1 RAPID Backup and Recovery FAQs I have Rapid Backup. Can you tell me how it works? The Rapid Backup is a 2-Step process: STEP 1: Creating and saving the Local Backup on your Server 1. Assuming your Server is turned ON, a script runs every night at 10:00 PM (local time). This script collects folders/data from your server and then places that content into a folder called: ACOM_Backup. Since this Backup is saved on your Server, it s referred to as a LOCAL Backup. 2. As a side note, the ACOM_Backup folder can usually be found on the C drive, but it can be on one of your other Server drives if the server has multiple drives. If you can t locate it off C, check D, E etc. STEP 2: Uploading and saving the Local Backup Offsite or to the Cloud 3. Again, assuming your Server is turned ON and it also has internet access, the Local backup is uploaded and saved Offsite (to the Cloud ) at 12:00 AM every night. To prevent the loss of critical patient and office data, it s important that your data is properly and securely backed up both locally as well as to the cloud. If either Step as outlined above isn t working properly your backup data will be compromised. It is the Practice s responsibility to insure that the correct folders are being backed up both locally and to the cloud. How can I check to make sure that the correct folders are being backed up Locally? Without getting too technical, the Rapid software runs (on a Customer s server) in either MS ACCESS or MS SQL. Whether the software uses ACCESS or SQL is based on which product the office is using. So why is this important? Since there are numerous folders within the ACOM_Backup file, knowing which product(s) the office uses will make it easier to determine which of the two folders (as outlined below) should be checked periodically to make sure the local backup is occurring. Option 1 ACCESS: Offices using Rapid Documentation only & running Version 6.1 or earlier. Option 2 SQL: Offices using Rapid Documentation and Rapid Practice Management or Rapid Practice Management only. Remember, it s the office s responsibility to make sure the appropriate folders/files are being backed-up both locally and offsite. Option 1: Offices using Rapid Documentation ONLY (versions < 6.1) Check: ACOM_Backup/NewTimesMed/Rapid 1. Locate the Acom_Backup folder on your Server s C drive. If it s not on C drive, check your other drives (D, E etc).

2 2. Double click to open the NewTimesMed folder. 3. Check the Date Stamp and Size of the Rapid File as illustrated below. The File Modify Date should be within one day of the current date. File Size should increase incrementally from day to day. If you see only old dates within files, you need to contact ACOM Health as soon as possible so we can check that the backups are running properly

3 Option 2: Offices using Rapid Doc and PM (ALL Versions) or PM ONLY CHECK: ACOM_Backup/DB 1. Locate the Acom_Backup folder on your Server s C drive. If it s not on C drive, check your other drives (D, E etc). 2. Double click to open the DB folder. 3. Check the Date Stamp on the files highlighted below. If you have Rapid Documentation, check the AHPM_Doc.bak file. If you have Rapid Practice Management, check the AHPM.bak file. The File Modify Date should be within one day of the current date. File Size should increase incrementally from day to day.

4 How can I check to see if my Local Backup is uploading to the CLOUD correctly? As outlined previously, an Offsite/Cloud backup occurs nightly at around midnight (local time). At the conclusion of this Offsite/Cloud Backup, an is generated (by the Backup Cloud site) and sent to you to update you on the status of that night s backup (whether or not it was successful). Examples are provided below. Since ACOM personnel do not receive ACOM_Backup Notifications from the cloud, IT IS IMPERATIVE that your Office LOCATE, OPEN and READ this each morning. If you re not receiving this DAILY or the content of this suggests that a backup failed, please contact ACOM Health at rapidsupport@acomhealth.com for assistance. 5 Example Rapid Backup Notification: Newest version of Rapid Backup If for any reason the practice is unsure of whether the appropriate folders/files are being backed-up or whether backup is running locally and offsite, the practice should call ACOM Health Technical Support at (866) ext. 600.
