LOGGING IN An e-mail will be sent with your username and password. To reach the log page visit: https://asp.reflexion.net/login this will bring you to the initial log in page like below: Please take a moment to add this page to the favorites in your preferred Web Browser. ( https://asp.reflexion.net/login ) Your username will always be your e-mail address. When you first log in on your primary work computer, please check Remember me on this computer so that you will not normally need to enter in your information. DO NOT click it on computers you only use occasionally or on public computers. If you forget your password, please click Forgot Your Password? and the screen will prompt you to enter your e-mail address, and it will be mailed to you. Changing your Password To change your password, once you have logged in, under User Options, select the password option. You will be prompted to enter your old password, a new password and to confirm it. Select Save when complete. 2
HOME SCREEN BeckTek has taken the time to set up your account options. After logging in the next screen you will see is your Home Screen: From this screen you can view recent mail messages along with statistics for your account. Before making changes to your account (User Options Tab), please contact BeckTek as some settings are based on your Organization s specific guidelines and requested settings How To: ALLOWLIST/BLOCKLIST BeckTek has taken the time to exempt most of your contacts. If you want to add some more exemptions, there are a few ways to do so. 1. Sending an email to a person will automatically add them to your Allow List 2. Use the Control Panel at the bottom of a received email 3. From the Quarantine Folder make the appropriate selection for the sender in question 4. Manually enter someone on your Allow List. Log into site, select User Options, select allow list or block list, new entry. Type in the address/domain you want to add to your white list/block list PLEASE NOTE: You do NOT want to exempt domains such as Rogers, Aliant, AOL, Yahoo, Hotmail, GoogleMail, etc You only want to exempt the sender! 3
CONTROL PANEL Your email will come in with a control panel at the bottom of your message. Depending on your settings the Control Panels will vary. Below is an example of what the Control Panel looks like. Each Control Panel will give specific information as to why the message was delivered. Example 1 Email from someone that has yet to be classified (New Sender) In the Control Panel below, you will see that the message was allowed because the message score was below the threshold chosen for this account. Total Control Panel To: user@yourdomain.com Message Score: 35 High (60): Pass From: spammer@junk.com My Spam Blocking Level: Medium Medium (75): Pass Block this sender Low (90): Pass This message was delivered because the content filter score did not exceed your filter level. Login NOTE Each email is scored based on its characteristics. A score of 76 or above is considered Spam and is automatically sent to your Quarantine Folder Example 2 Email from someone that has previously been added to the AllowList The only option available is to remove this person from the Allow List Total Control Panel Login To: user@yourdomain.com From: trustedcontact@abc123.com Remove this sender from my allow list You received this message because the domain abc123.com is on your whitelist. 4
QUARANTINE FOLDER To view blocked messages, click on Quarantine on the top menu bar or click view my Quarantined message from the home page. Either option will bring you to a page that looks similar to this: Clicking on the subject line of the e-mail will open up the message in that window. From that page you can o Release the e-mail into your inbox o Release the message and Allow the senders email address or sending domain o Delete the message and block the sending address or sending domain o Delete the message You can also check the box under Select and do the following options in bulk o Release the e-mail into your inbox o Release the message and Allow the senders email address or sending domain (adds sender to your AllowList) o Delete the message and block the sending address or sending domain (adds sender to your BlockList) o Delete the message Please note: If there is an attachment, you need to release the e-mail to view attachment. Once a message is deleted from the quarantine it CANNOT be recovered. When allowing or blocking an address, you are actually allowing or blocking the email address listed in the Sender column as that is the actual sending address 5
TRICKS TO THE TRADE There is a unique feature that allows you to give out e-mail addresses safely called Address on the Fly. For example, if you want to buy something on E-Bay, and it requires an e-mail address be provided. Instead of giving out your main email address you would provide (address means your current emails name before the @ sign and domain the info after the @ sign): address.ebay@domain.com, which will always get through unless you block it. You can also do this when you are on the phone with someone such as a friend: address.friend@domain.com. This is a very unique feature that is also very useful. If unwanted e-mails result from disclosing that address, you can stop the original sender from sharing it as well as block the entire address completely. With Total Control, you will gain control of your corporate e-mail to ensure ALL your e-mail gets through, without ANY unwanted e-mails in the mix. Specific User Settings Available Flag the subject line: This option allows for mail determined to be spam to be delivered to your inbox with the subject line modified with a **Possible Spam**. Flag the subject line and deliver to delegate: This option is created for an administrator to review the messages deemed as spam with a **Possible Spam** in the subject. The administrator can then release the message to the user s inbox if they believe it is legitimate. Send a challenge/response or change-of-address request to the sender: This option does not allow the message into your inbox, and sends a message to the sender with the correct address for that sender to use. Quarantine the message and send a challenge/response or change-of-address request to the sender:: This option is the same as above, allowing the sender an opportunity to have their message delivered, as well as a copy of the message does go into the quarantine folder. Quarantine only **Recommended Setting**: This option places the message into the quarantine folder. Vaporize: Does just what it says, it deletes the messages that were sent to your primary address and were not on your Whitelist or marked as spam. ***Once Vaporized, there is no recovery*** 6
