Click the arrow beside the Use Master field Select a master newsletter to use as the base of the new newsletter (if required). 5. Click OK. 6. Click Open or the row of the new newsletter. 7. Create master newsletter Composing and formatting a newsletter You can create a master newsletter to avoid recreating and reformatting similar newsletters. You can create a new master or set a newsletter as a master when you duplicate it. To create a new master newsletter: 2. Select the Masters subtab. 3. Click Add Master. 4. Enter a name for the master newsletter in the field provided. 5. Click OK. 6. Click Open or the row of the master newsletter. 7. Duplicate newsletter You can duplicate an existing newsletter. This is useful if you want to send a newsletter similar to an existing one but with a few changes. When you duplicate a newsletter you can set it as a master newsletter. This is useful if you intend to use the same base newsletter several times. To duplicate an existing newsletter: 2. Ensure the Newsletters subtab is selected. 3. Click Duplicate on the row of the newsletter you wish to create a copy of. 4. Enter a subject for the duplicate newsletter in the field provided. 5. Select Master if you wish to make the duplicate a master newsletter. 6. Click OK. 7. Click Open or the row of the duplicate newsletter. 8. Compose and format the newsletter as required using the buttons provided. 9. Click Save. Create footer for all newsletters Duplicating a newsletter You can create a footer (eg company mission statement or logo) to display automatically below all your newsletters. Doing so saves you adding the same paragraph, image, or link to each newsletter and ensures standardised formatting. To create a footer for all your newsletters: 2. Select the Footer subtab. 3. Select default settings for newsletters You can select a range of default settings to apply to all your newsletters. This involves: Specifying where newsletters are sent from and where sent newsletters are stored Selecting templates to apply to newsletters to ensure standardised, professional presentation Creating messages to send to visitors who subscribe or unsubscribe to your newsletters To select the default settings for all your newsletters: 2. Select the Setup subtab. 3. Enter a name in the field provided to represent who the newsletter is from. 4. Enter one or more email addresses in the Email From field to specify where the newsletters will be sent from. IMPORTANT: If you have more than one email address you need to separate the email addresses with commas, ensuring there are no spaces. EG: It s useful to enter more than one email address in this field if you send newsletters on behalf of other staff members in your organisation as this enables you to select the appropriate from address when sending the newsletter. 5. Click the arrow beside the Default Template field Select a template to apply to all your newsletters. NOTE: Your Acclipse designer sets up these templates. 6. Click Select Folder beside the Default Archive Folder field Select a location on your site in which to store newsletters you have sent. 7. Create a welcome email to send to all visitors who subscribe to your newsletters: a. Click Edit below the Welcome Message section. b. Enter a subject for the email. c. Compose and format the email using the buttons provided. 8. Create a message to send to subscribers to confirm they want to receive your newsletters: a. Click Edit below the Confirmation Header section. b. Enter a subject for the confirmation header. c. Compose and format the email using the buttons provided. 9. Create a goodbye message to send to contacts when they unsubscribe from one of your newsletters: a. Click Edit below the Goodbye Message section. b. Enter a subject for the goodbye message. c. Send newsletter Once you have created a newsletter and selected the default settings for it, you can send it to individual and/or groups. TIP: Acclipse recommends you set up a test mailing list when you first send out a newsletter. To send a newsletter: 2. Ensure the Newsletters subtab is selected. 3. Click Open or the row of the newsletter you wish to send. 4. Select the Send subtab. 5. Click To Groups to send the newsletter to one or more groups of contacts: a. Click Add beside one or more groups you wish to send the newsletter to. b. Click OK. 6. Click To Contacts to send the newsletter to one or more individual contacts: a. Enter a search term in the Search field Click Search to locate the required contact. b. Click Add beside the contacts you wish to add to the mailing list for the newsletter. c. Click OK. TIP: Click the remove icon beside a group or contact to remove them from the mailing list. 7. Click the arrow beside the From field Select the address the email will be sent from. NOTE: You can specify which addresses emails will be sent from under the Setup subtab. 8. Modify the text in the Subject field (if required). 9. Click the arrow beside the Use Template field Select a template for the newsletter. 10. Tick Send subscription information to notify users of their subscription status. 11. Edit the newsletter (if required). 12. Click Send. 13. Check the sending details on the Send Newsletter window. 14. Click OK. 15. View sent newsletters Preparing to send a newsletter You can see which newsletters you have sent, when they were sent, how many people they were sent to, and whether any sending attempts failed. To access this information: 2. Select the Sent subtab. 3. Click View on the row of a newsletter to see how it displays on your site. Delete newsletter To delete a newsletter: 2.
