2 REGULATION INFORMATION The StenoCast Ez Send must be installed and used in strict accordance with the manufacturer s instructions. This device complies with the following radio frequency and safety standards. This device complies with Part 15 of the FCC Rules. Operation is subject to the following two conditions: (1) This device may not cause harmful interference. (2) This device must accept any interference received, including interference that may cause undesired operation. Federal Communication Commission Interference Statement This equipment has been tested and found to comply with the limits for a Class B digital device, pursuant to part 15 of the FCC Rules. These limits are designed to provide reasonable protection against harmful interference in a residential installation. This equipment generates, uses and can radiate radio frequency energy and, if not installed and used in accordance with the instructions, may cause harmful interference to radio communications. However, there is no guarantee that interference will not occur in a particular installation. If this equipment does cause harmful interference to radio or television reception, which can be determined by turning the equipment off and on, the user is encouraged to try to correct the interference by one or more of the following measures: Reorient or relocate the antenna. Increase the separation between the equipment and the receiver. Connect the equipment into an outlet on a circuit different from that to which the receiver is connected. The StenoCast Ez Send creates a wireless connection between the Court Reporter s laptop and up to 14 attorney/client laptops. 5 StenoCast Ez Send Quick Setup Guide Step 1: Check the contents of your StenoCast Ez System. There should be: 1 StenoCast Ez Send Unit 1 USB cable 1 StenoCast Utilities CD (includes both Reporter and Client manual in PDF format) Step 2: Insert the StenoCast CD into your computer. Insert the StenoCast CD into your client s computer. Click Start, My Computer or Computer, and then double click on the CD drive to view the contents of the StenoCast CD. Open the Drivers folder, then double click on the StenoCast Driver. Windows 7 and Vista Users: You may be prompted to allow the program StenoCast Driver to continue. If your User Account Control (UAC) is turned on, Click Continue and then continue with Step 2 as listed above. Step 3: You will then see the driver installation progress bar. When the driver has been installed, you will be asked if you would like to install your StenoCast Device. Plug in your StenoCast Ez Send to the USB port of your computer, then click Yes. 5

6 Step 4: After you click Yes, Windows will proceed to install the Ez Send, and a progress bar will appear. Once the Ez Send driver has been installed, an information window will appear and display the COM ports that have been assigned to your StenoCast Ez Send. You are now ready to configure your CAT software for sending realtime via your StenoCast Ez Send. Ez Send Your StenoCast Ez Send is installed and has been detected on... 6

7 Case Catalyst Configuration Step 1: From the Default screen click the Translate button or type Ctrl+T to enter the Translate window. In this window make sure the Output To pull-down menu is set to CaseView and the Remember Setting box is Checked. Next, click the Options tab in the lower left corner of the translate window. Step 2: Click the Output to CaseView tab. In this window insert the lower of the two listed COM Port number that were displayed on your screen when you installed the StenoCast Ez Send drivers (page 6). (For example, if COM ports 7 and 8 displayed, insert COM 7). Also, make sure that the Output over comm port box is checked and the Direct (Cable) bubble is selected. Your CaseCatalyst software is now configured to use the StenoCast Ez Send. To set up an attorney or client computer to receive realtime from the StenoCast Ez Send, please see the Ez Send Client Manual. 7

8 Total Eclipse Configuration Step 1: From the default screen Click the Settings button in the upper left area of the screen. Step 2: Click the Realtime tab near the top of the window. You should see the current output format in this window. Now, click the Add or Change button under Output formats. This will open the Output format window. 8

9 Step 3: Use the pull-down menu next to Output and select Summation/CaseView. Next, click the Setup button. This will open the COM Port Setup window (Pictured below). Enter the lower of the two listed COM Port numbers that were displayed on your screen when you installed the StenoCast Ez Send drivers (page 6). (For example, if COM ports 8 and 9 displayed, insert COM 8 here). Set the Baud rate to 2,400. You will repeat the above process, and in the Output format menu select Bridge. Click the Setup button. Make sure the higher of the two Ez Send COM Port numbers is entered here (In our example above, it would be 9) and set the baud rate to 38K or 38,400. When you have completed the StenoCast Ez Send configuration, your Total Eclipse Output formats window will look similar to the one pictured here. 9

10 DigitalCAT Configuration Step 1: From the default screen of DigiCat, Click the Options tab and select CIC from the menu. This will open the CIC Setup window. Step 2: Once in the CIC Setup window insert the lower of the two listed COM Port numbers that were displayed on your screen when you installed the StenoCast Ez Send drivers (page 6). (For example, if COM ports 7 and 8 displayed, insert COM 7 here). Set the baud rate to 2,400. That s it for the setup. Proceed to Step 3 to initiate realtime transmission in DigiCAT. Step 3: In order to send out Realtime in DigiCat, Realtime must be initialized. When starting Realtime, select the Tools menu from the default screen. Then find CIC on the pulldown menu and select Start Session. DigiCat will now send out Realtime. To set up an attorney or client computer to receive realtime from the StenoCast Ez Send, please see the Ez Send Client Manual. 10

11 StenoCAT Configuration Step 1: From the default screen open the Tools menu at the top of the window. Then select User Preferences from the menu. Step 2: You should now see the User Preferences window. First, click on the Realtime tab near the top of the window. Make sure the bubble next to Serial Connection is selected. In the Port drop-down menu insert the lower of the two listed COM Port numbers that were displayed on your screen when you installed the StenoCast Ez Send drivers (page 6). (For example, if COM ports 7 and 8 displayed, insert COM 7 here). Set the Baud rate to 2,400. Next, check the Setting pull-down menu. It should show 8-N-1. Make sure the Output Type is set to CaseView. Click OK to save the settings. Your Realtime output settings are now configured for your StenoCast Ez Send. Proceed to the next page for connection instructions. 11

12 Step 3: From the default screen open the File menu. Then select Start Realtime. Step 4: From the Realtime window select Start new job (or append to existing job if you wish). Then click OK. Step 5: Choose a name for the new job (or select an existing file if appending an existing job). Then click OK. That s it. You are now sending out realtime wirelessly with your StenoCast Ez Send. To set up an attorney or client computer to receive realtime from the StenoCast RED, please refer to the Ez Send Client Manual. 12

13 SmartCAT Configuration Step 1: From the default screen open the Setup menu at the top of the window. Then select Realtime Options from the menu. Step 2: At the Realtime Options window select Caseview as your Output Format. Then click the Setup button that is directly next to the Output Format. Step 3: Once in the Caseview Output Settings window, at the Port drop-down menu, insert the lower of the two listed COM Port numbers that were displayed on your screen when you installed the StenoCast Ez Send drivers (page 6). (For example, if COM ports 7 and 8 displayed, insert COM 7 here). Proceed to the next page for instructions on how to send out realtime with SmartCAT. 13

14 Step 4: To start realtime in SmartCAT, open the File menu near the top of the window. Then select New Job from the menu. Step 5: At the New Job window enter all appropriate information and then Click OK. Step 6: Open the Realtime menu near the top of the window. Then select Start Realtime. You are now sending out Realtime wirelessly with your StenoCast Ez Send. To set up an attorney or client computer to receive realtime from the StenoCast Ez Send, please see the Ez Send Client Manual. 14

15 Getting familiar with your StenoCast Ez Send The Ez Send connects to the reporter s computer via the USB port. You may plug the Ez Send directly into the computer s USB port or use a powered USB hub. Before your first use, insert the StenoCast CD in to your CD drive. Insert the StenoCast CD into your client s computer. Click Start, My Computer or Computer, and then double click on the CD drive to view the contents of the StenoCast CD. Open the Drivers folder, then double click on the Steno- Cast Driver. Windows 7 and Vista Users: You may be prompted to allow the program StenoCast Driver to continue. If your User Account Control (UAC) is turned on, Click Continue and then continue with the steps as listed above. USB Port Ez Send - Side View Serial Port Once your Ez Send driver is installed, if you neglected to note the two COM port numbers assigned to the StenoCast Ez Send when displayed on your computer screen, proceed to Device Manager and look at Ports to determine what COM ports the Ez Send was assigned to. They will be entitled, StenoCast Ez Send or StenoCast RED followed by the COM port number. Jot those COM port numbers down and then enter those number in your CAT software s outgoing realtime settings. Note: You will see two StenoCast RED or Ez Send devices listed under Ports; for example, COM port 4 and COM port 5. The first listed Ez Send or RED device with the smaller COM port number (COM port 4 in our example) is the device that transmits to Clients using the CaseView protocol at the 2400 baud rate; and the second listed Ez Send or RED device, with the larger COM port number (COM port 5 in our example) is the device that transmits to Clients using the Bridge protocol at the 38,400 baud rate. Note: If both Module 1 and Module 2 are configured with the CaseView protocol, 2400 baud rate, allowing you to send wireless realtime to up to 14 clients using blue Ez Receivers, configure your CAT software settings as indicated below. In this example the Ez Send or RED has been assigned Com ports 4 and 5: In your outgoing realtime settings, insert the lower Com port number (in this case 4) Select 2400 as the baud rate Select CaseView as the protocol 15

16 Getting familiar with your StenoCast Ez Send Operation Instructions 1) Make sure your computer is turned on, then plug the USB cable into the Ez Send and the other end into your computer. 2) Have the Judge/Attorneys plug in their USB Ez Receivers (Red or Blue) and then open up a realtime file in their litigation-support software. 3) The Ez Send will automatically go into Test Mode. The Ez Send will transmit the message Wireless Connection Successful every ten seconds. This will allow the parties to test the realtime signal without the reporter hitting keys on their steno machine. Test mode will stop once the reporter hits their first steno stroke. To re-initiate Test Mode, unplug the USB cable attached to the Ez Send and then plug it back in. That will restart the Ez Send and re-initiate Test Mode. 16

17 LCD Screen Messages CaseView - Baud: 2400 Refresh - Baud: 38,400 There are two Bluetooth modules in the Ez Send. Each module can connect with up to seven client computers. In the picture above there are no clients connected using the CaseView protocol (clients using blue Ez Receivers or TVs) and one client connected using the Refresh protocol (clients using red Ez Receivers). In this example above the buffer mode feature is turned on. The serial port is configured Out, which means that a serial cable or multi-line block may be connected to the Ez Send if additional wired hookups are required. The Ez Send can be configured so that all 14 Bluetooth modules are set using the CaseView protocol. In that configuration the Bluetooth modules for both Module 1 and Module 2 would be set at 2,

18 Checking Com Port Settings - Windows Vista & 7 Step 1: Turn on your laptop or computer if you have not already done so. Now we will check the COM port number of your StenoCast Ez Send, RED, ME2U or X7. From your Windows desktop click Windows Logo > CONTROL PANEL Step 2: Make sure you are in Icon View. If you are not, just change to Large or Small Icon view via the pull-down menu in the upper right. 18

19 Step 3: Once in Icon view, click the Device Manager Icon Step 4: Once the Device Manager window is visible, you should see a section labeled PORTS. Click on the > sign to expand the tree. Locate what COM ports the StenoCast RED has been assigned to. The lower of the two COM ports is set for Caseview (2,400 baud) and the higher COM port is set for the Lawbridge format (38,400 baud). Once you know the COM port numbers the RED is assigned to, you are then ready for the final part of the Reporter computer setup 19

20 Checking Com Port Settings - Windows XP Step 1: Turn on your laptop or computer if you have not already done so. Now we will check the COM port number of your StenoCast Ez Send or RED. From your Windows desktop click START > CONTROL PANEL Step 2: Check to make sure the Control Panel window is in Classic View. This will be a menu option on the upper left side of the window. If you are in Category View, just click the option that says Switch to Classic View. Once in Classic View, double-click the SYSTEM icon. 20

21 Step 3: Then click the HARDWARE tab. Now click the DEVICE MANAGER button. Step 4: Once the Device Manager window is visible, you should see a section labeled PORTS. Click on the + sign to expand the tree. Locate the two COM ports the StenoCast RED has been assigned. The lower of the two COM ports is set for Caseview (2,400 baud) and the higher COM port is set for the Lawbridge format (38,400 baud). Once you know the COM port numbers the RED is assigned to, you are then ready for the final part of the Reporter computer setup. 21

22 How to Change an Assigned COM Port Number After installing a serial device on your computer, it sometimes becomes necessary to change the assigned COM port of that device. The reason might be the COM port initially assigned to the device is too high for your software to communicate with or the device might conflict with another device that was already issued that COM port number. This situation is easily remedied. Follow the steps below to change the COM port of your StenoCast device if it becomes necessary. 1) Open the Device Manager of your computer. Next, expand the Ports section of the component tree. Then, double-click the StenoCast device you would like to change the COM port of. 2) Once the StenoCast Device Properties window opens, click the Port Settings tab. Then Click the Advanced button. 22

23 At the top of this window you will see COM Port Number (For WinXP systems this may appear at the bottom) and a drop-down menu with various COM port numbers listed. Select a COM number (lower, single-digit numbers are better). You may select a COM port number even if it indicates it is (in use). Then click OK. You may then receive a warning message. Click Yes, that you would like to continue, then click the OK button to finish. If you are using Windows Vista or 7 you should see the new COM port of your device listed immediately. If you are using Windows XP, just highlight your device then select Action > Scan for Hardware Changes from the menu. 23

24 How to view the Device Manager when you are Locked Out Click on the Start button, and then click Help and Support. In the upper left corner you should see a Search box. Type in Device Manager and click the arrow. When the search results are displayed, in the left column under the heading Overviews, Articles and Tutorials, at the bottom you will see Device Manager. Click on Device Manager. When the results are displayed in the main pane, you can then click on Open Device Manager. 24

25 Power Management: USB Turn off USB power saving mode It is always a good idea when working with realtime equipment to disable the USB power- saving features included within the Windows Operating systems. This can prevent Windows inadvertently turning off your USB equipment during a job. To turn off the USB power-saving mode of the USB ports on your computer, you must first go to the Device Manager. Then click the > ( [+] sign for Windows XP) next to Universal Serial Bus Controllers to expand the tree. The power-saving settings are located in the USB Root Hub Devices. Starting from the bottom, double-click the first USB Root Hub listed to open the Properties window. Once the Properties window opens, click the Power Management tab. Then, make sure the checkbox next to Allow the computer to turn off this device to save power is empty. If it is not, click the checkbox to remove the mark. After you have disabled the power saving feature of the first USB Root Hub device, repeat the procedure for the next USB Root Hub listed in Device Manager, and work your way up until the power-saving feature has been deactivated for all listed USB Root Hub devices. 25
