13 Eligibility rules General rules: Canadian citizen or permanent resident on the application deadline (except for Vanier, FRQNT- NSERC BMP innovation and Réal Décoste- Ouranos) Enrolled in a doctoral program or plan for it during the next year The doctoral program must include an important research component : DBA are not eligible ; in case of doubt, verify with the granting agency 13
14 Eligibility rules Specific rules: SSHRC : Be enrolled in your first Ph.D. NSERC : First class average (GPA) during the last two previous years of study FRQSC/FRQNT: Having resided in Québec since at least one year FRQSC/FRQNT : No having received financial support from a granting agency at the doctoral level 14

18 Evaluation criteria FRQSC Academic excellence : 6/20 o Quality of academic records and progression through degree attainment: school grades, number of years of studies, grants and awards earned Research skills and relevant experience, if available: 6/20 o Quality and general presentation of the file, in particular justification of the application and of research interests (1 point) o Relevance of the candidate s experience and accomplishments (4 points) o Candidate s skills as identified in respondents letters of support (1 point) Project s quality and research interest: 8/20 o Originality of the problematic and contribution of the project to the advancement of knowledge in the field (3 points) o Clarity and precision of the project s objectives (2 points) o Relevance of the methodology and realism of the project (calendar) (3 points) 18

24 Process of assessing the nominations Provincial contests (Fonds de recherche du Québec) Verification of eligibility of received applications by granting agencies : October-December 2014 Evaluation and ranking of application files by evaluation committees : January-March 2015 Scholarships offers according to budget granted by the Québec Government : April-August 2014 Scale offers : Agencies can go through 4 offers of a scholarship 24
25 Process of assessing the nominations Federal contests (Canadian Councils) SSHRC : Internal ranking based on academic excellence and selection of the best lightweighted applications forwarded by the Ph.D. Program Direction : October 2014 NSERC : Selection of the 2 best files (Ph.D.) for recommendation to NSERC, made by a jury of three HEC professors : November 2014 SSHRC : Selection of the 6 best files (Ph.D.) for recommendation to SSHRC, made by a jury of three HEC professors : January 2015 Final results will be announced in April-May
26 Presentation of applications 10 Winning Recommendations* 1. BEFORE starting to write your application, read ALL the documentation concerning the selected program (web description, evaluation criteria, application form, tutorials, etc.). 2. Start preparing your application AS SOON AS the forms become available online. 3. Make sure you have the cooperation of your supervisor all along the varous stages of your preparation - have her/him to read your application. 4. Use the space allotted cleverly in order to make the reading easy for evaluators and jury members pay special attention to the text structure and clarity, the quality of language and make sur eyou follow all guidelines neatly). 5. List clearly all awards, grants and distinctions earned during your previous degrees back to you bachelor s degree. 6. List in clear order all the information relative to your publications and their status (conference papers, posters, refereed, non-refereed, accepted, in press, published, date and place of publication, etc.) 26
27 Presentation of applications 10 Winning Recommendations* 7. Describe clearly and concisely your participation in research projects and training stages. 8. Present an original, clear and concise research project with well-balanced sections (problematic and hypothesis, objectives, methodologies and relevant analysis, contribution to the advancement of knowledge) and explain the acronyms your are using. 9. Provide an explanation of the notation system in the case your previous training was done outside of Canada. 10. Stae very clearly and explicitly any relevant information to the eligibility and evaluation of the application (illness, parental leave, part-time studies, and work, etc.) * Pierrette Gaudreau, conseillère scientifique du FRSQ 27
28 Presentation of application Your Professors Recommendations Don t confine yourself to theory : Show the practical «field» applications in addition to theoretical contributions. Recent references (theoretical or empirical) : Professors who review or assess sholarship applications are often those who publish in scientific journals. Your citations and reference list must include more than books only. Articles are very important. Make sure you use the right fonts in your appendixes and divide them into sections and sub-sections (problematic, objectives, methodology) : your text must be an easy read. Pay attention to the quality of your written language : proper French or proper English ; don t mix languages and keep to one only. 28
29 Presentation of applications Important Notes 1. Exchange program grades transcripts Provide grades transcript from the exchange university even if the courses have been credited. Exchange via HEC Montréal : make the request at BAEI (Geneviève Benoit ou Carmen Brodeur.) Certified copies accepted. 2. Certification at Office of PHD Program (Marie-France Courtemanche-Bell, appointment required) or at the Student Service (fifth floor, Decelles Building) Thank you for bringing the original documents and a copy of the documents to be certified. 3. When submit a hard copy of an application, please submit all the required documents in an envelope with your complete name, the name of the grant and of the agency) 4. Office hours of Office of PHD Program (9:30-12:00 a.m. and 1:30-4:00 p.m.) 29
30 Rules for using funds Holding more than one scholarship concurrently? Allowed with a scholarship from a private organization or from a university. FRQSC/FRQNT : Forbidden in the case of holding another scholarship from another Québécois agency/organization; partially allowed when the other scholarship comes from a federal agency if the duration is longer. SSHRC/NSERC : Forbidden if the other scholarship comes from a federal agency; partially allowed when the other scholarship comes from a Québec agency if the duration is longer. 30
31 Rules for using funds Holding a Scholarship and working at the same time? FRQSC/NT: Rule: working no more than a maximum of 150 hours per term : one teaching load of 45 hours = 150 hours (important : the number of hours, and not the hourly wages). Progress report after each years : handled by Fonds de recherche du Québec SSHRC/NSERC: Working no more than 450 hours per year Progress report after each years : handled by Office of PhD Program NOTA BENE : These scholarships are not taxable, provided that you hold a full-time student status. However, they are included in the calculation of the students financial support (AFE/SFS) by the Government of Québec. 31

33 Rules for using funds Installments o FRQNT subsidizes the 9 first terms maximum at the Ph.D level. (3 years). o FRQSC subsidizes the first 15 terms at the Ph.D. level (5 years) o Canadian Councils (SSHRC and NSERC) subsidize during 12 to 48 months o If you are already in a Ph.D. program, you will receive the first installment of your scholarship on the first day of the Summer term (May 1st) or Fall term (September 1st) (SSHRC and NSERC only) o If you have not yet started your Ph.D. program, you will receive the first installment of your scholarship either the 1st of May, September or January following the announcement. o Beginning of installments for all scholarships : May 1st, 2015 or September 1st, 2015 or January 1st,

35 Other competitions SSHRC Vanier Graduate Scholarships $ 50,000 per year for 3 years Eligibility : Having completed 20 months or less of your Ph D program by the date of the scholarship start (May 2015). Be enrolled in a first Ph.D. program. The previous degree should preferably come from another institution than that of the Ph.D. program. The student must demonstrate her/his leadership skills based on nonacademic experiences (one letter of recommendation requested) : important selection criteria. The scholarship may only be used in the university having made the recommendation Compulsory nomination (quota): The letter of recommendation must be made by the hosting university. Deadline : October 6, 2014 It is possible to submit applications to both the Vanier scholarship and the Canada Graduate scholarshp/sshrc doctoral scholarship (two separate applications). Website : 35
36 Other competitions Fondation Trudeau ( The research project must bear on the following topics : 1) Human Rights and social justice; 2) Responsible citizenship; 3) Canada and the world ; 4) Human beings and their natural environment. It is important to describe the connection between the project and the topic : see topics descriptions on the website. $ 40,000$ (+ $20,000 in travel expenses) per year for a maximum of 3 years. Foreign students are eligible as well. Only Canadian citizens may use this scholarship in a foreign university. Eligibility : During the first two years of stoudy (admission Ph.D. A12+) or start between now and Fall 2015 The candidate must be nominated by the host university (HEC : 2 candidacy) Application form and document list to be submitted on the site. Submit the complete application (original + 3 copies) to Office of PhD Program, October 22, 2014 at 4:00 p.m. latest. 36
37 Other competitions FRQNT-NSERC Industrial Innovation Scholarships Program (BMP Innovation) Research in the workplace vs in the academia, Deadline : anytime Eligibility period : Same as for doctoral research scholarships (B2). Online deposit of the application. $27,000 per year for a maximum of 3 years; 1/3 is paid by the enterprise, based on an agreement between the student, the university and the enterprise The agreement is initiated by the student. Places of research : 1) public sector (except for ministries), semi-public and private enterprises in Québec ; 2) State-owned corporations exploited as enterprises (SAQ, Hydro-Québec, Loto-Québec, SEPAQ, etc.) ; 3) non-profit organizations for which public funding represents less than 50% of their financing ; 4) out of Québec enterprises if spin-offs in Québec are demonstrated; 5) municipal administrations The collaboration agreement is sent through the university (Marie-France Courtemanche-Bell, example of agreement for HEC Montréal) 37
