Introduction Introduction This document is a supplement to the Cryoserver v7 User Guide and is intended for Cryoserver Administrators to transcribe the modifications in the v7.x.x releases. Cryoserver is an email archive, storing in real time all the email in/out and around the organisation in a secure and tamper evident way. Cryoserver can be delivered either as: Appliance Software on dedicated hardware or virtualised environment Managed Service Software as a Service Pay as you go model Hybrid approach part on premise and part cloud. Searching Searching There are now three search methods instead of two previously; Standard, Advanced and Outlook search. All methods enable organisations to generate a list of emails that are ranked according to how closely they match the search criteria: Standard. Simple searches Advanced. Main Page Cryoserver User Interface Standard Searches When you log in to Cryoserver, the Search tab is selected by default. Standard searches are used to retrieve email where you know any of these details: Who it was from Who it was addressed to Any words in the subject or body Approximate start and end dates when it was sent or received File names of attachments Any words in the name or body of the attachments you are looking for Search all correspondence to and from an address. Use as many search criteria as possible to achieve the most accurate results. The more criteria you enter, the closer the results will match what you are looking for. Note: If you leave a blank field, it is not used for searching. 14 P a g e

Search Results Search Results When a search is made the results are now displayed using the whole page without wasted space at the top of the results. There is now a breadcrumb tab to return to the initial search criteria. A user can specify how many results are displayed on a single page rather than being restricted to 10 results per page, as well as specifying how much of the email preview is displayed under preferences. When an email is displayed a user can quickly navigate using the the arrows to move to the next result via the Action Bar. Users can also reply to emails directly from the archive as well as reinjecting emails into their inbox. 15 P a g e

Search History Search History Just like your web browser history, Cryoserver now offers a similar history facility of Cryoserver searches enabling to replay a search. Complex searches & regular searches can be reloaded. 16 P a g e

Create Shortcut in Outlook Create Shortcut in Outlook Once a search has been saved, you can now create a Shortcut in Outlook to this defined Saved Search Criteria. This functionality is considered to be similar to auto-filing emails. Please note this will only work with Outlook mail clients. 1. Run a search: 2. Select save search and provide a Search name: 3. Whenever you click on Pizza, will shortcut to the search in Cryoserver: The aim of this is to minimise the need for users to have to file emails into folders. The UI aims to presents the archive results in a familiar Outlook style. To leap to the 33 rd message, type in 33 and press Enter - Reply to the email straight from the archive. Clientless stubbing Clientless stubbing Cryoserver now offers clientless stubbing. Removing attachments from the original email and replacing a CryoLink to the Attachment direct in the archive. This functionality helps reduce the Exchange store size. No client installation required for the email client. Supported by Exchange 2000/03/07/10/13 Stubbing link with Security Only the recipient or sender can click on the Stub link. With SSO enabled, authentication is completed transparently in real-time. Search Date Limits Search Date Limits Under the retention panel it is now possible to restrict Users to a search range. This can be either globally or an individual basis. i.e. LDAP users can be restricted to a rolling 2 year retention, but nominated users can have a 7 year search range. NOTE: The following restrictions cause the "Search Start From" date to become limited. This allows you to set perceived retention period, while retaining the actual data for a longer duration. Some users may be given special access rights to view the whole repository. Setting 0 will revert to an unlimited search. 25 P a g e

Business Continuity Mode Business Continuity Mode When the mail server has failed, Cryoserver can be enabled into Business Continuity Mode. This enables for users to Reply and Compose New Messages directly through Cryoserver. A new menu bar appears on the right hand side of the interface. Inbox will show your emails sent to you. Privileged User Export Privileged User Export Privileged users can Bulk Export emails in three different formats: Standard Email format limited information is exported in reference to the header information Enveloped Wrapped full header information is exported including expanded distribution lists PDFs exporting the emails into a long pdf with each email one after the other in a pdf file. Export Type: Backend Backend exports can be completed much faster (x30) and should be used if exports are large, i.e. over 100MB Fronted Frontend exports are reliant on the download speeds via a web browser and can be slow.
