To place your first order, obtain a copy of the contract from our web site www.mbta.com. Fax a signed copy of the contract on or before the 5th day of the preceding pass month, along with your first month s order to the MBTA Corporate Pass Program at (617) 222-3340. Your company will receive the same number of passes each month unless you mail back the Revised Order Form with changes. How do I change my pass order? Fill out the Revised Order Form as shown below and mail it to: MBTA Pass Program, 10 Park Plaza, 6th Floor, Boston, MA 02116. The Revised Order Form needs to arrive on or before the 5th day of the preceding pass month. Below is a sample of a Revised Order Form. This company has indicated a change in Subway, Combo, and Combo+. All other quantities will remain the same. Ordering Passes continued How do I change my company address? On the reverse side of the Revised Order Form, list any new information such as new address, change in administrator or phone number. This information will be updated when you receive your next shipment of passes. What is the best way for our company to send the Revised Order Form to the MBTA? Revised order forms are accepted via U.S. mail, Federal Express, United Postal Service, and couriers. Unfortunately, we no longer accept the Revised Order Form via fax. How can I get a pass for a new employee after I have mailed in my Revised Order Form? If an employee requests a pass after your order has been mailed, add the pass to the next month s cycle. Unfortunately, changes cannot be made once the form enters the system. Delivery of Passes When will my passes arrive each month? You should receive your passes by the 26th day of each month preceding the pass month. The passes will be sent to the Program Administrator. How will I receive my passes? Passes are sent out 3-day FedEx or you may arrange in advance to pick up passes at the MBTA Revenue Department, located at 10 Park Plaza, Room 4730, Boston, MA 02116. To arrange for pick up, please contact the Revenue Department (617) 222-3252. Please check your order upon receipt to confirm that the packing slip matches the number of passes you have received. If you have a discrepancy, please contact the Revenue Department at (617) 222-3252. Will I receive my Commuter Rail passes with the Core passes? Yes. Both Core and Commuter Rail passes will be packaged in separate envelopes within the same FedEx package. If you need further information, contact the Pass Program at (617) 222-5218. 8 9
Delivery of Passes What will I receive with my passes? An invoice, which has a tear-off Payment Form, an order form, which has a tear-off Revised Order Form, and a packing slip, which has a tear-off Pass Return Form. Returning Passes Can passes be returned? Yes. Passes may be returned to the MBTA by the 5th day of the pass month. Passes received after the 5th of the month will not be accepted. If you have any questions regarding returns, please call (617) 222-5710. Payment of Passes When is payment due? Payment is due by the 7th day of the following month. How do I pay for the passes? Payment for passes can be made by check only. Currently, the MBTA is unable to accept credit cards for this transaction. If you receive Core passes (Bus through Zone 2) and Commuter Rail passes (Zone 3 through Zone 8 and Boat passes), you will need two (2) separate checks sent to the P.O. Boxes listed below: Senior/Transportation Access Pass How do I order an MBTA Senior/TAP Pass for an employee? The employee must have either a Senior ID Card issued by the MBTA or a TAP Card (Transportation Access Pass.) The employee will need to present their ID along with the monthly Senior/TAP Pass during use. How does an employee obtain a Senior ID or TAP card? Contact the MBTA s Office for Transportation Access at (617) 222-5438 or (617) 222-5854 (TTY) for details. Core Checks (senior through Zone 2) should be mailed to: MBTA P.O. Box 55792 Boston, MA 02205 Commuter Rail checks should be mailed to: MBTA P.O. Box 55105 Boston, MA 02205 Write your customer ID number on each check, and mark it either Core or Commuter Rail. Commuter Choice Benefit Subway Map Section 132 (f) of the Federal tax code allows employers to increase their benefits package and reduce payroll taxes by offering Commuter Choice benefits. Employers have the flexibility to choose which benefits to offer, and to choose who is eligible to receive the benefit. 1.) Employers can subsidize the commutes of employees for transit, vanpool, or parking expenses (parking at or near the worksite, or at or near a facility from which employees commute via transit, vanpool, or carpool). With this method, the employer pays for the benefit, and receives an equivalent deduction from their business income taxes. Employees receive the benefit free of all payroll and income taxes, in addition to their current compensation. 2.) Employers can allow employees to set aside pre-tax dollars to pay for the cost of their transit, vanpool, or parking expenses (parking at or near the worksite, or at or near a facility from which employees commute via transit, vanpool, or carpool). With this method, employers do not pay for the benefit, but permit employees to pay for commuting expenses out of their gross income, before taxes are computed. Both employees and employers save payroll taxes. 3.) Employers can share the fare, by subsidizing part of the cost of employees commutes and allowing employees to set aside pre-tax dollars to pay for the remainder of the cost, up to the maximum limit. For these methods, the maximum transit or vanpool benefit is $100 per month/$1200 a year. The maximum parking benefit is $180 per month/$2,160 a year.
