1 Implementation of Web Based Tool Procurement and Tracking System in e-scm Nitesh Y. Thakare 1, Prof. Dr. L. N. Wankhade 2 1 M. Tech. Student (Mechanical-PLM), SGGSCE&T, Nanded, India 2 Production Engineering Dept., SGGSCE&T, Nanded, India Abstract In this paper we try to match the requirement to design processes and fill gaps where ever necessary. The requirement is to establish process controls, enable control through system for the tooling life cycle management involving complete traceability of individual tooling whether in house or vendor located. The Tool Tracking System is implemented for managing all supply chain activities of the tools which will record the information about the dies generated during its life cycle and make the information tracking simple and secure. Keywords Tool lifecycle, EIP, e-scm, SRM, Tool Tracking System I. INTRODUCTION An enterprise portal, also known as an enterprise information portal (EIP), is a framework for integrating information, people and processes across organizational boundaries in manner similar to the more general web portals. Enterprise portals provide a secure unified access point, often in the form of a web-based user interface, and are designed to aggregate and personalize information through application-specific portals. One hallmark of enterprise portals is the de-centralized content contribution and content management, which keeps the information always updated. Another distinguishing characteristic is that they cater for customers, vendors and others beyond an organization's boundaries. This contrasts with a corporate portal which is structured for roles within an organization. The term part development actually includes a variety of business processes associated with taking a product from a concept to reality. These include requirement management, design, engineering, manufacturing, production, maintenance and more. Ideally it includes all the activities appearing in the product lifecycle. Tools plays crucial role in part development and manufacturing and are the high cost asset of the company. So the required information about the tools must have to be available at right time to the right person. So to develop such a system which will give all the required information about tools in right format to the right person, detailed understanding of the life cycle processes related to the tool is necessary. Supplier Relationship Management (SRM) enables an enterprise to effectively manage and engage its supply chain to manage product costs and quality including supplier performance. It includes a disciplined and systematic process for reducing the total costs of externally purchased materials, goods, and services while maintaining and improving levels of quality, service, and technology and to evaluate, prioritize, and manage preferences for supplier utilization. CIMdata defines PLM as: A strategic business approach that applies a consistent set of business solutions in support of the collaborative creation, management, dissemination, and use of product definition information across the extended enterprise from concept to end of life integrating people, processes, business systems, and information. Here we developed a system which handles life cycle data of the tools. Ultimately it is a very small PLM system which is storing and managing data and can handle business processes about dies. Developed Tool Tracking Portal can be integrated with SRM portal later on. II. PROBLEM STATEMENT AND OBJECTIVES The tools (dies and fixtures) developed in-house or by supplier are the high costs assets of the company and it is important to track all the record about tools. As there is no such working system available with the department which can store and track all the records about the life cycle of the tools easily and at one place. So, there is a need to develop such a system which will track all the information about tools. The information is used for tracking, auditing and calculating life of the tool. System also handles business processes about the tools. The requirement is to establish process control through system for the tooling life cycle management involving complete traceability of individual tooling whether in house or vendor located. System objected the following functions: a) Tracking data about the tools. b) Auditing of the tools deployed at suppliers end. c) Finding the assets of the company lying at various suppliers. 151
2 d) Analyzing life of the tool. e) Managing Tool Revert, Transfer and Deployment Activities. III. AN OVERVIEW OF THE LITERATURE This literature review shows that the importance of e- SCM in organizations and highlights the web based enterprise portals used for managing Supply Chain Processes. Saman Hassanzadeh Amin et al (2011) have proposed a new framework for supplier management of Internet Service Provider (ISP) on the basis of company s strategy including supplier selection, evaluation, and development. Jose M. Cruz (2009) have developed a decision support frame work for modeling and analysis of supply chain networks incorporating social responsibility (CSR) and have considered the multi criteria decision making behavior of the various decision makers (manufacturers, retailers, and consumers), which includes the maximization of net return, the minimization of emission, and the minimization of risk. Ming Hung Shu et al (2009) have proposed a supplier selection and evaluation problem on the basis of the quality criteria. Here the cpk indexes have been used to evaluate the quality of supplier s product. P.Priya, Dr. K. Iyakutti, Dr.S.Prasanna Devi (2012) developed e-procurement system with embedded supplier selection for an automobile manufacturing industry. This paper describes the development of Decision Support System (DSS) to enable the selection of best suppliers in an e-procurement process. The model base of the DSS incorporates the Online Analytical Processing (OLAP) and Analytic Hierarchy Process (AHP) techniques to shortlist and selects the best suppliers in a web environment. Dragana Rejman (2012) presents a developed and tested model of management information system for managing purchasing processes in the e-supply chains. The methodological approach is based on the general theory of supply chains, business process management and management, stakeholders and standards requirements. The main results of research are related to the verification of developed model of management information system for purchasing processes managing in e-supply chains. E. W. T. Ngai, T. C. E. Cheng and S. S. M. Ho (2004) presented report on the critical success factors (CSFs) of Web-based supply chain management systems (WSCMS). An empirical study was conducted and an exploratory factor analysis of the survey data revealed five major dimensions of the CSFs for WSCMS implementation, namely (1)communication, (2) top management commitment, (3) data security, (4) training and education, and (5) hardware and software reliability. The findings of the results provide insights for companies using or planning to use WSCMS. Voorhees, E.M developed a work-in-process (WIP) tracking system which directs and monitors the flow of product in a factory. The author describes a WIP tracking system that supports the management of complex process plans, ensures that products receive their intended processing, and can be used to determine the actual processing received by finished products. IV. METHODOLOGY First step is to study and understanding of the business processes and designing the data flow diagrams for tools life cycle. It is very necessary to understand the processes correctly to implement those processes efficiently in to the system. System architecture is defined in accordance with the data collected from tool life cycle processes and understanding the system requirements. Architecture gives the primary view and idea of how system will look and work. This will help to find the flaws and errors in the system and primary stage. The tools such as database, scripting tools, server required for the development of system are finalized. Database schema is designed for the development of web portal. Base pages and forms are constructed for web portal and added logic for tracking and managing information about tools. Finally test and finalize the system and implement it in to the department. B. Business Process Study For the development of the system, it is very important to study and understand the complete business processes correctly which is required to develop and implement system effectively without any flaws. Organization under Study: Planning (NPI), Engineering Research Center (ERC) and Purchase and Supply Chain Management (P&SCM) Departments of the company. These are the root departments under the study. 152
3 Figure1. Business processes flowchart for Tool B. Tool Lifecycle Figure 2 shows the life cycle of tool data creation. The developed system not only capture whole life cycle but also handle processes like tracking, auditing, movements of the tool. Step by step tool data creation done by different personnel s with right accesses, hence can managed smooth process flow with tool data security. System allows right information available to right personnel in right format at right time. In this way tool procurement processes easily managed by the developed system. Figure 2. Tool Procurement Process Flowchart C. System Architecture System worked in 3 tiers, 1 st tier is a user interface layer, where user level activities like data addition and tracking like was done. 153
4 2 nd layer is administrative layer called multi-vie interface layer where all the operations are cached. Database layer is used for storing all the information in tables. With the help of this architecture both the procurement and tracking activities are managed by persons with different roles and verticals, which ensures smooth process flow, information security, data integrity, information availability etc. Figure 3. System Architecture V. RESULT AND CONCLUSIONS This paper is based on the e-scm framework, with the use of Web based Tool Tracking System, to capture, exchange, track and reuse information within supply chain context. All the activities in the entire life cycle of the tools are cached in the system along with business processes for tool procurement are managed systematically. System managed business processes starting from procurement activities to the tracking of data along with movement of the tool at different vendor locations. Study shows that with the use of systems like this, lots of manual activities and spreadsheets are eliminated. Also tracking and managing of information is faster and more secure. With the online tool procurement and tool tracking, processes are standardized and more efficient in terms on information management, availability, security and time required for processes.
