How to Register and to Print an ID Card

1 Beginning with the 2016/2017 registration year, all players and adult volunteers for Rugby Illinois clubs must register online through the Rugby Illinois registration system. By registering as a player with Rugby Illinois you are also registering with USA Rugby and have all the benefits of membership in both organizations. Players will no longer directly register in the USA Rugby membership system (adult volunteers will register separately for both). This document explains the process for individuals to register as players as well as for players to print the ID card that must be brought to every match and to every tournament or official function requiring proof of membership and compliance.. 1. Find the online registration form at There is link on the home page, or you can find a link at the bottom of the registration page mem. 2. Create and/or sign in to your personal account on the website. 3. Complete the online registration form. The form will walk you through the process, but it includes the following basic steps. a. Provide basic information including contact details, demographic information, and club/team as well as medical/insurance information. b. Print, sign, and file policy documents and waivers, and provide electronic sign off. c. Pay the standard USA Rugby registration fees. 4. Upload a photo to your account on the website. 5. After notification by of being added to the team s roster on the website, return to the site and print your ID card. Keep it handy to bring to the next match or tournament. 2 1. Find the online registration form There is a link on the home page and under the Resources menu. The links from the home page will lead to the registration page containing the section below:

3 2. Create and/or Sign in to Your Account Note that if you are a parent registering your child, you should create the account for yourself with your own information. During the registration process you will be prompted for the appropriate information for your child and be able to manage the registrations for all your family members from your account. For children under age 13, registration must be completed by a parent or legal guardian. Parents will then have access to view or modify the information after registration and to request deletion of registration information after the season, if requested. It is necessary to maintain the registration information provided for any child participating, but for any registered players the information will be kept confidential and only accessed on an as needed basis to ensure compliance and to provide to USA Rugby. Online rosters will be used to aid in compliance checks but will only contain name, school, and grade in school.

4 3. Complete the on line registration form a. Indicate whether this is for yourself, a previously registered family member, or for a new family member.

5 b. Provide basic registration information (note that the Type of Player and Player Birthdate fields will not show until the Player option is selected)

6 c. Add contact information

7 d. Select the type of club and then a club of that type (note that only valid options will be presented based on age and gender selected earlier)

8 e. Add school, parent, and emergency contact details.

9 f. Add medical insurance information.

10 f. Electronically sign policies and waivers. (Note that you should print, sign, and file the paperwork in case you are requested to present it).

11 g. Confirm details You may then continue to the payment step or register additional members of your family before proceeding to the final step to pay for all registrations at once.

Print ID Card How to Register and to Print an ID Card Once the player is added to the roster with some of the registration details, an ID card can be printed from this same portal by selecting the entry in the Team Memberships section at the bottom of this page above and clicking the Print button. All registered players will be notified by when rosters are ready and ID cards can be printed.

14 6. Adjust communication settings Modify your account settings to ensure you receive only the communications you want in the way you prefer. Make sure that you receive communications from Rugby Illinois and from your club through the Rugby Illinois website in your preferred format ( or text message) and opting out of communications from SportEngine or their affiliates (although they only to send promotional s to website administrators and not to regular members).
