5 Launch Client and Login/Logout Double-click the Glyph icon on your desktop: The Glyph transcription client will launch, prompting you for a User Name and Password (Figure 5-1). Enter your SoftScript address into the User Name field and your password into the Password field. Tap the Enter key or single-click Login. If you are a first-time user, or your password has been reset, the default password is softscript1. Figure 5-1 IMPORTANT: Allow adequate time for the program to launch. If a welcome window does not appear like the one in Figure 7-1, it might be because of wrong login information, the account may have been disabled (if using saved settings), or your internet connection is out. Glyph needs to connect to the SoftScript servers during the authentication process, so internet access is necessary. When presented with the error message of "logon failed," check to be sure that the Caps Lock is not engaged and that you are using the most current password if it was recently changed. Close the login window completely before attempting to re-enter the User Name and Password. After 3 failed attempts to log on, the program will be disabled, and it will be necessary to request a password reset by ing support@softscript.com. 5

6 UPDATES: Updates occur automatically when the Glyph client launches. These are essential for the program to run smoothly. Update windows appear similar to Figure 6-1 below. Do not click Cancel. Do not click Cancel! Figure 6-1 If you are presented with a security warning to Install Glyph (Figure 6-2), ALWAYS select the option to install. Figure 6-2 6

7 AUTHENTICATION: During the authentication process, the Glyph client will load, and a window like the one shown in figure 7-1 will appear. The window will maximize to fit your screen size, and the transcription windows will appear grayed out until the authentication status bar disappears. This message and status bar indicate the authentication process is underway, and all Options in the Jobs List Menu are inactive during this process. Figure 7-1 Items in the upper right-hand corner of the Glyph header include: address: The user is identified by the address in the upper right-hand corner. Logout: Always use Logout to close the system for any break or when done for the day, and allow unopened jobs to return to the general pool. Do not just click on the red X in the upper right corner. NOTE: If Glyph is allowed to sit idle for 10 minutes, incomplete jobs will be removed from the MT's queue and routed to another MT. Jobs will time out if you allow Glyph to sit idle for 10 minutes, so jobs that appear in your Jobs List may no longer be assigned to you if you have not logged out and logged back in after a 10-minute break. Change Password: To change the password for Glyph, click on Change Password. Passwords must be 7 characters (for more detailed information, refer to section titled Installing Glyph). Transcription: It is no longer necessary to click on Transcription in the upper right-hand corner to open the transcription windows (see section titled Download and Start Jobs for more details). About: Displays the client version. Plus/Minus signs (+/-): To collapse/expand the header, click on the plus/minus signs (+/-). 7

8 TRANSCRIPTION WINDOWS: Once the authentication process is completed, the transcription windows will activate (Figure 8-1). The transcription windows include: A. Jobs List and Menu: Contains basic information about all downloaded jobs and a menu of options for completing jobs. For more information, refer to the section of the titled Understanding the Jobs List, Symbols and Menu, pp B. Current Job Information: Contains demographics for patient visit, dictator, carbon copies, attending/assistant/surgeon names, etc. For more information, refer to the section titled Patient Demographics, Dictator Searches, Carbon Copies on pp C. Main Document Editor: Displays a blue screen when Glyph first opens and when using the External Editor Option. Functions as a built-in word processor when you turn off the External Editor Option. For more information, refer to the section titled Transcribing Jobs with the Main Document Editor on pp A: Jobs List and Menu B: Current Job Information C: Main Document Editor Figure 8-1 LOGOUT: To close Glyph, click on Logout. 9 Understanding the Jobs List, Symbols and Menu NOTE: if you allow Glyph to sit idle for 10 minutes, the system will remove jobs and route them to another MT to complete. If you have been away, or allowed Glyph to sit idle, jobs in the list may no longer be assigned to you. The jobs list and symbols display basic information about jobs downloaded to you (Figure 9-1): Figure 9-1 This symbol in the top left corner of the jobs list highlights all jobs. The scroll bar at the bottom of the list allows the user to move the list left/right to view the columns. COLUMNS: The columns are explained below along with any corresponding symbols. Column 1: Expand or contract a list of split jobs. Minus sign = Contract a list of split jobs. Plus sign = Expand a list of split jobs. Column 2: Priority of jobs. Red circle = STAT - Highest priority job. Blue circle = Regular priority job Column 3: Jobs download process from QManager into Glyph. Thumbs down = Job not fully downloaded to Glyph client. Wait for "thumbs up" symbol before attempting to start job. If "thumbs down" symbol remains for a protracted period, click Get MT Jobs a second time. If "thumbs down" still does not change to "thumbs up," log out and log back into Glyph. If this does not solve the problem, contact qmanager@softscript.com with Facility Job ID and Facility ID numbers and report a download problem for the job. Thumbs up = Downloaded. Job fully downloaded to Glyph client, ready to begin. Column 4: Transcribe or Edit Job o MT - Job needs to be transcribed o QA - Job needs to be edited 9

10 Column 5: Indicates whether a job is open Dot = Job not open Tag = Open job. Job has been started, and is currently being completed. The template may be visible either in the Main Document Editor window or the external word processor. It may be a single job or one of a series of split jobs. Column 6: Facility Job ID lists the job number associated with the voice file. Column 7: Doctor. Name entered by the person dictated, only a suggestion. Always listen to the dictation and verify the correct dictator name is attached to the final report. Column 8: Facility ID. Also known as hospital number, and identifies appropriate account specifics for transcribing the job. Column 9: Medical Record. Varies according to facility and whether entered by dictator or automatic entry; might be a variation of medical record number, Visit ID, DOB or other alternative. Column 10: Length. Voice file length in minutes. Column 11: WT. Corresponds to template choices in Available Word Templates window and initially reflects the Work Type Name in column 12 chosen by the dictator. Changes to reflect the template and work type number chosen by the MT. Column 12: Work Type Name. May or may not include numbers from WT column. Use both to help identify templates. WT and Work Type Name are chosen by the dictator. Information in these columns is only a suggestion. Listen carefully to the dictation to choose the correct template. Column 13: Record Date and Time. The local date and time where the job was recorded. Column 14: Transcriptionists ID. MT ID number, added to the final document automatically. Column 15: File Name - Corresponds to the file name on the Editor Reviews page of the MT Reference Site. Column 16: System ID. 10

11 JOBS LIST MENU: Options for downloading, completing, and uploading jobs include the following: Get MT Jobs: Downloads jobs from QManager (shortcut key command Ctrl+T). Send Job: Opens preview window and sends completed job to facility if preview is accepted. Not available for MTs on 100% Quality Hold (shortcut key command ALT+F). Send Job for QA: Opens preview window and sends completed job to QA if preview is accepted. Only option available for MTs on 100% Quality Hold (shortcut key command to be added). Remove Split: If too many split jobs are created and need to remove any (shortcut key command ALT+Shift+S). IMPORTANT: If splits are removed in error, simply click the parent job and Split Job and Yes to recover and reload the previously created split. Split Job: Splits selected job (ALT+S). Spell Check: Activates spell check option for open document in Main Document Editor Window only, not used for External Editor Option or Microsoft Word (F7). Play Voice: Reloads the voice file and starts it from the beginning (ALT+V). Options: o Training Guide - Opens Current Available Training Guide (PDF) o Training Videos - Arranged to match the order of the Training Guide o Vox Player Install o Associate Vox Player o Upload History: Displays every job uploaded during current session. When you click on Logout, the list clears. You can copy the list (screen shot) and paste the list into Word or Notepad before logging out for later reference. IMPORTANT: Clicking on Upload History replaces the Jobs List with the Upload History list. To return to the Jobs List, Click Upload History again. o Auto Correct: Import autocorrects from Word or create new autocorrects o External Editor Options Use external word processor - check to use an alternative word processor like Microsoft Word. Use as an alternative to Main Document Editor Window. This is the default option, so this stays checked throughout current session, and must be unchecked to load jobs in Main Document Editor. Reload existing file - Reloads a saved file. If "Use external word processor is checked," clicking this will load the file in Microsoft Word. If "Use external word processor" is unchecked, clicking this will load the file in the Glyph Main Document Editor window. NAVIGATING THE MENU WITH THE KEYBOARD: The ALT key can be used to activate the Jobs List Menu. Tap ALT once if the Main Document Editor screen is NOT in use. Tap ALT twice if the Main Document Editor displays a template. You will see the Get MT Jobs button darken. The Tab key allows you to move right, and Shift+Tab allows you to move left through the menu. Tap the Enter key to execute a command. Use the up/down arrow keys for the items on the Options drop-down menu, and the spacebar to check a box. The Esc key will place the cursor back into the Main Document Editor window. 11

12 There are two methods to start the flow of work: Download Jobs Mouse method: Click Get MT Jobs in the Jobs List Menu (Figure 12-1). Keyboard method: Ctrl+T is the shortcut command to start the flow of MT jobs. Figure 12-1 The "thumbs up" and "thumbs down" symbols in the Jobs List indicate whether jobs are in the download process or have completely downloaded: Thumbs down = Job not fully downloaded to Glyph client. Wait for "thumbs up" symbol before attempting to start job. If "thumbs down" symbol remains for a protracted period, click Get MT Jobs a second time. If "thumbs down" still does not change to "thumbs up," log out and log back into Glyph. If this does not solve the problem, contact qmanager@softscript.com with Facility Job ID and Facility ID numbers and report a download problem for the job. Thumbs up = Downloaded. Job fully downloaded to Glyph client, ready to begin. Once jobs are completely downloaded, and the "thumbs up" symbol appears, you can move on to the next section titled Select Word Processing Option - External Editor Option vs. Glyph Main Document Editor.. 12

13 Select Word Processing Option - External Editor Option vs. Glyph Main Document Editor It is possible to use either the Main Document Editor window in Glyph or the External Editor Option to transcribe jobs. Both options will load a template and allow you to transcribe the document with a few minor differences in the steps necessary to complete a job. Before proceeding, consider the best option according to your needs and the account specifics. A. External Editor Option: The External Editor option is set as the default when Glyph opens. No extra steps necessary to select this option. Proceed with the section titled Start Jobs on p. 15. If you want more information, read on. The External Editor Option can be activated and deactivated with either of these methods: Keyboard Method: o ALT+X activates the External Editor Option. o ALT +Shift+X deactivates the External Option and activates the Main Document Editor Mouse Method (Figure 13-1): o Activate: In the Jobs List Menu, click on Options, then External Editor Options, and place a checkmark in the box next to "Use external Word Processor" with a single click. Glyph will open templates in an alternative word processor such as Microsoft Word after you select the template (template selection process is outlined in section titled Selecting Templates on p ). o Deactivate: Follow the steps above and uncheck the box next to "Use external Word Processor." This option is automatically checked when Glyph opens. There is no need to uncheck unless you want to use the Glyph Main Document Editor for word processing. To turn the External Editor Option back on during the current Glyph session, simply recheck the box. There is no need to log out of Glyph. Figure 13-1 Reasons for selecting this option: If you prefer to transcribe jobs using an alternative word processor with specialized tools not available in Glyph's Main Document Editor, it is necessary to use the External Editor Option. When using Microsoft Word, all autocorrects, macros, and other previously created settings for Word can be utilized. Some accounts require this option, and for this reason, the External Editor Option is set as the default word processor when you open Glyph. The condensed checklist for completing jobs with the External Editor Option can be found on pp

14 B. Main Document Editor - How to select the built-in word processor with Glyph: If you plan to use the Main Document Editor to transcribe on the template, you must activate this option yourself before starting any jobs. There are two methods to activate and deactivate this option: o Keyboard Method: o ALT+Shift+X activates the Main Document Editor option and deactivates the External Editor Option. o ALT+X activates the External Editor option and deactivates the Main Document Editor option. o Mouse Method (Figure 14-1): o Activate: In the Jobs List Menu, click on Options, then External Editor Options, and uncheck the box next to "Use external Word Processor" with a single click. Once the box is unchecked, proceed with the section titled Start Jobs on p. 15. Glyph will open templates in the Main Document Editor window after you select the template (template selection is outlined in the section titled Selecting Templates on p ). o Deactivate: Follow the steps above and check the box next to "Use external Word Processor." This option remains unchecked during the current Glyph session only and resets once you out. To turn the External Editor Option back on during the current Glyph session, simply re-check the box. There is no need to log out of Glyph. Figure 14-1 The condensed checklist for completing jobs with the Main Document Editor option can be found on pp TOGGLING BETWEEN WORD PROCESSOR OPTIONS: It is possible to switch between the External Editor Option and Main Document Editor while transcribing a job. Glyph will automatically save a copy of a document in either word processor, but will not automatically transfer anything already typed from one word processor to another. YOU MUST COPY AND PASTE FROM ONE WORD PROCESSOR DOCUMENT TO ANOTHER in order to preserve anything you have typed. In order to switch from one word processing option to another once you have an open document, follow these steps: 1. Copy anything you wish to transfer from the body of the report (no headers, footers or field codes). 2. Depending on which word processor you are currently using: a. External Editor Option: Save (Ctrl+S) and close (Ctrl+W) the document, and continue to step 3. b. Main Document Editor: Continue to the next step. 3. Select the word processing option: Click on the Options tab on the Jobs List Menu, select External Editor Options and check or uncheck the box next to Use external Word Processor. 4. Click on Reload Existing File or double-click on the Facility Job ID in the Jobs List. 5. Paste the copied material onto the open document. 6. Proceed with steps necessary to complete the document. These steps will not disturb any previously chosen demographics in the Current Job Information window (see section titled Patient Demographics, Dictator Searches, Carbon Copies on p ). 14

15 Start Jobs Once jobs are downloaded into the Jobs List (Get MT Jobs or Ctrl+T), and you have selected your word processing option (previous section, Select Word Processing Option - External Editor Option vs. Main Document Editor, pp ), you are ready to start a job. Job priority is symbolized by the colored circles in the second column of the Jobs List: Red circle = STAT - Highest priority job. Blue circle = Regular priority job. A. Open a job by one of these methods: Keyboard Method: Open the job with highest priority with the key combination Ctrl+A. Mouse Method: Double-click the Facility Job ID number to the right of the "thumbs up" symbol for a job that needs to be completed out of priority, usually by request. Either of these methods triggers the following response (Figure 15-1): 1. Template choices appear in the Available Word Templates list. Refer to pp for more details. 2. The voice player loads. Refer to pp for more details about the voice player. 3. Preliminary demographic information appears in the Current Job Information window. Refer to pp for more details 4. 16 Selecting Templates Listen to the dictation briefly to confirm template selection. You are responsible for selecting the most appropriate template for the dictation, even if the dictator keyed in the wrong work type on the Jobs List. All templates are targeted toward Facility, Work Type, and Dictator. If the dictator has custom templates, these templates are loaded along with the base templates for the facility. The template(s) chosen by the dictator will appear highlighted in yellow (Figure 16-1). Remember, there may be more than one choice, and none of these choices may be correct if the dictator keyed in the incorrect work type altogether. Figure 16-1 METHODS FOR SELECTING TEMPLATES: There are two methods for selecting templates, one for the mouse and one for the keyboard. A. Mouse Method: Single-click the correct template. Next, click the green Load Template button (Figure 16-2). A faster alternative is to double-click the correct template. Clicking on Cancel will close the list. 1. Single click template of choice. 2. Single click green Load Template button, and template will load into Main Document Editor Window. Alternative: Double-click your template of choice. Figure

17 ONCE YOU HAVE SELECTED A TEMPLATE: Your document will open either in the External Word Processor or in the Main Document Editor window. The voice player window will move to the background, and you can read more about the voice player on pp If using the Main Document Editor, proceed with the steps in the section titled Transcribing jobs with the Main Document Editor, pp If using the External Editor Option, the template will load as a stand-alone document outside of Glyph. Proceed with the steps in the section titled Transcribing Jobs with the External Editor Option, pp B. Keyboard Method: Tapping the escape key (Esc) will cancel and close the Available Word Templates window. Enter or Tab will place a blue highlight over the template listed at the top of the available templates, and the arrow keys allow you to move up and down the list. Tap the Enter key to select and load a blue-highlighted template. CAUTION: If the Cancel button is flashing and you tap the Enter key, the Available Word Templates window will close. The Tab key and the arrow keys allow you to move through the list. Tap the Enter Key to select and load a blue-highlighted template. ONCE YOU HAVE SELECTED A TEMPLATE: Your document will open either in the External Word Processor or in the Main Document Editor window. The voice player window will move to the background, and you can read more about the voice player on pp If using the Main Document Editor, proceed with the steps in the section titled Transcribing Jobs with the Main Document Editor, pp If using the External Editor Option, the template will load as a stand-alone document outside of Glyph. Proceed with the steps in the section titled Transcribing Jobs with the External Editor Option, pp NOTE: If you Cancel or close (Esc) the Available Word Templates window, it will be necessary to double-click on a job to restart the template selection process. Ctrl+A only works the first time a job is selected. 17

18 MANIPULATING THE AVAILABLE WORD TEMPLATES LIST: It is possible to rearrange the template choices by work type. Click on the column header to rearrange a list in forward numerical order. A second click lists the Work Types in reverse numerical order (Figure 18-1). Click on Work Type column header to rearrange the column; one click for forward numerical order, a second click for reverse numerical order. Templates can also be rearranged in alphabetical order by clicking on the Name column header. Figure 18-1 SAVED TEMPLATES: If you double-click a Facility Job ID number and a document for the job already exists, the client will prompt you to load the saved document instead of a new template (Figure 18-2). Figure 18-2 Clicking Yes will load the saved document; otherwise, an empty template will be loaded and overwrite the saved document. It is possible to navigate among jobs in the jobs list by double-clicking on job numbers and selecting Yes. Any previously saved job that was set aside in order to complete a priority or STAT job can be re-opened utilizing these steps. Individual split jobs can be accessed using the same steps. Instructions for changing templates and more details about splits are included later in the training guide (see section titled Split Jobs and Template Changes). 18

19 Patient Demographics, Dictator Searches, Carbon Copies There are three tabs in the Current Job Information Window of Glyph (Figure 19-1). From left to right: First tab: Job Information contains preliminary demographics for the patient and the dictator. This information can be changed by you with a Patient Search (F1) or Dictator Search (F2). Second tab: CC's+ tab must be open and radio button selected to add or remove names to the carbon copies (F2/F3), as well as the dictator/attending/assistant/surgeon fields (F2). Refer to account specifics to determine if searches are necessary. Third tab: Original Demographics tab shows the demographic information that was transmitted with the job and cannot be altered. Job Information Tab contains Patient Demographics and Dictator Demographics. CC's+ Tab displays names that are added for carbon copies, dictator, attending, assistant and surgeon names using the appropriate radio button and F2/F3 keys. For specific directions on when to use these fields, refer to Account Specifics on the MT Reference Site. Original Demographics tab contains demographic information imported with the job and is not changed by you. This includes date dictated, date transcribed, job #, etc. ' Figure 19-1 OPEN AND CLOSE SEARCH WINDOWS WITH F KEYS: The F1, F2, and F3 keys are used to open search windows and allow you to find or add the correct information to fill in Current Job Information Window. Each search window is exclusive, so tapping one function key to open a search window closes the previous search window. Tapping the current search window F key toggles it off completely. For example, If the F2 search window is open, F2 will close it. You must have the Glyph Transcription Windows in the foreground for the F1, F2, and F3 keys to function; otherwise, F1, F2 and F3 WILL NOT WORK IF WORD OR ANOTHER PROGRAM IS IN THE FOREGROUND. 19

20 FIRST TAB: Job Information - You MUST perform a patient demographic search (F1) and verify/select the most appropriate demographics unless the Account Specifics state otherwise. TOP OF JOB INFORMATION TAB: Patient Demographic Search / Patient Visit Search (F1) 1. With the Current Job Information Window expanded, and the first tab selected (Job information), press the F1 key to bring up the Patient Visit Search fields (Figure 20-1). If another tab is open, F1 will automatically switch to the Job Information tab. Any digits in the MR# and Visit# fields on the Job Information tab will automatically populate into corresponding search fields, and the cursor will be active in the Medical Record field. Tap the Enter key or click the Search button to use this information if you believe it to be correct. If not, there are trouble-shooting options outlined later. Figure Once you click Search or tap the Enter key, Glyph will return demographics that match the criteria added to the search fields. A status bar will appear while the search is in progress (Figure 20-2). Figure 20-2 If the search is successful, the resulting set of records is displayed (Figure 21-1, next page). If the search goes for more than a minute, it will automatically stop, and the search progress bar will disappear. Either there were no records available that matched the search criteria, or more information may need to be added to the available search fields. Likewise, the time frame may need to be shortened, the parameters in the drop-down menus next to each field may need to be altered to help with your search, or you may just need to clear all fields and start over. This next point is extremely important for failed searches. 3. If no demographics or incorrect demographics return, try the following: Select a different time frame for the demographic search (radio buttons for 30 days, 120 days, Older) based on the dictated information or preliminary demographics. Was the patient registered/admitted more than 30 days ago? Select 120 days. Was the patient registered/admitted more than 4 months ago? Select Older. Periodically, selecting Older will "nudge" the server to find recent demographics in some accounts. The wider the time frame selected, the greater the number of visits that will be available for the search. REMEMBER: The search will use whatever values are added into the following fields to find a match: First Name, Last Name, Visit ID/ACCT#, Order ID and Date of Birth. Enter as much or as little as you know from the dictation in each of the fields. Drop-down menus next to each field allow the search fields to be altered as well, so change the search field parameters to help with your search: Begins with: If you can only hear the first part of the name or number Ends with: If you can only hear the last part of the name or number Contains: If you can only hear part of the dictated information 20

21 Consider that the dictator may have entered a DOB in the MR field, or an Account Number in the MR field, or vice versa. Look at the patterns and idiosyncrasies for your accounts/dictators and copy/paste/rearrange the search information. Get creative! Copy/paste as necessary from the Job Information window (names,mr#, etc.). Use information that did not automatically populate in the search fields. Add forward slashes to the DOB field, and perform a search using the following format MM/DD/YYYY. All of the above methods can aid in demographic searches, but IF YOU HAVE EVEN A SINGLE ERRANT DIGIT/LETTER IN A FIELD, IT WILL INHIBIT YOUR SEARCH. Click Clear to start a fresh search if information needs to be deleted from the search fields. This can help eliminate any "ghost" material that remains from a previous search. 4. Once patient demographics return (Figure 21-1), the table under Found Patient Visits can be sorted and navigated for easier viewing of multiple records: Records can be sorted in ascending/descending order by clicking on the column headers (i.e., admission or discharge dates, account numbers, first/last names). Use the slide bar to the right or your mouse scroll wheel for up/down viewing, and the slide bar on the bottom to move right/left to view the available records. As soon as the records return, tap the Tab key to highlight the first row of the list, and use the arrow keys (up and down/right and left) to navigate the list. 5. Select the correct set of demographics with either the keyboard or mouse method: Mouse Method: Double-click on any of the cells in the table titled Found Patient Visits. Keyboard Method: The first record in the list will be highlighted in blue, use the arrows. Tap the Enter key to select demographics. Either method will automatically fill in the fields in the Job Information tab to the left with the verified/correct patient demographics, which will appear in purple font. 1. To populate the patient demographics, double-click on the cells with the correct patient demographics in the Found Patient Visits list, or use the keyboard to pause the blue highlight over the correct patient demographics and tap the Enter key. Figure Press F1 to close the patient demographic search window. 7. If you have done a complete and thorough demographics search, and cannot locate patient demographics, follow the rules for missing demographics as outlined in the Account Specifics for your account (found on the MT Reference Site, Account Specifics page, under the section Applying Demographics). To manually add demographic information to the template: This will fill in the Job Information tab to the left. All added information will be in purple font. l

22 1. Bring the document template to the foreground, either in Glyph's Main Document Editor, or in the External Editor Option. 2. Double-click on the field code on the template (i.e., FieldPatientName, FieldDOB). 3. Type over top of the highlighted field code according to the format outlined in Account Specifics. 4. Be sure to remove ALL of the field code and any green brackets that surround the field codes or the manually added demographics may not appear on the final uploaded document. To review: ADD INFORMATION to the Current Job Information Window by double-clicking on the information in the cells in the first name/last name columns or any other cell on the table such as Visit ID, etc. An alternative method is to tap the Tab key and use the arrow up/down keys to navigate the list until the appropriate demographics have a blue highlight, and tap the Enter key. The added demographic information will be in purple font on the Job Information tab. Demographic information on the Job Information tab cannot be removed, only changed. To keep demographic information from applying to the document when it uploads, remove the corresponding field codes. BOTTOM OF JOB INFORMATION TAB: Dictator Search/Verification (F2 to change) 1. Verify that the information on the bottom of the Job Information Tab (first tab) is correct and that all necessary fields are filled in according to the Account Specifics (Figure 22-1). Figure If you must change the dictator or add information, refer to the instructions in the subsection SECOND TAB: Changing the Dictator (p. 26). Productivity Pointer: The number found in the DICTATOR ID field on the Job Information tab (Figure 22-2) can be used to find old reports by a particular dictator in the Document Archives of the SoftScript MT Reference Site. Copy/Paste or type the number from the DICTATOR ID field in Glyph into the Physician ID field on the Document Archives search engine, choose the correct facility from the drop-down menu at the top of the Document Archives page, and click Search directly below the Physician ID field. REMEMBER: Document Archives are for reference only. Never copy and paste archived documents onto a template in Glyph. Use this number to find old reports by the same dictator in the Document Archives on the Mt Reference Site. Figure

23 SECOND TAB: CC's+ - This tab allows you to search for and add carbon copies (F2/F3), change the Dictator field (F2) on the Job Information tab, and add names for Attending, Assistant, Surgeon fields (F2) according to Account Specifics. The following directions are divided according to the corresponding radio button(s). Select the appropriate radio button for the information you need to find and add to the CC's+ tab, and the search window will change the title of the open window: CC will show a Carbon Copy Search window. Dictator will show a Dictator Search window. Attending will open an Attending Search window. Assistant will open an Assistant Search window. Surgeon will open a Surgeon Search window. NAVIGATING THE CC's+ TAB WITH THE KEYBOARD: The ALT key can be used to activate the Jobs List Menu. Tap ALT once if the Main Document Editor screen is NOT in use. Tap ALT twice if the Main Document Editor displays a template. You will see the Get MT Jobs button darken. The Tab key allows you to move right, and Shift+Tab allows you to move left through the menu. Tap the Tab key enough times to move past the Jobs List Menu and into the Current Job Information Window. Use the spacebar to select radio buttons. The Esc key will place the cursor back into the Main Document Editor window, and pressing F2 or F3 will place the cursor into the First Name field for the appropriate search window. Productivity Pointer: The F2 search engine contains the same names that can be found on the Physician Lists per Hospital page of the MT Reference Site, where you can also sort the physicians by specialty. IMPORTANT: All names on the CC's+ lists WILL be added to the document for preview and WILL appear on the completed document when it is transmitted unless they are removed from the CC's+ lists on the CC's tab. Carbon Copies, Part 1: Names in the facility database (F2): Refer to Figure 24-1 on the next page. 1. Be sure the Current Job Information Window is expanded with the plus sign or F6. 2. 25 Carbon Copies, Part 2: Manual additions for names not available in the database list, or to add blanks for unconfirmed names (F3): 1. Be sure the Current Job Information window is expanded by clicking on the plus sign (+) or pressing the F6 key. 2. Select the CC's+ tab and press F3 or just press F3 to bring up the Manual CC fields (Figure 25-1). 3. Select the radio button next to CC. 4. Add information from the dictation or blanks for unconfirmed physician names as necessary, according to account specifics. To add Fax numbers, use only 10 numbers, no hyphens or periods. 4. Type verified names, address, fax, in the appropriate fields. Use blanks for unknown names. 5. Click Add. 6. Information will be added to CC's+ tab on the left. Double-click to remove. Figure When finished, click on Add. 6. Names will be added to the CC's+ tab to the left under CC's heading 7. Press F3 when finished adding all manual carbon copies. 8. Names can be removed from the CC's list by double clicking on the names as they appear on the CC's+ tab to the left. 26 Changing the Dictator: If the dictator listed in the Job Information tab (bottom of First Tab) is incorrect or needs to be verified with an F2 search according to the Account Specifics, continue with the following steps: 1. Be sure the Current Job Information Window is expanded by clicking on the plus sign (+) or pressing the F6 key. 2. Select the second tab (CC's+) and press F2 key, or just press the F2 key. 3. Single click the radio button next to Dictator to bring up the Dictator Search fields (Figure 26-1). The dictator information on the Job Information tab will be in purple font if you have used the F2 search and altered the information on the Job Information tab (Figure 27-1). As long as the Dictator radio button is chosen, the name will be added to the Dictator list on the CC's+ tab and changed on the Job Information tab as well. 26

To review: Add a name to the Current Job Information Window/CC's+ tab by double-clicking on the names in the table under the Attending/Assistant/Surgeon search fields. Remove a name on the CC's+ tab to the left by double-clicking on the name as it appears in the Current Job Information Window/CC's+ tab on the left. REMINDER: The F1, F2, and F3 keys are used to open search window and allow you to find or add the correct information to fill in Current Job Information Window. Each search window is exclusive, so tapping one function key to open a search window closes the previous search window. Tapping the F key for the current search window toggles it off completely. For example, if the F2 search window is open, F2 will close it. THIRD TAB: Original Demographics - Contains demographic information that imported with the document. Cannot be changed, but is useful for reference should MT select incorrect information for the Job Information window and wish to review the original demographics. 28

29 Transcribing Jobs with the External Editor Option If using the External Editor Option, your templates will load as a stand-alone documents outside of Glyph. It is possible to toggle back and forth between Glyph and the document by holding down the ALT key and tapping the Tab key. 1. Transcribe the report on the template in the external word processor: All previously coded macros, autocorrects, normals, etc., for the selected word processing program will be available when the word processor is open and in the foreground. Be aware that some word processing features may be incompatible with your accounts. Transcribe on the template with the following in mind: Dictation is transcribed on the open template according to account specifics. ALWAYS refer to account specifics when formatting jobs. Facility Job ID in the Jobs List correlates to the Hospital # in the Account Specifics page of the SoftScript MT Reference Site. Most templates contain a header, body and footer and sometimes a space holder (i.e., asterisk [*]) to indicate where to begin typing the body of the report, where to transcribe dates manually, and where to start text following pre-placed headings on templates. Field codes (FieldPatientName1, FieldDictatorName1, FieldAcctNumber1, etc.) are required for demographic information to populate automatically (i.e., patient demographics, dictator information, etc.) in the headers, footers and signature lines when you select Send Job or Send Job for QA later. Field codes can be removed or replaced for manual input of information, but only when absolutely necessary (i.e., missing demographics, incorrect date or age). Remove field code completely to prevent demographic information from populating. Remove or replace field codes with caution and only as necessary. A template change may be required if field codes must be returned to a document. You will not see the field codes replaced with demographic information until you select Send Job or Send Job for QA and preview the document. Before a job is uploaded to its final destination (QA or facility), a preview window allows the user to view the final report with all field codes replaced with the information from the Current Job Information Window. This is accomplished by clicking Send Job or Send Job for QA in the Jobs List Menu. During the preview process, the user has an opportunity to return to the document in order to make corrections to the template and/or correct demographic information, replace or remove field codes, etc. before finally uploading the report to QA or the facility. A document can be altered up to the point of clicking Accept on the preview screen. MTs can type on the document and search for demographics information in any order prior to finally uploading a job. Standards and Normals can be copied and pasted from the SoftScript MT Reference Site. Be sure to correct for Font according to the Account Specifics. NEVER copy and paste from Document Archives or Hospital Provided Samples. Templates can be changed at any time during the course of transcribing a job. Refer to instructions that follow in the subsection titled Template changes When Using the External Editor Option, p. 33. Always spell check a completed document after transcribing (F7 with Microsoft Word open in foreground, not the Spell Check option in Glyph Jobs List Menu). Proofread the document using the scroll wheel on the mouse or the slide bar to right of the open document window. Splits can be created once a job is completed, saved and closed. Refer to instructions that follow in the subsection titled Split Jobs When Using the External Editor Option, p. 31. IMPORTANT: If using Microsoft Word, adjust autocorrect settings as described below: Keyboard method: (Word 2002, 2003, 2007, 2010, 2013) A. Hold down the ALT key, tap T, then A. Autocorrect will open. B. Open the AutoFormat or AutoFormat As You Type tab and click to uncheck the following: a. Automatic bulleted lists b. Automatic numbered lists c. "Straight quotes" with "smart quotes" 29

Once all items are unchecked, repeat steps a-g for either AutoFormat or AutoFormat As You Type tab as well. C. Click Okay. Mouse method: (Word 2002, 2003, 2007, 2010, 2013) A. As appropriate for the version of Word that you are running: a. In Microsoft Word 2000, click AutoCorrect on the Tools menu. b. In Microsoft Office Word 2003 and in Microsoft Word 2002, click AutoCorrect Options on the Tools menu. c. In Word , follow these steps: i. Click the Microsoft Office Button and then click Word Options. ii. In the left pane, click Proofing. iii. In the right pane, under AutoCorrect Options, click AutoCorrect Options. B. Open the AutoFormat or AutoFormat As You Type tab and click to uncheck the following: a. Automatic bulleted lists b. Automatic numbered lists c. "Straight quotes" with "smart quotes" d. Ordinals (1st) with superscript e. Hyphens (--) with dash (-) f. Fractions (1/2) with fraction character g. "Bold" and _italic_ with real formatting h. Once all items are unchecked, repeat steps a-g for either AutoFormat or AutoFormat As You Type tab as well. C. Click OK to close Autocorrect. D. Click OK to close Word Options. 2. Patient Demographics, Dictator Searches, Carbon Copies: Patient demographics searches (F1), the process for verifying dictator names (F2), instructions for adding names for carbon copies, as well as attending, assistant and surgeon fields are all outlined in the section of the training guide titled Patient Demographics, Dictator Searches, Carbon Copies (pp ). You must have the Glyph Transcription Windows in the foreground for the F1, F2, and F3 keys to function; otherwise, F1, F2 and F3 WILL NOT WORK IF WORD IS IN THE FOREGROUND. It is possible to toggle back and forth between Glyph and Microsoft Word with ALT+tab or use the task bar on the bottom of your screen to bring a program to the foreground (single mouse click on any icon will bring it to the foreground). The following information is only a brief overview. Details can be found on pp Please refer to the corresponding figures and details on those pages. Job Information tab: o Verify patient demographics (F1 to open and close Patient Visit Search). Double-click patient name to add patient demographics to Job Information tab. o Verify name for dictator (F2 to open and close Dictator Search, see CC's+ tab instructions below). CC's+ tab: o Add carbon copies, attending, assistants, surgeons, change dictators as appropriate based on account specifics. Select appropriate radio button. o F2 to open and close physician search database. Double-click name to add to CC's+ tab and change dictator listed on Job Information tab for Dictator Searches o F3 to open and close manual CC fields. Fill in all appropriate fields and select Add. Fills in CC's+ tab. 30

31 3. Spell Check and Proofread: Once a job is transcribed completely: Proofread (scroll wheel on mouse to view document, slide bar to the right of the open document, or up/down/right/left arrow keys) Spell-check the open document (F7 in Word, not the Spell Check option in Glyph). Confirm that all demographics in the Current Job Information window are complete on the Job Information and CC's+ tabs. ONLY IF NECESSARY: Split Jobs when using the External Editor Option (only perform these steps as necessary; otherwise, skip to next section, Saving, Closing and Uploading Jobs): There will be times when the person dictating will record more than one report on a voice file. In this case the job will have to be split once for each additional report. The following instructions will help you when creating splits: 1. Once a job is transcribed completely, proofread and spell-check the open document (F7 in Word, not the Spell Check option in Glyph). Confirm that all demographics in the Current Job Information window are complete for Job Information and CC's+ tabs. 2. Save the open document, choose one: Keyboard: Ctrl+S Mouse: Save icon 3. Close the open document, choose one: Keyboard: Ctrl+With Mouse: Red X in top right corner 4. Single-click on Split Job in Glyph Menu or use the shortcut keyboard command ALT+S. This will generate a split for the selected job whether it is the original job (parent) or another split (Figure 31-1). All splits are created from the most recently completed job (parent makes split 1, split 1 makes 2, etc.). Single click Split Job to create a split for any open current job. Tag in the jobs list indicates the split job is open, and if a template has been selected, the split job is visible in external word processor. Figure 31-1 Split from completed parent (original) job. Completed original job, also referred to as parent job. 5. Once a split is created, begin the process of selecting a template and completing the job as you would with any other job (refer to the section titled Selecting Templates, pp ). A tag symbol next to the split in the jobs list indicates which split is open and being completed. The voice file remains independent of the split process so you can continue transcribing from the point at which the split was created. 6. Transcribe the split on the template like any other job, including a search for demographics dictator and carbon copies. Be sure to proofread each split and spell check, etc. before creating the next split. 7. When all splits are completed, follow the instructions in the subsection titled Saving, Closing and Uploading Jobs - Send Job vs. Send Job for QA, p. 34. All jobs will be previewed in order of completion before they are uploaded to their destination, and all splits including the original job are uploaded together. The upload will halt if any of the splits does not have a template selected or if one of the previews is canceled. IMPORTANT: Do not attempt to upload splits until all splits are completed. 31

32 There are a few things to remember about splits: o Demographics matter: If the split reports are for different patients or different visits, make sure to search for and select the correct patient and patient visit for each report. Confirm that all other job information is correct (dictator, etc.), and add CC's as with any other report. o Listen and transcribe to the end of the voice file: Entire voice file must be transcribed. Note: Only one document can be open at a time. Removing Split Jobs: It may be necessary to remove a split job from your list that was created in error. All splits need to have an associated template chosen before the entire group of splits can be uploaded. Any job that does not have a template will prevent the splits from uploading. Excess jobs can be removed with these steps: a. Be sure that the split you wish to remove is highlighted with a single mouse click on the job in the Jobs List. b. Use either the Mouse or the Keyboard shortcut command: i. Mouse: Click on Remove Split ii. Keyboard shortcut command: ALT+Shift+S. 32

33 o Recovering split jobs after removing them: IMPORTANT: If splits are removed in error - - DO NOT PANIC! a. Single click the parent job and select Split Job. b. You will see the message in Figure 32-1 (previous page). c. Click Yes on the popup window to recover and reload the previously created split that was removed from the list. d. NOTE: All information on the template and all information in the Current Job Information window will be recovered. ONLY IF NECESSARY: Template Changes when using the External Editor Option (only perform these steps as necessary; otherwise, skip to next section, Saving, Closing and Uploading Jobs): Template changes may be necessary if the incorrect template was chosen for the dictation. Another scenario is when field codes have been irrevocably removed and the only way to replace them is to perform a template change. It is your responsibility to be sure that the correct template has been selected based on the dictation. The template must be changed before uploading a report to a facility or QA. IMPORTANT: A new template COMPLETELY replaces the old template, so copy anything in the body before proceeding. The steps to change templates include: 1. Copy any text in the body of the report by highlighting the text to be transferred onto the new template, then Ctrl+C (or use the copy option from the toolbar, or right click and select copy). Do not include headers, footers, field codes or signature lines in the copied text, as these may create problems on the fresh template and interfere with the upload. 2. Save the open document, choose one: Keyboard: Ctrl+S Mouse: Save icon 3. Close the open document, choose one: Keyboard: Ctrl+W Mouse: Red X in top right corner 4. Next, bring up the template choices by one of these methods: Keyboard Method: ALT+C Mouse Method: Look at the bottom of the Glyph window for these 6 fields: Ready (File name), Facility ID (Hospital #), Facility Job Number, Template, User ID (MT ID number), and User (MT user name). To change the template, click on the Template field (Figure 33-1). Figure Select the correct template/work type (see the section titled Selecting Templates on pp ). This opens the external word processor with a fresh template. 6. Paste the body of the previously transcribed template onto the new template (Ctrl+V). 7. All information already in the Current Job Information Window remains unchanged. 8. 34 4. Saving, Closing and Uploading Jobs - Send Job vs. Send Job for QA: The buttons to upload jobs only become enabled once a job is opened and a template selected. Once a document is fully transcribed according to the account specifics, spell-checked, proofread, the demographics in the Glyph Current Job Information Window are complete, and any necessary splits and template changes have been performed, there are several steps to upload a job. FIRST: Before a job can be previewed and uploaded, the open document must be saved and the word processor must be closed. a. To save the document, choose one: Keyboard: Ctrl+S Mouse: Save icon b. To Close the document, choose one: Keyboard: Ctrl+W Mouse: Red X in top right corner If you do not close the document before attempting to upload with the next step, you will receive the error message in Figure 34-1 below: Figure 34-1 Click on OK, bring the word processor program to the foreground, and close the open document (or any open Word documents that may prevent the job from uploading). 35 THIRD: Preview the entire document to be sure all fields are completely filled in and the document is formatted properly (Figure 35-1). When the preview window first opens, you can also use the arrow keys to navigate through the document, or use the scroll wheel on your mouse or the scroll bar to the right of the preview window to view the entire document. Look at the entire document to be sure all demographic information populated in the header, footer, signature line, and CC's. Accept will upload the document as it appears in the preview window. Make absolutely sure the document is acceptable before clicking. Tap the Enter button when Accept is framed or single-click Accept, and the document will be uploaded to its destination. Figure 35-1 Tap the Tab key to move between the Accept and Cancel buttons. The preview window opens with the focus on the document, and you can use the arrow keys to move through the document. Single-click Cancel or tap the Enter key when Cancel is framed to return to the document and make changes. Remove field codes on the template for fields that MUST remain empty once the document is uploaded. You cannot edit a document while the preview window is open. Use the slide bar or the scroll wheel on your mouse to preview the entire document before uploading. FINALLY: Choose Accept or Cancel*: e. Accept: Final formatted document(s) will upload. MUST be completed to the best of MT's ability and according to account specifics. IMPORTANT: A job has not uploaded to its final destination until you choose Accept as the final step. f. Cancel: Click Cancel or tap the Enter key when Cancel is framed (use Tab key to navigate) and make corrections on the template. You must then reopen the saved document. Methods include: Double-click on the job number in the jobs list. 1. The document will open. 2. Make changes on the document as appropriate. 3. Return to the appropriate step(s) in the instructions above to complete and send the job(s). IMPORTANT: A job has not uploaded until you choose Accept as the final step. Go to Options>External Editor Options, and click on Reload Existing File. 1. The document will open. 2. Return to the appropriate step(s) in the instructions above to complete and send the job(s). IMPORTANT: A job has not uploaded until you choose Accept as the final step. *The process of "Send, preview, cancel, edit, send " can be repeated until a document appears complete and ready to transmit in the preview window. Once you click on Accept the job is transmitted to its destination (facility, QA, Light QA) and cannot be retrieved. If a job is not acceptable and complete to the best of your ability, do not click Accept. *To remove information from headers and footers, return to the template in the external word processor, double-click into a header/footer, double-click over a field code, and tap the Delete key. Field codes can be removed from the template to prevent fields from being filled automatically, BUT only remove field codes when absolutely necessary to prevent incorrect information from populating. Fields codes are necessary for CORRECT DEMOGRAPHIC INFORMATION IN THE CURRENT JOB INFORMATION WINDOW to populate. 35

36 Transcribing Jobs with the Main Document Editor To activate the Main Document Editor, refer to instructions in the section titled Select Word Processing Option - External Editor Option vs. Glyph Main Document Editor on pp MAIN DOCUMENT EDITOR FEATURES: Figure 36-1 shows the main editor window where documents are transcribed. i. Maximizing Main Document Editor Window: Transcription windows can be collapsed and expanded to increase or decrease the view of the main document by clicking on the plus (+)and minus (-) signs associated with each window. You may collapse your jobs list and current job information windows by clicking on the minus signs (-) here Figure 36-1 Another alternative is to use the F keys: Main Document Editor Window o o o o Press the F4 button to collapse and expand the Jobs List and Current Job Information Windows. To reopen both windows simultaneously, press on the F4 key again. Press on the F5 key to collapse and expand the Jobs List. Press on the F6 key to collapse and expand the Current Job Information Window. Press on the F8 key to collapse and expand the Glyph Header. All of these options will make the Main Document Editor window larger or smaller for your convenience. 36

37 Figure 37-1 shows an empty template in the Main Document Editor Window with the Glyph header and all surrounding windows collapsed: Expand windows by clicking on the plus signs (+) associated with each window. Figure ii. Tool bar: The main document editor contains a ribbon with tools to format jobs (Figure 37-2). The ribbon can be collapsed by clicking on the small triangle symbol to the far right. Featured tools include cut/paste options, font settings, a drop-down menu (Paragraph) with auto-numbering, reveal formatting marks, etc. The most reliable method for selecting items in the toolbar, is to use your mouse to click on the toolbar icons. You can also use the keyboard to select an option. There are two keyboard methods for activating the toolbar choices: ALT Key or F10 key. Either one of these keys brings up a shortcut to the tabs on the toolbar and allows the user to choose based on the first letter of the tabs (H for Home, I for Insert, D for Design, and L for Layout). In addition, all of the tools are numbered or lettered on the toolbar. Type in the corresponding number series to execute a command or letter for a drop-down menu, and use the arrow keys to navigate the drop-down menus. Tap enter to select from the menu items. Tap the ALT key enough times to return to the document if the menu does not close (usually 2 times). Additionally, many of the tools have shortcut key commands similar to Word, and a list of some shortcut keys can be found in the section titled Shortcut Keys/Commands List - Glyph, found on p It is also possible to right click on the document and select from formatting and spell check options that appear. iii. Zoom Feature: To zoom in/zoom out, hold down the Ctrl key, and use the scroll wheel on your mouse: Scroll up to zoom in. Scroll down to zoom out. 37

38 COMPLETING JOBS WITH THE MAIN DOCUMENT EDITOR: The steps for completing a job in the in the Main document editor include the following: 1. Transcribe the report on the template in the Main Document Editor Window: There are a few things to remember about the transcribing on the template in the main document editor screen: Dictation is transcribed on the open template in the Main Document Editor Window according to account specifics for the Facility ID. ALWAYS refer to account specifics when formatting jobs. Facility Job ID in the Jobs List correlates to the Hospital # in the Account Specifics page of the SoftScript MT Reference Site. Most templates contain a header, body and footer and sometimes a space holder (i.e., asterisk [*]) to indicate where to begin typing the body of the report, where to transcribe dates manually, and where to transcribe following pre-placed headings on templates. Field codes (FieldPatientName1, FieldDictatorName1, FieldAcctNumber1, etc.) and the surrounding green brackets are required for demographic information to populate automatically (i.e., patient demographics, dictator information, etc.) in the headers, footers and signature lines. Field codes can be removed and/or replaced for manual input of information, but only when absolutely necessary (i.e., missing demographics, incorrect date or age). Remove and/or replace field codes with caution and only as necessary as a template change may be required if field codes must be returned to a document. You will not see the field codes replaced with demographic information until you select Send Job or Send Job for QA and preview the document. Before a job is uploaded to its final destination (QA or facility), a preview window allows the user to view the final report with all field codes replaced with the information from the Current Job Information Window. This is accomplished by clicking Send Job or Send Job for QA in the Jobs LMenu. During the preview process, the user has an opportunity to return to the document and correct demographic information and replace or remove field codes before finally uploading the report to QA or the facility. MTs can type on the document and search for demographics information in any order prior to finally uploading a job. Standards and Normals can be copied and pasted from the SoftScript MT Reference Site. Be sure to correct for Font according to the Account Specifics. NEVER copy and paste from Document Archives or Hospital Provided Samples onto the template in the Main Document Editor Window. Templates can be changed at any time during the course of transcribing a job. Refer to instructions that follow in the subsection titled Template Changes When Using the Main Document Editor. Always spell check a completed document after transcribing (F7 or the Spell Check feature in the Jobs List menu). Proofread the document using the scroll wheel on the mouse, the slide bar to right of the open document window, or the arrow keys on the keyboard. Splits can be created once a job is completed, saved and closed. Refer to instructions that follow in the subsection titled Split Jobs When Using the Main Document Editor, p

Perform a complete search and verification for Patient Demographics, Dictator Searches, Carbon Copies: Patient demographics searches (F1), the process for verifying dictator names (F2), instructions for adding names for carbon copies, as well as attending, assistant and surgeon fields are all outlined in the section of the training guide titled Patient Demographics, Dictator Searches, Carbon Copies (pp ). The following information is only a brief overview. Details can be found on pp Please refer to the corresponding figures and details on those pages. Job Information tab: o Verify patient demographics (F1 to open and close Patient Visit Search). Double-click patient name to add patient demographics to Job Information tab. o Verify name for dictator (F2 to open and close Dictator Search, see CC's+ tab instructions below). CC's+ tab: o Add carbon copies, attending, assistants, surgeons, change dictators as appropriate based on account specifics. Select appropriate radio button. o F2 to open and close physician search database. Double-click name to add to CC's+ tab and change dictator listed on Job Information tab for Dictator Searches o F3 to open and close manual CC fields. Fill in all appropriate fields and select Add. Fills in CC's+ tab. 3. Spell Check and Proofread: Once a job is transcribed completely: Proofread (scroll wheel on mouse to view document, slide bar to the right of the open document, or the arrow keys on the keyboard). Spell-check the open document (F7 or Spell Check option in Glyph). Confirm that all demographics in the Current Job Information window are complete on the Job Information and CC's+ tabs. 39

40 ONLY IF NECESSARY: Split Jobs when using the Main Document Editor (only perform these steps as necessary; otherwise, skip to next section, Saving, Closing and Uploading Jobs): There will be times when the person dictating will record more than one report on a voice file. In this case the job will have to be split once for each additional report. The following instructions will help you when creating splits: 1. Once a job is transcribed completely, proofread and spell-check the open document (F7 or click Spell Check option in Glyph Jobs List Menu). Confirm that all demographics in the Current Job Information window are complete for Job Information and CC's+ tabs. 2. Single click Split Job or use the keyboard command ALT+S (Figure 40-1). This will generate a split for the selected job whether it is the original job (parent) or another split. All splits are created from the most recently completed job (parent makes split 1, split 1 makes 2, etc.). Single click Split Job to create a split for any open current job. Split from completed parent (original) job. Completed original job, also referred to as parent job. Tag in the jobs list indicates the split job is open, and if a template has been selected, the split job is visible in the Main Document Editor Window. Figure Once a split is created, begin the process of selecting a template and completing the job as you would with any other job (refer to the section titled Selecting Templates, pp ). A tag symbol next to the split in the jobs list indicates the job is open, and likely the template for the split is visible in the Main Document Editor Window. The voice file remains independent of the split process so you can continue transcribing from the point at which the split was created. 4. Transcribe the split on the template like any other job, including a search for demographics dictator and carbon copies. Be sure to proofread each split and spell check, etc. before creating the next split. 5. When all splits are completed, follow the instructions in the subsection titled Saving, Closing and Uploading Jobs - Send Job vs. Send Job for QA. All jobs will be previewed in order of completion before they are uploaded to their destination, and all splits including the original job are uploaded together. The upload will halt if any of the splits does not have a template selected or if one of the previews is canceled. IMPORTANT: Do not attempt to upload splits until all splits are completed. There are a few things to remember about splits: o Demographics matter: If the split reports are for different patients or different visits, make sure to search for and select the correct patient and patient visit for each report. Confirm that all other job information is correct (dictator, etc.), and add CC's as with any other report. o Listen and transcribe to the end of the voice file: Entire voice file must be transcribed. 45 A Completed Job - External Editor Checklist A complete job includes all of the following steps when utilizing the External Editor Option. If you prefer to use the Main Document Editor, STOP, and refer to the checklist on pp Launch Glyph by clicking on the desktop icon. 2. Type in user name and password. 3. Wait for user authentication process to complete. 4. Download jobs to jobs list (Get MT Jobs, Ctrl+T). 5. Open downloaded job (thumbs up symbol): Ctrl+A will open the job with highest priority, or double-click on the specific Facility Job ID number for the job you wish to open. 6. Select template (single click to highlight template choice and click Load Template, or double-click the template name, also refer to Selecting Templates section for more keyboard options). The template will load as a standalone document outside of Glyph. It is possible to toggle back and forth between Glyph and the document by holding down the ALT key and tapping the Tab key. 7. In no particular order: Search and select information to fill in Current Job Information Window in Glyph. You must have the Glyph window in the foreground for F1, F2 and F3 keys to function. i. Job Information tab: 1. Verify patient demographics (F1 to open and close search options). Double-click patient name to add patient demographics to Job Information tab. 2. Verify name for dictator (F2 to open and close search options). Select Dictator radio button. Type information in fields, and tap the Enter key. Double-click physician/staff name to change on the Job Information tab and add name under Dictator on CC's+ tab. ii. CC's+ tab: 1. Add carbon copies, attending, assistants, surgeons, change dictator names as appropriate based on account specifics. Select appropriate radio button. a. F2 to open and close physician search database. Double-click name(s) to add to CC's+ tab. b. F3 to open and close manual CC fields. Fill in all appropriate fields and select Add. Fills in CC's tab as long as CC radio button is selected. Transcribe on the open template using a personal word processor like Microsoft Word (stand-alone document outside Glyph). ONLY IF NECESSARY: Template changes can be done at any point before final upload to facility or QA. i. Highlight all text in the body of the open template and copy (Ctrl+C). ALWAYS copy text BEFORE changing templates. ii. Close the word processor (X in upper right-hand corner). You may be prompted to save, but the new template will replace the current one, so be sure you have copied the body of the report as above. iii. Select Template field on very bottom of Glyph window (4th from the left), or use ALT+C, and choose the new template (highlight template name with a single click and select Load Template or double-click on template name). iv. Paste copied text in body of new template (Ctrl+V). v. NOTE: Template changes will not alter demographic information in the Current Job Information window in Glyph. vi. Continue transcribing. 8. Spell check (F7 in Microsoft Word). Do not try to click on Spell Check in the Glyph menu. You must use the spell checker that is built into Microsoft Word or your word processor. 9. Proofread the document using scroll wheel on mouse or slide bar to right of the open document window. 10. Save the document (Ctrl+S or the Save icon) 11. Close the document (Ctrl+W or red X in top right corner). 45

46 12. ONLY IF NECESSARY: Split jobs: Click on Split Job in Menu or ALT+S. Repeat steps 6-12 as necessary until all splits are completed. To re-open a previously saved and closed split: i. Splits: Double-click any split you wish to re-open and edit. Must Save and Close as in Step 9 instructions to proceed. ii. Parent: Compress the split jobs list (minus sign next to original/parent job), double-click the parent job to re-open and edit. Must Save and Close as in Steps to proceed. 13. Preview document(s) with the appropriate Send button (splits will appear in the order completed if a list of splits is being uploaded). The Send choices on the Jobs List Menu include: Send Job: Directs jobs to facility (or ALT+F). Send Job for QA: Directs job to QA (or ALT+Q). 14. Look over the entire document to be sure all fields are completely filled in and the document is formatted properly. 15. Choose Accept or Cancel: Accept: Final, formatted document, as complete as possible, will upload. Be sure all demographics are applied, and the report is formatted according to the account specifics before choosing Accept. This uploads a job, and there is no going back to correct the document. Cancel: To make corrections on the template, either double-click on the job in the jobs list or go to Options>External Editor Options>Reload Existing File, and the document will open. Make corrections to the document, and return to the appropriate step(s) in the checklist above to complete and send the job(s). 16. Logout if finished for the day or taking a break. Click on the underlined Logout option in the upper right-hand corner of the Glyph header. Do not just click on the red X. ALWAYS log out for breaks and at the end of your shift and allow incomplete jobs to return to the pool for another MT to complete. Jobs will time out if you allow Glyph to sit idle for 10 minutes, so jobs that appear in your Jobs List may no longer be assigned to you if you have not logged out and logged back in after a 10-minute break. 46

47 A Completed Job - Main Document Editor Checklist A complete job includes all of the following steps when utilizing the Main Document Editor. If you prefer to use the External Editor Option, STOP, and refer to the checklist on pp Launch Glyph by clicking on the desktop icon. 2. Type in user name and password. 3. Wait for user authentication process to complete. 4. Download jobs to jobs list (Get MT Jobs). 5. Choose editor option: Under the Options tab on the Jobs List Menu, select External Editor Options and uncheck the box next to "Use external Word Processor." This option remains unchecked during the current Glyph session only and resets once an MT logs out. To return to the External Editor option while Glyph is open, simply re-check. 6. Open downloaded job (thumbs up symbol): Ctrl+A will open the job with highest priority, or double-click on the specific Facility Job ID number for the job you wish to open. 7. Select template (single click to highlight template choice and click Load Template, or refer to Selecting Templates section for more keyboard options). 8. In no particular order: Search and select information to fill in Current Job Information Window. Job Information tab: i. Verify patient demographics (F1 to open and close search options). Double-click patient name to add patient demographics to Job Information tab. ii. Verify name for dictator (F2 to open and close search options). Select Dictator radio button. Type information in fields and tap the Enter key. Double-click physician/staff name to change on the Job Information tab and add name under Dictator on CC's+ tab. CC's+ tab: i. Add carbon copies, attending, assistants, surgeons, change dictator names as appropriate based on account specifics. Select appropriate radio button. F2 to open and close physician search database. Double-click name(s) to add to CC's+ tab. F3 to open and close manual CC fields. Fill in all appropriate fields and select Add. Fills in CC's tab as long as CC radio button is selected. Transcribe complete job on the template (Main Document Editor Window). ONLY IF NECESSARY: Template changes can be done at any point before final upload to facility or QA. Next, Run AutoCorrectListExporter.exe to launch the application (Figure 50-1). Click here. Highlight and copy the text to be used as an expansion (Ctrl+C or right click and copy). Additional instructions for copying: A. Single word: Double-click with mouse on word, or hold down shift key and arrow over word, or hold down left mouse and scroll over word B. Phrase: Hold down left mouse and scroll over phrase, or hold down shift key and arrow over the phrase. C. Paragraph: Triple click on paragraph, or hold down shift key and arrow over the paragraph. D. 57 Voice Player Vox File Association: There are two methods to choose the Voice Player for use with Glyph: Choose from either of these methods: 1. Method 1: Open Glyph and view the Jobs List Menu, click on Options in the jobs list menu, and then Vox Player Install. Follow the prompts. 2. Method 2: a. Once you attempt to open your first transcription job, you will be prompted to choose which program to use to play the voice file (Figure 58-1). Figure 58-1 b. If SSIVoxPlayer or StartStop is listed, please choose one. c. Also make sure that Always use the selected program to open this kind of file is checked (Figure 58-2). Figure

59 Vox Player Window and Taskbar Icon: When a template is selected (see section titled Selecting Templates, p ), the voice player that is installed and associated with Glyph will load along with the selected voice file. If the SoftScript voice player is installed, it will load the voice file as shown in Figure 60-1, and the icon on the taskbar will appear as shown in Figure For help installing the voice player for the first time, refer to section titled Vox File Association. For instructions using the keyboard, refer to the section titled Using the keyboard to control the VOX Player. 61 Using the Keyboard to control the Vox Player: In order to control the Vox Player with the keyboard, the Vox Player Window must be in the foreground. Toggle to the Vox player: Hold down the ALT key and tap Tab until the VOX player is highlighted. When finished, use ALT+Tab to toggle back to other open programs on the Windows taskbar. The VOX Player as it appears when in the foreground (Figure 62-1): Figure 62-1 With the VOX player now in the foreground, use the Tab key to navigate to the appropriate option in the VOX player window. A dotted frame will appear within or around the selected option. Shift+Tab moves the dotted frame in reverse. BUTTONS: Buttons can be activated with the spacebar and/or the enter key. First, use the Tab key to frame the appropriate button. Figure 62-2 To play or pause the dictation, use the tab key to frame the appropriate button and tap the spacebar. Tapping the spacebar when these buttons have the dotted frame will return the dictation to the beginning or forward it to the very end. Fast-forward and rewind will not function using the spacebar. To fast-forward or rewind, continue to the slide-bar instructions. Tapping the enter key or space bar will activate the Playback Speed options (Figure 62-3). Again, be sure the button you wish to select has a dotted line before tapping the space bar or enter key. Tap the Tab key to place a frame around 1X, and tap the Enter key or the spacebar to select 1x for normal playback speed. Tab to the appropriate box and tap the Enter key or the space bar to open the Settings and Foot Pedal Configuration windows. 63 SLIDE-BARS: Move the slides (Figure 64-1) in order to change speed or find a specific time spot within the dictation. Use the arrow keys on the keyboard to go forward and back. Up and back (left-pointing) arrow keys move the slides to the left. Down and forward (right-pointing) arrows move the slides to the right. Speed Settings: To change the speed of the dictation, use the arrows to move the slide bar left to slow down, and move it right to speed up. Figure 64-1 Ctrl+Home will move the toggle button to the far left, the lowest speed possible. Ctrl+End will move the toggle button to the right, the highest speed possible. Dictation: To locate a specific spot within the dictation, move the slide bar (Figure 64-2) to the appropriate time along the slide. 68 Helpful Hints and Information i. Spell Check Prior to sending a job, it is necessary to proofread and spell-check a document for accuracy. Activate the spell check by clicking on Spell Check in the Jobs List menu or F7. This will activate the spellchecker for the Main Document Editor window in Glyph only. To activate spell check in Microsoft Word, Word must be in the foreground as the active program, and then F7 will activate the Word spellchecker. Refer to the instructions for your version of Word for help with the spellchecker. In Glyph, a window similar to Figure 69-1 appears. From here, it is possible to Ignore or Change words on the document from the list of words saved in the spell check database. Likewise, it is possible to add verified words to the database list by selecting Add. Spell Check option found on Jobs List menu. Keyboard shortcut is F7. Use these options to ignore or change words detected in the document. Add words to the dictionary that can be verified. Figure

To zoom in/zoom out, hold down the Ctrl key, and use the scroll wheel on your mouse: Scroll up to zoom in. Scroll down to zoom out. Option 2: Computer settings. Increase the size of text on the overall screen/monitor. From Start menu, click on Control Panel and then Display, which brings up a window like Figure Method 1 for display settings: Choose a radio button to magnify the entire screen and Apply, or choose Set custom text size (DPI). The user may be prompted to Log off now or Log off later and allow the change to take effect. The changes will be apparent the next time the user logs onto the computer.
