2 TO THE STUDENT Please note: 1. Only the following guidelines are considered to be official for preparing a dissertation to be submitted to the Graduate School at the University of Connecticut. DO NOT RELY on any other guidelines irrespective of their source. 2. Any dissertation that does not conform exactly to these specifications CANNOT be accepted. If you have any questions concerning any aspect of preparing the dissertation, please ask us BEFORE the final typing or printing. If a final copy of a dissertation does not conform to all specifications, it will be returned to the student for any and all necessary corrections. 3. If you elect to use any methods of computerized word processing to print your dissertation, it is YOUR RESPONSIBLITY to make certain that your dissertation conforms exactly to the following specifications. DO NOT ASSUME that any computer software package automatically formats a dissertation in the manner prescribed by the Graduate School. Students must submit to the Office of Records/Registration a working copy of the dissertation at least SEVEN DAYS BEFORE the final defense to verify that it is in an acceptable format. 3 I. PROCEDURES A. PRIOR TO THE DEFENSE A student must pick-up the following materials in the Office of Records/Registration or get them from the web site ( 1. Two UCONN ADVANCE Calendar announcement request forms. These forms are to be submitted simultaneously to the Office of Publications and to the Graduate School via the Office of Records/Registration at least THREE weeks before the defense date. 2. Tentative Approval Page. 3. Survey of Earned Doctorates. (not available via web) 4. UMI Microfilm Agreement. (not available via web) 5. Report on the Final Examination (two copies if the majore adisor wants one). 6. Application for Degree Materials. 7. University of Connecticut Health Center - Separation of Employment Clearance Form. 8. The Exit Information form At least SEVEN CALENDAR DAYS PRIOR to the defense, a student must submit to the Office of Records/Registration a Tentative Approval sheet signed by all advisory committee members, a copy of the abstract (the body of which must not exceed 350 words), and a complete working copy of the dissertation. B. DAY OF DEFENSE The Student should be prepared to present at least three dissertation approval pages (final copies on proper paper), and two final examination report forms for signature of major advisor and advisory committee. If additional personal copies of the dissertation will be ordered, the student should present additional approval pages as needed. C. FOLLOWING THE DEFENSE Student must submit to the Office of Records/Registration: 1. Three final copies of dissertation on proper paper meeting all specifications explained herein (two copies for Storrs campus, one copy for Health Center campus, un-bound in a box). 2. Three final approval pages bearing original signatures of all advisory committee members.
4 3. Five copies of abstract on proper paper meeting all specifications. Abstract not to exceed 350 words (does not include the title & heading). 4. At least one signed final examination report form on which is recorded the outcome of the examination and required signatures (second copy for major advisor). 5. Signed Survey of Earned Doctorates. 6. Signed University Microfilms agreement. 7. Money order or certified bank draft payable to B&H for $55.00 ($59.00 if photographs are included.) This covers microfilm fees. Subject to change without notice. 8. Completed Application for Degree materials. 9. If applicable, copyright fee of $45 payable only by money order or certified bank draft to B&H. Subject to change without notice. 10. The Exit Information form. If corrected copies meeting all specifications are returned to the Office of Records/Registration within TEN calendar days, the date of defense will be the student s completion date, providing all other degree requirements are satisfied in full. Otherwise, the date of submission of all materials will be the student s completion date. In any event, all requirements for a Summer or Fall degree must be completed on or before August 31or December 31 respectively, and all requirements for a May degree must be Completed not later than 13 days prior to STORRS Commencement date. MD/PH.D AND DMD/PH.D. STUDENTS WILL HOLD ALL PAPERWORK, FINAL COPIES AND APPLICATIONS FOR THE DEGREE UNTIL THE SPRING SEMESTER OF THEIR FOURTH YEAR OF MEDICAL/DENTAL SCHOOL. THERE WILL BE NO CERTIFICATION OF COMPLETION OF DEGREE REQUIREMENTS UNTIL ALL OF THE ABOVE AND ALL OTHER REQUIREMENTS ON APPROVED PLAN OF STUDY ARE SATISFIED IN FULL. STUDENTS MUST SCHEDULE AN EXIT INTERVIEW WITH HUMAN RESOURCES AND RETURN THE SEPARATION OF EMPLOYMENT FORM TO H.R. AT THAT TIME. OPTIONS FOR CONTINUING HEALTH INSURANCE BENEFITS WILL BE DISCUSSED AS PART OF THE EXIT INTERVIEW. MANUAL OF STYLE Students are urged to consult with advisory committee and/or with department in which the major work for the degree has been taken concerning accepted practices in the particular Field of Study.
5 III. SPECIFICATIONS A. PAPER QUALITY REQUIREMENTS 8 ½ x 11 inch white paper. At least 25% fiber/rag/cotton of 20 lb weight. NO borders, running headers or punched holes. Use only one side of the paper. If there is any question about paper or quality, check with the Office of Records/Registration FIRST. B. PRINTING REQUIREMENTS Printer ink/toner - MUST be in BLACK. The font size used in this booklet is acceptable. (Cursive typefaces are NOT acceptable.) Typeface must be consistent throughout dissertation (except italics, etc.). Erasures must be clean, invisible, and few in number. If you have any questions check with the Office of Records/Registration. C. THE PARTICULARS 1. Margins - Margins for text must be at least 1.5 inches on left and at least 1 inch on top, bottom, and right throughout entire dissertation, including photographs, charts, figures, appendix/ices, etc. (See sample attached). Err to the side of margins being larger than required. 2. Pagination - All pages, excluding exceptions noted below, must be numbered consecutively at top center or top right one half inch (.5) below top edge (and.5 inch from right edge if applicable). Err to the side of leaving.6 inches from edge of paper. Preliminary pages use lower case Roman numerals. Text and reference material use Arabic numerals. EXCEPTIONS are the preliminaries, first page of a chapter, first page of an appendix, and first page of the bibliography where number should appear in the center and one half inch (.5) above the bottom of the page. 3. Spacing - Text of dissertation must be DOUBLE spaced. Long quotations, footnotes, appendix/ices, and bibliographic entries usually are single spaced and DOUBLE spaced between entries. 4. Paragraphs - The beginning of all paragraphs must be indented. 5. Photocopying - This may be the method of reproduction for identical second copy. Copy quality must be excellent. Stray marks, shadows, or other irregularities on photocopy are unacceptable. Ordinary photocopy paper is UNACCEPTABLE. It is the student s responsibility to insure that the paper used for photocopying is of proper quality. (Please note that many high quality papers used by copying services do not have the fiber/rag/cotton content required by the Graduate School). Colored photocopies are acceptable as long as they are waterproof and are able to be printed on bond paper.
6 6. Illustrative Material - ONLY INDIA INK should be used for hand drawn illustrative material. (Colors other than black will photocopy & microfilm only as shades of gray.) Illustrative material must fall within the margins specified above. Oversized illustrations should be reduced, if possible. If not possible, these are to be included in dissertation as fold-out page or in a pocket. 7. Photographs - Photographs MUST NOT exceed specified margins. Either original prints of photographs or high quality scanned or photocopied images of photographs may be used in the dissertation. Photographs are to be on the same paper as used throughout dissertation. Only Elmer s glue, 3M Photo Mount Spray or 7010 Krylon Spray Adhesive may be used for mounting photographs. Permanent dry-mounting also is acceptable. Other methods of mounting are NOT ACCEPTABLE, including tape, rubber cement, etc. 8. Footnotes - Chapter endnotes recommended. Standard practice in particular Field of Study should be observed. 9. Bibliography or References - Should be last section of dissertation. Format should conform to standard practice in particular Field of Study. IV. ORGANIZATION A. PRELIMINARY PAGES - All preliminary pages are in lower case Roman numerals beginning with the approval page which is page ii and numbered at bottom center. 1. Title Page - Use your FULL name. Date of dissertation is calendar year in which all requirements for the degree are completed. No page number appears. (See attached samples.) 2. Copyright Notice - or Blank Page. No page number appears. Copyright of dissertation is optional and a fee of $45 is charged. (Subject to change without notice.) 3. Approval Page - If committee includes more than two associate advisors add signature lines as necessary. Page numbering begins here. This is page ii. Each of the three approval pages MUST bear ORIGINAL signatures of all members of the advisory committee. (See attached samples). 4. Preface - (if any) 5. Acknowledgments - (if any) 6. Table of Contents 7. List of Tables - (required if any tables are within dissertation ) 8. List of Figures - (required if any figures are within dissertation)
7 B. THE TEXT - page numbers in Arabic numerals beginning with page one. (page one is bottom center). 1. Introduction 2. Main Body of the Dissertation C. REFERENCES - page numbers in Arabic continuing directly from the text. 1. Appendix/ices (first page numbered at bottom center) 2. Bibliography or References (first page numbered at bottom center) (The order of these may be reversed if appendix/ices are numerous or lengthy). V. ABSTRACT Abstract must be double spaced. Comply with paper requirements and margins as set forth in Specifications. The Abstract MUST NOT exceed 350 words in length (including a, and, the, etc., but does not include heading and title). Date must be that of calendar year in which all requirements for the degree are completed. Five original on proper paper must accompany dissertation when submitted. Abstract is not part of the dissertation itself and is NOT paginated as part of dissertation. (See samples)
