5 Introduction Purpose of This Document This document provides an overview of the new features and enhancements that are planned for PeopleSoft Enterprise Learning Management (ELM) 9.1. It is a roadmap intended to help you assess the business benefits of PeopleSoft ELM 9.1 and to plan your information technology (IT) projects and investments. PeopleSoft Enterprise Learning Management 9.1 Enhancements PeopleSoft ELM 9.1 will deliver an expanded feature set that enables organizations to manage their learning environment proactively and to ensure that employees acquire knowledge and skills consistent with corporate objectives. Enhancements focus on the following areas: Usability Administrative Efficiency Talent Management Integration Usability PeopleSoft ELM 9.1 includes enhancements designed to improve usability for learners, managers, instructors, and administrators. The topics that follow describe the enhancements by major grouping. Calendar Views Learners and instructors can access their upcoming scheduled learning activities using a daily, weekly, or monthly calendar view. These calendar views enable you to review the details of your scheduled activities and launch webcasts directly from the calendar. Links on this page enable you to access detailed information about scheduled activities and their locations. Links on this page provide access to detailed information about the session and activity rosters and about facilities for scheduled activities. 9 Facilities Calendar - Monthly page This page enables you to view the locations of scheduled activities to help you determine space availability for new learning activities. 10 Facilities Calendar - Reserve a Room page Learning Plans PeopleSoft ELM 9.1 expands learning plan functionality to enable learners, managers, and administrators to create multiple, distinct learning plans. Learning Plan Creation and Updating Learners can use the Learning Plan feature to categorize their planned learning events into groups that work toward a particular goal or objective. For example, if you decide to pursue a particular career path within the organization and view the objectives associated with that job role, then you can identify the learning activities that meet the job role objectives, create a new learning plan, and add all of those learning activities to your new learning plan. 11 Learning Plans - Current Learning Plans page You can use this page to view current learning plans and to create new learning plans. After you complete all of the learning associated with a learning plan, that learning plan moves to the Learning Plans - Learning Plan History page. 12 Team Learning Plans Team Learning Plans - Current Learning Plans page As a manager, you can use this page to view a list of learning activities that your team members are enrolled in, and the curricula and certifications for which they are registered. You can view the details, progress status, and schedules for their learning by clicking the name of the activity or program. 13 Learning Request Management PeopleSoft ELM 9.1 includes enhancements to the Maintain Learning Requests component. Current Learning Requests Maintain Learning Requests - Current Learning Requests page This page enables you to specify criteria for searching current learning requests. The search results appear in a sortable table that quickly identifies the learning requests and the requested seats, and allows you to view the details of the requests and assign activities to those requests as appropriate. 14 Maintain Learning Requests - Learning Request History page Using the same enhanced search filters as the Maintain Learning Requests - Current Learning Requests page, this page enables you to quickly search for learning requests and view the transactional history of each learning request, including the name of the person who took the action and the date. This page enables you to monitor the learning requests that have come into the system and to see how the system did or did not fulfill them. This page provides an easy way for you to view and manage all of the learning requests to meet the learning needs of your company most effectively. Administrative Efficiency PeopleSoft ELM 9.1 includes enhancements designed to improve the daily administrative operations of the application. It also has enhancements specifically for our French customers. The topics that follow describe these enhancements by major grouping. Configurable Surveys PeopleSoft ELM 9.1 introduces the ability for you to create internal surveys from within the application that you can attach to an activity as a survey learning component. 15 Survey Definitions Survey Definition page This page enables you to define surveys with multiple questions of various types, such as yes/no, single answer, multiple choice, or free text responses. You can place a value on each response and score them. You can use each survey with one or more activities. Automatically Generated Course Codes You can configure the system to automatically generate alphanumeric course codes and activity codes when you set up the Install Defaults page. Example of automatically generated Course Code options The portion of the code entered in the Course Code field is static, and the system increments the numerical value in the Extension field whenever you create a new course code. This functionality enables you to create course items and activities quickly and ensures that you never create identical codes. Multiple Global Objectives One learning activity can apply to multiple global objectives. To accommodate this practice, the system allows you to assign multiple global objectives to catalog items. 18 Catalog item with multiple Global Objectives You can associate multiple global objectives with a catalog item, but you can designate only one global objective as primary. You sort activities by global objective when you create training plans. For catalog items with multiple global objectives, only the global objective designated as primary appears in the training plan. Reasons for Inactivating Activities PeopleSoft ELM 9.1 enables you to select reason codes for setting the status of activities to Inactive. 20 Activity Details page When you change the status of an activity to Inactive, you can enter a value in the Reason field to indicate why the activity is inactive. In addition, you can enter comments to provide further information about the inactivation. URLs for Activities and Catalog Items PeopleSoft ELM 9.1 enables you to include live URLs in notes for activities and catalog items. Example of URL field in Activity Notes When defining notes and attachments for activities and catalog items, you can enter a URL. Learners can click this active URL link to access notes and attachments for activities and catalog items. Automatic Ad Hoc Cost Calculation When you define ad hoc costs for activities on a per student basis, PeopleSoft ELM 9.1 can automatically update the estimated activity costs based on the appropriate number of students. 21 Activity Cost Auto-Update options The value you select in the Auto-Update Option field enables you to determine whether and how you want the system to automatically derive the value of the Quantity field. Pending Activities Included in Conflict Checks When you schedule a session learning component, the system takes into account activities with a status of Pending when it checks for session conflicts. These activities appear, along with any others, on the Session Conflicts page so that you can easily determine whether you are scheduling activities with the same resources. Restrict Enrollment for Waitlisted Learners PeopleSoft ELM 9.1 enables you to restrict enrollment for waitlisted learners at the learning environment level and the activity level. 22 Learning Environment Level Learning Environment Level Enrollment Defaults page Using the Last Waitlist Enroll field, you can enter the number of days before the start date or after the enrollment date that the system no longer automatically enrolls waitlisted learners when an enrolled learner drops an activity. The system uses this value to determine the default value of the Last Waitlist Enroll Date field on the Maintain Activities - Activity Details page. You can edit this value at the activity level. Activity Level Activity Waitlist options You can use the Last Waitlist Enroll Date field to update or enter the date after which the system no longer automatically enrolls waitlisted learners when an enrolled learner drops an activity. Reserved Seats for a Department or Organization PeopleSoft ELM 9.1 enables you to reserve seats in an activity for a particular department or organization. Copyright 2009 Oracle. 23 Activity seat reservation options When you enter values in the Reserve Seats for and Name fields, the system reserves seats for learners associated with the department or organization that you select. Enhanced Display Options for Notes and Attachments PeopleSoft ELM 9.1 enables you to determine who can see activity and catalog item notes. You can display notes and attachments in activities to no learners, to all learners, or only to learners enrolled in an activity. Your selection ensures that access to information about the activity appears only to appropriate learners. Activity Notes display options You use the Display To field to set the note to not display to any learners, to display only to learners enrolled in the activity or catalog item, or to display to all learners. Optional Learning Component Description When you add learning components to activities, the learning component Description field is now an optional field. It enables you to create learning components quickly without unnecessary descriptions. Search for Instructors by Availability You can limit your instructor searches to available instructors only. 24 Instructor Search page If you select the Available Instructors Only check box, the system returns search results only for instructors who do not have a conflict at the session times and who meet all other search criteria entered. This search option enables you to find instructors who are available to teach sessions before you create a session. Optional Addition of Learning Components after Enrollments An option on the Install Defaults page enables you to add new learning components to existing activities even after learners enroll in the activities. Add Learning Components after Enrollment option Notification Template Modifications PeopleSoft ELM 9.1 enables you to clone existing notification templates and to create customized templates. 26 Notification Template Definition page (2 of 2) The notification category that you select determines the variables that the system displays in the Template Variables group box. You can opt to generate the resulting from a notification template in HTML format. In addition, you can include any attachments that are associated with the relevant activity, facility, program, or equipment with the that is generated using this notification template. Configurable Notification Events PeopleSoft ELM 9.1 enables you to modify, activate, and inactivate the notification events delivered with the system. Copyright 2009 Oracle. 27 Configure Notification Events page You cannot delete a delivered notification event. However, by setting its status to Inactive, you can prevent the system from generating any notifications that it triggers. Each event triggers the generation of notifications to particular recipients. You can configure the event to trigger notifications using separate notification templates for different combinations of recipient types and learning environments. For example, you can set up an activity reminder notification event that triggers the generation of one activity reminder notification for learners and a separate activity reminder notification for instructors, both for the same upcoming activity. Generic Ad Hoc Notifications You can send generic ad hoc notifications to individual recipients or to all recipients associated with one or more customers, departments, job codes, or learner groups. 28 Ad Hoc Notification page This page enables you to quickly configure and send ad hoc notifications to an appropriate group of employees to notify them of learning events or other relevant issues. You can send these notifications in html format and include attachments with them. Training Plan Budget Model PeopleSoft ELM 9.1 provides a budget modeling tool that enhances your ability to plan and adjust training plans based on budget data. Copyright 2009 Oracle. 29 Training Plan Budget Model page The Training Plan Budget model imports data from a specific training plan and displays the current training demand and budget. You can enter hypothetical demand numbers to model your planned learning for the year and to calculate the costs associated with the hypothetical demand. You can analyze the budget model to see how it compares with the budgeted amount and, as the year progresses, you can use the budget model to compare your actual costs with your planned costs. Training Plan Report The Training Plan report includes a From Learning Request Yes/No field. When you submit a learning request and the system assigns an activity to that learning request, the system tracks the source of that enrollment as coming from the learning request. The system lists these enrollments in the Training Plan report and flags them with a value of Yes in the From Learning Request field. Training Plan Status Options The Training Plan Status Options page includes program registrations and supplemental learning status options. These options enable you to include both program registrations and supplemental learning in the Training Plan report. You can also include supplemental learning costs in the Training Plan report. Estimated Hours for Learning Requests You can specify estimated hours for learning requests. Maintain Learning Requests - Training Plan Attributes page The estimated hours you define for learning requests appears in the Training Plan Report. 31 Team Learning page with DIF column displayed The DIF column on the Team Learning page provides an easy way to see, at a glance, the DIFapplicable learning for your team members. To display this column on the Team Learning page, you must have the French feature enabled for your leaning environment. (FRA) DIF Request Reminder When defining country-specific defaults for your learning environment, you can specify when the system sends DIF request notifications. DIF Request Reminder Days Learners in France submit DIF requests to have learning activities applied toward their training entitlement for the year. DIF requests have an initial status of pending. By law, requests must be either approved or denied within 30 days or penalties are incurred. To ensure that companies approve DIF requests in a timely manner, the system sends DIF Request Reminder notifications. This notification is sent to the approver of the DIF request after the number of days defined in the Learning Environment in the new DIF Request Reminder Days field. Example of Learning Environment country-specific defaults The DIF Request Reminder Days field enables you to enter the number of days after an initial DIF request is submitted that the system issues a notification to the DIF request approver. DIF Request Reminder Notification Template When you generate DIF request reminder notifications using the DIF Request Notifications page, the system uses the LM_PDAPPRV_DIF notification template definition. Talent Management Integration PeopleSoft ELM 9.1 includes enhanced integration points within Oracle s PeopleSoft Enterprise HCM Talent Management suite of products. The topics that follow describe these enhancements by major grouping. eperformance Integration Clear communication is the key to creating a high-performance culture. In addition to communicating what is expected of employees by establishing goals, competencies, and responsibilities, companies must communicate how employees can achieve these results. Therefore, organizations establish learning activities that tie directly to corporate strategies, key competencies, and job role success. PeopleSoft ELM 9.1 provides the following enhanced integration with PeopleSoft Enterprise eperformance: You can view all completed and planned learning from within the context of a performance evaluation and incorporate them into an individual s overall performance rating. From learning sections in performance documents, you can search for learning based on your role (learner, manager, or administrator), automatically navigating to the appropriate PeopleSoft Enterprise Learning Management component. Any learning you add in the PeopleSoft Enterprise Learning Management system is likewise reflected in the performance document when you refresh it. Managers and employees can initiate a performance gap analysis and search for learning targeted to meet an employee s performance needs directly from a performance document. Any courses in which the employee is enrolled are immediately reflected in the performance document. Copyright 2009 Oracle. All Rights Reserved Page 33

37 The system creates learning objectives within Enterprise Learning Management based upon any gaps between an individual s desired and actual proficiencies from the performance document. From within Enterprise Learning Management, individuals can search for and complete learning targeted toward meeting those proficiency gaps. Upon completion of the learning activities, Enterprise Learning Management reports new proficiency ratings back to eperformance and displays them in the performance document. Career Planning Integration To meet the competencies needed to be successful in various job roles, organizations identify learning activities designed to train employees to meet the proficiencies needed. PeopleSoft Enterprise Human Resources 9.1 Career Planning provides a link to PeopleSoft ELM 9.1 that enables managers and employees to search the learning catalog and add learning activities directly to an employee s training plan. After an employee completes the learning activities, the training plan displays the updated learning and the employee s new proficiencies. Succession Planning Integration To structure a successful succession plan, you must identify the learning that is needed to prepare individuals for a potential future position. PeopleSoft ELM 9.1 provides these enhancements to its integration with PeopleSoft Enterprise Human Resources 9.1 Succession Planning: You can designate learner groups as Used For Talent Pool. PeopleSoft ELM 9.1 enables you to configure learning curriculum that is designed to train employees for a specific position, associate it with the appropriate Talent Pool learner group, and send it to PeopleSoft Enterprise Human Resources 9.1 Succession Planning to be added to a talent pool. When you add employees to a talent pool, the system sends them to PeopleSoft ELM 9.1 and adds them to the appropriate Talent Pool learner group. Those employees then have access to the learning curriculum and can enroll and complete the learning activities needed in preparation for the new position. Enhancements That Are Common to Multiple Applications This section discusses new enhancements that are common to multiple applications. 38 Events and Notifications Upgrade Framework Application Integration Framework Application Integration Framework extends PeopleSoft Integration Broker functionality to provide a standard way to represent, classify, store, query, publish, acquire, and invoke data that maps element names, structures, and values between PeopleSoft Messages and external system messages. Two important features of Application Integration Framework include; the Domain Value Mapping (Static Cross-references) and Dynamic Cross-referencing. These two mappings enable PeopleSoft Values to be mapped to other applications. Also, there are various APIs being provided as part of this framework to access the Domain Value Mappings and Dynamic Cross-references, such as PeopleCode APIs, XSLT Extensions Functions and also WebService calls. These APIs can be used in supplement with PeopleSoft Integration Broker to send and receive messages with other PeopleSoft systems or third-party systems. If the message structure differs between systems, transformation programs are used to transform the incoming or outgoing message to a message format that the PeopleSoft system understands. The primary purpose of Application Integration Framework is to create integrations with other Oracle Applications using the Application Integration Architecture without requiring an application upgrade. The framework is generic enough that is could be used for PeopleSoft integrations with any external system or with other PeopleSoft systems. See Also Application Integration Framework PeopleBook Approval Framework Approval Framework is a user configurable tool that utilizes Pure Internet Architecture and PeopleTools Workflow to create dynamic approval processes that fit the needs of each organization. Approval Framework replaces Virtual Approver and puts most configuration control in the hands of the business analyst. In the PeopleSoft Enterprise 9.1 release, Approval Framework focused on Flexibility, Configurability and Control. These enhancements help to streamline configuration tasks and provide additional details and functionality for approvers. Flexibility: Three areas were the main focus: Notification, Timeout and User Lists. Additional configuration options: The administration monitor has added a layer of configurability that allows actions to be enabled/disabled for each Transaction Registry. The Monitor Configuration page controls both the Search and the Actions page of the Monitor Approvals. The information displayed on the page can now be specified. 39 Control: Two new features are meant to provide control to the user: The first one is a new User Monitor. It is intended to be a one-stop shop for the user to review transactions that he either initiated or is a designated approver on. The other new area of control is in reporting. See Also Approval Framework PeopleBook Desktop Integration Desktop Integration is a completely new feature providing seamless integration between Microsoft Office and your PeopleSoft applications, enabling your organization to schedule and track appointments, meetings, tasks, and corresponding documentation. The Desktop Integration framework allows PeopleSoft applications to extend functionality into the Microsoft Office 2007 suite. Providing the ability to launch Microsoft Outlook from a PeopleSoft web page and pass the application data to Outlook (Calendar or ). A two-way communication is established between the PeopleSoft application and Microsoft Outlook, with Outlook receiving the information from and sending updates to the PeopleSoft application. Oracle delivers this functionality as part of the PeopleSoft Enterprise Components that are available with all PeopleSoft applications. Powerful integration scenarios include interview scheduling without leaving your PeopleSoft application, delivered tasks and dynamic displays that are customizable to suit your particular user groups and business needs. Address books that enable you to leverage PeopleSoft data to update Outlook users local address lists or to control the addresses available within the PeopleSoft Outlook Meeting Scheduler. The Desktop Integration framework consists of the following components: The Microsoft Outlook and Word add-ins contain all the pieces necessary to send information to and receive information from the PeopleSoft applications. Microsoft Office add-ins invoke functions in this layer for user authentication, launching web services to receive and send data from the PeopleSoft application. On the PeopleSoft side, services and app-classes exist that accept the requests from Microsoft Outlook and Word and perform the necessary actions and data retrieval. Oracle uses the Integration Broker to connect Microsoft Outlook and Word to the PeopleSoft applications. Oracle delivers predefined interfaces and security classes. The Desktop Integration layer creates, updates and moves the data in and out of the PeopleSoft system and is responsible for responding to all events. As events are processed, control is optionally passed to the PeopleSoft Application Layer for handling. Any application-specific functions are contained within the PeopleSoft Application Layer. 40 Find Object Navigation Use the Find Object Navigation utility with any PeopleSoft Pure Internet Architecture page to locate the navigation path for a component, page, content reference, or portal. When you select your search criteria and click the Find Navigation button, the resulting navigation paths appear with links that enable you to navigate directly to the page that you specified in your search. Frequently, several ways are available to access a page. Reviewing all of the navigation paths may help you find the page in a more intuitive way. Additionally, when used as an internal tool, this utility can be very helpful during PeopleTools and application upgrades. Events and Notifications Events and Notifications is a framework that enables you to define, implement and run business logic for business events. The Notification Dashboard is a central location to view information related to notifications, warnings, and alerts that occur within many batch or online processes throughout the system. You can receive notifications using , worklist or XML messages when an event occurs. PeopleSoft Query can be used in combination with the Events and Notifications Framework feature to generate alert messages based on data within one or more PeopleSoft tables. The Events and Notifications framework was created to combine existing Event functionality from HCM and Events, Warning, and Notifications in SCM to be a common framework that could generate multiple kinds of notifications, required a very light API to implement and had a minimal set of required registry data. This combined framework is now available in all PeopleSoft Applications. See Also Events and Notifications Framework PeopleBook For collaboration, please note the following limitations on BlackBerry and iphones: BlackBerry does not allow its delivered applications to override the default application for attachments. Currently, the BlackBerry application opens the HTML attachment as a text document. If the user is using a 3rd party application, then the HTML displays properly. Currently, iphone OS 3.1 does not support any Approval options. You must use a 3rd party application that supports javascript in the . Upgrade Framework The Upgrade Data Conversion Analyzer is a new Application Engine (AE) program. For a given upgrade path, the Analyzer gathers a list of AE Sections required for data conversion and stores these in a new repository. Each SQL statement (including SQL Statements within PeopleCode) is then analyzed to derive a list of tables that are manipulated or queried during the execution of the SQL. Once all the SQL is analyzed, the information is used to derive section dependency information which is then saved in the repository. The Upgrade Data Conversion Runtime is a new Application Engine program. The Runtime uses the information generated by the Upgrade Data Conversion Analyzer to improve the execution of the data conversion. Optimization is achieved through increased parallelism at runtime. PeopleBook Improvements We made several enhancements to the PeopleBook documentation in the areas of content breadth, organization, and usability. Hosted PeopleBooks. Starting with this release, our new Hosted PeopleBook solution allows you the option to access your context-sensitive PeopleBook help directly from our hosted server. We will update the hosted documentation on a regularly scheduled basis to ensure that you have access to the most current documentation. This solution reduces the need to view separate maintenance documentation postings on MetaLink 3 since we will incorporate that documentation into the hosted PeopleBooks content. We also will offer updated installable HTML PeopleBook Libraries for those who prefer to have the documentation installed on their local server. We will post updated PDF versions of PeopleBooks to OTN based on the content update schedule. The hosted and updated installable PeopleBooks will be available in English only. Translated PeopleBooks will be offered in their original GA state via epd. Installed PeopleBook Organization. You ll notice a big change as soon as you install PeopleBooks. We now deliver PeopleBooks logically grouped by product line and functional area so that books are easier to find when you access them online. Improved Application Page Navigation Documentation. Navigation to an application page now appears wherever a page is defined in our documentation. In addition to the navigation being listed in the Page Introduction Table, the navigation will be listed at each location in the PeopleBook where the application page is discussed in detail. This improvement eliminates the need for customers to look elsewhere in the book for the page navigation. More Examples. UPK also may provide system process documentation, user acceptance test scripts, training materials, role-based performance support, and documentation. For this release, we broadened our UPK footprint with more UPK content offerings than ever before.
