Terms and Conditions Thank you for choosing insurethebox which is a trading style of Insure The Box Limited and underwritten by the insurers named below and on your Schedule. Electronic documentation By buying this Policy, you will be indicating your consent to receiving all Policy documentation, including your Certificate of Motor Insurance, electronically, via Your Portal. About us insurethebox is a trading style of Insure The Box Limited which is authorised by the Gibraltar Financial Services Commission, and authorised and subject to limited regulation by the Financial Conduct Authority. Details about the extent of our authorisation and regulation by the Financial Conduct Authority are available from us on request. Insure The Box Limited is incorporated in Gibraltar (Company Number: 102568), registered office: Montagu Pavilion, 8-10 Queensway, Gibraltar. Policy and add-on sales are sold on a non-advised basis (i.e. we will not offer you any advice about whether you should purchase the policy and/or add-ons). The insurers of this policy are Catlin Insurance Company (UK) Ltd. of 20 Gracechurch Street, London, EC3V 0BG (Financial Services Register number 423308) and Great Lakes Reinsurance (UK) PLC of Plantation Place, 30 Fenchurch Street, London, EC3M 3AJ (Financial Services Register number 202715). Both firms are authorised by the Prudential Regulation Authority and regulated by the Financial Conduct Authority and the Prudential Regulation Authority. Insure The Box Limited is a wholly owned subsidiary of Box Innovation Group Limited which is incorporated in Gibraltar (Company Number: 106243) and whose registered office is: Montagu Pavilion, 8-10 Queensway, Gibraltar. Catlin Insurance Company (UK) Ltd. s associate company owns more than 10% of Box Innovation Group Limited Type of insurance and cover The Certificate of Motor Insurance is a legal document showing who is entitled to drive the insured car. It does not identify the level of cover you purchased nor contain information on Extras you may have selected nor does it detail some significant exclusions to your cover. Please refer to your Schedule of Insurance for your selected cover, and your Private Car Policy Document and your Private Car Policy Summary for full details of the cover provided. How we are different insurethebox provides a new way to insure your car. We aim to encourage our customers to drive more responsibly and safely, at the same time as saving them money. Your insurance is based on the miles you drive. You select how many Policy Miles you expect to drive in a year and this is used to help calculate your premium. Your mileage is measured by a telematics device, called an in-tele-box fitted to your car. When you take out your Policy, we will contact you to arrange for the in-tele-box to be fitted, at no additional cost to you. 1
The in-tele-box is licensed to Insure The Box Limited for the purposes of motor insurance and Theft Tracking on Demand. The devices are owned and provided by either Octo Telematics UK Limited or other telematics providers approved by Insure The Box Limited. Please note: In the event that you are not able to make your car available to have an in-tele-box fitted within 14 days of arranging your Policy, we do reserve the right to cancel the insurance cover, subject to us giving you 7 days notice in writing and following the steps described in your Private Car Policy Document. Installation The installers appointed by us are fully trained to install the in-tele-box in your car to the appropriate industry standards and will do so with care and diligence. We or our installers will contact you to confirm the time and location for the installation of the in-tele-box in your car. The device has tamper controls and attack safe guards. If the intelligent alert system is triggered it will notify the Box provider who will then notify us of any unauthorised tampering with the device. Duration of cover Your cover is connected to the miles you drive. You pay for a set number of Policy Miles for a period of policy cover of 12 months. If you need to drive further than your Policy Miles allow there are additional miles available. You can buy Top Up Miles, and you can earn Bonus Miles through safe driving. Policy cover is dependent upon you driving only when you have miles available. Your available Miles for the current period of insurance can be viewed at any time via Your Portal. Please note: if you exceed your Policy Miles and do not Top Up your miles or receive Bonus Miles your policy may be cancelled. Please refer to the Private Car Policy Document for further details. You will not receive a refund for any unused Policy Miles at the end of your Policy. Policy Miles and Top Up Miles Your cover is connected to the miles you drive. You pay for a set number of miles, known as Policy Miles and the in-tele-box records your driving. If you drive safely you can earn Bonus Miles and a premium tailored to your driving when you renew. Drivers can be judged on their own merits and safer drivers rewarded. If you need additional miles you can buy Top Ups, as you might do with a mobile phone. Top Up Miles can be bought in bundles of 250, 500, 1,000 or 2,000 miles. Bonus Miles The in-tele-box collects data about your driving habits and this information is relayed to Your Portal where you can see all your driving details at the click of a button. Certain aspects of your driving will be assessed and rated and safe driving will be rewarded with extra miles, called Bonus Miles. The in-tele-box will record the following information about your driving: the time of day you drive the speed you drive at on different sorts of road how smoothly you drive if you take breaks on long journeys your motorway mileage your total mileage You can earn up to 100 Bonus Miles each month* and any Bonus Miles you don't use can be rolled over to next year's renewal. Please note:* Bonus Miles are calculated using a variety of factors and the interaction between those factors defines the final score you receive. Factors which have been proven to be a higher risk such as driving at night will result in a greater impact on the overall score you receive. For example, anyone who drives regularly at night 2
will reduce their potential to earn Bonus Miles. We do not insure certain types of vehicle Vehicles cannot be insured if: they are not registered with the DVLA they are not normally kept in England, Scotland or Wales (we do not offer insurance to cars normally kept in the Channel Islands, the Scottish Islands, The Isle of Man or Northern Ireland) they are not normally kept at the address at which the Policy is based the Policyholder or their spouse, partner, parent or guardian is not the registered keeper and legal owner it is a caravan, commercial vehicle, motor home, motor bike, import, kit car, classic car, custom car, limousine or wedding car it is imported it has more than 7 seats it is left hand drive it is used for diplomatic, emergency services or military purposes it has a "Q" plate it is used to carry passengers or goods for profit or used for trade, delivery, hire or as a pace car it has been modified in any way from the manufacturers' standard specification (excluding manufacturers' options fitted at the time of original purchase). We do not insure certain drivers Drivers cannot be insured if they: have any non-motoring offences which are not spent under the Rehabilitation of Offenders Act 1974 have previously had an insurance Policy cancelled at the request of insurethebox or any other motor insurer. Please note: Your Policy only covers you and the named drivers to drive the car insured. Your Policy does not cover you or the named drivers to drive other vehicles. No Claim Discount You agree to provide proof of the number of years No Claim Discount you have claimed within 14 days of purchase of your original Policy. The No Claim Discount proof must: have been earned in your name as the Policyholder be issued by an FCA approved motor insurer who is licensed to trade in the UK be earned in the UK (not abroad) on a private motor car insurance (we do not accept proof from company car, company insured car, motor trade, motorcycle, van or classic car policies) be less than 24 months old not being currently used to insure another vehicle. Please note: 1. Failure to provide adequate proof of the No Claim Discount you have declared may affect any claim you make or could result in your insurance being invalid. 2. We will only issue you with a letter confirming the no claims discount earned on your Policy if you have paid all the premiums due on your Policy at the time of cancellation. 3
Claim notification If you need to make a claim against your Policy please follow these steps: 1. Please call us on 0330 045 0045 as soon after the incident as possible 2. Please give us as much information about the incident as you can. We will explain what your Private Car Policy covers and if you have to pay any excess 3. Wherever possible, speak to us before you make any arrangements for replacement or repair 4. If your car is stolen please tell the Police and obtain from them a crime reference number. Please call us on 0330 045 0045 as soon as possible so we can track the location of your car and liaise with the Police. Cancellation You can cancel your Policy at any time by notifying us. Cancellation can take effect immediately or from a later date, although it cannot be backdated. We reserve the right to cancel the cover providing we follow the procedure defined in Section 11.6 of the Private Car Policy Document: if you do not co-operate in having the in-tele-box fitted within 14 days of you arranging cover with us if you do not pay your premium after a claim, where we have decided to make a cash payment for not more than the market value of your car at the time of the damage where it was uneconomic to repair or replace your car; or by writing to you at your last known address 7 days in advance of the cancellation date if there are serious grounds to do so such as failure to provide requested documents (proof of No Claim Discount etc.), exceeding Policy Miles without top up,where your car is being driven or used other than in accordance with your Certificate of Motor Insurance, following a fraud or deliberate or reckless misrepresentation or if you have withheld information, following removal of, or tampering with, the in-tele-box. If we so request, you must also allow us or our approved supplier to retrieve the in-tele-box from your car in the event that cover is no longer required. Upon cancellation by either you or us, you will receive a refund of premium providing no claim has been made during the period of Policy cover. You will be entitled to receive a refund of premium less an administration fee of 30 and a charge reflecting the cover we have provided up to the cancellation of your Policy. This charge will be calculated on a proportionate basis on either the period of cover you have received or the miles you have used, whichever amount is higher. When you take out a Policy with us we pay the cost of the in-tele-box, its fitting and retrieval of data from it. In the event that you cancel your Policy and if the in-tele-box has already been fitted to your car, or had been fitted to a car you previously insured with us, you will be charged an additional fee of 50 to cover the cost to us of fitting the in-tele-box. These fees will be subject to Insurance Premium Tax where applicable. If you have made a claim during the current period of Policy cover, you must pay the full annual premium and you will not be entitled to any refund. You must surrender your Certificate of Motor Insurance to us within 7 days of the cancellation date, as it is an offence under the Road Traffic Act not to do so. You can surrender your Certificate of Motor Insurance by sending us a notice by email to confirm your insurance cover has ceased. Alternatively you can print and post a copy of your Certificate of Motor Insurance to us on which you state that cover has ceased and which you sign to that effect. Making yourself heard We aim to provide a high level of service and we want you to tell us when we don t. We take all complaints we receive seriously and aim to resolve them promptly; we welcome your feedback. We will record and analyse your comments to make sure we continue to improve the service we offer. If you need to make a complaint about your Policy, please call us on 0333 123 1308. We will then write to you with our final decision. If you are not satisfied with the final decision regarding your complaint or you have not received the final decision within eight weeks, you can contact the Financial Ombudsman Service at: The Financial Ombudsman Service South Quay Plaza 183 Marsh Wall London E14 9SR By email at: complaint.info@financial-ombudsman.org.uk By phone on 0800 023 4567 or 0300 123 9123 Whilst we are bound by the decision of the FOS, you are not. Following the complaints procedure does not affect your right to seek and take legal action. Financial Services Compensation Scheme (FSCS) Insure The Box Limited, Catlin Insurance Company (UK) Ltd. and Great Lakes Reinsurance (UK) PLC are members of the Financial Services Compensation Scheme (FSCS). You might be entitled to compensation from the FSCS if Insure The Box Limited, Catlin Insurance Company (UK) Ltd. or Great Lakes Reinsurance (UK) PLC are unable to meet their obligations. Further information on the scheme can be obtained at: www.fscs.org.uk. Information and how we will use it We will use your information only to manage as far as it is reasonably necessary your Private Car Policy, including underwriting and claims handling. This may include disclosing it to other insurers, third party underwriters and reinsurers. Your information comprises all the details we hold about you and your transactions and includes information obtained from third parties. Your information protection Where we capture your personal information, we will do this over a secure link using recognised industry standard technology which encrypts data that is transmitted over the internet. Most browsers will indicate this by displaying a padlock symbol on the screen. Unauthorised electronic access to servers is prevented by use of suitable firewalls and the servers are located in secure locations, accessible only by authorised persons. 5
