Introduction The Deanship of Graduate Studies (DGS) at King Saud University was established in 973 in the graduate program of the Arabic Language Department at the College of Arts. On a yearly basis, ever since, other graduate programs have been established and, by the end of 2008, there have been 95 graduate programs: 3 programs leading to the doctorate degree in 77 different majors; while the rest, i.e. 64 programs, lead to Master of Science and Master of Arts degrees in 70 different fields. Statistical records have shown that the number of graduates so far has exceeded 4500. There are more than 5000 students currently enrolled in KSU programs of graduate studies. The Deanship of Graduate Studies promotes graduate research in cooperation with colleges and departments throughout the university. The Deanship is responsible for all graduate programs in the university; it approves, evaluates, and constantly revises and coordinates these programs. As of the end of the 2006-2007 academic year, the Deanship was responsible for administering 95 programs: 3 Ph.D. programs in 77 specializations; and, 64 programs in over 70 different specializations. Nearly 4500 male and female students graduated from these programs. The Deanship of Graduate Studies is a major driving force aimed at promoting and expanding programs. 6

Mission To advance graduate programs at King Saud University, improve their outcomes in line with international standards and diversify them in concordance with the needs of national development. Objectives To raise the level of graduate programs in King Saud University through the implementation of international quality standards To attract academically excellent and certified students to pursue higher education at King Saud University To prepare occupationally and scientifically qualified professionals in different fields of specializations. To motivate graduate programs to keep in line with the continuous technical and scientific improvements and to pursue original and create research to be able to deal with community issues and national development plans. To encourage graduate programs to enrich human knowledge with all its fields through specialized studies and original research in order to get scientific additions, uncover certain facts and reach new discoveries. The Role of the Dean of Graduate Studies The dean is the President of the Council of the Deanship of Graduate Studies. He administers the systems and regulations of research guidelines, in addition to implementing the decisions taken by the Council of the Deanship of Graduate Studies a well as the University Academic Council. The dean plays a key role in the organizing technical and administrative affairs, and monitoring the financial status of graduate studies in coordination with the proper authorities. As a major representative of King Saud University, the dean facilitates the development of relationships of the university with other institutions and universities around the world interested in postgraduate studies. The dean also reviews the annual reports of research studies at the end of each academic year. Consultants The role of consultants is to work closely with the dean in evaluating faculty and research programs throughout the university. Consultants will also assist in evaluating graduate programs and other research plans of graduate students, and make recommendations. 0

In-House Committee of the Deanship of Graduate Studies

Functions of the Student Affairs Committee The role of the student affairs committee is to foster an environment supporting learning. It develops studies and gathers statistics to determine the number of students to be admitted into graduate studies. The committee keeps track of the performance of graduate students throughout their studies at the university to ensure they are conforming to university regulations. It also monitors graduate committees throughout the university. The committee prepares recommendations regarding all graduate programs based on reports submitted by graduate programs in different departments. The committee considers requests for grants, and recommends appropriate action. 2

DGS Units The Deanship of Graduate Studies works hard to develop programs for all graduate students, and is committed to doing its utmost to ensure that the interests of graduate students at every level of decision-making are met. The Deanship consists of five units: Admissions Student Affairs Information Technology Administrative Affairs Quality Assurance 3

Functions of the Admissions Unit The admissions unit receives the files of applicants for graduate studies and reviews each applicant s qualifications individually, examining a variety of characteristics that verifies each applicant s academic record and indicates each applicant s potential for success. The admissions unit then prepares a list of applicants meeting the requirements and sends the list to the departments concerned in order to complete the admission procedures. The admissions unit then keeps track of those students who have been accepted and prepares a list to be presented to the Student Affairs Committee for its recommendation. The list of names is then forwarded to the dean who will make the final decision regarding the applicants suitability. Letters of admission are then sent to successful candidates. The admissions unit is also responsible for forwarding the list of students accepted into the graduate programs in each department so that the registration process is followed up. 4

Functions of the Student Affairs Unit The role of this unit begins with the registration of students each term. Then it keeps track of the students academic records to ensure they are followed the prescribed plan of their graduate studies. The student affairs unit maintains a complete record of the special tracks of study available. It also determines the need for an increase in the number of students in certain areas of study. It also recommends new areas of study. It manages the process of adopting students research plans, and other administrative needs of the students. The unit is responsible for keeping track of the examining committees responsible for assessing students theses and dissertations. It also prepares documents that grant degrees to students upon successful completion of their degree requirements. 5

Functions of the Computer and Information Unit The role of the computer and information unit is to automate processes within the graduate deanship. It coordinates with other units to perform various tasks. It monitors the introduction of new study plans for the master s and doctoral programs. The computer and information unit plays an important role in preparing schedules for each academic semester, processing information, and preparing for the commencement of study. The computer and information unit handles the automated registration of students, and maintains a database in which information is stored about titles of research projects, names of supervisors and faculty involved in examining committees, etc. The computer and information unit is responsible for the design of the website of the Deanship of Graduate Studies on the university website. The unit also follows up on electronic applications. It trains staff to use new computer programs and to utilize new regulations. 6
