1 WHITE PAPER Affinity Health System Sees Multiple Gains with ReDoc Solutions: Results at 3+ Years Covering Revenue, Compliance, and Staff and Patient Satisfaction CUSTOMER SNAPSHOT Affinity Health System (AHS) is a network of three hospitals and 26 clinics in Wisconsin, a member of Ministry Health Care, which recently became a ministry of Ascension Health, the largest Catholic health care system in the country. Appleton / 206-beds Oshkosk / 172-beds Chilton / 15-beds CUSTOMER CHALLENGE The Rehab Departments of Affinity Health System s hospitals were struggling with their dated paper and pen system for clinical documentation. This process was slow and often produced errors and inconsistencies including issues with legibility, lost records, and clinical information simply not being in the right place at the right time. These departments needed an effective solution that demonstrated a number of success metrics including improved financial performance, improved information/communication among physicians, patients and payers, improved compliance (including CMS, Joint Commission, Workers Comp), enhanced reimbursement measures, reduced waste and rework, and enhanced clinical quality and patient experience. Our paper system was very unsatisfactory. Notes were often not legible, we had to fax constantly, and records were sometimes lost. Our Meditech system was used primarily for registration, scanned physician orders and authorization documents, said Winistorfer. Making the transition from paper and pen to electronic documentation via electronic health records (EHR) required considerable efforts from Affinity s therapy, IT, billing, and registration staff. REDOC SOLUTION ENTER REDOC SOFTWARE... ReDoc Software offers solutions designed specifically for PT, OT and SLP to complement every aspect of today s technology-driven therapy workflow. Following initial assessments and conversations with Affinity s rehab department leaders, ReDoc outlined goals for the transition to electronic documentation through the implementation of ReDoc Enterprise. This solution provides therapists and therapy department teams the tools they need to operate efficiently, stay compliant, and enhance patient care and outcomes. In January 2010, the rehab department at St. Elizabeth Hospital in Appleton went live with ReDoc Software and a month later the software was implemented at three other locations, including the rehab departments at Mercy Medical Center in Oshkosh and St. Elizabeth Midway Rehab in Menasha, and at Calumet Medical Center, a critical access hospital in Chilton.

4 Revenue Gain: More Than $300,000 in the First Year, and Still Growing The charts below show that Affinity realized significant increases in procedures per visit, with financial gains that exceeded $300,000 in the first year, $87,000 in the second year and over $250,000 anticipated in the third year. Minor per visit improvements, multiplied by a high volume of outpatient visits, have produced absolutely astounding financial results, said Winistorfer. Just like other rehab providers, we ve focused on improving efficiency and productivity, but the incremental improvements in procedures per visit are directly attributed to ReDoc Red Flags and Minute Tracking. Physicians and Staff Pleased With ReDoc Since implementing ReDoc, referring physicians have reported greater satisfaction with report legibility and quality of content. And patient experience has been enhanced because Affinity used some of the increased revenue from ReDoc to install a self check-in kiosk at the St. Elizabeth location.

The Red Flags feature prevents most charge errors, almost perfect compliance with the Medicare 8 minute rule, and the ReDoc alerts ensure that all documentation is timely and thorough. Moving from paper to an electronic system means the risk of misplacing a patient s chart is completely eliminated.
