General Information This is a Request for Information (RFI) issued by the Indiana Department of Transportation (INDOT). This RFI requests responses for COTS Maintenance Management Software. There will be no contract resulting directly from this RFI; however, respondents to this RFI will be placed on the list of potential respondents and receive an announcement if a competitive sealed bid may arise from this RFI. BACKGROUND INDOT is especially interested in procuring a software solution that will facilitate the management of highway maintenance and operations' activities and assets. This RFI, the first step in the procurement process, has two key objectives: 1) Provide prospective respondents with an opportunity to view and inspect the software and 2) Solicit respondent information that will help INDOT prepare a competitive sealed bid. OBJECTIVE INDOT is seeking feedback on the information in this RFI. INDOT will consider any information received in response to this RFI in the construction of an RFP or competitive sealed bid soliciting these products and/or services. PRESENTATIONS Respondents whose responses appear to substantially meet INDOT s specific requirements may be invited to present their solution(s) in person at the INDOT offices in Indianapolis. While INDOT is interested in learning of expanded functionality offered by respondent s product offerings, every effort should be made to remain focused on addressing the specific requirements of this RFI. If a respondent s product does not presently meet a specific requirement and the respondent has plans to meet this need in the near future; the expected data that this functionality will be available shall be stated. RFI RESPONSES The RFP/competitive sealed bid process will be open to all respondents regardless of their decision to participate in this RFI. Responses will be considered public information once a competitive sealed bid is complete. Please note that the usual and customary procedures for selecting a vendor (issuance of a competitive sealed bid) may follow this RFI. The process will be open to all providers regardless of their participation or noninvolvement in this information gathering process. STATE OF INDIANA OBLIGATIONS Costs for developing and delivering responses to this RFI are entirely the responsibility of the vendor. INDOT is not liable for any expense incurred by the vendors in the preparation of their responses. Appendix A Background INDOT s division of Maintenance Management presently uses AgileAssets asset management system (AMS) to manage operations and resources. The system aids the divisions in creating, managing and reporting maintenance and operations activities, assets and plans. The system, centralized in Indianapolis is used daily by 300+ users across the state of Indiana through a web interface. INDOT is interested in learning of COTS solutions presently available that meet the following Maintenance Management requirements: Specific Requirements The proposed system will at a minimum: Demonstrate its ability to manage a millions of asset and work activity records.
