5 Setting Up the Software Enter Equipment Create Schedules Enable Requesters

7 Creating Schedules Use old system as a guideline for scheduling process Talk with personnel to determine what and when work should be done to the equipment
8 Requesters Useful part of FacilityDude that enables work orders to be made by anyone in the facility Traceable back to the requester to confirm completion and make changes if necessary
9 Rollout to Maintenance Team Meetings held three times a week to teach the software Tablets purchased for mobile use of software anywhere on campus Difficult at first for team utilize tablets due to a technology barrier
10 Technology Barriers Teach the basics of the hardware which is often overlooked before jumping into the software Ensure everything is fully understood before moving to the next step
11 Goals of Tablets Complete work orders on the go Have the system readily available to enter comments or concerns Each tablet has a different login to differentiate work orders and assignments
12 Audit Four months after the purchase of Facility Dude, we had a follow-up audit in July 2014 Over 70 pieces of equipment and 90 PM schedules were running in the software (More than 200 pieces of equipment and 200 schedules created to date)
13 Competence Four months after learning what a tablet was, the maintenance team was able to show the auditor how they maneuver on the tablets and the FacilityDude software to complete their assigned work orders Take pride in day to day work, easy to track cost and time allocated to jobs
14 Audit Follow-Up Certification suspension lifted due to demonstrated understanding of preventive maintenance system Visit was short and efficient due to the progress made using Maintenance Edge Software
15 Post Audit Continuing to tailor software to our needs Everyone in the facility is using the requester portion of the Work Order System to input demand maintenance work orders
16 Weekly Reports Easy to transfer data from Maintenance Edge and Work Order to Excel for reporting purposes Graph from data allows visual representation of trends in maintenance performance
17 February 2015 Audit Notes An external audit was performed successfully with no findings raised Auditors were impressed with the software and the ability for us and the maintenance team to manage it The ability to track equipment maintenance, renewal dates of permits and open/overdue/past work orders made it possible to close out all open findings
