1 1 Comptel Environmental Program 1.1 Goal The main goal of the Comptel environmental program is to: Verify that Comptel complies with the local recycling and waste management regulations Identify areas where it is possible to improve the eco-efficiency in the office and when travelling for business Agree on metrics to measure the eco-efficiency of the office Constant development of the eco-efficiency: the eco-efficiency of the office must improve or at least stay the same from year to year 1.2 History and Future Comptel head quarter in Helsinki moved to Salmisaari in the summer of 2007. The office building is designed and built to meet the latest energy-saving requirements; for example, the air-conditioning is automated, a heat recovery system is included and lighting is time controlled. This technology results in a smaller ecological footprint per person and the building is called Comptel Eco office. Building is smoke-free. In November 2012 Comptel office in Kuala Lumpur moved to a new Green Office building having Eco office benefits available. The Green building comes with energy efficiency, indoor environmental quality, innovation, sustainable site management and water efficiency. Motions sensors are provided in the office area and the horizontal sun shading device enables for the energy efficiency. To ensure the indoor environmental quality, the carbon dioxide sensor is installed within the office area and low Volatile Organic Compounds (VOC) paint is being used. It is also a smoke-free building. Rain water harvesting from rooftop are used for building consumption to ensure water efficiency. The new eco offices offer an opportunity to pay more attention to basic office environmental procedures like recycling. Teleconferences, reduced travelling, printing and copying paper processes are also introduced to all Comptel offices. In 2012 Comptel started to report the energy consumption and CO emissions from head quarter and Kuala Lumpur office. Waste figures are reported from the head quarter. Comptel has never received any environmental fines or penalties of material nature. In case Comptel ever receives any such fines or penalties, they will be reported in this document.
2 2 Environmental Policy Comptel is committed to a sustainable relationship with its environment. Comptel products (software) do not contain significant environmental or safety aspects. The company encourages its employees in all countries to engage in operational practices that reduce the environmental burden associated with Comptel s own activities and to act as good citizens in their local communities, for example, by considering recycling issues in their offices and engaging in suitable forms of co-operation with local communities. Comptel products do not require any environmental permits, utilize or produce any hazardous materials nor produce any wastewater or solid waste or air emissions. Comptel offices waste water and solid waste handling supplements local laws and regulations. Recycling is encouraged and supported wherever possible. The Comptel Environmental policy and Code of Conduct are introduced to all new employees as part of their induction training. The purpose of the Environmental policy is to ensure that all official environmental requirements set by the office building management and society is fulfilled. The system increases the awareness of environmental matters and regulations on a reasonable scale considering the business needs. The Environmental policy also supports Comptel s corporate image. The environmental impact of the procurement procedure is taken into account by favouring suppliers from companies having recognised eco-labels. Environmental policy is part of a corporate operational system.
3 3 Corporate Social Responsibility Performance Comptel Corporate Social Responsibility performance has been evaluated by EcoVadis, which is an independent company aiming at improving environmental and social practices of companies by leveraging the influence of global supply chains. EcoVadis operates the 1st collaborative platform enabling companies to monitor the Sustainability performance of their suppliers, across 150 sectors and 99 countries. Ecovadis has evaluated Comptel performance in the following areas: Environment Labor Practices Fair Business Practices Sustainable Procurement Comptel Corporation (Group)'s current EcoVadis CSR score is 58, which is exceptional and ranks in the top 30% of all companies Ecovadis assess. The score qualifies for an EcoVadis Silver CSR Achievement Badge.
4 4 Organisation and Responsibilities The Comptel environmental virtual organisation is headed by the Quality organisation. Other members are from the following functions: Marketing Human resources Facilities Environmental, health and safety representative The Environmental organisation has an overall responsibility for co-ordination of the Environmental program and policy. The persons responsible for co-operation with the office building management and those responsible for purchasing goods and services are advised to take the policy into account in their operations. The Comptel Environmental Program is compliant with WWF Green Office requirements.
5 5 Recycling Guides The recycling is executed in the main Comptel offices in Helsinki and Kuala Lumpur. Guidelines are followed in all smaller offices as far as the circumstances permit. 5.1 Recycling Paper All paper has to be recycled. In the main offices are separate containers for: Magazines, newspapers and brochures White office paper Sensitive material that will be shreded Larger cardboard boxes and other cardboard items can be left on the floor nearby the waste paper bins for recycling. 5.2 Recycling Biowaste Each kitchen has a biowaste bin. Biowaste includes: Leftovers Fruit peels Coffee grounds Tea bags Paper napkins Paper towels 5.3 Recycling Energy Waste and Mixed Waste There are separate bins for energy waste and mixed waste. Energy waste includes: Smaller cardboard boxes Plastic (not including PVC) Expanded polystyrene (styrox) Mixed waste includes: Empty milk cartons, because the UHT cartons contain a small amount of aluminium Empty coffee bags Packages including aluminium, some of the juice cartons, potato chip bags PVC plastics and similar (identifiers 03, 07 and O)
6 5.4 Recycling used batteries, empty toner and ink cartridges Used batteries are collected in the office supply area where they can be changed to new ones. Empty printer toner and ink cartridges are left in the copying rooms from where they are transported to vendors recycling centres.
7 6 Energy Saving Guides Instructions how to save energy in the office: Shutdown your computer and turn off display when leaving the office Activate power source optimization in your computer Turn off lights when they are not needed. There is a fixed-time control for lighting, heating and air conditioning, but from the environmental point of view it is reasonable to turn off lights even during office hours in empty office and meeting rooms and areas where nobody works. Turn off lights, wide screen television projectors and other electronic equipment when leaving the meeting rooms. It supports sustainable development not only by reducing the consumption of electricity but also by extending the lifetime of the equipment. Meeting rooms have been equipped with advising signs. Comptel's electricity and district heating vendor in Finland has an environmental programme and support sustainability.
8 7 Commuting and Travelling Guides Comptel As Comptel has offices around the world, many of the internal meetings require travelling. Sometimes, face time is irreplaceable. However, in longer projects where the project team already knows each other, conference calls and webinars are now the norm.
9 8 Eco Office Communication Eco Office is the internal marketing name of Comptel s environmental prgram. The Eco Office instructions and news are released in the Eco Office Wiki. The Quality organisation is responsible for this material.
10 The Eco Office Wiki pages offer a free communication channel on environmental matters to all Comptelians. News related to internal and external Eco Office audits are also released in Compass Comptel Intranet. The face and voice of the system is Björn-Erik, Chief Supervising Eco Bear, a fictitious figure who gives instructions concerning how to improve the eco efficiency of a Comptel office and how to follow Eco Office instructions.
11 9 Audits and Indicators 9.1 Internal Environmental Audit An internal environmental audit is conducted annually. Findings are reported to Comptel Quality and ICT Board, which follows-up the corrective actions completion.
