is subject to the same rules and requirements when used off-campus. I understand that my child s Chromebook privileges may be suspended or revoked for violation of this Agreement. Insurance Agreement The district will not be requiring students to pay an advanced insurance fee this year. Students are responsible for the repair costs associated to any damage. Students will be responsible for the full cost of replacement ($300.00) for lost or stolen Chromebooks. 9

11 STUDENT AND STAFF NETWORK AND INTERNET ACCEPTABLE USE AND SAFETY The purpose of this policy is to offer Beachwood students and staff access to the latest computer technology including Internet, on-line research services and E- mail through the Beachwood Computer Network (BCN). It is the commitment of our District to provide a technology rich environment which includes high speed networked computers, scanners, digital cameras, and other sophisticated hardware and software. The goal in providing these resources, is to promote educational excellence in our schools by facilitating resource sharing innovation and communication. We believe that electronic information research skills are now fundamental for citizens and future employees. Providing enhanced telecommunications capabilities enables students and staff to explore thousands of libraries, web sites, databases, and other resources while sharing messages and projects locally with their classmates and teachers, and throughout the world with other students and scholars. The Board encourages students and staff to utilize the BCN in order to promote educational excellence in our schools by providing them with the opportunity to develop the resource sharing, innovation, and communication skills and tools that are essential to both life and work. The instructional use of the Internet will be guided by the Board's policy on instructional materials. Advances in telecommunications and other related technologies have fundamentally altered the ways in which information is accessed, communicated, and transferred in our society. Such changes are driving the need for educators to adapt their means and methods of instruction, and the way they approach student learning, to harness and utilize the vast, diverse, and unique resources available on the Internet. The Board of Education is pleased to provide Internet services to its students. The District s Internet system has a limited educational purpose. The District s Internet system has not been established as a public access service or a public forum. The Board has the right to place restrictions on its use to assure that use of the District s Internet system is in accord with its limited educational purpose. Student and staff use of the District s computers, network and Internet services will be governed by this policy and the related administrative guidelines, bargaining agreements, and the Student Code of Conduct. The due process rights of all users will be respected in the event there is a suspicion of inappropriate use of the Network. Users have a limited privacy expectation in the content of their personal files and records of their online activity while on the Network. With global access, also comes the availability of material that may not be considered of educational value. The Internet has been subject to abuses because there are no controls on the material placed there. Therefore, it is 11

12 possible to find material that may be offensive to most people, such as obscene material, "hate groups" propaganda, insulting or harassing messages and fraudulent commercial offers. No commercial method has been devised that can completely filter this kind of material. And in some limited instances, access to this material may be warranted for educational purposes. The BCN subscribes to an Internet filtering system approved through the Ohio Department of Education. The Board has implemented the use of a Technology Protection Measure, which is a specific technology that will protect against (e.g., filter or block) access to visual displays/depictions that are obscene, child pornography, and materials that are harmful to minors, as defined by the Children s Internet Protection Act. At the discretion of the Board or the Superintendent, the Technology Protection Measure may be configured to protect against access to other material considered inappropriate for students to access. The Technology Protection Measure may not be disabled at any time that students may be using the Network, if such disabling will cease to protect against access to materials that are prohibited under the Children s Internet Protection Act. The Superintendent or his designee may temporarily or permanently unblock access to sites containing appropriate material, if access to such sites has been inappropriately blocked by the Technology Protection Measure. The determination of whether material is appropriate or inappropriate shall be based on the content of the material and the intended use of the material, not on the protection actions of the Technology Protection Measure. The Board utilizes software and/or hardware to monitor online activity of students and staff to restrict access to child pornography and other material that is obscene, objectionable, inappropriate and/or harmful to minors. Nevertheless, parents/guardians are advised that a determined user may be able to gain access to services on the Internet that the Board has not authorized for educational purposes. In fact, it is impossible to guarantee students will not gain access through the Internet to information and communications that they and/or their parents/guardians may find inappropriate, offensive, objectionable or controversial. Parents/Guardians assume risks by consenting to allow their child to participate in the use of the Internet. Parents/Guardians of minors are responsible for setting and conveying the standards that their children should follow when using the Internet. The Superintendent is directed to prepare guidelines that address students' and the staff's safety and security while using , chat rooms, instant messaging and other forms of direct electronic communications, and prohibit disclosure of personal identification information of minors and unauthorized access (e.g., "hacking") and other unlawful activities by minors online. 12

13 Building principals are responsible for providing training so that Internet users under their supervision are knowledgeable about this policy and its accompanying guidelines. The Board expects that staff members will provide guidance and instruction to students in the appropriate use of the Internet. All Internet users (and their parents if they are minors) are required to sign a written agreement to abide by the terms and conditions of this policy and its accompanying guidelines. Students and staff members are responsible for good behavior on the Board's computers/network and the Internet just as they are in classrooms, school hallways, and other school premises and school sponsored events. Communications on the Internet are often public in nature. General school rules for behavior and communication apply. The Board does not sanction any use of the Internet that is not authorized by or conducted strictly in compliance with this policy and its accompanying guidelines. Users who disregard this policy and its accompanying guidelines may have their use privileges suspended or revoked, and disciplinary action taken against them. Users granted access to the Internet through the Board's computers assume personal responsibility and liability, both civil and criminal, for uses of the Internet not authorized by this Board policy and its accompanying guidelines. The Board designates the Superintendent, Technology Coordinator, and Network Coordinator as the administrators responsible for initiating, implementing, and enforcing this policy and its accompanying guidelines as they apply to students' and the staff's use of the Network. The Board directs the Superintendent to develop and implement guidelines in conformity with this policy and the following principles A. Acceptable Use The Beachwood Computer Network and all related software and hardware shall be used solely for academic purposes or other purposes which support the educational mission, goals and objectives of the Beachwood City School District. The following behaviors are not permitted on the BCN. 1. Sending, receiving or displaying offensive or obscene materials 2. Using obscene language 3. Harassing, insulting or attacking others 4. Damaging computers, components, software or networks 5. Violating copyright laws or plagiarizing others works 6. Using another's password 7. Trespassing, vandalizing or interfering in another's folders, work or files 8. Violating any local, State or Federal statutes 9. Intentionally wasting limited resources 10. Employing the network for commercial purposes 13

Engaging in political or religious activity (except limited personal or at the direction of a supervising teacher) The School District reserves the right to determine what constitutes acceptable use and to limit computer access to such uses. The School District also reserves the right to limit the time of access and to establish priorities among competing acceptable uses. B. Security and Safety The Internet and other computer networks may obtain information and images that are obscene, offensive, false, fraudulent or illegal. Other persons using a computer network may also be attempting to exploit children and other users. For these reasons, users: 1. Should not reveal their name, address, phone number or other personally identifiable information without the express permission of a supervising teacher; 2. Should not participate in any real time communication (such as "chat rooms") without express permission of a supervising teacher; 3. Should not agree to meet any person, contacted through a computer network, without parental permission; 4. Shall inform his/her teacher of any sexually oriented messages or unsolicited requests for personal information about a student; 5. Should exit immediately any site containing sexually explicit material or other material deemed inappropriate under this policy; 6. Users shall protect their passwords and account numbers and may not allow other persons to use their passwords and account numbers. C. Responsibilities of Users It shall be the responsibility of the user to: 1. use the network only for appropriate purposes; 2. notify a teacher or administrator of computer or network malfunctions; 3. reimburse the School District for any damage or loss incurred as the result of inappropriate use; 4. be a courteous computer user by avoiding abusive, obscene, or disrespectful language; 5. avoid any use or practice which interferes with the use of the network by others; 6. respect the privacy of other computer users to the maximum extent possible. 14

15 D. Loss of Privileges Access to the Beachwood computer Network is a privilege and not a right. A person who violates this Code of Conduct may have his/her access privileges suspended or revoked without notice. Disciplinary actions will be tailored to meet the violation and to help the student in gaining the self-discipline necessary to behave appropriately on an electronic network. If the alleged violation involves a violation of the Student Code of Conduct or individual building policies, these will be handled according to applicable provisions. Employee violations of this Code of Conduct will be handled according to applicable District policies and terms under the collective bargaining agreement. E. Right of Access The Beachwood School District will make every effort to respect the privacy of students and staff using the Beachwood computer Network for and other purposes. However, routine maintenance, monitoring of the District's system and often user error may lead to a discovery that a user has violated this Code of Conduct, other School District policy, or the law. Network storage areas for both and text files should be treated like school lockers. Network administrators may review files and communications from time to time to maintain system integrity and insure that users are acting responsibly. Users should not expect that information stored on District servers will always be private. F. Disclaimer of Liability The District makes no guarantee that the functions or services provided by or through the Beachwood Computer Network will be error free or without defect. The District will not be responsible for any damage you may suffer including, but not limited to, loss of data, interruptions of service, or exposure to offensive material. The District is not responsible for the accuracy or quality of the information obtained through or stored on the BCN. The District will not be responsible for financial obligations arising from unauthorized use of the system. Due to the nature of electronic communications, it is impossible for the District to guarantee the confidentiality of sent and received over the BCN.
