Set Goals Work with the fundraiser chairperson to set goals. Ask the reason they are doing a fundraiser. Ask how much money they want to raise. Find out how many sellers they have so you know how many Seller Packets you need. Set a collective goal and a goal for each individual seller; keep the goals realistic. Create a Timeline Set a specific start and end date. Two to three weeks is optimal. Account for late orders from the organization. Set a date, time and place for all orders to be turned in. Establish Seller Packet Costs Keep in mind that the cost of Seller Packets should not be included into the price of the candles. To cover these costs, consider them a business expense for your tax return or create an agreement with the fundraiser organization to cover these expenses in part or in full. Account for Sales Tax If an organization is not tax exempt, add sales tax to the selling price of the candle. Sales tax will be calculated based on the shipping address of the order. Be sure to establish who will be receiving the orders and use the tax rate for that address. Remember, all orders are delivered to just one location either to you or the organization. Define the Payment Process Gold Canyon recommends that individual cheques be made payable to the organization. Then, one cheque should be made out to you from the organization. Cross Check the Order The chairperson should tally all the sellers totals, complete the Fundraising Master Order Form and return it to you. A copy of each seller s order form should be submitted with the Master Order Form for separation and distribution purposes. A copy of the Master Order Form should be provided to the organization for their records. Place the Order Collect orders and payment by the agreed-upon date. Delivery All orders will be delivered to one location either to you or the organization. The average delivery turn-around once the Master Order Form is submitted is two weeks. You, the fundraiser chairperson and any volunteers should all be present to receive delivery. Check your order against the packing list. Add a business card to each candle box for supporters interested in purchasing more candles. Sort candles by seller to facilitate individual delivery.
Fundraiser FAQ Are there Scent Samplers that I can order for fundraisers? Yes! Fall/Winter 2015 Scent Samplers will be available September 1, 2015. The part number is 98281 and the price is $13.50. Find it on the Fall/Winter 2015 Supply List. The 15 fragrances will come packaged in a 25-pack clamshell for easily transporting them to your organizations. Can I order a Fundraiser Candle when the Seller Packet launches so I can show prospective groups and clubs what will be available? Yes! Keep in mind, however, that the Fundraiser Seller Packet shows the product in actual size, so organizations can see exactly what the product looks like. If you would like one, however, the Fundraiser Candles are available to order on February 1, 2015. You can order item number 106390, a Fall/Winter 2015 Fundraiser Lumie in Mulberry Spice for $23.00 CDN. Is there a minimum requirement to submit a Fundraiser Order? Yes, the order needs to be $400 retail in order to qualify as a Fundraiser Order that s only 18 candles! What payment types are accepted for Fundraiser Orders? Just like any other order you submit on the Scentral Hub, Fundraiser Orders should be paid by credit card or echeque at the time the order is submitted. To whom should the cheque from the organization be endorsed? The cheque from the organization should be endorsed to you, the Consultant. Are there any delivery fees? You may be charged if the freight company has to reschedule a delivery attempt. A driver is only contracted to deliver the shipment to the end of the driveway. Anything beyond this may result in additional charges at the driver s discretion. For example, you may be charged if the driver moves candle boxes inside a gate or a building. If the truck has a lift gate, however, it will not result in additional charges. We recommend you have a dolly or additional assistance at the time your order is delivered. How do I know how and when the order will be delivered? Visit the Scentral Hub/Numbers & Such/Reports/Administration/Order Shipment Tracking. Use the tracking number provided. All deliveries will arrive through Purolator. What documents will accompany the order? A Checklist for Receiving Your Gold Canyon Fundraiser Order, the Bill of Lading and the Packing List are included with every Fundraiser Order in the plastic sleeve.
How do I know the order has not been tampered with? All fundraiser pallets are completely wrapped for security and tied with secure bands. In the event of damaged or missing items, submit a Support Ticket on the Scentral Hub and select the category of Replacement Order. Include the original order number, the item numbers to be replaced and the reason for the replacement. When the order is delivered, should a representative from the organization sign to confirm that all items have been delivered? You should always have the fundraiser organization s representative sign that all items have been received. A good document to have them sign is the order checklist. Will the Lumies come packaged in the boxes or will I have to assemble the boxes? The Lumies come prepackaged in a decorative box. No assembly required! How do I sort my boxes? Are the candles labeled with the name? Yes, every box has a label on the top for easy identification! Gold Canyon will ship them so that you can easily find the name of the candle without having to turn anything over. It s that easy! With the Lumie being packaged in a box, how do I get the re-order label on the bottom of the candle? No re-order labels are necessary!
