This Co-Marketing Quick Start Kit (Kit) has been developed to help you prepare co-marketing collateral that accurately represents your relationship with PG&E. This Kit includes comprehensive information, instructions and tools for producing co-marketed collateral for print, web, or electronic distribution and sets forth the standards for obtaining approval for your use of the PG&E name and logo. 4 Guide CO-MARKETING GUIDELINES Introduction PG&E s primary concern in reviewing co-marketing collateral is that the PG&E brand identifiers, its logo and company name: 1. Are used consistently and follow the PG&E brand guidelines in all published materials 2. Do not mislead customers 3. Maintain the integrity of the PG&E brand The steps outlined below and use of the material available on the CD-ROM will help ensure a timely and complete co-marketing collateral submission. Your submission should include: 1. A final version of the co-marketing document you intend to produce as a print/proof or PDF 2. Co-Marketing Collateral Submission Form (see Pg. 20) 3 Co-Marketer Checklist (see Pg. 12) 4. Image Use Licensing Agreement (see Pg. 21) and/or proof of purchase document(s) Disclaimer The Kit is intended for use by businesses and organizations that have a relationship with PG&E. The Kit will provide guidelines and instructions for submitting marketing collateral that utilizes the PG&E logo and other branding properties owned by PG&E. The Kit does not grant ownership and no ownership is implied or intended of PG&E brand assets to the third party. Approval for use of the PG&E logo and its assets is only granted for the specific use for which the application is submitted and approved by PG&E. Approval for use of the PG&E logo and its brand assets is not granted for use in perpetuity. Permission for use is granted only for the specific use and the time period applied for and granted by PG&E. It is understood by all parties that the permission(s) terminate after the designated and agreed to printed collateral quantities and dates of use on the application for co-marketing epire. NOTE: The rules and processes for producing co-marketing materials outlined in this Kit are applicable to all eternal partners who have contractual relationships with PG&E to promote its energy efficiency programs and etends to their subcontractors who work on PG&E projects on their behalf. 1
5 Name Usage and Factual Statements Introducing and abbreviating the utility s name In keeping with the way PG&E uses its name and abbreviation in collateral, any document or website you create must refer to the utility by its full name, Pacific Gas and Electric Company at its first mention. After that, references to the utility may use the abbreviation PG&E as long as that abbreviation is defined previously in the document. Eample for more information contact, Pacific Gas and Electric Company (PG&E) Some factual statements require no special authorization Reporting facts about your relationship with PG&E requires no special authorization unless there is a contract providing otherwise. You may make factual statements regarding your relationship with PG&E provided the PG&E logo is not used anywhere in the collateral piece and there is no statement indicating or suggesting that PG&E recommends, endorses, or implies an endorsement of your company, products, or services. However, PG&E requests that you inform your PG&E Program Manager or primary contact of your intended use of the PG&E name and provide a hard copy, PDF, or URL of the collateral piece as soon as it is available. You do not need special authorization if: Your brochure or website only uses the Pacific Gas and Electric Company name in reference to a factual statement*: Eample Pacific Gas and Electric Company purchased 10 widgets from us. Or XYZ provides widgets to Pacific Gas and Electric Company. XYZ is an HVAC contractor for Pacific Gas and Electric Company. You include a link to PG&E s website in your materials: Eample For more information on rebates available for this product, please visit Pacific Gas and Electric Company s website at However, you can not make statements such as: Pacific Gas and Electric Company selected yz vendor because the vendor offers the best meters available. * If the company name is used in a press release, approval is required (see Pg. 8). 2
6 Use of Logo Use of PG&E logo in co-marketing collateral piece always requires review and approval by PG&E To protect the integrity of the brand, PG&E requires that any collateral containing the PG&E logo be reviewed and approved before it is published, circulated and otherwise disseminated to the public. The following rules apply for use of the PG&E logo in both print and online electronic collateral (e.g., websites, PDFs, etc.). PG&E requires submission of collateral for approval(s) regarding logo size, color, placement, and messaging relating to PG&E. There are two PG&E logos available for use in co-marketing collateral pieces. When using the PG&E logo, you must submit a sample or replica of your collateral piece along with the required paperwork found on the accompanying CD-ROM for approval to your PG&E Program Manager. The Pacific Gas and Electric Company logo and the PG&E Spotlight logo When using the PG&E Spotlight logo, it must always be paired with the following legal copy (preferably on the same page of the document where the PG&E Spotlight logo first appears). LOGO DISCLAIMER TO ACCOMPANY USE OF PG&E SPOTLIGHT LOGO PG&E refers to Pacific Gas and Electric Company, a subsidiary of PG&E Corporation Pacific Gas and Electric Company. All rights reserved. This copy only needs to be placed in one location and not on each page the "Spotlight" logo appears. Fine print is acceptable provided it is legible. The minimum acceptable font size is 6pt. Separate graphic files of the PG&E logos as well as files of the logos with disclaimer copy are available for your use on the enclosed CD-ROM. In addition, you may be required to sign a "Use Agreement" in regards to a particular use of the PG&E logo and the specific messaging in your collateral piece as it relates to PG&E. PG&E AUSPICES STATEMENT The following disclaimer MUST be placed on all co-marketing collateral in the footer (6pt. minimum): This program is funded by California utility customers and administered by PG&E under the auspices of the California Public Utilities Commission. 3
7 LOGOS AVAILABLE FOR USE The following logos are available for use and can be found on the enclosed CD-ROM in multiple formats such as: 1. Vector Formats 2. 8 PG&E reserves the right to approve and/or not approve logo size, color, and placement, as well as the messaging in your collateral as it relates to PG&E. When using the PG&E logo, the PG&E Corporate Identity Guidelines regarding logo usage must be followed. THE RULES ARE AS FOLLOWS 1. When possible, all layouts should be designed with a sense of modernity and simplicity. Designs should be clean and kept to as few elements as possible. White space should be used liberally to ensure a clean and easily digestible layout. 2. The logo should always be surrounded by at least the amount of clear space shown in the diagram below. When writing or referring to PG&E, both in the Pacific Gas and Electric Company form as well as the abbreviated PG&E Form, the required reference is: all capital letters use of plus sign lack of underlined italic in quotes with ampersand ampersand Spell out and Company when using the name in long form. Follow these guidelines for logo applications for color and grayscale applications*: Color Logo Treatment Grayscale Logo Treatment *For applications using the PG&E "Spotlight" logo, the registration mark must be visible net to the logo and in the appropriate location. ENVIRONMENTALLY FRIENDLY PG&E is a proud supporter of environmentally friendly and renewable resources. The use of recycled materials and environmentally friendly inks such as soy-based inks is highly recommended. When possible, please use these types of materials for your printed collateral. If these alternative mediums are used, we ask that you incorporate recycled content messaging in your document. When 15% or more post-consumer waste and/or soy-based inks are used, please place the icons** and copy noted below in the footer section of the collateral piece in mousetype (see Pg. 10). - ** Icons available for use on CD-ROM. 6
10 Additional Logo Use Rules ADDITIONAL RULES REGARDING THE USE OF THE PG&E LOGO An additional level of review is required when you use the PG&E logo in combination with a statement, as a reader could interpret the image as PG&E endorsing the third party s company, products, or services. For eample, ask your PG&E Program Manager for approval before using something like: XYZ provides widgets to Pacific Gas and Electric Company. XYZ is an HVAC contractor for Pacific Gas and Electric Company. In these eamples, the proimity of the PG&E logo to the statement implies an endorsement by PG&E. However, on a case-by-case basis, PG&E may approve the use of the logo in conjunction with an endorsement or on materials or packaging where PG&E logos and your own logo or trademark are part of a single design image. If you wish to pursue these types of uses, this Kit does not apply and should not be used. This type of application is out of the scope of this Kit. You should discuss this with your PG&E Program Manager. This type of use will require a more etensive discussion and review. PHONE NUMBERS AND URLs When including a phone number or URL, the PG&E format for including these in a collateral piece is the following: Phone Numbers Write out a phone number in the format of: 1-XXX-XXX-XXXX, including the "1" and the "-." Always double check phone numbers used in publications by dialing the number and to confirm it is the correct number. URLs Eample When writing a URL, the correct PG&E format is to begin the URL with," Always double check URLs used in publications by typing the URL into a web browser and to confirm it is the correct URL. 11 Timeline For Logo Use Approval TIME FRAMES FOR SUBMISSION AND APPROVAL OF CO-MARKETING COLLATERAL The following timeline has been prepared to provide you a rough estimate of how long it will take to receive final approval from PG&E. This timeline begins on the date your collateral is first submitted and runs to when it is approved for print. This timeline is only a guide. Although we try to provide the most accurate estimate available, it is possible that delays may occur. For instance, we may request additional information or supporting documentation. Delays in providing any requested information can lengthen the time it takes for you to receive approval. NOTE: Please incorporate PG&E's approval process into your development time line. Last minute requests are highly discouraged, but will be accommodated; however, PG&E cannot guarantee your deadline will be met. NOTE: The verification of the accuracy of the translation will add time to the overall review and approval process. + This kit does not apply and special arrangements should be made with your PG&E Program Manager. As with any project involving more than one company or team, the review and approval process can take longer than epected. Also, be aware that the printing of comple collateral designs such as those using 4-color printing, can take anywhere between 2-4 weeks to print. For programs funded by PG&E, it is necessary to place the PG&E logo on the marketing collateral and adhere to PG&E's rules and guidelines regarding logo usage and placement (see Pgs. 3-7). Removing the PG&E logo from the collateral will NOT speed up the approval process and causes delays because PG&E will insist the PG&E logo be added. Contact your PG&E Program Manager for more information. 8
12 Use of Images USE OF IMAGES Style of Photography The incorporation and use of images in a collateral piece can potentially increase the effectiveness and recall of a piece. Based on PG&E's image use guidelines, PG&E recommends that when using photography (images) the image(s) should feel innovative, artful and modern. If there are people in the image, they should not be looking at the camera and the image should not feel staged. When using black-and-white photographs, the image should be of relatively high contrast. While we require documentation that you have properly secured the use of an image, it is ultimately your company s or organization s liability if an image is used outside of its intended scope. For PG&E to approve the use of the PG&E logo and other PG&E brand assets in a co-marketing collateral piece using an image, PG&E requires the submission of a thumbnail of the image(s) used, the proof of purchase for the image(s) (e.g., a receipt or purchase download history screen shot), the image license agreement, and/or the Image Use License Agreement Form along with your submission. PG&E recommends that you use Royalty-Free images. The use of non-royalty free images (called Rights-Managed ) can add a considerable amount of time to the approval process. Royalty-Free images can be obtained for purchase by any number of reputable companies. A few companies frequently used by PG&E are Getty Images ( Corbis ( and Veer ( Royalty-Free refers to purchased material such as graphics, illustrations, and stock photography that may be used for profit, without paying royalties (usage-based payments for ongoing use of an asset.) Rights-Managed refers to material purchased for a specific, one-time use at a rate based on various factors like duration, purpose, print run, territory, and/or circulation. 9
13 Typography TYPOGRAPHY PG&E uses the DIN* font family, a sans serif font, on all of its marketing and advertising materials. All headlines and body copy should use DIN Medium. Sample: PG&E brand headlines. Body copy looks like this. For reference, PG&E uses the following font sizes: Banner Header Header Subhead Body Copy Mousetype 24 point 11 point 9 point 9 point 6 point You must purchase the DIN font and obtain your own software license granting use of the font. 14 Marketing Claims MARKETING CLAIMS* It is recommended that you do not use any claims in your co-marketing piece. However, for each document developed for public distribution in any format, including print and electronic formats, all claims must be identified and substantiated. PG&E defines a claim as any statement that asserts a fact to be true. Objective claims are capable of objective proof and testing, whereas subjective claims are not. Eamples: Objective Claims: capable of objective proof Reduces energy use by 50% Increases performance Reduces costs by 20%-30% Subjective claims: not capable of objective proof or are so vague, hyperbolic, or humorous that a consumer would not take them seriously, in other words, they are puffery. This washing machine is the best We understand that sometimes a claim is an important component of your message. For the rare occasions when it is necessary to use a claim in your co-marketing piece, fill out and submit the Co-Marketing Collateral Submission Form. List each claim separately along with the legitimate and verifiable source(s) substantiating your claim. The substantiating sources will be confirmed and analyzed for authenticity and accuracy so please make sure your sources are accurate and authentic prior to submission. If the claim toutes numerical energy savings, it MUST be validated by PG&E's Technical Application Services (TAS) group. It is strongly recommended that you use TAS pre-approved energy savings numbers in your marketing collateral. It is imperative that you work closely with your PG&E Program Manager to assist you through the claims and TAS review processes. NOTE: PG&E cannot be used as a substantiation source. Sources used for substantiation MUST be credible and independent third-party organizations with no fiduciary ties to PG&E. *The validity of a claim approved by PG&E's Claims Review Department is si months. If a claim was approved more than si months prior to the date of submission, it must be resubmittted for revalidation. 11

18 PG&E Program Manager Checklist If the vendor s submission does not meet the requirements per the checklist below, please send it back for revisions and ask the vendor to re-submit when all conditions have been met. 1. If the Spotlight logo is used, the copyright statement above must be included on the document preferably on the same page where the logo first appears. 2. If the logo is used, has the proper amount of "clear" space surrounding the logo (logo staging area) been provided? YES NO Logo clear space The logo should always be surrounded by at least the amount of clear space shown in the diagram above. If the proper amount of clear space is not provided, please send the document back to have the document redesigned to allow for the correct amount of clear space. 3. Objective claims are capable of objective proof and testing, whereas subjective claims are not. NOTE: All claims must be substantiated by reliable and trustworthy sources. a. If a claim is made, is the supporting substantiation documentation included? YES NO The substantiating documentation must be included with the Co-Marketing Collateral Submission Form in order for the marketing collateral to be reviewed. b. Has the co-marketer entered the relevant claim information on the Co-Marketing Collateral Submission Form? YES NO If no, please have the co-marketer complete the Co-Marketing Collateral Submission Form prior to submitting the marketing collateral piece for internal reviews. If yes, please review the supporting documentation for reliability and authenticity as a substantiation reference prior to submitting the collateral for claims review. 16
20 4. Is there a statement reflecting an endorsement or implying an endorsement of a product, and/or service, or company by PG&E? YES NO If yes, do not use this Kit as an evaluation and submission tool. The project is outside of the scope of this Kit. 5. Is an image and/or photo used in the collateral piece? YES NO Is the image proof of purchase (e.g., receipt) and/or purchase download history screen shot attached? YES NO Is the Image Use License Agreement attached? YES NO A copy of the proof of purchase (e.g., receipt) and image license agreement are required and must be submitted with the claims submission documents. Please request these documents be sent to you prior to submitting the collateral piece for internal reviews. If using an image provided by a photographer and/or an advertising agency, the Photo and Information Use Agreement Form must be submitted with the Co-Marketing Collateral Submission Form and other supporting documents. Please obtain the appropriate signatures for this agreement prior to submitting the collateral piece to claims review. 6. If an image is used, does it conform to the PG&E image use guidelines as described on page 9? YES NO Once you have received all required documentation and reviewed the document for logo and image use as well as the proper use of the PG&E copyright statement, you will need to submit the Co-Marketing Collateral Submission Form to the Claims Review Department for review and approval; and copy the Marketing Eecution Department on the request. Please include all necessary documents with your submission. 7. Is the PG&E auspices statement (see Pg. 3) placed on the collateral? YES NO 17
21 8. Is this collateral piece a press release? YES NO If it is a press release, find out the following: a. release date b. how will the press release be distributed? (i.e., on the wire, to targeted area, to selected media contacts, etc.) Review the press release for accuracy and consistency with contracted program elements. Then, forward the press release along with the above information to the CEE Internal Communications team for routing to the PG&E News Department and copy the Marketing Eecution Department on the request. If claims are made within the press release, you will need to submit the Co-Marketing Collateral Submission Form to the Claims Review Department for review and approval. Please include all necessary documents with your submission. 9. Is this collateral piece an ad? YES NO If it is an ad, find out and/or obtain the following: a. name of the publication(s), web site, etc. where ad will appear b. frequency of placement (e.g., once, bi-weekly, weekly, monthly, etc.) c. media schedule Review the document for logo and image use as well as inclusion of the PG&E copyright statement, if appropriate. If claims are made within the ad, you will need to complete and submit the Co-Marketing Collateral Submission Form to the Claims Review Department for review and approval. Please include all necessary documents with your submission. The ad must also be sent to the Corporate Communications and the Marketing Eecution departments for review and approval. 18
22 Checklist: I have received a Co-Marketing Collateral Submission Form from the vendor and/or partner. A PDF or hard copy of the document has been submitted as it is intended to be distributed (e.g., in color if document will be in color). An Image Use License Agreement and proof of purchase document (e.g., receipt) and/or purchase history download screen shot have been submitted. and/or A Photo and Information Use Agreement Form has been submitted. I have filled out the PG&E Claims Review Worksheet to be submitted with all other required documentation, if necessary. All supporting documentation and substantiating references have been included.
