BOX 27210, TUCSON, AZ 85726 PAGE 2 Of 5 ORAL INTERPRETATION SERVICES (including American Sign Language (ASL) AND WRITTEN/AUDIO TRANSLATION AND TRANSCRIPTION SERVICES INTRODUCTION - REVISED The City of Tucson (hereinafter referred to as the "City") is requesting proposals from qualified firms and individuals to provide Oral Interpretation Services (including American Sign Language (ASL) and Written and Audio Translation and Transcription Services for foreign languages, and Communication Access Real Time Translation (CART), hereafter referred to as interpreters, on an as needed, if needed basis. The initially established contract(s) will expire, January 1, 2019. The estimated annual aggregate City spend for all services is approximately $150,000.00 III. SPECIFIC REQUIREMENTS A. CITY COURT SCOPE OF WORK 11) ADD: Interpreters are also contracted for court-ordered treatment. Treatment appointments can be scheduled after 5 p.m. and/or weekends. Information regarding the agency location for said treatment will be provided to the interpreter accepting the assignment. B. TUCSON PUBLIC SAFETY - POLICE DEPARTMENT (TPD) & FIRE DEPARTMENT (TFD) (REVISIED)TPD and TFD require on-site and on-scene translation and interpretation services for languages and for the deaf and hard of hearing. 1) (REVISED) American Sign Language Interpreters must provide current licensure with the state of Arizona. (REVISED) Interpreter shall provide all equipment, materials and personnel necessary to provide the following services to Public Safety: A. Interpret all requested languages and with the deaf and hard of hearing for any member of the Public Safety staff. ADD D.: D. Interpreters and translators must prevent unauthorized disclosure of all privileged or other confidential information that they obtain during the course of their professional duties

WRITTEN TRANSLATION SERVICES CITY-WIDE ADD ITEM 6) 6) Braille Services; proposed Braille providers must have current certification of industry standard for literacy NLS (National Library Service) Certificate in Literacy Braille Transcribing or equivalent. INSTRUCTIONS TO OFFERORS NOTE ITEM 9: PROPOSAL/SUBMITTAL FORMAT: An original and 5 copies (6 total) of each proposal should be submitted on the forms and in the format specified in the RFP. Offerors shall also submit one electronic copy of the proposal on cd, disc or zip disc in MS Office 2003 or.pdf format. Any confidential information shall be submitted on a separate cd, disc or zip disc. The original copy of the proposal should be clearly labeled "Original" and shall be single-sided, three hole punched and in a binder. The material should be in sequence and related to the RFP. The sections of the submittal should be tabbed, clearly identifiable and should include a minimum of the following sections: the completed Offer and Acceptance Form, all signed Amendments, a copy of this RFP document and the Offeror s response to the Evaluation Criteria including the completed Price Page. Failure to include the requested information may have a negative impact on the evaluation of the Offeror s proposal PROPOSAL EVALUATION REQUIREMENTS B. SPECIAL TERMS AND CONDITIONS 1. TERM AND RENEWAL: (REVISED) The term of the Contract shall commence upon award and shall remain in effect for a period of up to five (5) years. All contracts resulting from this solicitation will end on JANUARY 1, 2019, regardless of when the contract is executed, unless the contract has been terminated prior to the end date.

We are only proposing on the Written Translation Services and our firm is on the East Coast. Do we have to provide the auto insurance? Regarding insurance, we don t have permanent employees in Tucson and we don t also drive there to do the job. Our interpreters have their own insurance. So, please would you waive the 2 insurance requirements? The City is asking for a Tucson business license. I work for a corporation and therefore no business license. What documentation would you need included in the proposal? Do we ask for waiver?. CITY RESPONSE: Please see link below: http://business.tucsonaz.gov/business/get-business-license Prior to contract award all vendors receiving An Intent to Award notice must have a current City of Tucson Business or as conditions exist, provide written determination from the City's Business License Section that a license is not required. Insurance requirements will be requested, if not already provided with the original RFP response, in the City s Intent to Award. A contract will not be awarded if the required documentation is not provided. Offerors who wish to propose modifications to the contract provisions must clearly identify the proposed deviations and any proposed substitute language. Final Determination will be made by the Director of Procurement. QUESTION The RFP mentions background information required for the interpreters but does not mention the translators that would be performing the written translation.
