3 Maintenance Menu Functions This allows manipulation of most Harvest LIS maintenance operations Manipulating values may improve the following: System performance Storage utilization

5 Menu Manipulation All settings include a description, value, and default value The Description field at the bottom will list the value increment and range, if specified. Settings are manipulated by selecting the field and entering a new value.

6 Where to Find Them

7 Important Settings AutoScan Explorer Instrument transmissions are kept here Default value is 48 hours As volume goes up, this should adjust down This reduces log usage and increases instrument parsing performance

8 Important Settings DDT Debugger: Delete old DDT log files DDT log stores HL7 messages, instrument traffic, and other miscellaneous logging Stored on disk and not in the database Can grow quickly Default value is 30 days This is editable but can increase storage usage the higher the setting

9 Important Settings Change Log Tracks changes and who made them Log is mostly used for troubleshooting Default value is 730 days (2 years) Depending on policies, this value goes up or down Largest log consumption of space NOT your compliance log

10 Important Settings HL7 Files: Delete old records Copies of host message transmissions including RefLab Default value is 30 days This information exists both in the logs and in your database Reduction of this value will improve performance Low values can hinder troubleshooting issues

11 Notable Settings The following logs are used for compliance: User Action Log: Browser views - Shows who ran which browser and when User Action Log: Patient view - Shows who looked at which patient User Action Log: System sign in - Who signed into or failed to sign into the system You should not touch any of these

15 Notable Settings Label Records Days Records printed labels, including the command sent to the printer Used for troubleshooting Default value is 1 day Increase to improve troubleshooting

16 Archiving What does Archive actually do? Removes test results records from active data base Leaves a place holder Places results in a secondary location Why should I archive? Performance increase Disk space utilization

17 Archive Considerations Data retention policy Clinical data AP data Delta Checking limitations Browser and management report limitations No editing allowed of archived results Best to plan with technical support

19 When to Use Manual Archiving When initially setting up the auto-archive function When auto archive has not been run for several days/weeks/months Call technical support before starting this process

21 Auto-archiving Best Practices Use as often as possible Daily or weekly is best It is best an hour after backup It is an online function Never set this up without a manual archive first Call support first

22 Disk Space You should have enough space for: Full database and log Two full backups For a 60 GB database, you will need 150 GB of free space

23 Why Monitor Disk Space? What happens when you are running low? Maintenance time increases Backup time increases Increased down times What happens when I am out of space? Backups begin to fail Maintenance begins to fail You will have a very bad day

26 Why it Changed Logging based on specific needs Preferential logging reduces space consumption Reduced log clutter allowing faster troubleshooting Addresses specific regulatory needs

28 Label Printing Neutrality As of December 2013, label printing is printer agnostic You can utilize whatever printer you so choose most of the time Uses a standard Windows driver You get what you pay for Test any new models before large purchases

29 Other Best Practices Battery backups for the Server Number one cause of avoidable down calls Check current backups and secondary backups including off site storage Test system for major configurations changes Change control process for configuration

30 Copia Considerations Requires tuning usually by Orchard personnel Minimum of 2 Tomcats 1 for users 1 for interfaces/faxing Battery backups Backup plan Maintenance plan for SQL Change control for configuration

31 Copia Change log maintenance this can grow very fast Test system Data retention plan beware of changing the defaults
