2 Welcome Why are we here today? Regulatory framework? Ø Article 27 (a) of the Central Regulations concerning the Conferring of the Academic PhD degree: The Vrije Universiteit Brussel has taken the following steps to support the PhD student: a)the setting up of a personal online documentation system for the research process.

3 Article 27 (a) The university provides the PhD student with access to an electronic portfolio system allowing him/her: to gather all data online for the annual progress report that will be submitted to the PhD Progress Monitoring Commission; to record optional data online regarding personal achievements in the margin of the student s research project, which benefit the university and academia in general; to create a dossier of the PhD process which may be used in presentations for future employers.

4 Certificate of the Doctoral Training Programme Another important feature of the electronic PhD portfolio! Ø The portfolio keeps track of the PhD students progress in the Doctoral Training Programme, offering him/her a clear overview of the progress and the means to apply for the Certificate of the DTP.

6 What is this Doctoral Training Programme? Continuous development of your academic & generic skills. Composed individually as you go in principle NOT COMPULSORY (except if the Faculty decided otherwise following your application) in English

7 What are the Doctoral Schools? 3 Doctoral Schools, each with an academic Director - Human Sciences - Life Sciences and Medicine - Natural Sciences and (Bioscience) Engineering To provide a structural framework for the PhD process To enable PhD students to develop a wider range of skills To enhance the position of doctors on the labour market They organise in-depth and discipline-oriented activities

8 What s in the Programme? 4 main types of activities: 1. Regular courses (bachelor, master, advanced master, post-graduate, ) 2. Doctoral Seminars and Workshops 3. Research activities, e.g. publications and conference participation 4. Successful defence of doctoral thesis

10 Completing the Programme Courses + seminars + workshops + conferences + publications = min. 30 credits + Successful defense = Certificate of the Doctoral Training Programme Getuigschrift van de Doctoraatsopleiding Equivalent to 60 ECTS In addition to doctoral diploma

11 Not completing the Programme The Programme is not complete, when you have less than 30 credits and/or when you didn t successfully defend your PhD thesis Attestation stating the activities you did attend

14 Regular Courses Regular courses at the Vrije Universiteit Brussel Ø Will automatically appear in your portfolio Courses at other institutions: Ø Added to the portfolio by the PhD student + proof

15 Doctoral Seminars & Workshops Organised by the Central PhD Office or the Doctoral Schools Ø Registration via VUB-website Ø Will automatically appear in your portfolio Organised externally (other universities, institutes of life long learning, etc...) Ø Added to the portfolio by the PhD student + proof

16 Research activities Conferences, papers, awards, research visits, R&D-Net -> PURE Credits specific to Doctoral School

17 PhD Portfolio Online tool to keep track of training and research activities Up-to-date overview Automatic: regular courses and doctoral workshops (registered through Selfservice) Semi-automatic: research activities, to be entered in R&Dnet/ PURE, but automatic transfer to PhD Portfolio Manually: activities not in CaLi or R&Dnet/PURE, to be entered directly in PhD Portfolio, + proof Many credits automatically filled in Supervisor validates activities in the PhD Portfolio Apply for Certificate or Attestation through PhD Portfolio Overview for Progress Report

Important information on the functionality of the PhD Portfolio: April 28 th : Go-live PhD Portfolio Ø The portfolio will be accessible for all PhD students IF: ü they are registered as a PhD student ü the name of the supervisor has been added to the registration ü the choice of the Doctoral School has been added to the registration

Important information on the functionality of the PhD Portfolio: April 28 th : Go-live PhD Portfolio Ø Functionality? ü All internal activities (seminars, workshops & regular courses organised by the VUB) will automatically be loaded in your personal portfolio ü The approval flow for the supervisor and the DSdirector for aforementioned activities will be functional ü PhD student can add external activities + proof to their personal portfolio

Important information on the functionality of the PhD Portfolio: September 2014: Go-live Pure Ø Functionality? ü Research related activities will automatically be migrated from Pure (before R&DNet) to your portfolio ü Once all requirements are fulfilled, the PhD student will be able to apply for the Certificate through the portfolio
