B TAS Bexley Trust for Adult Students Bexley Trust for Adult Students (BTAS) (A Registered Charity (1006382) helping disadvantaged students attending The Learning Centre Bexley courses) Grant Aid 2015/2016 Application Notes Please read these notes carefully before completing your application form BTAS may award grant aid towards cost of courses not marked with a * in the brochure or to learners attending * courses who do not satisfy the conditions for grant aid from the College but have financial difficulties that could prevent them continuing with their studies. Applicants for grant aid must complete all sections on the application form and provide complete full documentation to support their claim. If you do not complete form in full or provide the information requested your application will either be rejected or returned for completion. It will also have an adverse affect on any grant offered. Applications should be submitted within 10 days of enrolling either by leaving at the reception desk of one of the College centres or by post to: Bexley Trust for Adult Students The Learning Centre Bexley 5 Brampton Road, Bexleyheath Kent DA7 4EZ To be eligible for financial assistance you must be enrolled on the course for which assistance is sought and have paid a minimum of 50% of the costs due. Please note that each application is judged on the basis of relative financial need and that not all applicants will be successful so you must be prepared if necessary to pay full fees due. In general grants are not awarded for more than one course in any one year. Grants are usually in the region of 20% to 50% of total fees due, depending on circumstances with a maximum grant of 150. These figures may be exceeded for exceptionally expensive courses or in cases of special hardship. Assistance given towards monies payable to the college eg for course fees will be paid direct to the college. For cost of essential text books and materials a cheque will be issued payable to the individual student upon the submission of completed claim form (issued to student when grant aid is approved) together with original itemised receipts. It is important that you complete all sections of the application form in full and produce copies of relevant up to date (dated within 4 weeks of application) supporting evidence. If the latest letter from Benefit Agency is dated earlier than this then the copy of it should be sent together with a copy of latest bank statement indicating that you are still receiving the appropriate benefit payments. Note: do not send original documents, these are needed for audit and will not be returned to you. Any appeal against the decision made re your grant, should be made in writing to the Chairman of BTAS within 14 days of date of notification of sum approved. If you have received financial assistance and attendance is unsatisfactory or you leave before the completion of your course, you may be required to repay all or part of grant received. PTO
Procedure for Grant Applications For assistance with fees: Completed application form together with full evidence of financial hardship must be submitted within 10 days of enrolling. An email or letter will be sent (normally within 10 working days of receipt of application form in Grants Office) informing of sum approved, balance due to be paid and 1 date for this to arrive at the BTAS office. Payments may be posted to the BTAS office or handed to reception staff at the College centre. For assistance with essential text books/materials: Completed application form together with full evidence of financial hardship and details of items for which aid is sought must be submitted within 10 days of enrolling. NOTE: Do not send receipts at this stage. An email or letter will be sent (normally within 10 working days of receipt of application form in Grants Office.) informing of sum approved together with claim form for expenses. Claim forms have an expiry date on them. 2 Grant aid not claimed by the expiry date will be cancelled. Learner submits completed claim form signed by tutor with relevant original itemised receipts attached to the BTAS Office. A cheque will be sent to the learner. Notes: 1. Where grant aid is for on going expenses e.g. weekly cost of materials, claim forms should be submitted at regular intervals (half-termly) throughout the course. A 2 nd claim form will be issued automatically upon receipt of the first with a new expiry date on it. This process will be repeated until total sum allocated is exhausted.
