2 COMPANY PROFILE Kernahans have been established since 1992 and located in Belsize Park, North West London. The core of the business is residential and commercial property management with a sound client base comprising of property companies both private and commercial. Residential housing associations, which are resident owned blocks of flats where the demand for a quality management service is of the highest level. Property investors and private individuals are also part of our clientele. The majority of properties managed are located in North/North West London but our portfolio stretched from Waltham Abbey in the North to Croydon in the South with many locations in the West End, Finchley, Whetstone and East London. Currently the management portfolio comprises of approximately 100 buildings comprising around 1,000 units the smallest being 4 individual units up to 100 units with a total turnover of 2 million in rents and service charges. The Principal, Brian G Kernahan, has personally been managing properties in London for over 30 years and has a massive practical experience in all aspects of property management. The firm is registered and regulated by the Financial Services Authority. We also carry full Indemnity Insurance. Kernahans also offer residential and commercial sales and lettings service where we take pride in dealing with our clients on a personal one to one basis.
3 Block Management Kernahans are very proactive in their management procedures and operate a hands on effective service offering direct personal contact and liaison with each client. This arrangement has proved an important criterion in relationships with clients to ensure a smooth management service. Through our years in business a network of contacts has been sourced and established with specialist advice available for us to call upon from many professionals in the property field such as chartered building surveyors, valuation surveyors, structural engineers, architects, specialist property lawyers, insurance loss adjusters, building insurance brokers, property auctioneers, interior designers, etc, etc. In addition there is a large range of building firms contracted to us from the small emergency jobbing company to the larger well established companies who specialise in contracts in excess of 25,000.. Through these sources we are particularly cost effective in respect of day to day building maintenance work. This also applies to the refurbishment costs of flats and buildings, the latter being a service offered to clients. Our management fees are competitive and commensurate with our services. An exact quotation can be given upon inspection of the property and discussion with the individual clients as to their requirements and following an evaluation of the activity of the service charge accounts, etc. General Information It has always been this firm s policy to liaise closely and to work hand in hand with all Lessees in buildings that are managed by us. Over the years, this policy has proven to be very effective, resulting in good sound management, as well as establishing excellent client relationships. References available on request. Professional Indemnity Insurance in place to 1.5 million. When necessary and subject to agreement, arranging for specifications to be drawn up, obtaining competitive tenders and organising supervision of all works of a substantial nature, i.e. those works in excess of 2, and regarded as not standard day to day maintenance repairs. Unless provided for in the Lease, the management fees for such works will be 12% of the cost of the works plus VAT (7% will go towards the cost of an independent surveyor if required). All fees are subject to agreement. Arrangements are in place with a substantial city broker Willis Limited, for fully comprehensive building insurance cover with a Class A tariff insurers i.e. Zurich, Royal Sun Alliance, Norwich Union at exceptionally competitive premium rates. We are often able to recommend to clients of blocks of flats, cover and premiums where more often than not savings can be made. Designated interest bearing bank accounts are set up specifically for each block where service charges are paid in and expenses discharged. 4 Services Included In The Management Fee Ensuring that the day-to-day management of the property is efficient and smooth running. At periodic regular intervals inspect the buildings and report as to general condition, giving any recommendations as required. A planned maintenance scheme can be prepared. Attending to routine management enquiries from tenants and leaseholders. Dealing with the day-to-day repairs to structure and maintenance, having agreed beforehand from instructing client an agreed limit of expenditure, without reference. Employing required staff and effecting the necessary supervision. Setting up a designated interest bearing bank account specifically for the purpose of lodging service charge payments for the block and paying out disbursements. Arranging and supervising maintenance contracts. Submitting demands for service and other charges at appropriate intervals. Ground rent collection available at additional cost. Making payments to superior Lessors, suppliers, staff, contractors, rating authorities, professional advisers, insurers and others as may be appropriate. Advising on Building Insurance Cover and the competitiveness of premiums. Attending to minor insurance claims of less than 2,000. The negotiation of larger claims will attract a separate fee. By negotiation, many properties in our management portfolio are insured through the second largest insurance brokers in the UK, namely Willis Limited and where exceptional premium rates and cover is secured for properties. Preparing and submitting statements and accounting for balances. Producing and circulating service charge accounts and such information and details to which Lessees and recognised Associations are entitled. Producing an annual estimate of expenditure for service charge purposes and contributions to reserves, if necessary. Reconciling all accounts against actual expenditure on an annual basis and passing to a nominated firm of chartered accountants for an audit certificate. We can recommend a cost effective accountancy firm. Dealing with any auditor s queries. Keeping records of relevant matters relating to the property. Checking compliance with terms of Lease and statutory requirements. Instructing solicitors in relation to unpaid rent/service charges and other matters. Replying to solicitor s enquiries in connection with any re-sales and supplying relevant information at their cost. Attending periodic residents meetings, when required. Within our management fee we have allowed for attendance at 4 meetings and an AGM per year. Any additional meetings will incur an additional charge. Advising generally on management policy.
5 Additional services available The following are not part of the Services included in the Management Fee as described. These additional services can be provided for an additional charge as agreed Carrying out an inspection of the Property (other than the common parts thereof), or a building survey or valuation of the Property as a security or for insurance purposes or preparing any schedule of dilapidations or inventory; Offering vacant property to let, advising the Client on the terms of any lease or negotiating the terms of any new or varied lease; Initiating, conducting, preparing evidence for and attending hearings for and otherwise dealing with any rent review, party wall proceedings, application for a grant or for consent, arbitration or litigation; Dealing with local government matters including council tax valuations, planning permission, building regulation consent and grant applications; Preparing specifications and tenders for, supervising and measuring works the cost of which exceeds the specified expenditure limits and for non-routine matters and where expenditure is in excess of the limits contained in the Commonhold and Leasehold Reform Act 2002 or as subsequently amended; If the Client is a company, acting as company secretary; Dealing or advising upon applications for assignment of tenancies or leases, sub lettings, alterations and changes of use. Dealing with Health and Safety including the provision of Risk Assessments and the execution of their recommendations Management enquiries related to any sale, transfer or remortgage.
