Brochure Find knowledge and insights across your enterprise The HP Knowledge Management solution

Ninety percent of the world s data has been created in just the last two years. Businesses today have more information than ever before about their employees, competitors, and customers. Yet, in a recent study, only 14% of executives felt that IT could deliver the right information at the right time to address critical business needs. 1 When it comes to information, there s really no immediate benefit to simply amassing exabytes of content. The real gains come when you can understand and apply the insight contained within your ever-expanding knowledgebase. The ability to gain this insight, however, requires search and knowledge management technologies that can mobilize your organization s collective brainpower to not only understand the explicit knowledge generated by users, but also to provide access to and analysis of the tacit knowledge that exists within the workforce. For this reason, you need to move beyond the white search box in the upper corner of the screen if you want to ensure that data becomes your asset and not your liability. More than 20% of a knowledge worker s time is wasted searching for information The true cost of deploying a traditional knowledge management solution Recent studies suggest that more than 20% of a knowledge worker s time is wasted searching for information. 2 That s about one workday out of a week gone. However, this simple cost analysis ignores the amount of time that knowledge workers can also needlessly waste recreating work that already exists, but can t be easily located. Imagine the gains in productivity, speed of innovation, and even morale if it was possible to find the right information in half the time. The paradox of this data rich, information poor landscape is that technology has been the cause of both an overabundance of data and a lack of insight. Through the rise of social computing, mobile and cloud adoption, and collaborative platforms, data has exploded to usher in the era of Big Data. We are creating more content and knowledge than ever before, yet most of it is out of our reach. The fact is, many of today s search and knowledge management solutions are still based on yesterday s siloed technology paradigm, which simply doesn t address today s big data problems. Most solutions cannot keep up with the varying data formats, the ever-increasing volume, and the need for sophistication beyond keyword search. When you rely on keyword searches in a typical information-rich enterprise, your two or threeword query will inevitably return hundreds, if not thousands, of files that have little relevance to your goal. An effective knowledge management solution must be able to understand the full context of the search and extract the main concepts in documents so it can deliver only relevant knowledge explicit (for example, documents) and tacit (for example, subject matter experts) regardless of where the knowledge resides or its format. Without an intelligent knowledge management solution, however, you will lack the scale and the speed necessary to compete. Information will be found too late to act on it. Key opportunities to know and serve your base are missed. The HP Knowledge Management solution 1 Coleman Parkes Survey Nov 2012 2 Bridging the Information Worker Productivity Gap: New Challenges and Opportunities for IT. 2012. Melissa Webster, IDCe The HP Knowledge Management solution helps you navigate through a vast amount of information in your organization to maximize all assets by enabling access to every source of institutional knowledge, including experts. Powered by HP IDOL (Intelligent Data Operating Layer), the industry-leading human information analytics engine, you can find knowledge in whatever form it exists in whether it s associated with a team, project, department, or even an individual. 2

The HP solution helps you to access virtually all information, regardless of source repository or language, and perform sophisticated content analytics to make sense of the data. The solution helps you foster exchanges within your community to prevent duplication of efforts and increase productivity. You can quickly access and share expertise, and connect and collaborate on similar projects, which elevates the value of your information. You also benefit from personalized delivery of information that is most relevant to you according to your profile, constructed by both explicitly provided data and implied information that is compiled through user behavior. Redefine collaboration for true knowledge sharing Benefits Full access to an organization s collective intelligence: HP IDOL provides contextually relevant knowledge, with the ability to connect to over 400 repositories and support for over 1,000 file types in over 150 languages. IDOL understands virtually all data and connects users to information locked away in silos. Facilitate knowledge sharing and reuse of content: IDOL can match and connect employees with similar needs and interests by forming a profile of all users and understanding relationships based on the content they consume and create. IDOL can also identify experts based on user activities, instead of relying solely on outdated user profiles. This helps reduce duplication of effort and expedites task completion. Information discovery: Concept-based search and analytics lets users discover information they may not have been searching for via connections to patterns and related data. Advanced analytics functions such as entity extraction, classification, and personalization ensure that all relevant data in the enterprise is being used. Risk management analytics: IDOL can automatically redact personally identifiable information such as social security numbers from appearing in search results. It can also redact profanities and any of the hundreds of entities that are deemed sensitive or a compliance risk. Improve decision-making, increase efficiency, and speed to innovation: Advanced search and analytics ensure that users spend their precious working hours on productive tasks instead of wasting time searching for information or recreating content. Users benefit from personalized search results as well as automated delivery of content related to their interests. Knowledge is not counted by what is produced, but what is shared. Content represents only a subset of an enterprise s knowledge. To truly maximize an organization s intellectual assets, you must be able to tap into the tacit knowledge held by your knowledge workers. This will expedite knowledge transfer, reduce duplicate efforts, and encourage a collaborative work environment. With true knowledge management in place, users can leverage existing work that might not live in an enterprise system, but perhaps in the expert s personal storage. This type of socializing and accessibility encourages mentorship and maximizes the full impact of collective knowledge across the organization. But how do you identify a person s expertise and interests? HR profile information is often outdated or inaccurate. People interact across different systems, and relationships are constantly evolving. In the era of Big Data, we have abundant information regarding people s content browsing, consumption, and contribution habits. We know who emails with which group and which individuals. We know who is working cross-functionally on a certain project. We know who works on the same account team. Using this type of contextual data to deliver precise search results can change the course of business if it can be understood quickly enough to make a difference. Data will help you identify not what someone says they know, but what they actually know; not who they claim to know, but who they actually know well. These types of connections can be used to add another layer of context to provide a better, more personalized search experience. The HP Knowledge Management solution forms rich, implicit profiles of users based on their content consumption and contribution history to identify experts without relying on metadata or explicitly defined HR profile information. By developing a rich, dynamic, and multi-dimensional picture of a person s identity, HP IDOL returns experts as well as documents when you search for a particular topic. With HP s intelligent, concept-based search technology, the assets created from collaborative efforts can be easily found and reused, saving time and improving the quality of work. Create information awareness and maximize institutional knowledge Today s workers are increasingly on the go, embracing the newest mobile technologies to stay connected and productive, as they continue to fuel the migration of content to the cloud. Mobile work practices also contribute to fragmentation of knowledge among multiple systems and repositories. For example, information today lives in email, on mobile devices, in Dropbox and Evernote, and in whatever applications people may choose to install. One of the main challenges with traditional knowledge management systems is that they are not equipped to access information scattered across different systems. Clear pricing schedule: IDOL is offered at a simple, transparent, and expandable pricing structure. 3

The HP Knowledge Management solution connects to over 400 repositories, including many cloud systems, and understands over 1,000 file formats (e.g., free text, image, audio, video, and social media content), which enables you to effectively unify your data silos and use a single search interface. We make sure that you are taking advantage of your entire knowledgebase, instead of a small slice of intelligence contained in a few systems. This comprehensive access to data ensures that you are making fully informed, data-driven decisions. Redact sensitive information from your search results Key features Universal file access: Supports more than 1,000 file formats, including free text, video, audio, and image formats. Language independence: Provides the ability to process more than 150 languages. Pre-built, enterprise-class connectors: Offers the largest library of connectors anywhere with access to over 400 repositories. Mapped security: Honors native security models of data sources and enables finely tuned control over information access. Designed for enterprise scale: Used to power the largest environments. Leverage IDOL to rapidly and accurately index data and manage information growth inside and outside the enterprise with support for hundreds of thousands of users accessing terabytes of data. Centralized administrative dashboard: IDOL Site Admin allows you to monitor and control your entire IDOL deployment from a single dashboard. Comprehensive Professional Services with rapid deployment offerings: Benefit from decades of knowledge management expertise. The ability to identify and redact sensitive or offensive information that may exist among your enterprise information is a key component in an effective technology toolkit one that makes it possible to protect the privacy of users or ensure compliance. One of the key features of the HP Knowledge Management solution is its ability to recognize hundreds of entities in multiple languages, including multibyte languages such as Chinese. Using this capability, IDOL can automatically identify and redact profanity or sensitive data, such as information related to Personally Identifiable Information (PII) and Payment Card Industry Data Security Standard (PCI-DSS), before or after indexing, so that the wrong information is never displayed when someone searches or accesses the file. With information being created and disseminated at an incredibly fast rate, it s somewhat common to find inappropriate content that may not reflect favorably upon your organization. On Twitter, for instance, one in 13 tweets contain profanity. When used with our profanity grammars, this IDOL feature can be used to completely redact these words from the index. Discover key insights and increase productivity with nextgeneration analytics The HP Knowledge Management solution, powered by HP IDOL, goes beyond traditional search to help you derive insights from data and discover the unknown unknowns things you did not think to look for. It offers analytics functions beyond simple search, to augment the search experience. Here are a few examples of analytics capabilities: Automatic query guidance automatically groups search results into dynamically generated categories so that you can quickly narrow your search set by the concept you were looking for. For instance, if you search for a project named Spaghetti, IDOL will return a cluster of documents that are related to the lunch menu, and another set of results that relate to a project codename. You can quickly click on the project codename to remove all search results that deal with the lunch menu. Automatic hyperlinking displays links to files of varying formats (even audio and video) that are conceptually related to the document you are currently consuming. For instance, if you are reading a press release on a newly released product and you want to find out more, IDOL automatically finds content that is conceptually related to the topics discussed in the press release. It returns links to documents such as product roadmaps for the product, product requirements info, or the marketer who wrote the press release. And if you decide to click on the product roadmap document, automatic hyperlinking reveals a host of new related files to that product roadmap file to put even more knowledge at your fingertips. Personalization constructs a profile that represents an understanding of your interests and skill set to deliver more accurate, targeted results. This profile is based on your content consumption, contributions, and interactions and is also used to understand your expertise when connecting people to subject matter experts. Automated alerts allow you to explicitly define your interests using terms or example documents that enable IDOL to automatically retrieve content that is relevant to your interests whenever the content becomes available. Eduction identifies and extracts terms in documents that include key fields such as the names of companies or people, locations, addresses, and telephone numbers. IDOL offers hundreds of entities out-of-the-box, across numerous languages. By creating structure out of unstructured data, eduction has been used in numerous applications, including resume reviews, ecommerce search, and call center analysis. 4

Benefit from a flexible, predictable pricing model The HP Knowledge Management solution is sold in a capacity model as a Knowledge Management bundle, with modules for Personalization, Expertise Locator, Eduction (entity extraction), and more, that allow you to perform deep analysis and investigation. With HP IDOL s scalability and high performance, the HP Knowledge Management solution offers a lower total cost than its competitors to help you save more and receive a higher return in your organization. Many customers find that there are also opportunities to integrate Knowledge Management with the HP Enterprise Search solution to further engage with data. Because the HP Knowledge Management solution is flexible and modular, you can easily add capabilities as additional requirements surface. This allows you to grow and consume functionality in a way that makes sense based on how you engage your data. HP Autonomy is positioned as a Leader in Gartner s Magic Quadrant for Enterprise Search, 2014. The HP Knowledge Management solution in the real world The HP Knowledge Management solution enables you to go beyond entering keywords into a query box and parsing through the results list. With a powerful and intelligent search engine, you can solve many more challenging problems. Here are a few examples of real-life uses of the solution: Large global airline manufacturer boosted productivity and reduced duplicate work through expert identification and knowledge sharing Challenge: Employees were wasting 30 minutes a day searching for information and duplicating the work of others. Intellectual property was lost because expertise and talent were not identified. Solution: Deployed software that built a complete map of all knowledge accumulated by an organization Identified relationships between people and information/topics Indexed and parsed information for easy and intuitive retrieval We believe that the unique conceptual capabilities of HP IDOL help us deliver an unmatched experience and a highly valuable service to our customers.
