1 CCS Online Admissions Policy Enrolment Students enroll with CCS Online either by downloading and submitting the application form or completing the form online and submitting it electronically. Parents need to complete an application for each student. All new applications require: A complete application A copy of the students birth certificate or other legal identity document such as a passport Most recent report card or transcript if the student is coming from another school A copy of any custody agreements if one is in place A copy of a document indicating BC residency, e.g. Hydro bill For special needs students all supporting documentation pertaining to diagnosis and services must be forwarded to the CCS Online office. Parents must make sure they read the DL Participation Agreement (Appendix 1) each year before signing the application. The participation agreement outlines some basic understandings that are fundamental to the success of our DL program. The statements in the agreement are intended to ensure that parents and students know the difference between homeschooling the traditional way (registered - where parents lead the program) and a distributed learning program (enrolled - where the CCS Online teacher leads the program). They also describe what is required so that CCS Online can adhere to Ministry of Education requirements that apply to all approved DL programs. All personal information that is collected, used and disclosed by Cornerstone Christian School Online is in accordance with the Personal Information Privacy Policy for Parents and Students, a copy of which is available in the Parent Handbook or from the school office. This information will be forwarded to our Parent School Traditional Learning Academy in Surrey. Applications for admission will not be processed until all documentation is in place.

2 Application Approval CCS Online (K-9) The vice-principal or principal reviews the application. A personal phone conversation or face-to-face interview with the parent and student will then be initiated to answer any questions either party may have and to determine suitability for CCS Online s programs. Upon application approval the vice-principal will assign a home teacher. The teacher assigned is at the discretion of the vice-principal. Although we try to accommodate parental requests for a specific teacher, this is not always possible. Occasionally it is necessary to re-assign students to a different teacher and this can happen at any point during the year. Upon approval the vice-principal or home teacher will send an official welcome to the parents. Teachers may refer an inquiry or application to the office but a vice principal must approve all applications. For a variety of reasons, such as inability to meet a child s needs or teacher availability, CCS Online may not approve an application. If this occurs then parents will receive an to say that their application has not been accepted with an explanation as to why. The application approval process usually takes 2 business days following the receipt of all required documentation. CCS Online Home Initial Meeting & Curriculum Selection During the initial visit, teachers will want to learn as much as possible about their students. They will engage students and parents in dialogue about areas of high interest, strengths, weaknesses and goals for the term. Teachers will discuss curriculum choices and teaching strategies. It is one of the features of our CCS Online program that parents can indicate which learning resources they wish to use in their child(ren) s learning plan. This means the teacher s first responsibility is to determine to what degree their intended resources satisfy the learning outcomes. If there are areas where the outcomes are not met, we need to identify how

3 to supplement the curriculum so that it meets learning outcomes. This task needs to be accomplished as early as possible in order that resources can be in place when school starts in September. Teachers, in collaboration with parents and students, complete a Student Learning Plan (SLP), based on Ministry of Education Prescribed Learning Outcomes (PLOs) and personal goals of the family. All SLPs must be completed prior to the first day of school in September for students who enroll before August 20, or within 7 school days for students who enroll after that date. Each student must have an SLP to cover all of the required curriculum areas for their grade level as well as any elective or supplementary courses they are studying. In the case of non-standard languages, the language template provided by the ministry of education and a specific course overview must be completed. A quick Summary of the Topics for each grade, Suggested Resources by grade, Curriculum Planning Guides, and Learning Outcomes written in parent friendly format are available to provide a guide to help parents know what subjects and topics the SLP needs to address. Curriculum selection often occurs as early as May for the following year, corresponding with visits to the home school conventions. Parents must consult with their home teacher prior to making any choices, as it is costly both in time and resources to find that an expensive resource meets very few learning outcomes. CCS Online teachers make every effort to meet with parents to set up their program over the summer months so that they are prepared for September. Once the curriculum is chosen and the SLP is written parents may access resources and services in accordance with the learning resources policy. Purchasing curriculum cannot commence until the SLP s are in place. K-9 Student Learning Plans CCS Online ensures that each enrolled student's educational program: Meets the provincial learning outcomes in the core subjects, Employs a variety of teaching strategies and learning activities; Uses various assessment and evaluation methods; Includes hands-on activities and collaborative and oral language experiences; Meets either the provincial learning outcomes or the learning outcomes established by the Authority for activities in the non-core subjects, Uses authorized learning resources, Is directed by a BC certified teacher, who must complete course planning; engage in on-going content/skill building instruction to students; assess and evaluate student progress; and prepare a minimum of three written reports on student achievement. In summary, the home teacher will establish the student-learning plan to make sure every student s program meets these requirements. Once complete, each student s plan is only accessible by the parent, older students, and teacher and CCS Online administration. Parents should note that these are working documents and adjustments can be made during the year if necessary, for example if certain resources turn out to be unsuitable, or students accelerate through their program or need supplemental materials.

4 Special Needs Families with students with special needs follow a similar plan for developing an IEP as CCS Online families do for SLPs, however there is involvement of external service providers such as psychologists and therapists who make up the student s learning team. Weekly Contact and ensuring students are active Students are not officially enrolled in the DL program until they have submitted the first samples of student work to show active engagement with the work as described in the SLP. These must be completed and submitted within the first week of the start of school. Timeline summary: 1. Parents complete enrolment form and submit all required documentation. 2. Within 2 business days the vice principal or home teacher will call or arrange a face to face interview. If the application is approved a welcome is sent to the parents. Parents are informed by of the reasons if their application is not approved. 3. Within one week a Home teacher is assigned. 4. The Home teacher contacts the parents and meets to set up the SLP within 5 business days of receiving the welcome Within one week at the start of the school year or of meeting the Home teacher parents or students contact the teacher and provide evidence of student activity.

5 Appendix 1a DL Participation Agreement (Home) By (re)enrolling my child with CCS Online Program, I agree to the following terms and conditions (please check each box): CCS Online teachers are responsible for the learning program and I will collaborate with my home teacher to develop and follow my child s student learning plan that will include a description of resources, instructional and assessment strategies and program implementation guidelines. Teachers ensure the content of student learning plans (SLPs) and online courses complies with BC Ministry of Education guidelines. We (parent and child) will meet with our home teacher on at least three occasions during the school year and I will facilitate the meetings in my home and/or a CCS Online facility. I will participate in weekly dialogue with the teacher on my child s progress. Lack of communication for three consecutive weeks may result in removal from the program, and placement of the student as a traditional homeschooler. Lack of communication with the teacher and/or lack of evidence of adequate academic effort could result in delayed approval or payments for expenditures. My child s educational progress will be assessed by CCS Online teachers and reported on a regular basis. I will assist the teacher by gathering, recording and documenting evidence of student achievement as outlined in the SLP. My child will participate in the BC Ministry of Education s Foundation Skills Assessment (FSAs) in Grades 4 and 7. We will have regular access to a computer, printer, and Internet connectivity. One parent will be at home during the school day throughout the year. CCS Online cannot reimburse me for resources I purchase directly. CCS Online can be invoiced or will purchase resources on my behalf, provided they are necessary for the implementation of my child s SLP. I am aware of the following dates as outlined in the Learning Resources Policies: - Deadline for using the allotment for books and resources is April 15th. - ALL invoices must be received in our office by June 15th. - 50% of the allotment can be used between June 1st and October 1st, and the remaining 50% between October 1st and June 15th.

6 I am responsible for the safety and security of all school materials and borrowed equipment and will pay for any items that are damaged beyond normal wear and tear. I will repay CCS Online for any goods/services which do not comply with the SLP, and for which CCS Online has paid the provider. I agree to repay all or part of the total amount paid on my behalf if my child is withdrawn from the program at any time during the school year, or if CCS Online is committed to any expense in excess of agreed-to limits for each child. The information collected on this form is collected, used and disclosed by CCS Online in accordance with the Personal Information Privacy Policy for Parents and Students of CCS Online, a copy of which is available in the Parent Handbook or from the school office.
