Record Keeping Topic 419. R B: Personal Receipts/Expenses/Activities California Academic Standard. Mathematics Grades 8 through 12 Algebra I Standard 5.0: Students solve multistep problems, including word problems, involving linear equations and linear inequalities in one variable and provide justification for each step. California Ag Standard. 1.4 Basic Core Record Keeping: Students will understand the importance of keeping accurate records and explain the consequences of inaccurate records. Students will maintain and complete the California Agricultural Record Book which pertains to their Supervised Occupational Experience (SOE) Program. 4.3 Agricultural Business Agriculture Records: Students will apply record keeping, inventory and depreciation procedures commonly used in agribusiness. Student Learning Objectives. Instruction in this lesson should result in students achieving the following objectives: 1. Complete and maintain the Contribution to Support Family and Educational Expenses section of the record book. 2. The following terms are presented in this lesson (shown in bold italics): Activity Educational expenses Living expenses Interest Approach. Divide the class into two groups. Have one group develop a list of expenses and record these on the writing surface under the headings Living Expenses and Educational Expenses. Have the other group create a list of activities and record these on the writing surface under the headings FFA, School, and Community. Discuss with the class how these items relate to advanced FFA degrees and awards. Summary of Content and Teaching Strategies Objective 1: Complete and maintain the Contribution to Support Family and Educational Expenses section of the record book. Anticipated Problem: What is the procedure for completing and maintaining the Contribution to Support Family and Educational Expenses section of the record book? I. Many students use money they earn from their enterprises to pay for family support. Technically, this money is neither invested nor in the bank. 3 family support may be counted as earned and invested when applying for advanced FFA degrees or awards. A. Contribution to Support of Family: Entries in this section include enterprise funds the student has spent on necessary living expenses. Living expenses are costs of meeting individual and immediate family needs related to food, shelter, clothing, and/or health. They include items such as home rent or mortgage payments; electricity and heating; expenses for fuel, upkeep, and maintenance of family automobiles; health care, including life and health insurance premiums; and purchase of food and clothing for self and immediate family members. Information on this form is not carried forward to subsequent record books. Students applying for an advanced FFA degree or award must check each year s record book for the total amount they have contributed toward the support of their family. Complete this portion of the record book, following the steps below. Use a pencil. 1. Date: Enter the date the contribution to support the family was made. 2. Paid to: Write the name of the person or business to whom the money was paid. 3. Description of Item: Describe exactly what was paid for. 4. Amount: Write the total amount paid. 5. Grand Total for Year: Add all the values in the Amount column. B. Educational expenses are costs a student incurs for meeting approved learning objectives. Entries for this section of the record book include expenses paid for by the student for any of the following purposes: room and board while away from home for the expressed purpose of attending school; tuition, registration, and enrollment fees at an educational institution; books and related classroom supplies purchased expressly for educational purposes; and testing and application fees necessary for the purpose of advancing personal educational objectives. Use a pencil to complete this portion of the record book. Follow the steps below: 1. Date: Enter the date the payment was made. 2. Paid to: Write the name of the person/business to whom the money was paid. 3. Description of Item: Describe exactly what was paid for. 4. Amount: Write the total amount paid. 5. Grand Total for Year: Add all the values in the Amount column. Objective 2: Complete and maintain the FFA, School, and Community Activities sections of the record book. Anticipated Problem: What is the procedure for completing and maintaining the activities sections of the record book? II. The FFA is an integral part of the agricultural education experience. A record of the activities in which a student participated will be valuable later when he or she applies for scholarships and awards. An activity is an actual physical action related to the student s SAE. 4 and Community Service Activities) on pages Do not enter the same activity in more than one section. A. Use pencil to complete the FFA activities portion of the record book. Follow the steps below: 1. Degrees Held in FFA a. Record the dates on which the student earned the degrees listed. 2. Parliamentary Skills: There are two ways to meet the state degree requirement for knowledge of parliamentary procedure. Students may either demonstrate a total of ten parliamentary skills (complete box B1), or they must successfully pass a written examination given by the agriculture teacher in which they demonstrate proficiency in parliamentary law (complete box B2). This information is not carried forward from year to year. Only include information about skills demonstrated this year. a. For B1 Progress in Developing Parliamentary Skills: List the date the procedure was performed. Indicate what procedure was performed. Indicate where the procedure was performed. The advisor initials the form. Do not duplicate entries from previous books. b. For B2 Parliamentary Proficiency: Write the date the student successfully passed a written exam demonstrating proficiency in parliamentary law. The advisor initials the form. 3. Speaking Engagements Promoting Agriculture and/or the FFA: There are two ways to meet this state FFA degree requirement. Students must either give a six-minute speech or lead a group discussion for 40 minutes. Either of these presentations must be on a topic relating to agriculture or the FFA. This information is not carried forward from year to year. Only include information about skills demonstrated this year. a. Record the date the presentation was given. b. Indicate what type of presentation was given, either a formal speech or a group discussion. c. Indicate the audience, or group, to whom the presentation was made. d. Indicate the topic of the presentation. e. Record how long the presentation lasted. 4. FFA Offices and Committees: There are two ways to meet this requirement for the state FFA degree. The student may either serve as an officer or participate as a member or chairperson of a committee. This information is not carried forward from year to year. Only include information about duties begun this year. a. For D1 FFA Offices Held: Indicate the year the student held the office. List the office held. 5 Indicate with an X at which level the student served. b. For D2 Service on FFA Committees: Name the committee(s) on which the student served. Indicate with an X at what level the student served. 5. Chapter Level Activities: Here students must list activities that occurred only at the chapter level. For the state FFA degree, students must participate in at least five distinctly different activities at the chapter level. a. Indicate the date the student participated in the activity. b. Describe the activity in which the student participated. c. Indicate the student s responsibility or placing in the activity. Do not duplicate activities listed in other sections of the record book (pages 14 17). 6. FFA Activities Above the Chapter Level: The state FFA degree requires that students have participated in at least five FFA activities above the chapter level. However, these activities do not have to be distinctly different from one another. a. Indicate the date the student participated in the activity. b. Describe the activity in which the student participated (as long as it is not recorded elsewhere in the record book on pages 14 17). c. Place an X at which level the activity took place. d. Indicate the student s responsibility or placing in the activity. B. Use a pencil to complete Community Service Activities. The requirements for the state FFA degree call for participation in activities for community involvement as evidenced by participating in at least two distinctly different activities, to the extent of spending at least 20 hours of personal time, which seek to serve and/or improve the quality of life in the local community. Follow the steps below in completing this part of the record book: 1. Indicate the date that the student participated in the activity. 2. Describe the activity, making clear the activity is of a community service nature. 3. Place an X in the Community Service column. 4. Record the numbers of non-class hours of community service that were donated. 5. At the end of the record book year, add up the values in the Hours of Service column and enter the sum at the bottom where it says Total of Community Service Hours. C. Use pencil to complete School Activities. The requirements for the state FFA degree call for participation in at least two distinctly different non-ffa school activities that are conducted outside of normal class time. Follow the steps below in completing this part of the record book: 1. Indicate the date the student participated in the activity. 2. Describe the activity in which the student participated. 3. Place an X in the School column. Review/Summary. Focus the review and summary of the lesson around the student learning objectives.
