3 ENROLLMENT General Information The Course of Study (COS) for Ordained Ministry is prescribed by the Division of Ordained Ministry of the United Methodist Church to ensure the education of ordained ministers. It includes Licensing School, the Five-year COS, Advanced COS, and correspondence studies. A Ministerial COS educates and trains local pastors in the United Methodist Church (see page 4). The Basic Five-Year COS is a year-round experiential and classroom learning process. This process assumes cooperation between the instructors in the COS Schools and the clergy mentors in the annual conferences. Each Regional COS School shall offer all 20 courses of the Basic Five-Year COS and shall seek to meet the needs of both the full-time and part-time local pastors. Those admitted to the program will already have met the following requirements: 1) Be a certified candidate for ordained ministry, 2) Completed the requirements for license as a local pastor, 3) Been tested in language skills proficiency through a process defined by the Annual Conference, 4) Received the endorsement of the Annual Conference Board of Ordained Ministry. After completing all parts of the registration, secure the signatures of your District Superintendent and Board of Ordained Ministry Representative before you send your forms to us! Both of these signatures are necessary for admission and conference scholarships, and these individuals can help you understand your conference's specific requirements. Each Annual Conference has a designated member of its Board of Ministry to sign registrations. When obtaining signatures, make sure the registration is returned to you so you can submit it by the first deadline of March 31, Persons may register until May 31 but will be charged a late fee. For your protection please make a copy of your completed registration before sending it. Deadlines You will not be enrolled unless the following items are completed and postmarked by these deadlines: Registration, housing, and fees: First Deadline = March 31, 2007 Second Deadline (w/late fee) = May 1, 2007 Precourse assignments: May 1, 2007 Please mail all materials to: Course of Study School 1703 Clifton Road, Suite F-2 Atlanta, GA Selecting Courses The Emory COS School is organized into two, two-week sessions. Each student may take two courses each session. Successful completion of both sessions fulfills one year of study. If you are taking more than one course per session, carefully consult the schedule on pp to ensure that the courses you take are NOT meeting at the same time. Course Load and Class Hours The maximum number of courses a student can take in the Emory COS program is four courses per year. In unusual circumstances, students may be granted permission to take additional courses with the approval of the Board of Ordained Ministry, the Director of the COS School, and the Division of Ordained Ministry. The standard number of classroom hours for each of the basic courses is a minimum of twenty (20) hours. Correspondence Courses A student may only take 4 of the 20 courses by correspondence or via Internet. This process is handled only by the United Methodist Board of Higher Education, Board of Ordained Ministry in Nashville, Tennessee ( ). Page 3 of 45

4 FINANCES Fees Registration Fees (due by March 31, 2007) Two weeks $125 Four weeks $250 From March 31 May 1 a late fee of $10 per class will be charged: Two weeks $145 Four weeks $290 The appropriate registration fee (by check or money order) should be made payable to Emory University. Payments, along with completed registration forms, must be received by the May 1 deadline. No payments or registration forms will be accepted beyond that final deadline. All registration is on a first-come, first-served basis. Scholarships & Expenses The Emory COS School is a regional site sponsored by the Board of Higher Education and the Southeastern Jurisdiction of the United Methodist Church. As a result, there is no tuition. Costs to the student include registration fees, books, travel expenses, food, and housing. Boards of Ordained Ministry in the Southeastern Jurisdiction support students with substantial scholarships given directly to the Emory COS School (applied toward the cost of campus housing). The amount given differs by conference for both four-week and two-week students. If money remains after your housing payment, or if you do not require campus housing, the balance is given to you on registration day. If the conference scholarship is less than your housing payment, you must pay the balance on registration day. In either case, the Emory COS Office will inform you regarding the status of your account before you come to the Emory COS School. In order to keep up with rising costs, and because of our commitment to strong community life, a $15 activities fee will be deducted from your scholarship. These fees help us provide special workshop opportunities, orientation, graduation and worship. Housing fees can be found on page 39 of the 2007 catalog. In addition to the cost of housing a $65 refundable deposit is required of all students living on campus, the deposit covers both your resident hall key and parking pass. There is also a $15 Graduation Fee for all graduating students. Withdrawal Policy - Refunds The registration fee is NEITHER REFUNDABLE NOR TRANSFERABLE. In order to withdraw, a registered student must submit a letter to the Emory COS Director stating (in detail) her/his reason for not attending. The letter will be reviewed and you will be notified as quickly as possible. Local Pastors who do not receive an appointment may request in writing a refund if they will not be attending COS. Studying together is allowed, but all written work submitted must be in the student s own words. Students found guilty of a violation of the academic honor code, after a review of the case by a faculty committee, may be subject to one or more of the following actions: warning, probation, suspension for the remainder of the term, dismissal from the Emory COS School, a grade of F in the course. Regardless of the outcome, a letter will be sent to the student's District Superintendent and Board of Ministry Representative, alerting them to the Academic Honor Code violation. If the student has not taken the preliminary reading test, the Course of Study schools should administer a language proficiency test to all entering students. a. Students falling below established norms should be assigned to appropriate classes for remedial work in a language during their first and second years. b. Students scoring above the minimum standards may be offered enrichment courses during the same period of time. c. Students falling below a standard established by Course of Study school my be required to reduce their regular course work in order to devote time to remedial work in a language. 4. The Course of Study School should make a comprehensive assessment of the communication skill needs of these students and recommend a year long program of remedial study to be monitored by the Board of Ordained Ministry. 5. The communication skills program should be clearly outlined in advance publicity, communicating a statement of philosophy, requirements, and goals. The program should be emphasized and clarified in the orientation students receive on campus. 6. Although the program will emphasize reading and writing skills, oral communication skills may be addressed through an enrichment program. It is recommended to make a communications lab available to students for remedial work or enrichment purposes. 7. The Course of Study School should routinely report student participation in a communication skills program. Language proficiency reports should be sent to the Boards of Ordained Ministry when a student scores below minimum standards. Reports on other students should not be routinely sent to the Board of Ordained Ministry but should be made available, upon request, with the written permission of the student. Emory University Discrimination Policy Emory University does not discriminate in admissions, education programs, or employment on the basis of race, color, religion, gender, sexual orientation, national origin, age, disability, or veteran status and prohibits such discrimination by its students, faculty, and staff. Students, faculty, and staff are assured of participation in University programs and facilities without such discrimination. The University also complies with all applicable federal and Georgia statutes and regulations prohibiting unlawful discrimination. All members of the student body, faculty, and staff are expected to assist in making this policy valid in fact. Inquiries regarding this policy should be directed to the Emory University Office of Equal Opportunity Programs. Page 16 of 45

17 Sexual Harassment Policy Students, faculty and employees of the Course of Study come under the jurisdiction of their own annual conference policies on sexual harassment. However, while the person is at the Course of Study School the following policy shall also apply. The Course of Study School is committed by Christian faith to justice for all persons and does not tolerate any behavior, verbal or physical, by any person associated with the school, which constitutes sexual harassment against any other person associated with the school. Any person of the Course of Study School community who believes that he or she has been subjected to sexual harassment should immediately report the situation to the Director of the Course of Study School. When reporting a complaint, the individual should be prepared to furnish accurate information (i.e., date, name and facts). All such complaints will be treated in a confidential manner to the extent feasible, while permitting the school to investigate the complaint thoroughly and to take appropriate action. The school expects the cooperation of all members of the school community with respect to avoiding such harassment. The school will investigate all complaints. If it is determined after an investigation, that a member of the school community has violated this policy, he or she will be subject to appropriate disciplinary action up to and including suspension or termination from the school. In addition, a full report will be made to that person s annual conference or judicatory body. Definition of sexual harassment: Unwelcome sexual advances, requests for sexual favors and other verbal or physical conduct of a sexual nature constitute sexual harassment when 1. submission to such conduct is made, either explicitly or implicitly, a term of condition of an individual s employment or academic standing; or 2. submission to or rejection of such conduct by an individual is used as the basis for employment or academic standing decisions affecting such an individual; or 3. such conduct has the purpose or effect of unreasonably interfering with an individual s work or study performance or creating an intimidating, hostile, or offensive working or studying environment. Racial Harassment Policy Persons enrolled in the Course of Study come under the jurisdiction of their own annual conference policies on racial harassment. However, while the person is in the Course of Study School the following policy shall also apply. The Course of Study School is committed by Christian faith for justice for all persons and does not tolerate any behavior, verbal or physical, by any person associated with the school, which constitutes racial harassment against any other person associated with the school. Any person of the Course of Study School community who believes that he or she has been subjected to racial harassment should immediately report the situation to the Director of the Course of Study School. If it is determined after an investigation that a member of the school community has violated this policy, he or she will be subject to appropriate disciplinary action up to an including suspension or termination from the school. In addition, a full report will be made to that person s annual conference or judicatory body. Page 17 of 45

18 Definition of Racial Harassment Any conduct directed against a person with the effect of insulting, degrading or abusing him/her because of his/her racial background. Procedures The Course of Study School is committed to using the process outlined below to deal with allegations of sexual and racial harassment within the school community. A sexual or racial harassment allegation may be resolved on an informal basis. Any member of the school community who wishes to make a formal complaint must submit a written description of the incident to the Director. Allegations are thoroughly investigated by a Sexual or Racial Harassment Committee composed of the Director and two members of the faculty. The investigation shall include a meeting with the person alleged to have engaged in the harassment. The accused and/or the complainant may bring a trusted colleague (other than an attorney), committed to maintaining confidentiality, with him/her to such a meeting. If the Sexual or Racial Harassment Committee decides inappropriate behavior has occurred, after completing the investigation, the Director takes appropriate disciplinary and/or other action related to the accused person s participation in the Course of Study School on that campus. In addition, the Director will inform the accused person s annual conference or judicatory body of the action taken. The Course of Study School takes steps to ensure that a person against whom such a complaint is brought is treated appropriately and has adequate opportunity to respond to such accusations. The complainant and the person complained against are notified of the disposition of the complaint. If the disposition involves any ongoing process the Director keeps the complainant informed until the process is complete. Appeal Process If the accuser or the accused is not satisfied with the action taken by the Course of Study School, s/he may express such dissatisfaction, in writing to the Director of Board of Ordained Ministry Relations, Division of Ordained Ministry, General Board of Higher Education and Ministry, within 15 days after receiving notification of the disposition of the complaint. Confidentiality Every effort will be made to ensure confidentiality to the extent feasible, while permitting the school to investigate the complaint thoroughly and to take appropriate action. The school will not tolerate retaliation against any member of the school community who complains of sexual or racial harassment. Explanatory Notes If the person alleged to have engaged in sexual or racial harassment is the Director, then the person bringing the complaint shall notify one or two faculty members who serve on the Sexual or Racial Harassment Committee. The two faculty members shall ask the president of the seminary at the host school to appoint an administrative officer to serve as chairperson of the Sexual or Racial Harassment Committee and to function as the Director in the process outlined above. 20 COMMUNITY LIFE Parking The Emory University Conference Office handles parking for Emory COS students. Parking is provided to conference participants at the Clairmont Campus and to commuters in the Peavine parking deck. A hangtag will be distributed to participants at check-in. These must hang on your rear-view mirror at all times. The COS office will not be responsible for any parking tickets handed out by the University police. If a student has a medical condition that requires him or her to park closer to classroom buildings, the student should bring a handicap parking permit. This, along with the Emory hangtag distributed upon check-in, will allow you to park in the handicap parking spaces on campus. Housing at Emory The Emory University Conference Office provides housing for COS students at the Clairmont Campus. All questions concerning housing should be directed to the COS office at (404) Each student must complete the Housing Request Form and return it with the COS Registration form to the Emory Course of Study Office postmarked by March 31, (The final deadline for receiving Housing Request Forms is May 31, 2007.) Housing costs are subject to change each year. The Emory University Conference Office charges a per-night rate for all rooms and apartments. Clairmont Campus Apartments Completed in 2002, the Undergraduate Residential Center at Clairmont Campus was designed to provide students with apartment-style living, while preserving the benefits of both autonomous and community living. Every apartment houses four students, each of whom will enjoy his/her own private bedroom with a full size bed, dresser, lamp, desk, and closet. Apartments contain a living area, full kitchen, and two full bathrooms. The apartments have central heat and air conditioning and are equipped with a stove, oven, refrigerator, dishwasher, disposal, microwave, washer and dryer units, mini-blinds, and carpet. All utilities and parking are included in the rental price. Parking is attached to the buildings and all buildings have elevators. The Emory University Conference Office will make all final decisions concerning housing, including roommates. Smoking Policy No smoking is allowed within 20 feet of the main entrances of ALL campus buildings including classroom buildings, administrative buildings, residence halls, Emory Hospital, Cox Hall Food Court, and Cannon Chapel. This policy follows closely a similar ordinance passed in Dekalb County. Telephones Telephone service is provided in the rooms; however, telephone equipment is not. You can either rent a phone or bring one from home. Local calls are free of charge. Long distance calls can be made with the assistance of an operator or calling card. Your phone will be on the campus phone system. Therefore, to call off-campus numbers, you will need to dial a 9 before the number you wish to call. For on-campus numbers you only dial the last 5 digits of the campus number. For example, when calling the Emory COS office from your dorm room, dial Laundry Facilities & Vending Machines All Clairmont Campus apartments are equipped with washers and dryers. You are responsible for providing your own detergent. There is a deli/snack bar area in Student Activities and Academic Center on the Clairmont Campus. Page 20 of 45
