1 ASSISTANT DIRECTOR OF CHILDREN S MINISTRY (Infant to Preschool Age Level Focus) First United Methodist Church of Carlsbad, NM Job Description (updated January 2015) The Assistant Director of Children s Ministry will provide leadership, vision, and day- to- day oversight for the following areas within Children s Ministry: 1. Children s Christian Ministry Children s Christian Ministry Preschool is a Parents Day Out Program. Operating on Tuesdays and Thursdays during the hours of 9:00 to 1:00 from September through May. The purpose of CCM is to provide a safe, healthy, loving Christian environment in which children learn at age- appropriate levels and grow in the experience of basic life skills and knowledge and God s love and truth. The Director is responsible for leadership and oversight of the full CCM program and environment. Priorities for CCM : Leadership and Oversight of the relational atmosphere of the CCM program so the students, parents, and staff all grow in God s love. Overseeing the hiring, leadership, training, documentation, and payroll of staff. Oversight of programming and curriculum which helps students learn in age appropriate ways and connects learning with basics of the Christian faith. Working with FUMC staff and leadership to coordinate and connect the programming and activities of the CCM experience with the vision and mission of the FUMC. Qualifications The Assistant Director is desired to have a Bachelor s degree in a relevant field, elementary education, early childhood development, etc. and at least one year experience teaching preschool or elementary school. 2 Ability to accept, teach, and uphold the principles set forth in the Apostle s Creed. (see attached copy of this Creed of the world- wide Christian Church.) Capability to develop documents such as Parent Handbooks, Teacher Training Manuals, Teacher Job Descriptions and other documents needed. Computer literate. Particularly in using for communication and creation of documents with Microsoft Word or comparable Apple software. Ability to pass background check and complete required trainings. Ability to effectively communicate with children, teachers, parents, and church staff and membership. Willingness to accept and care for all children and show them God s love. It is preferred the director be a member of First United Methodist Church or an active member in another Christian Church. Duties Student Affirmation and Enrollment: Greet parents and students on arrival each morning Complete enrollment and preregistration procedures for all students, including providing tours, being available year round for questions and to meet the needs of families. Maintain an accurate waiting list of potential students. Parent Contact and Communication: Communicate regularly with parents, including greeting parents each morning upon arrival and through s and letters. Work directly with the Children s Minister to reach out to families of students and find opportunities to help them grow closer to God and be invited to programs/activities of FUMC. Staff Recruitment, Training and Supervision: Complete all staffing duties, including hiring teachers, completing all documentation and trainings for teachers, and maintaining records of such, as well as being available to staff year round and willing to work to recruit new teachers, if needed, year round. Teachers must be able to accept and uphold the beliefs and principles set forth in the Apostle s Creed. Prepare enrollment letter to be mailed the first week in August, placing children in classes and providing supply lists for the coming semester Prepare training documents, develop and execute trainings in Page 2 of 6

3 August of each year Hold a meet the teacher and registration day each August Supervise staff of 10+ teachers, assistant director and program assistant/floating teacher Conduct evaluations, meetings, and hire, promote or fire staff as needed. Provide substitute teachers as needed, as well as being available to staff should the need for a sub occur. Programming and Administration: Administer the day to day operations of CCM. Prepare yearly budget Order supplies and snacks as needed and keep inventory. Conduct quarterly fire drills Plan field trip throughout the year 2. FUMC Nursery Ministry Duties: The Assistant Director oversees the development and daily operation of the nursery To be present in the Nursery for the hours of 8:15 am - 12:30 pm on Sunday morning. (If trained and responsible adult (age 21 and older) leadership is present then the Nursery Coordinator is encouraged to regularly participate in morning worship.) The FUMC staff vacation policy applies to this position. To prepare, distribute to staff and Children s ministry director, and post in the Nursery a monthly nursery staff schedule calendar. To acquire and maintain certified training in CPR, First Aid and other training as they pertain to early childhood and nursery programs. Recruit, hire, train, coordinate, develop, and encourage the work of the Nursery staff. The Nursery Coordinator is responsible to enforce the Nursery Child Care Policy for the staff, volunteers, and substitutes in the nursery. Administer the work of the nursery staff: including checking for accuracy of staff hours worked cards. Staffing the Nursery during established hours. Hours will include Sunday mornings, Wednesday evenings, Christmas Eve worship services, and other identified church events as they arise. Page 3 of 6

4 Work with the Children s Minister to develop age appropriate lessons and experiences which will help young children be introduced to and love music, prayer, and the Bible. Maintain weekly contact with the Children s Minister to work together in celebrating successes, identifying concerns and needs, and establishing courses of needed action for the Nursery program. Work with the Children s Minister to establish and maintain a system of identifying new families which utilize the nursery. This includes reporting contact information to the FUMC staff. Ensure that the Nursery is safe and properly disinfected weekly as outlined in the Nursery Child Care policy. Identify, maintain and purchase supplies as needed. Work with the Children s Minister to establish and keep within the Nursery budget approved by the Finance Committee. Become thoroughly familiar with the Nursery Child Care Policy. Keep informed of the newest best practices for Child Care policy and adjust the FUMC policy as needed in coordination with the Director of Children s ministry. Work with the Board of Trustees and Children s Minister in maintaining classrooms. Other assignments made by the Children s Minister or Senior Pastor consistent with these duties and responsibilities. To work with all ministries and events to provide to best possible childcare at FUMC Carlsbad including but not limited to Sunday s and Wednesday s To hire and train all nursery workers in Safe Sanctuary and nursery policies of FUMC Carlsbad To work with the Children s Minister to create and implement a plan to connect preschool and younger children to the Gospel. To work with the Children s Minister to help provide resources to parents on biblical parenting Church Staff Coordination: Work directly with the Children s Minister on shared space and equipment issues in Sunday School Classrooms, as well as curriculum development for Chapel. Work with the Church Financial secretary on Budget, employment documentation, and payroll. Work with Church Custodian to ensure shared spaces are well cared for and prepared for the next groups that will use them. Page 4 of 6

5 Work with Trustees to ensure the building and furniture is being properly cared for, maintained, replaced as needed, etc. Work directly with church music staff to produce Christmas Program, End of the Year Program and opportunities for CCM students to occasionally sing at Church Services. Work directly with church technology staff to ensure proper use of sound equipment in Sanctuary. Work with Church staff to train all teachers, substitute teachers and support staff on Safe Sanctuaries Policies. Attend church staff meetings when at all possible, especially during the months of September through May. Use discretion and appropriate boundaries of confidentiality dealing with personnel or family issues of self, staff, students, and families. Needed reports are to be given to the Children s Minister and/or the Senior Pastor as needed. Any needed responses by the Children s Minister and/or FUMC staff will be decided in coordination with the Directors and Senior Pastor. LINE OF AUTHORITY The Assistant Director of Children s Ministry is directly responsible to the Children s Minister for all matters pertaining to his/her leadership, attitude, and performance of duties within the areas of ministry within the church. The position of Assistant Director of Children s Ministry is an at will position, as are all staff positions at the First United Methodist Church. The Senior Pastor has ultimate responsibility of leadership and authority in matters pertaining to the ministry of all staff members of FUMC Carlsbad. Page 5 of 6
