1 JOB TITLE: Asset Sales Support Assistant REPORTS TO: Senior Asset Sales Officer POSITION LEVEL: Level 5 Higher JOB PURPOSE: To facilitate the allocation of low cost home ownership, ensuring customer enquiries are dealt with in an efficient and customer focused manner. To facilitate all aspects of marketing a resale shared ownership property, including digital marketing. To progress shared ownership re-sales transactions to ensure completion takes place as soon as possible. To assist and support the Senior Asset Sales Officer in the sales process of acquiring and disposing of bpha s assets in line with the Asset Management Strategy and Operational Plan. KEY RESULT AREAS MEASURES OF SUCCESS PERSON REQUIREMENTS 1. Deal with general enquiries from applicants, colleagues, other housing associations, employers, solicitors etc., ensuring a high standard of customer service signposting or explaining sometimes difficult or complex information in a clear and sensitive way. 2. Being responsible for informing and marketing of any resale properties; thoroughly checking their affordability and eligibility thus ensuring that they comply with regulatory guidelines. 3. Deal with RTB and RTA enquires, assess and process RTB and RTA Applications through to 1. All customer enquiries are dealt with in a timely and accurate manner; signposting where appropriate. 2. All resales of shared ownership properties are administered and marketed appropriately and within budget. 3. All relevant systems are maintained and up to date including CORE, IMS and Orchard. Skills 1. High degree of IT literacy in Microsoft Excel, Word, Power Point. 2. Strong and accurate written skills. 3. Letter writing skills. Knowledge/Experience 1. Experience of a variety of administrative tasks. 2. Experience of working in a busy and demanding 3. Experience of working in a sales and marketing 4. Experience of working in a customer centred

Informing applicants available properties along with details of any current incentives. 7. Assess and respond to Shared Ownership permission requests and update internal files/systems. 8. Provide a first class customer service to applicants, purchasers and stakeholders ensuring a knowledgeable and confident approach to all tasks. 9. Facilitate the redemption process for equity loans. 4. To contribute to the Asset Sales Team success of Income Targets 5. Excellent internal working relationships with colleagues in all areas of the business. 6. Achievement of personal results set against agreed KPIs. 7. Compliance with bpha s customer service standards. 8. Positive contribution to departmental targets. 5. Knowledge and experience of using customer contact databases. Attributes 1. Clarifies customers needs to ensure service delivered matches service and customer expectations. 5. Great listening skills. 10. Be responsible for progress chasing on all Asset Sales Team files, to ensure that all relevant parties are updated and informed to ensure that property files are completed in a timely manor.
3 11. Prepare legal documents for re-sales, redemptions, re-mortgage, RTB and lease extensions. 12. Responsible for the process of staircasing for shared ownership properties. Assessing applications and affordability assessments for partial staircasing transactions. 13. Ensure all rent to homebuy to shared ownership queries are dealt with and facilitate the sales process. 14. Be responsible for maintaining the database of current Asset Sales Team activities ensuring that individual updates are carried out immediately. 15. Ensure all CORE returns are up to date for Re-Sales, RTB and Rent to Buy to S/O. 16. Be responsible for the Staircasing and resales process for extra care. Responding to enquiries, assessing applicants and progressing files to completion. 17. Ensure all incoming correspondence are distributed promptly and filed accurately.
4 18. To ensure accurate and relevant information is recorded and maintained on the computer system, with an awareness of the parameters of data protection issues. 19. Work co-operatively within a small but busy team to support the implementation of sales and marketing activities to ensure that team targets are met; being flexible and responsive to requests for support. 20. To assist and support the Senior Asset Sales Officer in areas of administration for bpha Asset sales, land disposals, land licences, mortgagee repossessions as well as dealing with enquiries from current rental tenants who wish to purchase their property under the affordable housing umbrella and any other area of the teams operation.
