2 Erasmus study visit rules 1. A student may go on a study visit only to a partner university. 2. All those registered as students of studies leading to Bachelor s, Master s, Doctor s degree diplomas may apply for a study visit regardless of their citizenship. 3. Study period at a foreign university must be in accordance with an agreement with a partner university and the agreement that student signs with the PUEB. 4. Before commencing a semester at a partner university the Learning Agreement must be signed. 5. A person studying at a partner university does not pay a tuition fee. However, a visit abroad does not exempt students of paid studies from paying a tuition fee at the PUEB (applicable to students of nonregular studies and programmes in English). For further information on Erasmus+ programme please reach the Research and International Relations Office website: Financial support European Commission grants are awarded to cover the difference between costs of living, not the costs actually paid by the student during study. The following groups of countries are distinguished in the academic year 2016/2017 Country Group 1. Austria, Denmark, Finland, France, Great Britain, Italy Ireland, Liechtenstein, Norway, Sweden Group 2. Belgium, Croatia, Cyprus, Czech Republic, Greece, Spain, The Netherlands, Island, Luxemburg, Germany, Portugal, Slovenia, Turkey Group 3. Bulgaria, Estonia, Lithuania, Latvia, Malta, Romania, Slovakia, Hungary Monthly grant in EUR Moderate disabled students who have been recruited for a visit as part of the Erasmus+ programme may apply for additional support from a special fund. The additional funds are provided to cover extraordinary costs of their special needs during the journey and the stay at a foreign university. The European Credit Transfer System (ECTS) A significant principle of the Erasmus+ programme is the recognition of study periods abroad. Consequently, a study period abroad (including examinations and other forms of assessment) is equivalent to a comparable study period at the home university. The ECTS was established to help educational institutions recognize students academic achievements. Before commencing a semester at a foreign university, the student, the home university and the foreign university establish a Learning Agreement (LA), which should include the completion of compulsory subjects specified by educational standards. Each student visiting a partner university is required to earn there 30 ECTS points per semester. Subjects selection A student applying for a study visit should familiarize oneself with the PUEB S list of compulsory subjects and complete them during the study period abroad or during the following semesters after returning from the foreign university. Students attending MA/diploma seminars are encouraged to work with the supervisors during the entire period of absence from the PUEB. The choice of subjects, Learning Agreement is coordinated by the ECTS Departmental Coordinator, MA/diploma Supervisor or the Specialization Coordinator. Jarosław Kubiak, Before and after the study visit student is obliged to act in accordance with the Departments procedures for foreign visits. Things to do BEFORE going on a study visit Before RIRO officially informs partner universities on enrolled students to the Erasmus program, each student is required to sign and submit to the room 218 A confirmation of the visit (Document 1). When submitting a confirmation students also decide in which term they are going to take part in Erasmus+ programme. We strongly advise students to familiarize themselves with the academic calendar of a partner university and rethink holiday plans, and remember to pass the exam session before leaving the PUEB. Please note that there are differences in the commencement and duration of semesters abroad. At many partner universities visits commence as early as late August (autumn semester) and early January (spring semester). If student decides not to go abroad after submitting the confirmation of the visit and after his/her nomination to a partner university s/he is obliged to inform the coordinator of a partner university and submit to RIRO a letter of request for removal from the list of participants, with stating the reason for his/her resignation, directed to the Vice-Rector for Research and International Relations. Contact with partner universities RIRO officially notifies a partner university on students chosen by the Poznań University of Economics and Business to participate in the Erasmus+ programme. Students will receive on a copy of such notification. Firstly, we inform universities which have short term of applications for the winter semester. After receiving official nominations students should liaise directly with a partner university with any questions regarding the stay at a foreign university. Application Forms required by a partner university Student is required to fill accurately and carefully, and then send the required by the partner university application documents. After RIRO notifies partner university on students data (e.g address) many partner universities send information about the required documents to students addresses. Application information should also be checked at the foreign university s website. Please read this information and download the current application forms from this site in order to fill in them and send on time to the partner university. Universities first contact those students who start their study visit in the winter semester but this is not the rule. Please pay attention to deadlines set by the partner universities on sending your application documents and meet them. Often, the Learning Agreement is a part of application procedure. Its content must be approved by the the ECTS Departmental Coordinator. Additionally, each student must make a request to the Centre for Studies in English for a list of course units taken, passed exams and the gained credits (Transcript of Records) in duplicate. One copy student sends to the his/her partner university with the required application forms, the other remains in the CSE office. Residence permit EU citizens have the right to reside in another Member State without any obligations to register his/her stay for a period which does not exceed three months in addition to the need to hold a valid identity card or passport. For longer stays on study period it is required to legalize one s stay. Before departure all students are required to familiarize themselves with information concerning the legalization of residence in the country they are going to study. It may be necessary to obtain certain documents before leaving the country. Detailed information is published on the websites of the embassies. Students who are not EU citizens are required to apply for a visa before arrival at a partner university. Heath Insurance All eligible students should obtain a European Health Insurance Card before departure - this entitles you to free or reduced cost of medical treatment in the countries of the European Economic Area (the EEA constitutes the 25 3

4 EU Member States plus Iceland, Liechtenstein, and Norway) and Switzerland. Before departure, each Erasmus+ student is required to purchase accident and liability insurance, and obtain an appropriate health insurance guaranteed by the European Health Insurance Card (EHIC/EKUZ), issued by Poland s National Health Fund (NFZ; the card is valid only in European Union countries and only for some medical services). Erasmus Conformation RIRO prepares on student s notification one month before students departure. Students going to Turkey and foreigners not subject to Polish National Healthcare System should purchase insurance package covering medical accident and liability insurance, treatment costs, accidents. The PUEB offers a possibility of group insurance, for further information please contact Marketing Department. Some partner universities require from Erasmus students to join the group insurance which is compulsory for all foreign students. In order to avoid double spending you should learn before you go abroad what are the formalities of the partner university. Language competence test - on-line language courses Students participating in Erasmus+ programme are required to take part in on-line language test designed to check the level of language in which they will be studying abroad. The result does not affect departure decision made by home or host institution. Students with low score will receive an invitation to participate in on-line language course. After finishing studies abroad students will be required to take the test one more time in order to check the progress in language acquisition. Details concerning the language competence test will be send to students after receiving information from National Agency of Erasmus+ programme. Documents required by the Research and International Relations Office: 1. Insurance Certificate - Document A no-liability certificate from the Dean s office/centre for Studies in English Document 3. Ad. 1. It is mandatory to read the information on the insurance (see above) and submit before departure a signed Insurance Certificate. Ad. 2. Before departure each student is required to successfully complete the previous semester of study ( any failed subjects!) and his/her exam card must be submitted to the Dean's Office/CSE. Once these and other conditions required by the Dean's Office (described in a separate leaflet) are met the student will receive signed the no-liability certificate from the Dean s office confirming completion of all formalities before a study visit- Document 3. Student should submit a complete set of documents to Research and International Relations Office (room 218A) two weeks before departure. Following the submission of the documents student will sign the Financial Agreement on Erasmus+ programme concluded between the student and the PUEB. The agreement sets out the obligations and rights arising from the implementation of mobility under the Erasmus+ programme. The agreement also specifies the length of stay and the amount of the received grant. The scholarship is calculated from the first day, the beginning of the orientation day, language course or the beginning of classes to the last day of the examination period or classes (if exams are taken during classes). Each participant receives also the Erasmus Student Charter issued by the National Agency for Erasmus. This charter sets out the basic rights and privileges of students participating in the exchange under the Erasmus+ programme and their basic obligations to the home university and the hand the host university. To sign the Financial Agreement student should has the bank account number in IBAN, where an Erasmus+ grant is to be paid, giving the name of the owner of the account and specifying the currency. Erasmus+ funds are collected in a separate account maintained in the PUEB BZ WBK SA in EUR. Due to the low cost of bank fees (charged by PUEB) and service speed, RIRO encourages students to open a bank account held in euros in BZ WBK SA. NOTICE! Student bares the cost resulting from the incorrect bank account number! After the signing of the Agreement by the student and the official representative of the university student receives the first installment of the Erasmus scholarship. It does not apply to students leaving early (August), because funds from the National Agency for Erasmus to Polish universities are usually transferred in the middle of August and before this time the PUEB is not able to disburse Erasmus scholarships. Therefore, the students departing in August, must take into account the delay in the payment of the first installment and incurring the initial costs of their stay with their own resources. 4

5 Whilst preparing for the study visit, in case of any problems (e.g. problems with contacting partner university) you can seek help in the RIRO. If you have any doubts or question, or if you require further information, we ll be try to assist you. Things to do AFTER a study visit Certificate of Attendance and Erasmus+ Participant Report After completion of the study visit student should submit to the RIRO the Certificate of Attendance Document 4) within the specified time (stated in the Agreement) and complete the on-line Participant Report which will be sent the students after the study abroad is finished. After a student completes the courses and collects all the grades a partner university issues for him/her a Transcript of Records. This document lists the attended courses, the ECTS credits and the obtained grades. Two copies of this document are sent directly to the student s home university one for the home Institution and one for the student. NOTICE! In some partner universities, where the semester ends late the Transcript of Records is also issued later. Therefore, the student is to wait for the recognition of the study period at the PUEB until the partner university sends the Transcript of Records (in such situation there may be the need to extend the examination period in the Dean's Office). Students who pays off student loans should take this fact into consideration while selecting a semester for which they want to study abroad. Student cancellations from the Erasmus+ programme A student who cancelled an Erasmus+ visit should immediately inform about this fact the Partner institution and Research and International Relation Office at the PUEB and submit official document with explanation of resign. In conclusion: I am a student of the PUEB and I was selected to participate in Erasmus+. What should I do? What are the following steps? 1. I confirm the study visit (Document1) and state which semester I would like to study. 2. RIRO officially notifies (or notified) a partner university on my participation in the Erasmus+ programme. I received on my a copy of such notification. Since then I can liaise directly with a partner university with any questions regarding my stay at a foreign university. 3. I received an from a partner university or I check all necessary application information at the foreign university s website. I read this information and download the current application forms from the website in order to fill in them and send on time to the partner university. I familiarize myself with the offer of accommodation in a foreign university. 4. I meet the application procedure in designated by the partner university time. 5. I take part in on-line language competence test. (after receiving the instructions from the RIRO). 6. I apply for a visa. 7. I meet the Dean s/cse Office requirements (including semester completion and departure procedure). 8. I submit to the RIRO Document 2 (Insurance Certificate and Document 3 (A no-liability certificate from the Dean s Office). I sign the Erasmus+ Financial Agreement. I receive the first installment of the Erasmus+ grant two weeks later. 9. I DEPART! Before departure I arranged my accommodation and travel. I can extend my stay at the partner University and stay there for another semester, but with the consent of the partner University and my ECTS Departmental Coordinator (I am aware that I may not receive an Erasmus scholarship for the extra semester (applicable to outgoing students for the autumn semester). The rule does not apply to third-year of first-cycle students who are to carry out the last semester in the PUEB. 5

6 10. I come back to the PUEB. I submit to the RIRO the Certificate of Attendance Document 4, in which a representative of the partner university certifies the dates of my study period. Dates should be in accordance with the agreement! I fill in the online Erasmus+ Participant Report. After the fulfilment of these obligations I can expect in twoweeks time the second installment of the scholarship. 11. I receive from the partner university my Transcript of Records. If the partner university issues my Transcript of Records during the examination period at the PUEB and if it corresponds with the Learning Agreement which I previously submitted to the Dean s Office I finish the whole study abroad procedure. If the examination period at the PUEB has finished and I still did not receive the Transcript of Records from the partner university I should extend at the Dean s Office the examination period. If I failed to pass any subject abroad I write an official request to the ECTS Departmental Coordinator for the choice of subject instead which I will pass during the same semester. If I agreed with the ECTS Department Coordinator to take the obligatory courses at PUEB after my study visit abroad, I have to do contact the respective lecturers to pass such courses. Notes 6
