3 PM is a schedule of planned maintenance activities aimed at the prevention of mechanical breakdowns and failures. The primary goal of preventive maintenance is to prevent the failure of equipment before it actually occurs, ensuring that the vehicles are safe to operate and maximizing the vehicle s useful life. 9 The plan should describe how your agency handles the following PM activities. Making preventive maintenance arrangements Adhering to a preventative maintenance schedule Conducting daily vehicle inspections Completing corresponding inspection checklist & follow up on deficiencies Keeping a comprehensive maintenance record on file for each vehicle/documentation (checklists, reports, receipts, etc.) Arkansas Transit Association 9
10 Making Preventive Maintenance Arrangements PM plan should describe how you maintain the fleet and equipment Maintenance department or private garage Who is in charge of scheduling vehicles for PM work? How is information conveyed? Who is responsible that PM schedules are followed? How are PM Intervals determined? Arkansas Transit Association 10
11 Adhering to a preventative maintenance schedule Equipment manufacturer recommendations/basic roadmap Mileage intervals/manufacturer guidelines Seasonal variations/fall, Winter, Spring, and Summer Environmental conditions/dusty roads, stop and go driving Vehicle Cleanliness/ Establish a regular program for washing & cleaning, road salt or brine will accelerate rusting. 12 Conducting Daily Vehicle Inspections Daily pre-trip inspection sheet (required on all vehicles) Critical to success of the PM plan/minor problems-corrected Drivers trained how to conduct inspections Properly complete form/all defects accurately noted Form should have all areas that driver is to check Space provided to document any problems Information should be the base for the PM program and forwarded to maintenance department or repair shop when defects found Arkansas Transit Association 12

14 Conducting Daily Vehicle Inspections/continued Mechanics should perform thorough inspections when in the shop Mechanics certifications/automotive service excellence Mechanic inspection sheet PM inspections/certain mileage intervals Arkansas Transit Association 14
15 Warranties All warranty information in vehicle packets upon pickup/read, READ, READ Warranty information should be in designated vehicle file Know what type of work might void a warranty Warranty work should be done by certified shop Track and organize all work performed Arkansas Transit Association 15
16 Documentation Maintenance records are required to be kept on file for each vehicle Records should include specific details when maintenance was performed, whether preventive or unscheduled Pertinent information/mileage, dates, description of repair, cost, who performed work Consider a cover page for each vehicle file that lists information about that vehicle like weight, length, seat configuration, engine size, height, purchase date, tire size etc.. Agencies are encouraged to develop spread sheets to help document oil changes, tire rotations, inspections, etc. Arkansas Transit Association 16
