3 FOREWORD FROM PRINCIPAL A very warm Welcome to Liverpool City College. We hope that you will enjoy your studies here. A student handbook might seem a burdensome and formidable document at first sight, but within it you will find all you need to know about how our College works and how you can make it work for you. Life here involves a lot of hard work. Should you have any further questions, please contact a relevant member of staff, who will be pleased to help. We aim to provide a high quality of service across all areas of our work, based on principles of equality, integrity, transparency and mutual trust, and we depend on feedback from learners and others to make continuous improvements. If you have comments or suggestions to make about your experience at the College, whether positive or negative, please let us have them on the forms provided at Reception. All feedback is considered seriously and you will receive a response whenever possible. Thank you for choosing to study at Liverpool City College. I hope this Handbook does what it says on the cover; it is designed to be a useful, clear and comprehensive reference point to keep close to hand to help you make your time at Liverpool City College as rewarding as possible. 4 FINDING YOUR WAY TO LIVERPOOL CITY COLLEGE Address: Corn Exchange Fenwick Street Liverpool L2 7QL The location The Corn Exhange couldn t be in a more ideal location when It comes to public transport. Just 2 minutes walk from James Street Station and Lime Street Station just 10 minutes away. All the main bus stops taking you in anad out of the city centre are just outside the building. As well as being based in thebusiness district and close to the Liverpool Courts, we are surrounded by a wide range of bars and restaurants close by which is ideal and Just 5 mnutes walk away from the largest shopping centre in Europe, the brand new Liverpool One Complex. Useful Tip! Contact Reception ( ) if you are unsure of where to go or if you need to check on disabled access to the building. If you have a disability which needs specific adjustments please contact the receptionist. Meet and Greet By prior arrangement on your first arrival you may be met and greeted by the Principal of our College on your arrival at one of the pick-up points listed below. Travel Arrangements We will offer pick-up services from the airport or railway/coach stations. 5 WHAT TO EXPECT ON YOUR FIRST DAY Induction Day On your first day, the tutor will introduce the course and the College including the staff and the facilities. You will also be given advice about learning support and information on course assessment procedures. Documents to Bring - Passport - Evidence of entry clearance Visa or Identity Card - Evidence of previous qualifications used to obtain offer e.g. graduation certificate, school transcript, etc. - Two passport-sized photos for student ID - Tuition fees for the year The Course Enrolment Forms You will be asked to fill in the enrolment forms to provide your contact details and other information to the College. You will also need to fill in the Student Declaration of Enrolment Form (see Appendix C) and a form confirming that you have had the fire and health & safety rules explained to you. Page 4
6 ACADEMIC MATTERS Your Academic Obligations Our College requires you to be a motivated self-starter and to take responsibility for your learning by making sure that you keep yourself fully informed and up-to-date on all matters (academic and practical) relating to your course. You are expected to: Maintain open communications with your Tutors at all times; Attend all scheduled tutorials and classes prepared as required; - Your attendance will be monitored strictly. In the event that you may be absent, you are required to inform our administrator staff via phone (Tel No: ) or by beforehand or at the latest on the day itself before 10am and give valid reasons. You are also required to fill in an Absence Form (which can be obtained from the administrative staff) and to provide relevant evidence explaining the reason for absence (for example, medical sick note). - Absence of three or more consecutive days without valid explanation may result in disciplinary action being taken against you: Duration of Absence Action 3 days Verbal warning 6 days Written warning/disciplinary 10 days Inform Home Office for further action Familiarise yourself with the College rules and regulations. Read and understand all course information and pay close attention to matters of regulation, submission and standard of work expected, collections and examinations; Make sure you check regularly and reply promptly to Tutor/College requests. Inform the admin staff / tutor in relation to change of circumstances by using change of circumstances form as found in Appendix A. A reference number will be given to you. Please keep the reference for further correspondence. Assessment Malpractice: Plagiarism, Cheating and Copying Plagiarism means copying from published sources (including the internet) without acknowledgement. Cheating includes copying the work from others, taking unauthorised materials into an exam or getting someone else to do the work for you. Page 5
7 Copying includes allowing your work to be copied by others. You must ensure that all the work that is produced in assignments is your own. Work must not be copied from other students, or from any other person. You must not produce assignment work in collaboration with other students, unless this is allowed as part of the assignment and clearly indicated by the lecturer. Quotations from published sources (including books, newspapers, magazines or the internet) must be clearly indicated in the assignment. All cases of suspected plagiarism, cheating or copying will be investigated and, if proven, the student will be subject to the College s disciplinary procedure. See the College Regulations at Appendix A to this Handbook Assessment (including Examinations) Various assessments will be undertaken throughout your course, including in the form of written, listening and speaking exams. For further details of your course and examinations, please consult our Principal. NB: If you have an on-going illness which will affect arrangements for exams then please notify our administrative staff as soon as your problems are known. Academic Discipline When your academic work (including attendance, punctuality, written work, and general performance) becomes a cause for concern for your Tutors, and where there are no disclosed (confidentially) personal reasons, you will be subject to the College Regulations. Therefore it is best advice that you make sure you are on top of your work and all your academic commitments. Do not hesitate to seek and listen to advice and guidance from your tutors and your peers if you face any problems that may affect your performance. Personal Data You must notify the College administration staff if there is any change to your name, home address or telephone number or emergency contacts. You must fill in the Change of Circumstances form which can be obtained from our administrative staff. Equality and Diversity We are committed to treating everyone with respect and dignity. All forms of prejudice and discrimination are unacceptable and we will challenge inequality, prejudice and discrimination. We want to maximise your own achievement, irrespective of your age, socio-economic or cultural background, race, religion, learning difficulties, disability, gender, intellectual ability or sexuality. 8 We want everyone associated with the College to share this commitment and to join us in implementing our policy. Copies of the Code of Ethics and Equality and Diversity Policy are available from the College Library. College Facilities internet access is available at all precinct of the college Library You will be issued with a letter from college and with the letter and with a colour photo, you will be able to register an account with the library and able to borrow books from the library. Common room This area provides a space for study, group discussion or any other group activities. Computing facilities Our students are all welcomed to use the computers provided in the Lounge area. All computers are equipped with high-speed internet services. Kitchen Our kitchen is fully equipped with microwave, water kettle, refrigerator, etc and you are freely welcome to use those facilities. HEALTH, SAFETY AND SECURITY If you have any health related concerns, please contact our staff who can provide you some advices and sign-post you to the right place. Health, Safety and Welfare The health and safety of students is of fundamental value to the College. We believe that students are entitled to learning that takes place in a safe, healthy and supportive environment. You are required to follow all safety rules in our College. Please help us by identifying and reporting any safety hazards immediately to our staff. First Aid Our College provides first-aid kit for simple medical help. Should you require first aid assistance, contact our staff. If you require hospital treatment, transportation will be arranged and your next of kin informed. It will be their responsibility to arrange for your collection from hospital and transport home. Page 7
9 Emergencies In the case of an emergency or a serious incident, contact one of our staff immediately or telephone 999 (dial 9 first for an outside line if using the College phone). Fire Drill The fire alarm is given by the continuous ringing of the fire bell/siren. When the alarm sounds you should immediately evacuate the building. You are required to assemble at the designated assembly point, keep well clear of the buildings and access route for emergency vehicles and do not re-enter the building until authorised to do so by the duty manager. NB: Practice fire drills will be held once a year. Smoking Smoking at Liverpool City College is strictly prohibited within closed space of our College building. However, smoking is permitted outside the building provided it is done at a distance of over 5 metres from the College building. 10 Appendix A to Student Handbook Liverpool City Student College Regulations 1. It is necessary to have a minimum number of rules in the interests of the whole organisation. 2. The rules set standards of performance and behaviour whilst the procedures are designed to help promote fairness and order in the treatment of individuals. It is our aim that the rules and procedures should emphasise and encourage improvement in the conduct of individuals, where they are failing to meet the required standards, and not be a means of punishment. 3. Every effort will be made to ensure that any action taken under this procedure is fair, with you being given the opportunity to state your case and appeal against any decision that you consider to be unjust. 4. The following rules and procedures should ensure that:- a. you are fully aware of the standards of performance, action and behaviour required of you at college b. disciplinary action, where necessary, is taken speedily and in a fair, uniform and consistent manner c. you will only be disciplined after careful investigation of the facts and the opportunity to present your side of the case. On some occasions temporary suspension from study may be necessary in order that an uninterrupted investigation can take place. This must not be regarded as disciplinary action or a penalty of any kind d. other than for an "off the record" informal reprimand, you have the right to be accompanied by a fellow member of student or other representative who may act as a witness or speak on your behalf, at all stages of the formal disciplinary process e. you will not normally be expelled for a first breach of discipline, except in the case of gross misconduct f. if you are disciplined, you will receive an explanation of the penalty imposed and you will have the right to appeal against the finding and the penalty. 11 STUDENT DISCIPLINARY RULES It is not practicable to specify all disciplinary rules or offences which may result in disciplinary action, as they may vary depending on the nature of the work. In addition to the specific examples of unsatisfactory conduct, misconduct and gross misconduct shown in this handbook, a breach of other conditions, procedures, rules etc. within this handbook will also result in the disciplinary procedure being used to deal with such matters. RULES COVERING UNSATISFACTORY CONDUCT AND MISCONDUCT (these are examples only and not an exhaustive list) You will be liable to disciplinary action if you are found to have acted in any of the following ways:- a. failure to abide by the general health and safety rules and procedures b. smoking in areas which contravene college policy (serious misconduct) c. unauthorised consumption of alcohol on the premises d. persistent absence from study and/or lateness e. unsatisfactory standards of study f. rudeness towards members of the College and the general public or staff, objectionable or insulting behaviour, harassment, bullying or bad language g. failure to devote the whole of your time, attention and abilities to your studies during your normal college attendance hours h. unauthorised use of and Internet (including use of social networks such as Facebook, MSN, QQ or Skype) i. failure to carry out all reasonable instructions or follow our rules and procedures j. unauthorised use or negligent damage or loss of our property k. failure to report immediately any damage to property or premises caused by you SERIOUS MISCONDUCT 1. Where one of the unsatisfactory conduct or misconduct rules has been broken and if, upon investigation, it is shown to be due to your extreme carelessness or has a serious or substantial effect upon our operation or reputation, you may be issued with a final formal written warning in the first instance. 2. You may receive a final written warning as the first course of action if in an alleged gross misconduct disciplinary matter, upon investigation, it is shown to have some level of mitigation and is treated as an offence just short of dismissal. 12 RULES COVERING GROSS MISCONDUCT (these are examples only and not an exhaustive list) You will be liable to summary expulsion if you are found to have acted in any of the following ways:- a. grossly indecent or immoral behaviour, deliberate acts of unlawful discrimination or serious acts of harassment b. dangerous behaviour, fighting or physical assault c. incapacity at study or poor performance caused by intoxicants or drugs d. drinking alcohol whilst in college except at college organized events and with the permission of the Principal; e. possession, supply or use of illicit drugs f. deliberate falsification of any records (including time sheets, absence records and so on, in respect of yourself or any fellow student) i. taking part in activities which result in adverse publicity to ourselves, or which cause us to lose faith in your integrity j. theft or unauthorised possession of money or property, whether belonging to us, another member of staff, or a third party k. destruction/sabotage of our property, or any property on the premises l. serious breaches of the health and safety rules which endanger the lives or disability of staff, or any other person m. interference with, or misuse, of any equipment for use at work that may cause harm n. gross insubordination and/or continuing refusal to carry out legitimate instructions o. serious breach of the personal harassment policy p. smoking in College buildings. STUDENT DISCIPLINARY PROCEDURE 1. 13 2. We retain discretion in respect of the disciplinary procedures to take account of your length study with us. 3. If a disciplinary penalty is imposed it will be in line with the procedure outlined above, which may encompass a formal verbal warning, written warning, final written warning, or dismissal, and full details will be given to you. 4. In all cases warnings will be issued for misconduct, irrespective of the precise matters concerned, and any further breach of the rules in relation to similar or entirely independent matters of misconduct will be treated as further disciplinary matters and allow the continuation of the disciplinary process through to dismissal if the warnings are not heeded. DISCIPLINARY AUTHORITY Because the college is very small it may not always be possible to have different people deal with different stages of a disciplinary process. Nevertheless, the college will attempt to do this if possible. PERIOD OF WARNINGS 1. Formal verbal warning A formal verbal warning will normally be disregarded after a three month period. 1. Written warning A written warning will normally be disregarded after a six month period. 2. Final written warning A final written warning will normally be disregarded after a one year period. Page 12
14 Cheating and Plagiarism Plagiarism is unauthorised copying or use of another s work, whether from a textbook, internet source or otherwise. This is not permitted and breach of this rule is a serious matter which could lead to expulsion from the college. Candidates may not: submit coursework which is not their own; lend coursework to other candidates; allow other candidates access to, or the use of, their source material, unless it is part of an authorised project. include in coursework, work copied directly from books or other sources without acknowledgement or attribution; submit without acknowledgement coursework typed or word processed by another person. take unauthorised papers or materials into any examination or test copy any other candidates work in an examination or test It is a very serious offence at the college to submit work under your name which you have not produced yourself. This includes copying, getting someone else to produce the work for you, or asking someone to help you make your work better. If you are found to have submitted work for any course at the college which includes one of the above conditions, you will be subject to serious disciplinary procedure and may even be asked to leave the course. All work must be written by you, not a friend or anyone else, is the product of your own mind, not learned from previous candidates, not copied from any other candidate in the, and was produced under exam conditions. Copied or false examinations or tests could lead to expulsion from college and loss of tuition fees. It is in your own interests at this stage to study responsibly and produce your own work. Any breach of the Rules against Plagiarism, Copying or Cheating in examinations may be treated as a breach of the College Regulations and will attract the severest disciplinary penalties, Page 13

We will use the information you provide to determine if a change of circumstance affects your study in our College. l For any change of circumstance, you may also need to attach evidence such as bank statement, utility bill, passport, etc. l In addition you will be required by the College from time to time to confirm your details.
