3 OVERVIEW The purpose of this donor recognition plan is to recognize and engage University of Washington donors, encouraging lifetime support. This document provides a standardized recognition strategy for University Advancement to use with all UW donors. It matches the level and type of recognition to the donor s age, giving level, and giving interests, as well as the donor s preference for public recognition (or anonymity) for their charitable gifts. Vision: Each and every donor is glad they gave and wants to give again. BEST PRACTICES Best practices enhance and encourage life-long relationships between the donors and the University of Washington. These consist of but are not limited to: Processing gifts accurately and in a timely manner Acknowledging gifts in an appropriate and timely manner Reporting information to donors on the use of their gifts by the UW Sending letters of appreciation to donors by students, faculty, and staff Publicly recognizing gifts and donors in an appropriate and meaningful way The Stewardship Best Practices Checklist has been created for Advancement officers and their staff to use in determining stewardship activities for donors to their specific school, college, program, or campus. (See Stewardship Best Practices Checklist in the addendum.) A Donor Bill of Rights, developed by the American Association of Fund-Raising Counsel, the Association for Healthcare Philanthropy, the Council for Advancement and Support of Education, and the Association of Fundraising Professionals, provides guidelines that should be part of every stewardship program s best practices. 4 ANNUAL GIVING RECOGNITION THE PRESIDENT S CLUB The President s Club (TPC) recognizes fiscal year annual gifts of $2,000 or more to any area of the University. Giving Levels: President s Club Gold: $10,000 and above President s Club Purple: $5,000-$9,999 President s Club: $2,000-$4,999 Benefits: Complimentary membership and benefits in the UW Alumni Association Invitations to special events throughout the year, including the Annual Recognition Gala Annual recognition in the Report to Contributors Personalized TPC/UWAA membership card Reduced-rate permits for Seattle campus parking Borrowing privileges at the UW Libraries Access to the Waterfront Activities Center and the Golf Driving Range, including golf lessons at reduced rates Credit toward Tyee points for Tyee donors (the number of points accrued is contingent upon the contribution designation) The Annual Giving Office coordinates the annual TPC event at an on-campus venue. THE PRESIDENT S CLUB YOUNG LEADERS The President s Club Young Leaders is a new generation of leaders for the UW. It was founded in 2007 with 512 individuals and created an opportunity for young alumni from the entire University community to network, socialize, and build relationships with other UW alumni and friend Giving Levels: Age 30 and under: $500 and above Age 31-35: $1,000 and above Benefits: Same as President s Club benefits with the exception of Tyee points. 5 THE PRESIDENT S CLUB MAILING PACKET On a weekly basis, Donor Services identifies all new TPC donors and sends them a packet of materials which includes: a card carrier with messages from UW Interim President Ana Mari Cauce and the UW Alumni Association, TPC/UWAA membership ID card(s), a UWAA Benefits brochure, a Commuter Services letter/parking permit order form, and return envelope. 6 LIFETIME GIVING RECOGNITION BENEFACTORS Individuals and organizations who have given, pledged, or have a deferred gift with a cumulative giving level of $100,000 - $999,999 are called University of Washington Benefactors. Benefits: Recognition at the University s Annual Donor Recognition Gala Complimentary invitation/cost to Gala for first year achieving Benefactor level Listing in the UW s annual Report to Contributors Benefactor certificate Invitations to academic programs, lectures and special events Borrowing privileges at UW Libraries Access to the Waterfront Activities Center and the Golf Driving Range (including golf lessons) at reduced rates Discount parking on the Seattle campus Credit toward TYEE points for TYEE donors (number of points accrued is contingent on contribution designation) Donor Services is responsible for maintaining and publishing the definitive lists of University Benefactors (individuals and organizations); notifying Advancement directors of new individual Benefactors; drafting vice presidential acknowledgment letters; producing Benefactor certificates and identification cards; and coordinating other appropriate recognition for Benefactors. 7 BENEFACTOR CERTIFICATE In March 2003, special Benefactor certificates were created as a presentation piece to give to new individual Benefactors. These personalized certificates are signed by the UW president, Board of Regents chair, and UW Foundation chair. The purple, padded, leatherette certificate holder embossed with the University seal on the cover was replaced in March 2010 with classic columns paper folders due to budget cuts. 8 LAUREATES Individuals and organizations are recognized for achieving a cumulative giving level and/or pledge of $1,000,000 or more. In 2002, the title University of Washington Laureates was designated by Vice President of Advancement Connie Kravas to honor our million-dollar donors. The Laureate giving levels are: Regental Laureate $100,000,000 and above Presidential Laureate $10,000,000 - $99,999,999 Laureate $1,000,000 - $9,999,999 Benefits: Name listed on Donor Wall in Suzzallo Library Complimentary parking on the Seattle campus Special dinner at the UW president s residence Laureate gift (vase) Recognition at the University s Annual Donor Recognition Gala Complimentary invitation/cost to Gala for first year achieving Laureate level Listing in the UW s annual Report to Contributors Invitations to academic programs, lectures and special events Borrowing privileges at UW Libraries Access to the Waterfront Activities Center and the Golf Driving Range (including golf lessons) at reduced rates Credit toward TYEE points for TYEE donors (number of points accrued is contingent on contribution designation) Laureate ID Card Donor Recognition 2016 Edition Page 7
9 LAUREATE DONOR WALL The first Laureate (Million Dollar) Donor Wall, located in the lobby of Gerberding Hall, formerly known as the Administration Building, was created in 1992 to commemorate the end of the UW s first university-wide capital campaign, which raised $284 million. With their permission, qualifying individuals and organizational donors were recognized separately in two display cases containing names engraved on crystal plaques. Because the number of donors outgrew the donor walls, a larger donor wall was constructed in the newly renovated Suzzallo Library in The beautiful new Laureate donor wall, located in Suzzallo Library, became available for public viewing at the Inaugural Recognition Gala on September 6, It is located in room 102 (immediately to the left upon entering Suzzallo from Red Square). This donor wall is constructed of glass panels, made to look like pages of open books. Donors names are silk screened onto the panels and arranged alphabetically by the year they achieved Laureate status. Laureate Donor Wall in Suzzallo Library On the donor wall, organizations are listed above the university seal, and individuals are listed below. Giving Levels (Donors names are color coded to indicate their giving level): Regental Laureates ($100M and up) printed in red text Presidential Laureates ($10M-$99,999,999) printed in blue text Laureates ($1M-$9,999,999) printed in grey text Donor Services is responsible for maintaining the definitive list of University Laureates (individuals and corporations/foundations/ associations), managing the Laureate donor wall process, and coordinating appropriate recognition for Laureates with Advancement staff and the President s Office. The donor wall is updated once a year (in August), in time for the annual Gala held in September. Donor Recognition 2016 Edition Page 8
10 LAUREATE DINNER Staff from Principal Giving obtains the list of new Laureates from Donor Services, coordinates with the President s Office a special dinner at Hill-Crest, the president s residence, or another venue to honor new million-dollar donors. The dinners are held once a year. Donor Services provides the vases for presentation at this dinner. Hill-Crest The President s Residence LAUREATE VASE In 2008, President Mark Emmert s wife, DeLaine Emmert, suggested offering a vase as a gift to new individual Laureates and presenting them at the Laureate dinner. These elegant vases are designed and produced by glass artist Dehanna Jones 92 of Totally Blown Glassworks. Donor Recognition 2016 Edition Page 9
11 PRESIDENTIAL LAUREATE COMMEMORATIVE GLOBE Presidential Laureates ($10M donors) are presented with a beautiful commemorative globe at the Annual Recognition Gala. These unique, hand-blown glass globes, encircled with metal and inscribed with the donor s name, were inspired by the magnificent globes suspended from the ceiling in Suzzallo Library s Graduate Reading Room. The Presidential Laureate globes were designed and created by glass artist Dehanna Jones 92 of Totally Blown Glassworks and metal artist Gabriel Hajiani 95 of Rubicon LLC. Presidential Laureates may also be publicly recognized at a UW home football game, if they wish, where they would be presented before the audience and their name(s) would appear on the Huskytron. 12 DEFERRED GIVING RECOGNITION HENRY SUZZALLO SOCIETY The Henry Suzzallo Society recognizes individuals who have made revocable or irrevocable deferred gift commitments in the form of bequests, life insurance, trusts, etc. A packet of information including a recognition letter and certificate of membership, signed by the UW president and UW Foundation chair, is prepared and mailed by the Office of Gift Planning. Recognition activities, tailored specially for the age group of these donors, gift level, and giving interests, include an annual reception or meal with special presentations on campus, individualized outreach efforts and stewardship. 13 EVENTS University Marketing and Communications plans and delivers annual and ad hoc events tailored for donors at all giving levels, including fund-raising events. Other designated groups include donors who give to an annual UW priority, c/f/a donors, the UW Foundation Board, or major gift donors attending a UW bowl game. Annual events include a recognition gala event in the fall, President s Club reception (produced by Annual Giving) in the summer, a Henry Suzzallo Society event in the summer, Costco Scholarship Breakfast in the fall, and other scholarship fund-raising events. Examples of tailored, ad hoc events include a reception in the Petersen Room of the Allen Library when a new gift is announced, a unique classroom experience for major gift donors, or a dinner with the president for a select group of donors to a UW priority Gala in the Suzzallo Library Reading Room Donor Recognition 2016 Edition Page 12
14 PUBLICATIONS University Marketing and Communications coordinates University Advancement recognition and stewardship publications, including the Report to Contributors, gift planning brochures, as well as other central Advancement publications as needed. Report to Contributors This annual publication is mailed in November or early December each year. In December 2014, 6,886 households received hard copies of the Report to Contributors As part of our go-green efforts, an additional 15,802 annual donors received an with a link to the RTC online. University Marketing and Communications coordinates marketing for University Advancement, including advertising in Columns, Puget Sound Business Journal, and other publications. STRATEGIC STEWARDSHIP Donor Services manages the annual Consolidated Endowment Fund (CEF) Mailing Project. This project consists of creating the stewardship letter which is signed by the Vice President for University Advancement explaining investment of the CEF and its performance in the previous year(s), printing out the unit reports relevant to the donor, and mailing them with the yearly UW Endowment Report by the Treasury Office. 4,742 households and 1,384 organizations received the CEF mailing in November Other forms of stewardship are provided by contingent Advancement officers. 15 OTHER FORMS OF RECOGNITION NAMING OPPORTUNITIES BUILDINGS, INTERIORS, OR SPACES ENDOWMENT AND PROGRAM MEMORIAL BENCHES The process for naming a building, room, lab, outdoor space, or physical object, and for placing a commemorative plaque takes time and involves an extensive review process and many people. Naming provides recognition for a donor or other individual or organization. Therefore, it must be undertaken with care and consultation. In the past, the University s policy favored naming buildings for individuals no longer living and discouraged other namings and the placement of memorial plaques. As private giving to the University increased, so have opportunities to recognize the generosity of donors through the naming of campus facilities and the placement of plaques. When naming is gift-related, the size and visibility of the space or object named should be consistent with the size and purpose of the gift. The Campus Names Committee is responsible for reviewing all names proposed for campus buildings, rooms, facilities, or physical objects, and for making recommendations regarding naming to the president. The Board of Regents has sole authority to assign the name of any building at the University. When the proposed name is that of an individual or entity, a proposed name must first be approved by the Campus Names Committee, which conveys its recommendation to the president who, subject to his or her approval, forwards it to the Regents. The vice president for University Advancement, who is a member of the Campus Names Committee, should be consulted about all gift-related namings before negotiations begin with a donor. See Facilities and Spaces Naming Policy in the addendum for the entire approval process. See Endowment and Program Naming Policy in the addendum. See Memorial Benches Policy in the addendum. SPECIAL FORMS OF RECOGNITION Special forms of recognition include appropriate gifts for volunteers and major gift donors. Examples might be engraved pens, personalized jackets, framed campus photographs, UW calendars, UW Monopoly games, and special books (e.g. The Fountain and the Mountain). 16 ACKNOWLEDGMENTS The following is an overview of the central Advancement acknowledgment process: RECEIPTS Gift Processing generates and sends receipts to every donor for every gift. Beginning February 2011, first-time donors are acknowledged on their receipt and sent a UW car decal. ACKNOWLEDGMENTS TO INDIVIDUALS In addition to receipts mailed by Gift Processing, individuals may receive acknowledgment letters from the UW president, the vice president for University Advancement, and deans/chairs/chancellors in the various schools, colleges, programs, and campuses. Donor Services is responsible for initiating and coordinating the acknowledgment process for lifetime and annual giving-level donors (Laureates, Benefactors, and President s Club) with University Marketing and Communications, Advancement officers, and other staff. This includes identifying new donors at all giving levels and passing the information on to the appropriate staff. It also includes coding all new Laureates and Benefactors on Advance and checking that the status is accurate. As of May 2004, new President s Club members are coded on Advance automatically each evening, and a report is produced each week on ReportWriter.NET for follow-up. Donor Services produces and mails acknowledgment letters and materials to all President s Club level donors within 10 business days of the report date that identifies the donors. Most often, we mail within 3 business days. Donor Services is responsible for writing personalized letters over the vice president s signature to all donors whose cumulative lifetime gifts and pledges total $100,000-$999,999. In addition, gifts of $100 - $24,999 to the President s Funds are also acknowledged. University Marketing and Communications is responsible for writing personalized letters over the president s signature to all donors who give or pledge $500,000 or more to the University. At the president s or vice president s request, special letters are drafted for gifts of any amount. This includes giving from individuals, as well as corporations, foundations, and associations. At the end of the following two-page matrix is a list of events, publications, and other forms of recognition for which central Advancement and UW Marketing are responsible.
