Steps to Using Internet-Based PECOS PECOS can be used in lieu of the Medicare enrollment application to: Submit an initial Medicare enrollment application. View or change your enrollment information. Track your enrollment application through the web submission process. Add or change a reassignment of benefits. Submit changes to existing Medicare enrollment information. Reactivate an existing enrollment record. Withdraw from the Medicare Program. Submit a Change of Ownership (CHOW) of the Medicare-enrolled provider. Advantages of Internet-based PECOS: Faster than paper-based enrollment. Tailored application process means you only supply information relevant to YOUR application. Gives you more control over your enrollment information, including reassignments. Easy to check and update your information for accuracy. Access PECOS at: https://pecos.cms.hhs.gov/pecos/login.do#headinglv1 The PECOS sign-in page will look like this:
A facility (e.g. hospital, clinic, ASC, FQHC) or supplier (e.g. ambulance, DME) cannot log into PECOS using the NPPES user name and password that was established to obtain an organizational NPI. Facilities and suppliers will be required to register for an Identity and Access (I&A) account that establishes an Authorizing Official (AO) for internet based PECOS. Once the AO has been approved for an I&A account, a delegated official and PECOS End user(s) can be established by the AO. The AO must register for an I&A account first before being able to log into PECOS. Click the link to register for a user account (establish user ID and password). View the CMS Creating an Account video on how to obtain an I&A account. https://nppes.cms.hhs.gov/iawebcontent/creating_an_account.pdf Authorizing Officials that do not have an I&A account must register. The next few slides show the registration process.
On the next screen, select Yes to continue the registration process. On the next screen accept the terms and conditions.
Enter your email address and security image then the Submit button. Assign a User ID and password and then answer 5 security questions.
On the next screen, enter the required personal information. Confirm your identity.
A successful registration will receive the below screen. The next step is to add the facility and AO, DO and user roles. View the CMS How to Register as an Authorizing Official for your Organization https://nppes.cms.hhs.gov/iawebcontent/adding_an_employer.pdf
Once the AO s I&A account has been approved, log back into the I&A system with the user name and password that was established during registration and click on the My Profile tab to begin the process of adding the facility and establishing AO, DO and End User roles. Scroll to the bottom of the My Profile page and click on the Add an Employer.
Add the NPI of the facility and SEARCH. The AO will select their role; click the agree button and submit.
The facility (employer) has now been added. If the AO is the same as what is in the enrollment file, then approval should be automatic. If the AO is not the same, follow the instructions on the screen. Once approved, the AO can delegate staff as PECOS End users and delegated officials. End users will be able to enter and update PECOS information. View the CMS video Setting up Staff. https://nppes.cms.hhs.gov/iawebcontent/setting_up_staff.pdf
The AO will log into the I&A system and click on the My Staff tab. Click on Add Staff
Enter the employee s information and their role. Verify the employee information you have entered and select CONTINUE.
After an employee has been successfully added they will receive an email notifying them to register with I&A. The End users will receive an email after the AO has entered their name and email. All employees delegated by the AO to use PECOS, must register (follow instructions in PECOS email). In the email, the End user will be assigned a PIN and a link to log in. The User will use the email that the AO assigned and the PIN in the email.
If the User already has an I&A account, they will log in using their user name and password. Otherwise, they must register for an I&A account. After logging into the I&A system, the user will click on the My Account and see that an employer has been added to their account.
Now that an End User has been added to the I&A account, they will be able to enroll or assist new providers through the PECOS system. To use PECOS, individual practitioners will need the user ID and password that was established when they obtained their NPI. If they do not remember or have this information, they can contact the NPI Enumerator at 1-800-465-3203, or click on the Forgot Password or Forgot User ID links on the PECOS sign-in page. On the internet PECOS website, CMS has posted videos on enrolling or changing information in PECOS. View these videos for instructions on completing individual or organizational enrollment processes.
All documentation required with an enrollment application can now be uploaded to internet PECOS, instead of being mailed separately. There are two options to obtain the AO or DO signatures on the certification page; either mail the certification or obtain an electronic signature. The certification pages that are normally signed by the AO or DO, can now be done electronically, instead of being mailed. A PECOS email can be sent to the AO or DO for an electronic signature.
