4 Fixed Asset description Fixed Asset is a long-term tangible piece of property that a company owns and/or leases and which will be used in the production of its income and is not expected to be consumed or converted into cash any sooner than at least one year's time. Fixed assets can be intangible assets, as well. Fixed Assets can be referred as property, plant and equipment. Fixed Assets are second most important part of a company right after the people. Depreciation decline in value of an asset due to its use and allocation of the cost of tangible assets to periods in which the assets are used SAP AG. All rights reserved. 4

7 Activation of Fixed Asset Functionality The Fixed Asset Functionality can be activated under Administration -> System Initialization -> Company Details -> TAB: Basic Initialization After you have enabled Fixed Assets, you can find fixed asset-related menu entries in the following paths from the SAP Business One Main Menu: Administration -> Setup -> Financials ->Fixed Assets Financials -> Fixed Assets 2013 SAP AG. 8 Fixed Asset Document Numbering The document number for the Fixed Asset Functionality will be handled after the merge back with the standard Document Numbering under Administration -> System Initialization -> Document Numbering SAP AG. All rights reserved. 8

9 Account Determination In SAP Business One, you can define multiple sets of G/L accounts. After defining the G/L account sets, you can assign them to asset classes and, therefore, link them to fixed assets. Administration -> Setup -> Financials -> Fixed Assets -> Account Determination In SAP Business One 9.0, it s required to setup additional accounts to use all processes within the Fixed Asset functionality SAP AG. 11 Multilevel Method Depreciation Type With the multilevel method, you can view an asset's useful life as several phases and depreciate the asset by a defined rate for each phase. In SAP Business One 9.0 the number of phases has been increase SAP AG. All rights reserved. 11

12 Straight Line Period Control The Straight Line Period Control calculation method will allow to increase the depreciation by a factor, to reflect e.g. Shift Work in a Company. 13 Depreciation Area - Setup It is possible to setup multiple Depreciation Areas to cover required reporting needs according to e.g. LOCAL GAAP, IFRS, Cost Accounting or Derived Area as Reference for the Book Depreciation. Only one Type can be set as Main Depreciation Area It is possible to set more than one Depreciation Area, which will create postings Setting: Direct or Indirect posting will have influence on used account and posting scheme 2013 SAP AG. 15 Asset Classes In SAP Business One, you can define your fixed assets by different classes. In each asset class, you can assign multiple depreciation areas and depreciation methods. By assigning an asset class to an asset, you can link the depreciation areas and methods to the asset. 16 Attribute Group Setup In SAP Business One, you can define different groups of attributes for your fixed assets. Administration -> Setup -> Financials -> Fixed Assets -> Attribute Groups To assign Attributes to Fixed Assets you need to assign the attribute group to relevant the asset class. To adjust the order of the attributes, use the Move Up or Move Down pushbutton SAP AG. All rights reserved. 16

17 Import Fixed Asset Master Data After Fixed Assets has been enabled, legacy data can be imported from Microsoft Excel into SAP Business One. Administration -> Data Import/Export -> Data Import -> Import Fixed Asset Master Data from Excel The system copies the asset values from the Microsoft Excel sheet to SAP Business One as the starting asset values of the selected fiscal year SAP AG. 18 Data Migration from Fixed Assets Add-On With the fixed asset data migration wizard, you can migrate the following data from the Fixed Assets add-on to SAP Business One: Account determination Depreciation areas Depreciation types Asset classes Asset master data The system is following the same rule as the import from Excel. When migrating the asset master data, the system will copy the asset values at the end of a fiscal year from the addon to SAP Business One SAP AG. All rights reserved. 18

20 Fixed Asset Master Data The Asset Master Data is a new window under Financials Fixed Assets Asset Master Data In this window you define the assets that company owns. It is very similar to the Item Master Data window with the addition of the Fixed Assets Item Type and the Fixed Assets tab. You can follow the process of managing an asset by using the different sub-tabs in the Asset Master Data: Overview Values Depreciation Cost Accounting And Attributes The Asset Class will deliver the defaults for the Asset Master Data SAP AG. 22 Fixed Assets in Purchase Documents The user can select already created Fixed Asset Master Data in a Purchase documents. If it is required due the internal process of a company, that the user should create Fixed Assets Master Data, directly from the A/P document, the User Default needs to be set accordingly SAP AG. 24 Payment with Cash Discount In the Document Settings, it need to be defined if the Cash Discount shall have an influence on the Fixed Asset Value. If an AP Invoice for a Fixed Asset was paid with cash discount, the system will create a Capitalization Credit Memo in the background and the Fixed Asset value will be decreased accordingly SAP AG. 25 Asset Transfer Asset Transfer At the beginning of the fiscal year, the Value from one Fixed Asset can be moved to another Fixed Asset. Asset Class Transfer With Version 9.0 it is possible to change during the year the Asset Class, if no depreciation have been posted for the Asset. 26 Manual Depreciation SAP Business One can use depreciation types to automatically determine the planned depreciation for an asset in a particular fiscal year. However, it may be necessary to manually depreciate the asset. The Manual Depreciation has been enhanced with the possibility to do an Appreciation. It is possible to choose All or a specific Depreciation Area SAP AG. All rights reserved. 26

27 Depreciation run The Depreciation run will post all planned depreciations in Financial Accounting up to the specified date. Depreciation Run can be executed for each Depreciation Area. 1. 28 Fixed Asset Revaluation Asset revaluation is a technique used to revaluate a company's assets to take into account inflation or changes in value since the assets were acquired. 29 Retirement In SAP Business One, you can retire in the following ways: - Retirement through Sale, - Retirement through Scrapping, - Complete or Partial Retirement If an A/R Invoice was issued for the sales, the system will create in the background a Retirement Document in the Fixed Asset module 2013 SAP AG.
