3 Introduction to LO LO LO Manual Design and Conventions Each chapter of the Luminate Online Manual has been formatted in such a way so that you can learn the material as easily as possible and locate the information you need as quickly as possible. Here are the conventions and design features you ll want to be aware of: Each Manual Chapter provides an overview of what s taught in its corresponding class and describes the learning goals for that particular course. Each chapter contains a Table of Contents, so that you can locate information quickly. At the end of most chapters are Job Aids, which are summarized steps of the different required tasks you learned in class. (Please note that knowledge-based courses do not contain Job Aids.) All manuals have screenshots of the different areas of Luminate Online that accompany written directions. These screenshots provide you with visual examples of what is explained in the instructions. There are circles and arrows on each screenshot and the colors of these pertain to the following: -Lime green: Pay attention to this area -Red: Click on this button/icon/hyperlink -Dark blue: Click on and choose from a drop-down menu -Light blue: Enter text into this field -*: indicates important information There are also several icons used in the manual chapters: = Indicates a Helpful Hint = Indicates a Reminder of something important covered in class = Indicates a Job Aid 2015 InterChange University 2
4 Introduction to LO LO 1: Introduction to Luminate Online Overview: In this fundamental class, administrative users new to Luminate Online (LO) will learn the basics of both the front and back-end of this application. You will learn about the kinds of information that can be captured from a TSA website and then stored on constituent records from these pages. You will also learn how to navigate through the administrative side of LO, understand the locations of the different menu bar options, personalize the administrative pages, and be able to access LO s online help resources. Assumptions: This course assumes you are a new Luminate Online administrative user. This course assumes you have access to TSA s Luminate Online Application. Lesson Objectives: By the end of this course, you will be able to: Understand what the Luminate Online application is and its key functions, including conditionalization. See what an LO website looks like from the visitor or front-end user perspective. Understand the variety of page possibilities when building a website with LO and understand what kinds of data can be captured from each page. Navigate within Luminate Online and find the menu bar items needed under their respective tabs. Personalize Administrative Pages. 5 Introduction to LO LO What is Luminate Online? A Database Luminate Online stores important information about constituents (such as their contact information, interests, ing preferences, events they ve signed up for online, revenue donated, etc.) Website Builder This program allows you to build a variety of websites and host them all in one place. Some common examples of website pages built using Luminate Online include pages where a visitor can make an online donation, register for an event, sign-up to be a volunteer, create a peer-to-peer fundraising page, answer survey questions, etc. Online Marketing Tool The data that is captured from website pages built with Luminate Online is stored in the LO database. This information can then be used to create very individualized and personalized online experiences for visitors (a process called conditionalization). Luminate Online can be used to send out conditionalized blasts, newsletters, online surveys and more. Conditionalization Conditionalization is the process by which content is varied on a webpage or in an based on information gathered about a particular constituent. With conditionalization, two users can have two completely different online experiences based on the information captured and stored in the Luminate Online database. For example, a non-donor may receive different s and see different information on a webpage than a donor InterChange University 4

7 Introduction to LO LO Website Pages: The Visitor Experience THE VISITOR EXPERIENCE Luminate Online (LO) websites can contain several different components that can help you track relevant information about the people who visit and take action on that website. When visitors fill out surveys/forms on an LO website or make a donation from an LO website, a constituent record is automatically created for that particular person in Luminate Online. The constituent record tracks essential information about the constituent and places it on the constituent s record in the LO database. Here are some of the components an LO website can contain: 1. Sign Up Survey 2. Support/Volunteer Page 3. Donation Form 4. ecommerce Page 5. TeamRaiser Page 6. Calendar 7. Profile Management Page Let s take a look at each of these components in detail, so that we can see what these components look like from the visitor perspective and so that we can see what s captured and stored in the LO database from each component. (Please note that some of the examples provided in this manual are taken from a fictitious organization s website; not all of the examples were able to be taken from a Salvation Army website.) 2015 InterChange University 6
8 Sign Up Survey Introduction to LO LO The Sign Up Survey provides a way for visitors to your website to sign up to receive e-news and other information about your organization. Once a person signs up, a constituent record is automatically generated in the LO database. Information about which type(s) of e-news a constituent has signed up to receive is then stored on the constituent s record InterChange University 7
9 Introduction to LO LO Support/Volunteer Page The Support Page is the place where visitors go to see how they can get involved with your organization or cause. The Support Page usually includes the volunteer page, which is a way for people to fill out a volunteer form. The Volunteer Page allows visitors to sign up to become a volunteer or to learn more about becoming a volunteer. Information visitors complete on this page is stored in the LO database and on the user s constituent record InterChange University 8
10 Donation Form Introduction to LO LO Here is where visitors will go to donate to your organization. The revenue donated (also called a transaction) will be captured and stored on the constituent s record in the LO database. Using the WYSIWYG Editor (an HTML editor), one can create standard giving amounts (including a field where a donor can enter an amount of his/her choice) on donation forms InterChange University 9
11 ecommerce Page Introduction to LO LO The ecommerce Page allows you to sell merchandise as part of a fundraising effort. The ecommerce Page allows an LO website to have its own online store. Purchases constituents make from this page are captured and stored on the constituent s record and in the LO database InterChange University 10
12 TeamRaiser Page Introduction to LO LO A TeamRaiser Page allows fundraisers to create peer-to-peer fundraising events. Visitors can create and join teams or participate by themselves in order to raise money InterChange University 11
13 Calendar Introduction to LO LO The Calendar shows events that your organization is having. Constituents can see relevant information about the events from the Calendar, such as if the event requires tickets or an RSVP. *This is different than the Calendar, which displays only Message delivery information InterChange University 12
14 Profile Management Introduction to LO LO If a visitor has previously registered on your site or filled out a form in some way, a constituent record is created for him/her. Some of this information is available to the constituent to see on his/her profile on the respective LO website. Returning visitors who have a profile established on a LO website can edit information in their profile (such as contact information). They can reset their passwords and change their ing preferences here as well. A visitor has to be logged in in order to edit information on their profile. When a visitor is logged in, different information will appear on the website than if he/she is not logged in InterChange University 13
15 Introduction to LO LO Logging In Visitors to your site who have a constituent profile can log in via the website s log in screen. This is called a front-end log in. Administrators who need to access Luminate Online will also need to log in, although via a different log-in screen. This is called a back-end log in. 16 Introduction to LO LO Luminate Online: Admin Experience Now that we ve seen what LO looks like from the visitor perspective (or the front-end), let s take a look at the back-end, or what you, as an administrator, will see. In this part of the Introduction to Luminate Online Manual Chapter, we ll examine the parts of Luminate Online that administrators will need to access in order to see information in the LO database and how to find the online marketing tools available. System Navigation 1. The Navigation Bar allows you to access the different functions/pages (called Navigation Tabs) in LO. Once you click on a function/page name, you will see a Menu bar appear. 2. The Menu Bar is a drop-down menu that contains the subcategories relevant to that particular page. 3. The Admin Bar allows admins to manage sites, set up administrative preferences and view help for LO. 4. On a Page, you can view and access specific functionality of the selected page InterChange University 15
17 Page Navigation Introduction to LO LO 1. Navigation Tabs are the individual pages located on the Navigation Bar. Each Navigation Tab has a drop-down menu. 2. Action tabs appear on some Navigation Tabs/Pages. Action tabs allow admins to take additional action within that area. 3. The content and information for each Navigation tab and, if applicable, each action tab, appear in the center of the screen. Navigation Tabs There are 7 Navigation Tabs on the Navigation Bar and each of these tabs has a Menu Bar (a dropdown menu). Let s look at what can be found on the Menu Bars for each tab InterChange University 16
18 The Content tab Introduction to LO LO Under the Content tab, you can choose the following from the Menu bar: 1. PageBuilder: From here, you can view a list of pages that have been configured for a particular LO website. *Please see the PageBuilder Manual Chapter for more information on how to manage pages. 2. StoryBuilder: You can create articles that will then be published on an LO website in this area. *Please see the StoryBuilder Manual Chapter for more information on how to manage your articles. 3. Events: Create, view and manage events for an LO website here. 4. Surveys: From here, you can create new surveys (online forms) for an LO website or manage existing ones InterChange University 17
19 The Fundraising tab Introduction to LO LO Under the Fundraising tab, you can choose the following from the Menu bar: 1. TeamRaiser: From here, you can view a list of TeamRaiser events created for your site, registration and event management tools, participation information and news about your event. *See the TeamRaiser Manual Chapter for more information on how to manage these events. 2. Donation Management: View of list of Donation Campaigns that have been configured for your website. From here, you can manage sustained gifts, memberships, reports and configurations for donations.. *See the Donations Manual Chapter for more information on how to manage these events. 3. Transactions: Find transactions for donations/payments in this area. 4. ecommerce: In this area, you can set up an ecommerce store with products to sell. 5. Service Center: You can add the messaging you want for your fundraising-based pages here InterChange University 18
20 The tab Introduction to LO LO Under the tab, you can choose the following from the Menu Bar: 1. Campaigns: Here is where you can draft, approve and schedule messages that will be sent to constituents on a recurring basis. *See the Manual Chapter for more information on how to manage Campaigns and Messages. 2. Stationery: Create compelling looks and beautiful designs for messages and ecards in this area. The templates that TSA will use are found here. 3. ecards: Promote your site and build up your constituents by allowing users to send ecards to others InterChange University 19
21 Introduction to LO LO The Constituent360 tab Under the Constituent360 tab, you can choose the following from the Menu Bar: 1. Constituents: Here is where you can search for, add and edit constituents. *Please see the Constituent360 Basics Manual Chapter for more information on how to manage constituents. 2. Groups: Manage user groups for your websites in this area. *Please see the Constituent360 Advanced Manual Chapter for more information on how to manage groups. 3. Interests: Here is where you can set up interest categories for your website. *Please see the Constituent360 Advanced Manual Chapter for more information on how to manage interests. 4. Social Media: In this area, you can make it easy for your constituents to share activities with their friends on their social media sites and encourage these friends to participate in the activities InterChange University 20
22 The Library tab Introduction to LO LO Under the Library tab, you can choose the following from the Menu bar: 1. Image Library: In this area, you can add new images to use on your website and in s and see an archive of previously-used pictures. 2. Document Library: Here is where documents can be stored for LO Administrators to view and use on websites and in s. *Here is where the Southern Territory can find our list of CLC s. 3. Affiliate Content: If any content has been imported, you can view it here. 4. Navigation Bar: From this area, you can reorganize and customize the administrative Navigation Bar and reorganize and customize how the tabs in the Menu Bars are displayed. 5. URL Shortcuts: Here is where you can manage URL shortcuts of different forms InterChange University 21
23 Introduction to LO LO The Data Management tab Under the Data Management tab, you can choose the following from the Menu Bar (the Menu Bar items not used by TSA are not referenced below): 1. Reports: From here, you can organize and run reports via the Reports Classic and Report Writer tools. *Please see the Reporting Manual Chapter for more information on how to run reports using the aforementioned reporting tools. 2. Query: Here is where you create and manage queries. *Please see the Query Manual Chapter for more information on how to create and run a query. 3. Import/Export: In this area, you can view of list of synched data and also import information into and out of LO. 4. Tasks: Create to-do lists and tasks here. 5. Mail Merges: In this area, you can create and manage the mail merge process in your database. Reports vs. Query In Luminate Online, the Reports area is used to run reports- to gather information via defined criteria. The Query area is used to create groups InterChange University 22
24 The Setup tab Introduction to LO LO Under the Setup tab, you can choose the following from the Menu Bar (the Menu Bar items not used by TSA are not explained): 1. Groups: This is where one can go to in order to manage administrative groups. *Please note that constituent groups are managed under the Constituent360 tab. 2. Page Wrapper Editor: A list of the available page wrappers for your LO website can be found here. Security Permissions affect your Tabs If there are items you do not see listed in a Menu Bar, it is because you don t have the security permissions to view them. For example, unless you have been given a higher security setting, most of the Menu bar items under the Setup tab are for those with Super Administrative privileges only InterChange University 23
25 Introduction to LO LO Administrator Preferences Administrators can customize their Admin Home Pages and set up preferences in Luminate Online. 1. To set up administrative preferences, click on your username in the Admin menu. 2. A list of Administrative Preferences will appear in a pop-up window. See the chart on the following page for more information about each preference InterChange University 24
26 Introduction to LO LO WYSIWYG Editor Hints Field Accessibility Alternatives Navigation Access Keys WYSIWYG Access Keys Admin Preferences Overview Used by default for editing any HTML in any module. Define the field hints that will be displayed when they are available. In places where the standard administrative user interface is not accessible (ie: requires use of a mouse), use an accessible alternative if available. Enter the keyboard shortcut keys that you would like to use to access the items on the main navigation bar. Enter the keyboard shortcut keys that you would like to use to access the toolbars and content area in the WYSIWYG Editor. Accessing Help 1. Click Help on the Menu Bar or Navigation Bar to access links to the Help file and also help resources on the Blackbaud website. Click List of Help Topics. 2. From here, you can access a variety of help topics from LO s online help database. 3. If you click on Luminate Online Community, you will be able to access help resources on the Blackbaud site InterChange University 25
