1 1 Program Planning Guide Counseling Psychology Program Department of Psychology Southern Illinois University Revised Spring, 2014 This program planning guide is designed for use by students and their faculty advisors. The PPG should serve as an up-to-date record of the student's progress through the program and as a basis for advisement decisions. If a student changes advisors, the original advisor's copy should be forwarded to the new advisor. When the student graduates, the advisor s copy should be placed in the student s professional development file in Room 222. 2 2 Responsibilities of Advisors 1. The responsibilities of the advisor are administrative and involve helping students steer their way through the system. 2. The responsibility for setting up advisement meetings belongs to the advisee, but you should informally encourage meetings by setting up the expectation that you will meet at least once each semester. 3. Become or remain sufficiently aware of important policies and procedures (e.g., counseling and departmental course requirements, probation and dismissal policies). Having the information at your fingertips will be sufficient, or in the case of more complex issues outside of our domain, know the appropriate referral source (e.g., Connie Childers on graduate school matters). 4. Obtain a program planning guide for each advisee and use it to keep a record of his or her academic progress in. 5. Advisors are also responsible to function as practicum coordinator for their advisees. Discuss practicum options with your advisee. Record, for each year of practicum, the setting and supervisor for each advisee. Communicate with practicum settings and/or supervisors as needed. In cases of special practica (i.e., settings or tasks for which there isn t a pre-existing arrangement), the advisor is responsible for ensuring that program requirements for practicum are met. 6. Students' major concern is that you do your best to facilitate their professional development. 7. If you are becoming worried about a student for any reason, let the student know clearly and early. Solicit information from each of your advisees relevant to his or her standing in the program prior to each round of student evaluations so that you can report the student's viewpoint when he or she is discussed. 8. Advisees have the right to request a new advisor in cases where they think the advisoradvisee relationship is not working well for them, or in cases where they have developed a mentoring relationship with another faculty member. Practical Tips 1. Send a note to each of your advisees inviting them to make an appointment for advisement before registration each semester, about the 8th week of the semester. 2. Keep a current copy of the graduate catalog, undergraduate catalog, department blue book and counseling program policies in your office for easy reference during advisement sessions. 3. Begin the process of helping each of your advisees formulate their plan for the last two years of graduate study during spring semester of their second year. Help them clarify their plans for core requirements, specialty practicum, elective coursework, and internship.
3 3 Previous Students' Tips for Advisees 1. Your advisor has information that will help orient you to the program. Meet with your advisor upon arriving in Carbondale and at least once each semester. Do not wait for him or her to contact you. Initiate the contact and set up an appointment. 2. We view the role of an advisor as being a resource for programmatic and professional information and as a potential representative for the programmatic welfare of advisees. We encourage advisees to engage in an open discussion with their advisors concerning the role that their advisors will assume. 3. As students, we encourage the development of mentoring relationships as components of one's professional training. Advisement is a potential vehicle for the development of these relationships, but this is not a prescribed activity for advisors. 4. Keep your advisor informed about any developments in your progress through the program (e.g., completion of thesis data collection, positive or negative experiences in training assignments). 5. Keep a record of your academic progress in this program planning guide. Your advisor should also maintain a copy of your program planning guide. 6. Evaluate your advisement needs periodically; some recommended times for reflecting on advisement issues are the end of spring semester of the first and second years in the program. It may be helpful to discuss the advisement relationship with your advisor, if only to verify that there is mutual satisfaction. 7. In the event that you find your advisement needs are not being met, a change of advisors should be considered. The program director will need to be notified of your desire to change advisors. You may ask the program director to make the new assignment for you, or you may approach prospective advisors first to discuss their willingness to become your new advisor. If an agreement is reached, the program director should be notified for purposes of approval.

6 6 Thesis Students are expected to hold their thesis prospectus (i.e., proposal) meeting by September 15th of their second year in the program, and to complete and defend their thesis by September 15th of their third year. Those who enter the program with a non-thesis master s degree are expected to follow the same timetable for the research paper completed instead of a thesis. These data can be used by the student in preparing a vita and by the advisor in preparing recommendation letters, etc.
