2 Using This Guide Use this guide to improve your understanding of how to license Microsoft Dynamics C for Subscription offerings. It does not apply to Microsoft Dynamics AX, Microsoft Dynamics SL, Microsoft Dynamics GP or Microsoft Dynamics NAV. This guide is not intended to influence the choice of Microsoft Dynamics products and services. The examples presented in this guide are illustrative. Specific product license terms are detailed in the Software License Terms (SLT) document, which are available at License Keys vs. License Entitlements An important distinction to make is between license keys (activation keys) and license entitlements. License keys are used to activate the Microsoft Dynamics software that the customer has licensed. License entitlements are what customers are entitled to run and use based on the licenses they have acquired as described in the SLT. 3 How to License Microsoft Dynamics C Overview of Subscription Licensing Microsoft Dynamics C is only available through Subscription Licensing. This model, developed in response to requests for pay-as-you-go licensing, could help customers shift expenditures from capital budgets to operating budgets. This subscription licensing model applies to either on-premises implementations or deployments hosted by Microsoft Dynamics partners. The entire solution can be licensed via four core components: The Basic Pack, the Unlimited Transactions module, Full User Subscriber Access Licenses ( SAL ) and Limited User SALs. Figure 1: Microsoft Dynamics C5 Subscription Licensing Overview With Microsoft Dynamics C Subscription Licensing, customers license the ERP Solution functionality through the Basic Pack and access to that functionality is secured by licensing Full User SALS and Limited User SALs. The Basic Pack It is now easier for small and midsize businesses to quickly and affordably get started with Microsoft Dynamics C The Basic Pack gives customers core Financials, Distribution, and Job Management functionalities, and includes the first Full User SAL and allows entering up to 2,500 Transactions per Fiscal Year into the General Ledger. 4 The functionality included in the Basic Pack is designed to help customers: Gain control and insights over their finances, manage their taxes, and produce their annual report Manage items, customers and suppliers, including overview of due payments Produce professional looking invoices using Microsoft Word Create time sheets and allocate time, expenses, and resources to jobs for project based accounting Provide licensed users a singular view of the business from virtually anywhere through a variety of clients A customer needs to license one Basic Pack per Microsoft Dynamics C deployment. Notes: A single Microsoft Dynamics ERP solution (also referred to as the system database ) may utilize resources from multiple servers or processors. Licenses for additional software required for the solution, such as Microsoft Windows Server, Microsoft SQL Server, and Microsoft SharePoint Server are not included with the Microsoft Dynamics C license. Such additional software must be licensed according to the applicable license terms. See Licenses for Additional Software for more information. The Unlimited Transactions Module Customers must license the Unlimited Transactions module in order to be able to enter more than 2,500 Transactions per Fiscal Year into the General Ledger. Every entry into the General Ledger is counted as a transaction towards the limit of 2,500 included in the Basic Pack. Microsoft Dynamics C will issue a warning to customers reaching 2,000 Transactions each time they start Microsoft Dynamics C to inform them how many Transactions remain towards the 2,500 Transactions limit. Unless the customer licenses the Unlimited Transaction Module, they will not be able to start Microsoft Dynamics C once they have entered 2,500 Transactions. Licensing User Access to the Solution Functionality Under Subscription Licensing, access to the Microsoft Dynamics C solution functionality is granted through User SALs. A User SAL is specific to an individual and cannot be shared. User SALs must be licensed according to the type of access required by an individual: Full User access or Limited User access. 5 Full User SALs Full User SALs grant full read and full write capabilities to all of the licensed solution functionality through any and all modes of access, including the Windows Client, the Web Client, the Modern Windows App, the ipad App, the Android Tablet App, or any other mode of access going through the API (including Web Services). The first Full User SAL is included in the Basic Pack. Customers needing to grant more than one individual Full access to Microsoft Dynamics C must license one additional Full User SAL for each individual, up to a maximum of two additional Full User SALs. Limited User SALs Limited User SALs grant one individual limited access to all of the licensed solution functionality for purposes of completing the following tasks: Unrestricted Read access to any data contained in the ERP solution; or Write access to a maximum of 3 table objects with the following exceptions: o Limited users are not authorized to write to any of the following tables: General Ledger Entry (table number 17), Permission Set (table number ), Permission (table number ) or Access Control (table number ); o and any table described in Appendix A: Limited User Included Tables do not count towards the 3 table objects. Any access beyond these limitations requires a Full User license. A customer may license up to seven Limited SALs. Figure 2: User Licensing Note: If an individual leaves the organization, the User SAL may be reassigned to another individual. Access by External Users for Microsoft Dynamics C5 External users are customers of organizations licensing Microsoft Dynamics C External users are defined in the user table by assigning customer users an External User designation. External users do not count towards Full User SALs. External users cannot use any clients provided by the Microsoft Dynamics NAV Application Programming Interface (API), such as the Microsoft Dynamics NAV 2015 Windows client, Microsoft Dynamics C Subscription Licensing Guide October 2014 Page 5

6 the Microsoft Dynamics NAV 2015 Web client, the Microsoft Dynamics NAV for Modern Windows app, the Microsoft Dynamics NAV for ipad app, or the Microsoft Dynamics NAV for Android Tablet app. External users must not be used to perform business processes outsourcing on the customer s behalf. Figure 3: Internal vs. External Users Multiplexing For the purpose of this Licensing Guide, multiplexing is defined as providing indirect Microsoft Dynamics C access through pooling resources (such as staging servers, third-party applications, batch processes, etc.) to users not individually identified in the user table as Full Users. Usage of shared or anonymous user names is a form of multiplexing. Multiplexing does not reduce the number of required SALs. When connecting to Microsoft Dynamics through a pooling resource, users must be licensed in compliance with the software license terms and the pooling resource must only permit access to the users specifically and individually defined in the user table. Note: Licensed users may manually rekey information (when coming from non-licensed users) into the Microsoft Dynamics ERP solution. This scenario is not considered to be multiplexing. The Enhancement Plan helps you to: Maximize value: Provides the latest upgrades, updates, hotfixes, training, and more, enabling you to realize the full potential of your Microsoft Dynamics solution from the moment you make your purchase decision through the full lifecycle as a customer. Protect your investment: Protect your investment by keeping your solution up to date and running at its peak performance. Updates not only help maintain legal and regulatory compliance but also help keep your solution running securely and uninterrupted. Stay Connected: Unlimited on-demand access to etraining via our online portal, CustomerSource. Note: Protected List Price and Transition Investment Credits do not apply when purchasing Subscription Licensing. Licensing Additional Software Licenses for additional software that may be required for the solution such as Microsoft Windows Server, Microsoft SQL Server, and Microsoft SharePoint Server and their corresponding Client Access Licenses (CALs) are not included with the Microsoft Dynamics C licenses. They must be acquired separately in accordance with the applicable licensing requirements for these products. These licenses may be purchased through Microsoft Volume Licensing channels. Figure 5: Licenses for Additional Software are not included with Microsoft Dynamics GP or NAV licenses For example, if Microsoft Dynamics C is utilizing SQL Server, the customer needs the appropriate SQL Server licenses and CALs or core licenses or SALs or Microsoft Azure SQL in addition to the Microsoft Dynamics licenses. 8 Figure 6: SQL Server Licenses Must be Acquired Separately In this example, three users are accessing the Microsoft Dynamics ERP solution, which is connecting to a SQL Server database. SQL Server is being licensed through a server/cal model, so the customer requires the appropriate SQL Server licenses and CALs. Because SQL Server CALs are also licensed on a User (or Device) basis, each user (or device) requires a SQL Server CAL along with the Microsoft Dynamics User SAL.
