2 COMPANY INFORMATION The demands of customers and public authorities where Ranson NV operates are demanding continuously higher standards about quality and food safety standards. Ranson NV tries to manage these demands by an transparent quality system. The increasing demands of customers are reflected in questionnaires and the request of auditing our quality system. In the general view to support our quality system and also in the objective to avoid time consuming questionnaires and audits, Ranson NV has conducted a general quality information brochure. In this brochure we give answers to the most frequently asked questions during audits and in questionnaires. Also an overview is given of our current quality certifications. RANSON NV As a family business we can rely on a long tradition. Starting with the sale of margarine butter, our product range steadily grew up to a complete assortment of bakery products. Under our private label Atlas we commercialise the most important base products from the best manufacturers. It is our aim to serve our customers with first quality products permanently at the lowest price. Our objective is to deliver a good product in a friendly way and at a sharp price to our clients. This is the foundation of our activity and the basis of an ever increasing group of satisfied customers. Apart from being distributor, Ranson nv is also producer of 3 types of bakery products (marzipan, chocolate decorations and mixes), as well as importer and exporter of several prime materials and different fruit varieties for industrial use. Our non-food division is specialised in small material, decorations and packaging for the same focus group of customers: bakery and pastry shops, chocolate and ice processors. With more than 230 enthusiastic and motivated co-workers Ranson nv is a leading company in the Belgian market of the distribution of bakery products. DISTRIBUTION The sale and distribution of bakery products is our core-business. Since more than 60 years and this together with the third generation, we want to satisfy the smallest wishes of our loyal friends: bakers, confectioners, ice and chocolate processors. PRODUCTION No doubt it is a big advantage for us that we are not only a distributor but that we also have an important role as a producer. That way we can better feel the needs and desires of our customers. Our production is concentrated around 3 base products: almonds, chocolate and ready-touse mixes. Most important in the production of marzipan is the quality that guarantees satisfied customers. With the production of chocolate shavings and decorations we supply original and renewed decorations for confectionery. A wide range of composed mixes is a big help in the bakery. These mixes result in end products of a remarkable quality. Our modern production hall has a total surface of m² and complies with the severest hygiene standards and food safety measures. For that reason we are HACCP-and BRC-certified. 3

4 We produce the following product categories : Almonds marzipan marzipan figures almond flour (also hazelnut flour) Chocolate Ready to use mixes chocolate shavings chocolate decorations ready to use products: hot and cold mixes, cake mix, frangipane mix, crème patisserie mix, seed mixes packaging area where we can pack to specification of the clients (from seeds, nuts, dried fruit, etc in small packaging ranging from 1-5kg) IMPORT-EXPORT For all kinds of nuts and fruit in its different packing forms, tinned, frozen, aseptic and dried we are the perfect liaison between the original grower and the processor anywhere in the world. We supply our products on time, just in time, according to the standard specifications or tailor made. It is our main focus to realize all of these purchasing and sales contracts to the satisfaction of all parties involved. Our goal is to provide excellent quality product to our clients and continuously improve our quality standards. Our day to day activity is according to the strict HACCP principles and based on GMP. Our product evaluation and tests in our own facilities coincides with visits to growers and production facilities in the countries of origin to monitor our strict product specifications. HEALTH & SAFETY POLICY Ranson NV is involved with the protection of the co-workers against injuries and damaging of personal properties. We want to achieve a safe and sound working environment conform with the legal requirements. It is our ambition to eliminate all the expected dangers that can be the cause of injuries, professional sickness, fire, damage to properties because of tamper or fraud. Losses by accidents are controlled by good management, combined with active responsibility of each co-worker in the company. Eliminate of accidents and losses is the direct responsibility of each manager and line-responsible. All managers are committed to the safety and loss control demands of Ranson NV, during the carrying out of the daily work, the innovation of new equipment and products, during production and the maintenance. All the co-workers have to work conform the established procedures. 4

5 GENERAL QUALITY MANAGEMENT SYSTEM Ranson NV have a defined quality manual. Detailed procedures, working instructions and registration documents are available. The records are minimum 2 years stored after the best before date of the products. Detailed specifications for raw material, finished products, primary and secondary packaging, the used cleaning agents and lubricants are available at Ranson NV. An internal audit program is available and covers all the area's of the production department of Ranson NV. This audit program is implemented to evaluate if all the procedures are being followed. The effectiveness of the system is checked by this internal audit program. The frequency of the audits is 1-2 times/year. Corrective actions are taken. This corrective actions are followed up and the effectiveness is checked. HACCP SYSTEM A documented HACCP-system is in place for the 3 main business of Ranson NV. The HACCP-system is based on the international code of practice principles of the Codex Alimentarius. The HACCP-system is also based on the following European legislations: - EC/178/2002 General Food Law - Belgian Royal Decree KB 14/11/ EC/852/2004 Regulation on the hygiene of foodstuff. (H1) - EC/853/2004 Regulation laying down specific hygiene rules for on the hygiene of foodstuffs. (H2) - Belgian Royal Decree KB 22/12/2005 (KB H1), KB 22/12/2005 (KB H2) - Notification requirements: MB 22/01/2004 The HACCP-system consist of 14 steps and includes microbiological, physical, chemical and allergens. Flowcharts and information about the HACCP-plan is possible to consider on site. Based on the HACCP-system: critical control points and points of interest are determined. Also pre requisition programs are put in place. Modifications to the process, equipment and raw material is document by checking the HACCP-plan. HACCP-plans are also reviewed at least once a year to view if modifications are necessary. CRITICAL CONTROL POINTS (C.C.P.) For each critical control point, procedures have been developed to ensure that the critical control point is fully controlled. The temperature loggings of the freezers, coolers and transportation is continuously followed up by an online system, by this reason there are no critical control points defined for the distribution department. The following critical control points are defined for the production department: CCP 1: metal detection Details about the metal detection of the goods are available on the product specifications and/or flowchart. CCP 2: heating step during the production of the marzipan paste During the heating of the marzipan is the temperature checked of every batch individually. PRE REQUISITION PROGRAMS (P.R.P.) 1. Cleaning and disinfection There are written cleaning and disinfection instructions available for the production and the distribution sites of Ranson NV. Only a limited list of cleaning products may be used in the production facility. Only permitted cleaning and disinfection chemicals are used. The instructions of the individual cleaning and disinfection products are following (for example: rinsing steps after using). A complete cleaning plan is available (what, when, where, by who and with which products and tools it has to be cleaned). All factory area's are regularly sampled to monitor the microbiological quality of the environment. Appropriate storage facilities are available for chemicals. Additional hygiene audits are carried out on a periodical basis. If necessary additional training is given to the personnel and/or extra cleaning is done. 2. Pest management A documented pest management system is put in place which includes: insects, flying insects, crawling insects, rodents and other pest. The pest control activities are outsourced to an external company specialised in pest control. All the different sites are included in the pest management system of Ranson NV. 5

6 3. Water and air control Only drinking water from the urban waterworks is used as ingredient or if it comes in direct contact with the food products. No well water is used in the production are of Ranson NV. The water is also checked on microbiological quality 3 times a year. Once a year there is also a control on physical and chemical parameters. The analysis are done by an accredited external laboratory. The air quality in the cooling rooms is also checked regularly checked to avoid problems with yeasts and moulds. 4. Temperature control / Balances - Calibration All critical instruments (balances, temperature control, ) are placed on an instrument list. This list is used for periodic calibration which can be done internal and external. The instruments are calibrated against national standards by internal staff and external, accreditated third party provides. Certificates are asked from the external third party. 5. Personal + external contractors For all the critical jobs in Ranson NV concerning food quality and food safety, there are clearly written job descriptions. An organisation chart is available. A formal statement of quality and HACCP is also available. Appropriate resources are provided for the implementation of the quality policy. Employees receive adequate (hygiene) training and have adapted experience and qualifications for their responsibilities. All the employees and temporary personnel are trained concerning all the safety and hygiene rules that are in force. Regularly these training is renewed and the people that have received the training have to sign of for the received training. The following items are mentioned: duration of training, trainer, subjects of the training,... etc. Only dedicated personnel may check the critical control points. Adjusted training is given to these employers to ensure that the critical control points are strictly followed. The storage and consumption of food, beverages and tabacco is limited to explicit permitted area's. All type of jewellery and other personal goods are not allowed in production and quality control areas where they can fall in to the product. Working clothing is provide for all the people that are working in the production areas of Ranson NV. The working clothing is changed every day. Hand cleaning and disinfection is in place before entering the production areas. Personnel with illness that may contaminate or adversely affect the quality and safety of the product is not allowed to work in areas that could cause that the product is contaminated. The personnel is asked to report infectious diseases and any health complaints that may have an adverse effect on the product. All the visitors of the production facility receive a short list of all the quality and safety regulations that visitors has to obey before entering the production facilities. These safety and hygiene rules are applying for all the visitors and external contractors. The visitors are asked to sign of and abide this short version of safety and hygiene rules before entering the production facilities. Visitors are only allowed after a appointment and may only visit to company together with a responsible of Ranson NV. 6. Infrastructure The materials and construction of the buildings and infrastructure are adequate for the purpose. Floors, walls, ceilings, infrastructure, machinery are easy to clean, prevent the formation of condensation and any other form of contamination (for example : mold forming). All the possible actions are taken to prevent the entering of vermin to the production and storage areas. If technical aids are used during production, only food grade technical aids are used conform with all the European legislation. The used water and air is controlled to avoid that these item may not cause any form of contamination. 7. Maintenance There is preventive maintenance program. The preventive maintenance may only be executed by approved contractors and or by the production leader. All the preventive maintenance are documented. Adjusted measurements are taken to prevent that het safety of the product isn't endangered. Lubricants and greasing aids that may come in contact with food stuff are food grade. 8. Waste control The waste disposal is managed in accordance with the legal requirements, prevention of accumulation, risk of contamination and to prevent the attraction of pests and vermin. The waste is collected by approved waste collectors. If unsafe product has to be destroyed, only approved third parties that are specialists of safe waste disposal are used. Records are provide which includes the quantity of wast that has been collected for destruction/disposal. 9. Purchase - Approved suppliers - incoming inspection/testing There is a procedure of supplier selection for all the raw material and packaging that is delivered to Ranson NV. Depending on the type of supplier (raw material, packaging, ) several documents are asked to the supplier (GFSI-certificates, product specifications, supplier questionnaires, foreign object questionnaire, flowchart, sign off of supplier agreement,...). It is the goal of Ranson NV to only trade and sell products that are conform with all the legal requirements within the European Union. There is a supplier evaluation procedure for the packaging and raw materials for the production department of Ranson NV. There is a defined list with parameters that are important for the evaluation of suppliers of raw material, suppliers of packaging and external contractors. The supplier evaluation of the distribution-department and import-export department of Ranson NV is done continuously. This continuously 6

7 evaluation is done base on the following parameters: historical experience with the supplier, available information (GFSI-certificates, supplier questionnaires, product specifications, available accreditated analysis, flowcharts,...), results of accreditated analysis by Ranson NV, customer complaints, entry controls at Ranson NV and results of (customer)audits at the supplier. A list of approved suppliers is available for the production department. For the distribution and import-export department a list of approved suppliers is available in the ERP system of Ranson NV. There is a adequate work instruction for the entry control of raw material. For several types of raw material extra tests are done conform with the sampling and testing procedure of Ranson NV. Genetic modified organisms Ranson NV declares that all the supplied products by Ranson NV, are either from: - an non genetic modified source - comply with the European legislation EC/1829/2003 and EC/1830/2003 All the products that are produced in the production department of Ranson NV are GMO free and need no labelling under the above mentioned legislation. The necessary information is available in the product specifications, that are put available for each separate product. These product specifications are available at the login service of the website of Ranson NV. For the distribution products you can find all the necessary information in the product specifications of the suppliers. Ionising radiation All the products that are produced in the production department of Ranson NV haven't been treated with ionising radiation and consist totally of ingredients and raw material that hasn't been ionisated. For these products there is no need for labelling "treated with ionisated radiation". For the distribution products you can find all the necessary information in the product specifications of the suppliers. Pesticides / Contaminants All the products that are produced in the production department of Ranson NV are conform with all the European legislation concerning pesticides and other contaminants (heavy metals, mycotoxins, ). All the products that are traded and imported/exported are conform with all the European legislation concerning pesticides and other contaminants (heavy metals, mycotoxins, ). Analyses are asked at the suppliers of raw material conform with the analysis plan of Ranson NV. 10. Traceability/Recall The traceability of all the products by Ranson NV is guaranteed. For the traceability and in the case of complaints we ask you to inform us with the following information depending on the type of product: - lotnumber - best before date (and if available production date, if available) - combination of lotnumber and best before date (if both are present on the packaging) - if available we ask you to the number of our contract. This number has the following composition: "xx-yy/doszzzz". An example is - given in the picture below. - there is possible also a box-number available on the packaging 7

8 At every time we have all the information available for a full traceability from top (client) to bottom (supplier) and backwards: data related to the delivery of each individual product, the storage of the products, the delivery of each individual product to our clients, etc. This allows us a full traceability for each product to our client. Also, each individual lot of raw material can be traced back into the finished end products and vice versa for the production department of Ranson NV. The effectiveness of the traceability systems is periodically tested, minimum 1x/year. Country of origin Country of origins are mentioned on the product specification of Ranson NV. The country of origin may vary from time to time. Ranson NV reserve the right to purchase raw material from approved suppliers depending on the availability of the raw material all over the world. Traceability information is always available at Ranson NV. Recall procedure An effective recall procedure is present for all the sold products by Ranson NV. Complaint handling - Non conform products A formal complaint handling procedure is operating at Ranson NV. We advise to send the complaint to your commercial contact at Ranson NV. Depending on the type of complaint, the complaints are handled by the commercial or the quality department. All the complaint are followed up and use to evaluate the suppliers of Ranson NV and the product department of Ranson NV. Ranson NV have a formal procedure for non conform products. 12. Allergens The following allergens are considered within the scope of the allergen policy of Ranson NV: - The allergens that are mentioned in the European legislation UE/2007/68 - The allergens that are mentioned in the LEDA list version The production factory of Ranson NV consist of several production units that are physical separated from each other. The fundaments of this physical segregation is to prevent maximally the cross contamination of allergens. Several other measurements are taken to prevent cross contamination. Nevertheless, potential cross contamination of allergens on the production lines is indicated in the product specification of each individual product. 13. Procedures / Working methods/ Registration forms Instructions for production, cleaning and disinfection are available at Ranson NV. Each procedure, working instruction and registration form has a dedicated unique number in the quality manual of Ranson NV. Each document also has a version number and date of issue. Only a restricted list of people can change the documents to a new version. Old versions of documents are stored. 8

9 Products are only made conform with the manufacturing instructions that also specify the quantity and the type of ingredients that has to be used. All the process specifications are defined that are needed for a full process control such as: critical control steps, operating parameters such as tempering temperature, 15. Product information Product specifications are available for each raw material and each packaging material that are used in the production facility of Ranson NV. Only from approved suppliers products are bought. All the own made products are metal detected or sieved prior to packing to avoid foreign materials in the end product. Details about the preventive actions (sieving, metal detection,...) are mentioned in the product specifications of Ranson NV. Also the level of sensitivity is available in the product specifications.
