1 Concordance Native Viewer Quick Start Guide View near-native documents and images without installing or opening native applications. Why use Concordance Native Viewer? Concordance Native Viewer provides a near-native view of electronic files, s and attachments without opening source software. The viewer shows files formatted as they were originally created. You can also view productions in their original color and produce color or grayscale PDF and TIFF files. With the easy-to-use interface and markup tools, you can view markup history as well as document and image information without having to switch back to the full Concordance discovery management software. And when you re ready to assemble a database, you can keep costs down and save time by producing only the most relevant documents.
2 Installation Before you install: Be sure your server data has been backed up. Have your serial number and activation code handy. If you cannot find your serial number and activation code, contact Concordance Support at or Installation of Concordance Native Viewer requires that the application be installed on individual workstations. When you install the viewer, Brava! Desktop 7.0 is automatically installed as well. Installation steps: 1. Run SetupConcordanceNativeViewer.exe directly on the desktop or workstation. 2. In the Welcome dialog box, click Next. 3. Enter the serial number and activation code you received when you ordered Concordance Native Viewer to activate it, and then click Next. 4. Review the End-User License Agreement. To print the End-User License Agreement, click Print. 5. To continue the installation, accept the terms, and then click Next. 6. To start the installation, click Install. 7. When the installation is complete, click Finish. After installation, users must set viewer preferences within Concordance: 1. In Concordance, from the Tools menu, click Preferences, and then click the Viewer tab. 2. In the Apply user settings to list, click Current user (user name) or All users. 3. In the Apply database settings to list, click Current database or click All databases. 4. In the Viewer list, select Concordance Native Viewer. 5. In the Application path field, enter the file path or click the browse button, and then locate and select the ConcordanceNativeViewer.exe file. 6. Click Ok and then restart Concordance to apply the settings. Importing native files for Concordance Native Viewer When importing native documents into Concordance for viewing in Concordance Native Viewer, it s best to create a new database. The database must contain a valid media (image) key and filepath field: The media (image) key field is used to link the Concordance database with Concordance Native Viewer. The filepath field stores the filepath to the native document. After setting up the database, you can then export the database to an.opt file 1 and import the file into Concordance Native Viewer for review.
3 Steps to import native files 1. In Concordance discovery management software, create the database you want to use with Concordance Native Viewer. This involves: (a) Reviewing the load files you will be importing into the database (b) Creating the database (c) Executing an edit validation for the database For more details on creating a database, go to 2. From the File menu, click Modify, and then make sure you add a media (image) field and a filepath field to store the filepath to the native document. 4. From the Documents menu, click Export, and then click Concordance Native Viewer. 5. In the Export to Concordance Native Viewer dialog box, select the database field where the filepath is stored. 6. Note the location of the output filepath, as this is where the.opt file will be exported. 7. To import the.opt file for use with Concordance Native Viewer, click the View Image (camera) button. 8. In the Imagebase Conversion Source Selection dialog box, in the Exported Load File section, click Select File. 9. Locate and select the exported.opt file, and then click Convert. 10. In Concordance, from the Standard toolbar, click the All button to ensure that all documents are available in the current query. 11. In Concordance Native Viewer, use the Navigation toolbar to move between the documents. Importing native files: After you create your database, use the Modify screen to add a media (image) field and a filepath field to store the filepath to the native document. 3. Import the data into the database. Verify that each record has a unique identifier in the field that you marked as the media (image) key field and that the filepath field displays the filepath to the native document. 1 The exported.opt file must stored in the same folder as the Concordance database file (.dcb). The database folder cannot include existing.cib files. If a.cib file already exists, you must delete the file prior to exporting the database.opt file.
4 Navigating Concordance Native Viewer These are steps you can take if you have already created a.cib file per the previous instructions. Viewing documents 1. In Concordance, open the database you want to view. 2. On the Dynamic toolbar, click the View Image (camera) button. Concordance Native Viewer opens the near-native view of the supported document types, allowing you to review and annotate them. With Concordance Native Viewer open alongside the Concordance application, you can view a record in the Browse and Table views while viewing the same record in the Native Viewer. When Concordance Native viewer is synchronized with the current Concordance database, each tab in Concordance has an associated tab in Concordance Native Viewer displaying the associated document view. You can have up to 16 Concordance Image Base views open at the same time. Each view is accessible using the named tabs at the top of the workspace. Work Area and toolbars Using the tools in Concordance Native Viewer, you can review documents, navigate between records, apply markups (annotations), and adjust the display of the documents or images. By using the media key (image key) field in Concordance, Concordance Native Viewer synchronizes with the current Concordance database and displays the associated documents or images. B) Markup toolbar provides tools for adding annotations to a document during review. C) Navigation toolbar allows you to move between documents and records. D) Thumbnails pane displays small images of pages within the current document. E) Document Information pane contains details about each document, such as corresponding document information, image information and markup history; each media button can be configured to display the information most important to you. 5 Reviewing documents and images Concordance Native Viewer allows you to magnify the original document or image for clarity and inspection, and provides a variety of markup tools specifically designed for privileged content and trial preparation. Once you have reviewed and annotated the content, especially redacting key information, the document markings are automatically saved and the changes secured. Supported file types Concordance Native Viewer works with.tif,.tiff,.jpg,.jpeg,.gif,.bmp,.asc,.pcx,.cal,.cals,.pdf,.doc,.dot,.docx,.ppt,.pps,.pptx,.pptm,.xls,.xlsx,.xlt,.xlw,.msg,.txt,.rtf,.html,.htm,.wk1,.wk3 and.wk4 file types. Concordance Native Viewer stores references to all native documents and image information in a single Concordance Image Base database (.cib) file. The.cib file is located in the same folder as the associated Concordance database (.dcb). Applying markups Use the Markup toolbar to: Redact information Add notes Apply color markings to highlight or underline text Add a circle or box to emphasize a block or region of key content And more. All of these elements can easily be edited, moved, or resized. Markups for the current document/record are displayed in the Markup History tab of the Document Information pane. The Markup History tab displays markup type, title and author. Markup history is also saved in the.cib file.
6 Applying images and stamps The Images tool in the Markup toolbar allows you to insert raster images (.jpg,.bmp or.png) into the current document. Images are created in an image editor for use with Concordance Native Viewer. Concordance Native Viewer comes with 16 images, such as Draft, Final, Reviewed and Witness. You can also use the Stamp tool in the Markup toolbar to add stamps. The stamp list in the Markup Properties toolbar lists the four default stamps that come with Concordance Native Viewer. Applying redactions When confidential information needs to be hidden in a document for production, use the Redaction tool. Redactions associated with the produced document cannot be edited or removed. Once the document is produced, any text or images concealed by a redaction cannot be viewed, copied or searched. The Redaction tool allows you to place one or more redactions (rectangular boxes) over various areas of sensitive information within a document. In Concordance Native Viewer, the redaction appears transparent to allow you to make sure the redaction covers the information you want to conceal. When a production is executed, the redaction becomes opaque, concealing the information underneath. Two ways to apply a redaction: 1. Draw a single redaction line across a sentence or part of a sentence. or 2. Draw a redaction box over an area of the document or image (shown in gray on the left).
7 Please note: If you need to export the body text for a production, you will need to repeat optical character recognition of the images after the redactions have been burned in. When you are redacting a bulleted or numbered list, it s best to always apply redactions using the rectangle redaction tool. This ensures that the list content is completely redacted when the image is produced and/ or printed. Begin drawing the rectangle in the margin, outside the text area, to ensure all information is redacted successfully. Since PDF files are not flattened or burned, when producing PDF files the redacted information is removed from the file before the redaction is placed. The production process physically removes the hidden text from the produced file; the original document is not altered. If you want to purchase new licenses or cannot find your serial number and activation code, contact Concordance Support at or concordance-sales@lexisnexis.com. When you print a document or image that contains a redaction, the redaction will print transparent, rendering the underlying information visible. If an opaque redaction needs to be printed, run the documents or images through production and print the produced files.
