6 Regional Recreation Corporation of Wood Buffalo Birthday Party - Facility Rentals Terms and Conditions 1. The Representative shall pay rent for the time specified at the approved rate plus tax. Cash, debit and credit cards will be accepted as payment for rental. 2. The rental invoice must be paid one week prior to date of rental. 3. There is no refund or credit for cancellations of booking. 4. The Regional Recreational Corporation of Wood Buffalo (RRC) reserves the right to cancel this rental contract on 48 hours notice due to unforeseen circumstances such as Municipal, Provincial, Federal, or Community functions. The RRC reserves the right to schedule or reschedule the use of any facility in such a manner as to ensure safe, maximum/efficient use of a facility, allow maintenance work to be performed, or to accommodate other circumstances as deemed necessary. If RRC cancels the rental, there shall be no rental charge payable. 5. Smoking and/or other tobacco products are not permitted in any venue or area of the RRC. A failure to abide by this regulation will include a cleaning expense on the rental invoice. 6. Water is permitted on pool deck and climbing wall. Food is not allowed to be consumed on pool deck and climbing wall. Only commercial food is allowed in the designated rental area. 7. Street shoes and strollers are not permitted on pool deck. 8. Clean indoor shoes must be worn in climbing wall. 9. In the Aquatic Centre only proper swim attire is allowed in the pools. 10. The representative shall be responsible for the conduct and supervision of all persons attending this event and shall ensure that all the regulations contained in this permit and other agreements pertaining to the event are observed. Vandalism, littering, abusive language, drugs, smoking and the use of alcohol without a license, shall be deemed as just cause to cancel the rental or reject future permit applications. Access to other areas not represented by this agreement within the facility is not allowed. The representative assumes full responsibility for all damage to this facility, with the only exceptions being items described as regular wear, tear and damage by lightning and tempest. The representative will be responsible for the actions of those attending this rental while in all areas of the facility operated by the RRC. 11. All participants 7 years and under must be directly supervised by a guardian 16 years or older at all times. For every 3 children 7 years and under an adult must be within arms reach at all times. 12. Youth participants must be supervised by an adult 18 years of age at all times. 13. The representative shall indemnify and save the RRC harmless for any and all damage, causes, suits or claims which may arise by virtue of the rental of the facility, whether such damages, causes, suits or claims are occasioned by the Representative or any other person while the Representative has leased and is in control of the said facility. The Representative further covenants and agrees to pay any costs that may be incurred pursuant to or arising from any damages, causes, suits or claims. 14. Whenever and to the extent that the RRC shall be unable to fulfill or shall be delayed or restricted in fulfilling any obligation here under by any cause beyond its control, including acts of God, public enemy, acts of the Government, either of its Sovereign, Federal or Provincial, or Municipal, fires or floods, the RRC shall be released from the fulfillment of such obligation during the period it shall be so delayed or restricted in fulfilling such obligation. 15. All exits and emergency equipment shall be kept free from obstruction at all times during the Representatives occupancy of the facility. 16. The Representative shall be responsible for vacating, returning to the original condition and removal of all rented or privately owned property and personal effects by the specified permit end time, unless prior written arrangements have been made with the Manager. 17. Photography and videography is only permissible after obtaining permission from RRC Staff. 18. We are not responsible for any theft, damage, or lost belongings left on pool deck or in lockers. 19. Facility rentals may be booked by persons 18 years of age or older. 20. The clock is clearly visible; this should be used to monitor the closure of a rental. 21. At the beginning of your rental ensure the participants do not enter the area until the existing group is out. 22. The RRC staff reserves the right to review group capacities if safety concerns arise. In this situation, group sizes will be dealt with on an individual basis. 23. For climbing wall rentals for children and youth 17 and under a waiver must be signed by a legal guardian. Only climbers providing waivers with legal guardian signature will be able to climb. 24. All facility rules must be respected by all attending rental. I have read and understood these policies, procedures, rules and regulations regarding the facility and activity I have chosen. I will inform all participants and parents present at my booking of these Regional Recreation Corporation policies. Parties must be paid in full one week prior to party date.
